The numbers indicate the release date: 16.05 was released in May 2016, 
17.11 was released in November 2017 and 18.05 is due for release next month.
Koha 3.22 was the last release before this pattern was adopted. You 
could think of it as being 15.11 :)


To understand the differences between versions, read the Release Notes.

The current stable version of Koha is 17.11. Packages are also 
maintained for the 'Old Stable' version, currently 17.05. (This will 
change in late May). See here

'Set up package sources.' Which you choose is a trade off between how 
badly you want the newest features and how much you value stability. You 
might examine the question before each upgrade.

Item Types are defined on the Administration page of the staff client. 
You can define your item types in whatever form you wish. If you wish 
you can use different descriptions at the record level (942$c) and the 
holdings level (items.itype or 952$y). Which is used in the circulation 
rules is defined by the system preference 'item-level_itypes'.

If your records exist in Koha but no search results are being returned, 
then you have a Zebra problem. It will be necessary to either restart 
zebra or re-build your zebra indexes or both. How you do that depends on 
the version of Koha you are using and the method by which you installed 
it. If you have a recent version installed from Debian packages then 
commands can be found here:

Hi,
If you can reach the staff client from FF and IE but not from Chrome, 
that does suggest its a Chrome problem first. Have you cleared the 
browser cache in Chrome?


Does the problem occur from one device or from all devices? If only from 
one, try re-starting the device.

Have you examined the barcodes to make sure they are correct? No spaces, 
apostrophes, inverted commas etc?
Is your file a csv file? You say its a text file but if you saved it in 
Excel (.xslx), that could be your problem.
Otherwise, please tell us what version of Koha you are using and how it 
was installed.

- delete LEFT JOIN biblioitems bi and replace it with LEFT JOIN 
biblio_metadata bi

- at FROM biblio bLEFT JOIN insert a space between b and LEFT
- at i.itype AS 'Item Type'FROM insert a space between Type' and FROM

The marcxml was taken out of the biblioitems table and put in a separate 
biblio_metadata table a couple of versions back. You haven't said what 
version you are using, but it must be relatively recent?

Hi everybody,

I have been working on the Hea website (hea.koha-community.org) this
afternoon to fix an issue reported by Sonia [1].
I noticed that the display and the information of the libraries are
not always accurate and useful, but I have trouble providing something
that would be ergonomic.

There are 2 things to display: the Koha's installations and the libraries
A Koha installation can have several libraries (branches).
We have 3 views:
- See all libraries https://hea.koha-community.org/libraries
- See by country https://hea.koha-community.org/libraries-by-country
- See on a map https://hea.koha-community.org/libraries-on-a-map

On the map there are only the installations that are displayed.
Before today all libraries from all installations were displayed on
the "all libraries" view, one row per library. It is still as it but
they are now grouped by installation: for instance search for
"Bibliothèque université Lyon 3" and you will see the different
libraries for this installation. I feel like it is better but not
perfect. We should at least remove the second if there is only 1
library and that it has the same value as the installation.

On the "by country" I have not changed anything, but libraries are
displayed. It seems that it would be better to display the
installations instead.

Basically my feeling is that we should only display the installations
on the map, "by country" and maybe on "all libraries" as well. And the
details of the installation on the installation view (for instance
https://hea.koha-community.org/libraries/602 for Lyon 3).

I guess somebody else could think the contrary and prefer to highlight
"per library" instead of "per installation".

I am open to any suggestions, feel free to open issue on the tracker
of the project or simply by answering to this email.

PS: Yes some old/wrong data must be removed. I planned to remove all
data that have not been updated in the last 6 months (which represent
~300 installations out of 1145), but actually some seem valid, so it
is certainly a bug somewhere...

That feature virtualizes the experience of browsing the shelf.  It will
show you the books either side of the one selected, based on call number.
This is controlled by a system preference, opacShelfBrowser, if I recall

.mrk is mnemonic (human readable) MARC. You need a .mrc (machine 
readable) MARC file.


You can use MarcEdit to compile your .mrk into .mrc. Then import the 
.mrc to Koha.

I am going to answer 'No, it can't be applied to 18.05', for a few reasons:
- the patch was submitted over three years ago: that is six versions of 
Koha ago;
- even if it applies to the code base, it could cause any number of 
problems - it has not been tested by project maintainers or subjected to 
quality assurance (QA) testing;
- the concept is a bad idea, if you read the discussion in the bug 
report: the concept has been rejected by the project's QA Manager no less;
- patches that are not part of Koha have to be re-applied at every 
upgrade: if you do this once, you will keep doing it, and create a 
maintenance headache for yourself.
The only way in Koha for a user to have two categories is to create two 
records for them. That can cause its own problems. Why not just put them 
in the category with the most generous circulation rules?

Otherwise, Koha does not support the functionality you are seeking.

What size is your bibliographic collection and how many users will you have?
For a new library, the main steps are:
- enter basic administration parameters such as your library or 
branches, item types and user categories;
- configure the system preferences so that Koha supports your policies 
and workflows;

- import your bibliographic records; and
- import your user (patron) records.

