Hi All

An quick update on this. 

The feedback from Sally is that the content of the email blast is OK. Instead 
of of posting the message directly to the ComDev mailing list, we can create it 
as a ComDev blog post and then point all promotions about the event to the blog 
post.

She is also willing to list the event at part of the weekly roundup and maybe 
tweet it with the ASF account. (We can definitely tweet it from ComDev)

The organisers seem to be happy with this arrangement so will list us a 
Community Sponsor and give us an allocation of free tickets to the event.

I've got a response back from them and they still would like us to participate 
in their offer.

I asked about Apache involvement in the event since if we are listed as a 
community sponsor then we generally have a booth or at least a talk at the 
event. Their response was as follows:

“our community sponsors help promote our event and, in return, we help 
promote their company. One of our PRO speaker workshops by Denis Magda of 
GridGain is on "Apache Ignite Service Grid: Foundation of Your 
Microservices-Based Solution"

Email Blast
They are going to send me a copy of their email blast so we can look at that to 
see if it  would be acceptable or not.  They seem to be OK with it being 
limited to the ComDev mailing list, a paragraph on our blog and a tweet.

They also said that we could do create an email about or promoting the ASF that 
they would send out to their event mailing list.

So that is the latest status. As soon as I get more info, I will let you know.

For perspective, the ASF has *never* regularly done this at the
Foundation level.  The Members and committers lists have always been for
our own discussions, not for forwarding marketing, even in the name of a
few potential extra eyes.  So the majority of committers I know would
disagree with you.

Note: the above doesn't apply to per-project lists: individual PMCs can
and do forward or allow messages like this in their projects when it
makes sense for their community (i.e. when their project is featured or
their contributors would be interested).

I would call this a strong requirement, yes.  We do not wholesale give

Separately, note that they said "Newsletter or social media promotion of
DeveloperWeek to your members" - that says to me, they mean "members" as
a general concept, not a specific list.  I doubt an event sales person
contacting press@ would get the distinction between ASF Members and
"people working on Apache software".

Hi  All

Thanks everyone for your feedback and comments. Here is a quick update of what 
is happening. 

I've sent a response to them asking for  confirmation about ASF involvement in 
the event (so to see if we have any projects involved or have any ASF related 
speakers participating).

I have mentioned the ASF vendor neutrality and have requested to see an example 
of their email marketing to ensure that it is appropriate and informative. 

Finally I have highlighted that any event communication would be limited to the 
ComDev mailing list, the ComDev twitter account and the ComDev blog only. 

So now let's wait to see what response comes back.

Just to throw a different opinion out there, I wouldn't mind reading and
deleting as many as a dozen marketing-type emails per year if it got the
ASF's name out in front of people that don't already know about us, or
made the ASF appear like a friendly, collegial, foundation.

We might require approval of the content to make sure it doesn't somehow
enable tracking/data-mining, and require an ASF sessions(s) and speaker(s)
so we can market the ASF at their event.

Exactly as Mark says, but also a question: Do we want the ASF logo on
the sponsor page when it's not an event about Apache?

Looking over their talks, not a single one seems to be about an Apache
project.  Obviously it's an early schedule grid, but I wonder if it will
seem odd that we'd sign up as a Community Sponsor for an event that
there isn't an obvious Apache project presence at.

Separately, if we do sign up, we need to ensure whatever pre-written
creative they supply for the email is appropriate for our audience.
