I waited till today to submit a group of observations gathered during last week, specially after receiving so many private requests for further info regarding the formattiing of our messages to the list and the relationship with our choice of preferences in the e-mail programs and the appearance of e-mail addresses in the body of the messages, something not allowed in ProDig. First observation has to do with the fact that definitely some of the listees have not filled up the information requested by their own e-mail programs, in their computers, and of all the info requested, the NAME of the user is relevant, since when anyone is replying to any message, the program looks into the header of the original message and builds the reply message based on the info available. THis only means that any reply should have the format On [DATE], [NAME] wrote: But if no Name is available, then the program will inmediately look for other info, and first choice is, the email address. It follows that any reply to such message will have the format On [DATE], [E-mail Address] wrote: You will notice that this is one of the typical scenarios currently introducing valid e-mail addresses into the body of messages in ProDig. CONCLUSION: each user HAS to fill up his/her own information -at least the NAME is important- in his /her own e-mail program in order for people be able to respond to their posts, without introducing the e-mail address into the body of the reply. I want to thanks our fellow Shangara Singh since he provided the observations and I tested and verified his remarks and it is definitely useful for the entire list. Just fill up your info !! Second wrong format has been detected to be dependent on our choice to place the insertion point to start writing our replies. Anytime we chose in our e-mail preferences to place the insertion point BEFORE the body of the message we are responding to, the program, ( be it Outlook, Outlook Express, Apple mail, etc) decides on it's own to include both the body and the header of the original message, and then the e-mail address of the original poster shows up in our response. THis happened many times this last week and any reader of the Digest may notice how disturbing this is. THis behaviour does not occur if we choose to Place the Insertion Point AFTER the body of the messsage we are responding to and the message is formatted the standard ProDig way On [DATE], [NAME] wrote: Keep in mind hat we are making strong efforts to control the formatting of the e-mail address to the list for the collective benefit. Valid e-mail address in the body if the messages reaching the Archives will eventually be harvested by robots and will become target for spammers. Once the info is online, we can't do anything to control it. As a final remark, I want to report that this week showed an unusual amount of messages including double footer( end of the message) and this can be easily avoided by a correct and tighter trimming of the message we are responding to. Most e-mail programs let us select/highlight a small part of the text and when we hit the Reply button we get only such part of the original message included as part of our reply. Please make extensive use of this feature to avoid unnecesary clutter of junk data in our Archives. One more time, ADMIN NOTICES AND/OR LIST MUM WARNINGS ARE NOT A THREAD AND SHOULD NOT BY ANY REASON BE RESPONDED TO ON THE LIST. Finally, People who may wish to post Off Topic messages, which may provide useful info for the listees are cordially invited to submit their request to Duty List mum for approval before posting.