We know of small libraries (up to 1,500 records) who started up by

the MARC format required by Koha. If you have a large collection, this 
is a big job.

You only need one installation of Koha.
On the Administration page of the staff client, you will find the 
Libraries link where you can configure each of the branch libraries.
Then patrons at each branch will be able to search the entire

No. That suggests you have the ODUE notice set as the First, Second and
Third notice. You should use the ODUE template to create two new notices,
something like ODUE2 and ODUE3 perhaps, with different text.

Tom, you'll need Ubuntu 18.04 LTS to run the latest Koha. Upgrade Ubuntu,
then install Koha from the Debian packages. To install 18.11 point your apt

Do you have access to the Koha Administration page from the main menu in
the staff client? (If you don't, the menu option will not be present.) If
so, do you have access to the Global System Preferences?
Assuming you do, you will see a Cataloguing tab at the left of the page.
You'll find the system preference 'itemcallnumber' under the Record
Structure heading.
For more help, there is always the manual. :)

Hi Lisa,
Any old PC or laptop is suitable for running Koha's self-check module
provided it has an internet connection (of course) and an up to date web
browser. A port for plugging in a barcode scanner is nice and it sounds
like you also want to connect a cheap printer. The module is well
documented in the manual.
This module is not as robust as the dedicated self serve stations from
major suppliers but it's big bucks cheaper. We found it works best where
trust and competence are higher. That is, it's better for corporate
situations than in education - staff are more reliable (often) than
students. Print out reset instructions and paste them on the wall.

Hi Clint,
One possibility is to compile of file of ISBNs and submit it to your 
national library (Te Puna in your case).  They could provide you with a 
file of MARC records.  Matching on title and author might also be 
possible.  There might be a fee involved and you still have to  create 
items locally, but its quicker than cataloguing individually.

You can always do a test import of one patron. That one patron can easily
be erased.

Patron import is very useful when you want to import a large number of
patrons and/or update current patrons. It wouldn't make sense to import
them and then have to go one by one and set username and password, etc.

Are you saying that emails are not being issued to your borrowers? If 
so, have you enabled email from Koha?  By default, its not enabled, so 
that you don't send emails before you are ready.  To enable it, execute 
'koha-email-enable instancename' from the command line.  More info here:

(I'm assuming Koha is installed from the Debian packages.  If its not, 
it should be.)
If you have already enabled email, check that the server can issue email 
(independently of Koha).

[Koha] Item Lost Status not showing in Editor

At least in 3.18.08, in the Default Marc Framework definition for 
items.itemlost (952$1) the Visibility constraint shows Editor as 
unchecked.  We believe this is a change from previous.  Can anyone 
confirm and/or suggest a reason?


Its the same in a 3.20.5 that I just checked.

In Koha most printing is achieved using the Print feature of your web 
browser.

As a total outsider, I did have a wry smile about a group calling itself 
North American insisting its meeting venue be within the US. But I

that I don't have to run all over a hotel in the morning trying to find
the $5 coffee and $4 donuts, being late for the inaugural address, and
spilling now-cold coffee all over the nice lady in the row in front of
me as I say "excuse-me, excuse-me" as I trip over people trying to get
to the only open seat in the middle of the row in the middle of the
room. Having coffee and donuts provided at the event is worth some coin
to me and something more to the ex-nice lady soaked in cold vanilla
hazelnut coffee which clashes terribly with her /parfum du jour/.

1. When patron self-registration is enabled, there are a number of necessary
fields I can't get to show up, namely, userid, password, and cardnumber (The
project I am working on requires people to fill out their own card number -
they will be unique.) These fields are however accessible from the same
patron template when an account is created on the staff side by
superlibrarian. Any thoughts?

2. Is there any way, after having imported a batch of records, to
auto-generate an item for each record in the batch? I do not have time to
search, by name, for each record in a 5000+ item library and create an item
for it.

3. Following on question 2, is there any way to force the staff interface to
just display every record in the catalog so that if I do have to add each
item manually I can at least do it faster?

What you want to achieve requires development.  Changing the source code 
just for this client is a bad idea.  It will become a problem for you at 
every upgrade.


If performing the development, do use the community's development 
process [1] so that others can comment on the changes you are making; 
that will enhance their chances of being included in a future release of 
Koha.


Having said that, I suspect that when you tell the client the likely 
full cost of the proposed development, they will suddenly see the wisdom 
of your original recommendation, and agree to use the extended 
attributes, which are provided for exactly that purpose.

You won't want to 'move' your journals from the catalogue - they'll need 
to be there for searching and reference.  The serials module refers to 
records already in the catalogue and is used to keep track of 
serials-related actions (like receiving the current issue, or 
maintaining a routing list).  The manual has a chapter on this:

Subject: [Koha] Setting DueDates and Sending OverDue Notices

Hello everyone,

We are working in a koha set up (3.20 on debian 7 - package install on
local server).

Our notifications are edited to send, most of them are going out etc.

But the system is sending NO Overdue notices for some reason,

Let me summarize what I have set up in case this is helpful to anyone.

In Administration > Circulation & Fine Rules, we have set the

circulation

polices, renewal permissions per patron types etc.

