- Do they inherit from parents (e.g. at time of child creation)?
- Are they just plain text (not date/numeric)?
- Do they default in any helpful way?
- How long are they allowed to be?
- Do they come with any functions that can work on them?

[MLO] Importance, Urgency and Importance Default Set At Min!

MLO,
I LOVE your software and have been using it religiously for years.  I think 
I use a different email address when I buy things for anonymity but I uses 
sgh...@gmail.com for anything on Google.  My beef is with Importance, 
Urgency and Effort.  The default should always be the lowest value to give 
the person as much flexibility on the upside as possible.  The first thing 
I do with any task is to set all 3 at min.  Why normal and then having to 
lower those that are lower?  Of course this is more work for me and my 
request for you to change may produce more work for others if they do not 
agree with my concept.  I believe there should always be upward movement 
and never downwards.  My way gives me 6 levels on the upside instead of 
just 3.

Personally, I used hotkeys A LOT, as they are about x10 faster than using a 
mouse.

Feel free to edit if any errors. Not yet updated for MLO Windows V5 (are 
there any changes ??)

I recommend printing it out and highlighting any hotkeys that you are 
planning to learn with a blob using a bright highlighter pen, and then 
keeping the printout visible from your desk/work surface.
Once you have both learned and got into the habit of using said hotkey, you 
can then go over it and darken it with a slightly darker highlighter pen.

OK, to partially answer my own question...

If I sort the view by Importance, I can then:  
A) Right-click over the Importance column to get the task to the nearest 25 
units of Importance,   then 
B) Use Alt+C (to give Contexts field focus), then hit Tab once (to give the 
Importance slider focus). I can then use up/down arrow keys to 
increment/decrement the value of Importance by 1 unit.

It's a bit fiddly but it allows me to fine-tune sort order within 
"Importance" to the nearest 25 as set up by using the dropdown.  

Not as good as proper full manual sort, within Importance, but better than 
nothing.

I want to sort my tasks firstly by Importance value (Max, A Lot, More etc), 
but within that, I then want to change the order manually. Is this 
possible? 

i.e. Is it possible to do initial a *rough* sort using the Importance 
field, and then between tasks of identical importance, to then change the 
order manually?
e.g. If I want to change the order between my task which all have an 
Importance value of "A Lot", I might simply use Shift+Alt+UpArrow and/or 
Shift+Alt+DownArrow to change the order of "A Lot" tasks.

Failing that, is there some hotkey or mouse wheel to increment/decrement 
the exact Importance value by +1 or -1 ?

period at the moment, so now would NOT be a good time to upgrade to v5) but

To answer my own question (sort of)... 
I have created a new view that simulates the Active Actions functionality 
using Advance Filters of

- (not(HideInToDo)) AND
- ((StartDateTime on or before Today) OR (StartDateTime does not exist))

...as this does leave Folders visible. It remains rather a pain to set up 
though, each time I want to set it up from scratch, though!

I still think that MLO should give focus to the next task on your list more 
easily, though.
In fact, I can't see why it doesn't just give focus to the next task on the 
current view automatically.

[MLO] Workflow problem: How do I distinguish "do this week" tasks from has appeared from my Tickler List?

Hello 

I just got an insight. 

First a little background: On my system, if a task is Active in MLO it 
means "do this week".
I use the Active view and move the Start Dates into the future (using 
keyboard hotkeys), so that I don't even see them for [X] days. This is my 
"Tickler List" in GTD speak.
Then at the start of each day, I look at all my Active tasks and give a 
Star to any task that is "do today".

So far so good.

However my insight is: Just because a task has become visible does not 
*necessarily* mean that it is "do this week".  What it really means is: 
"*consider 
*doing this week"!   i.e. In effect "Review this week"... but no, the 
decision to actually "do it this week" has not yet been taken!

So what has been happening is that my "do this week" lists of tasks keep 
getting cluttered up with stuff that I had only kicked into the future, but 
which I have not YET decided to actually do this week - if at all!  

And being a v slow reader, this has been leading to clutter and overwhelm.


BACKGROUND
At present I am using a Context-tag to flag up stuff that is on my "Do 
Someday/Maybe" list. And on most of my views I remove these from view 
(using an Advanced filter).  

And because I have quite so many tasks in this "Someday/Maybe" list, I also 
have a "Do Soon" Context-tag, that also removes tasks from my views. "Do 
Soon" is something that I keep fairly small in number, and which I will 
review during the week when I have a bit of slack time. Whereas "Do 
Someday/Maybe" only gets reviewed once per week, sometimes once per two 
weeks. For truly long-terms stuff I have an Archive folder where I dump 
stuff for reviewing in 6+ months, rather than actually deleting it. 