In Patron Category Admin, we have set Overdue notices to YES.

In that same Category, we have the set circulation unit in days (30)

which

seems like it SHOULD trigger overdue notices at the appointed time - it

is

not.

*Why might this be*?

Also, regarding the set up of Hard Due Dates: *Do these have to be set

to

trigger OverDue notices if the other circulation rules are set*?

I am not finding the language here as clear as I think it could be for

me.

We are currently sending notices for Advance Notice, Item Due and Holds
Available.
But OverDue notices are not going out.
I might have incorrectly set up the triggers defined here

because I have delays set for advance notice and items due and one

Overdue

notice. But it SEEMS the advance notice would need a different delay
trigger than overdue because one is before the item is due and one is

after.

The Cronjob is running to check them, the messaging queue is being

checked

every 15 minutes according to the logs, but they are still not being

sent.

*What is it I am missing here*?
*Is this a trigger set-up issue, a hard due date issue or something
deeper*?

That's a big upgrade.  You will get different opinions on this, but my 
advice is to export your bibliographic and patron data from the old koha 
and re-import the data to a new Koha (3.20 or 3.22).  You might lose 
some historic data, but its often not valuable data anyway.  You will 
need to amend your item records in a MARC editor - check the Koha to 
Marc Mapping for the Items table in your new Koha.  I believe this will 
be much easier than going through the several stages required to achieve 
an upgrade.


Be sure to install your new Koha from the Debian packages.  There are 
instructions for Ubuntu on the wiki.  (You are much better advised to 
seek instruction from the Koha wiki and this list rather than stuff you 
find on the internet, which can rapidly become outdated.  The Koha 
project moves very quickly.)

accountlines contains the fees and payments history.  If you charge 
fines or other fees and there are any number outstanding, then yes, 
importing this table could help you.  Perhaps pick a truncation date?  
You may need to map to your old borrowernumbers assuming they changed in 
your transfer.


issues holds the items currently on loan.  How many are there?

The reading history is in the oldissues table.  Does your librarian want 
to preserve that?

Import the SCIS authorities file using the 'Stage MARC Records for 
Import' tool.  Be sure to set Record Type to 'Authority'.


Then set your system preferences for the linker 
(Home/Administration/Global System Preferences/Authorities).  Check the 
manual.


Then ask Seth to run link_bibs_to_authorities.pl

We suggest doing all that in a test instance before you do it in 
production. Then you can play around with the sys prefs to see what 
gives the best result.

Hi Clint,
It may be that the Karant software performs a transformation on what is 
stored in the DB to arrive at the barcode number attached to the 
physical item.


As Fauzi attests, Softlink's Alice has a particular nasty whereby the 
physical barcode contains a capitalized alpha character that is not 
stored in the db.  The algorithm for discovering the character involves 
a mod 11 calculation and then the use of a look-up table.


Why anyone would do that, you'd have to ask them.  I am not familiar 
with Karant so have no idea whether or not this is what is going on for you.

International Koha Fund - Grants Committee Draft Rules

Te Horowhenua Trust (THT) in New Zealand has established a Fund for the 
ongoing development and dissemination of Koha as free software.   In May 
2015 THT entered into a Memorandum of Understanding (MOU) with 
representatives of the Koha community regarding the operation of the 
Fund. Pursuant to the MOU, the Koha community has established a 
Fundraising Committee to, amongst other purposes, promote contributions 
to the Fund. The Fundraising Committee is now assisting THT to make 
rules for the establishment and operation of a Grants Committee to 
administer the disbursement of grants from the Fund.


It is important to understand that whilst the Fundraising Committee is 
established by the Koha community, the Grants Committee will be a 
committee of the Trust.  The Trust is seeking the advice of the 
community on the making of the Grants Committee rules.


A draft of the rules has now been added to the wiki:

You need to locate the item in which the item type has been used. Delete 
the item (or change its item type) and then you'll be able to delete the

You can include the holdings data in your spreadsheet.  Koha uses tag 
952 for items.  When converting to MARC, make sure you have just one 952

page at 'Koha to MARC mapping': select 'items' to view those fields.

Hi Jerwyn,
Do your patrons borrow from the library?  Presumably you want them to be 
able to log in so that they can view and renew their current and past 
loans and (if applicable) view any fines?


Koha's circulation rules are based on branch code and patron category.  
So unless you create a user record in Koha (by whatever method) that 
contains at least a branch code and a patron category, your patrons will 
not be able to borrow.


It seems to me that you will have to create a minimal patron record 
containing at least a branch code, patron category and gmail address, 
plus any other fields nominated in your BorrowerMandatoryField system 
preference - typically Surname and Cardnumber.

There is a Persona sys pref on the Administration tab.  Have you checked 
that its Off (Don't allow)?  Also have you given your patron some 
permissions to access to the staff client?

"Don't show", but it's the same whether I have it set to "Show" or 
"Don't show". 


Well that shouldn't be so.  Try clearing your browser cache, or see what 
happens with a different browser.  The preferences work as expected in 
Koha 3.20 (for me at least).  Its also working in the Catalyst demo at 
http://demo-intra.mykoha.co.nz which is running 16.05.