But I am now wondering how to distinguish "actually do this week" tasks 
from tasks that have merely appeared from my Tickler List. 

Do I really to assign a "This_Week" context to each task I'm going to 
execute?

Any thoughts?

UPDATE: I just discovered tho to set importance using the keyboard:
A) Hit:  [Alt]+[2]until you Contexts have focus
B) Hit:  [Tab]

C) then hit:
1 ==> Importance of zero   = "min"
2 ==> Importance of 50  = "less"
3 ==> Importance of 100=  normal"
4 ==> Importance of 150= "more"
5 ==> Importance of 200=  "max"

Unfortunately, Alt+2 toggles between selecting the task name and Context 
field so from what I can see there is no guaranteed way of ending up with 
Contexts having focus just by hitting the keyboard.

This issue is EXTREMELY frustrating.

If you are using an Active tasks view, is there really no good way to move 
to the *next* task on your list, after you have moved your task's Start 
Date?

Background:
I more or less live in an Active tasks view, and I use Start Date a LOT to 
move tasks off my list.

e.g. Alt+S, 3, D, Enter 

... would move a task off my Active tasks view for 3 days. But how do I get 
back to the next task?

Yes that's slightly useful, athough slightly hard to locate.

What turns out to be more useful is clicking on the task's row itself, 
without clicking on the tasks title [e.g. on the Icons column in my setup] 
works quite well for me as it takes me from a list view (e.g. when I am 
looking at my starred list for today) directly to the hierarchical All 
Tasks view. And then double-clicking again conveniently take me back to my 
Starred view.

But is there is a way to do this with hotkeys (which would be much faster)?
Enter + Shift
Enter + Control
Enter + Alt
Or any other combination of the above ...} all seem to take me into editing 
the title.

[MLO] How can I link 2 tasks other than by using "dependency"?

Hello

Is there any way in MLO to link two tasks together, other than by using 
"dependency" ?

i.e. I want to be able to click on one task (e.g. one of my "TimePeriod" ) 
and be taken to another task (e.g. one of my "MajorProject" names ).

The problem is that I can't use Dependency because I am using Active Tasks 
views and if I make a Task "dependent" on another task, then it disappears 
from view!
And the reason why I am using the "Active Tasks" view is that I want to be 
able to "kick tasks into the future" using the Start Date and thereby to 
disappear from view for a while.

Background
On each day I am trying to plan how I am going to move through my Contexts 
(and/or Major Projects) during today.

e.g. Is it possible to link a task to a different task in a different MLO 
file?

Using Contexts to manage my real-world importance of my tasks is messy, as 
it will cluttering up my Contexts. 

However your suggestion also raises a deeper problem with MLO. The thing is 
that I am already using a large number of views - one for each real-work 
"context".
And now it sounds like you are saying I need say ten versions of each 
context view!? Total nightmare!

OK so maybe I should revert to creating my own views manually "on the fly" 
by leaving the Properties open (on the left of the screen) and only having 
say 2 or 3 views. 

Worth a try I suppose. Is this what you do? Manage importance to you the 
user by using Contexts?

Either way, the inability to use the Importance field for my real-world 
importance feels like another (annoying)  "workaround" that MLO is forcing 
upon us.  [G]

No. I am already using Star for "attempt to do today".
Also it is binary (on-off), whereas I want to have degrees of importance, 
so that when I have more time on my hands I can start clearing the 
technically "less important" tasks.

Yes I already use the Importance column. Yes I use multi-line selections. 
Yes, I find it useful. 
The problem is that in general I need to evaluate the importance of each 
task separately.

Is there any way to set up a hotkey to change the Importance of a task?

Background
I had a minor epiphany, on a walk today.  

I need to *just do the extremely important tasks*. (e.g. Importance = 
"Max") 

And then, once they are done, then I can move to the *fairly *important 
tasks  (e.g. Importance = "A lot") 
And then, only if time permits to take on the task of lesser importance... 
etc etc.

What has happened to me personally, is that over time too much crud has 
built up in my system most of which isn't all that important. The crude 
tool of making tasks either active or "someday-maybe", is also too blunt an 
instrument, as one ends up with an unfeasibly large number of tasks which 
one doesn't want to delete just yet, and yet which are too 
time-consuming to review in their entirety on a regular basis. Using the 
Start Date to kick less important stuff down the road doesn't solve the 
problem either... Here's the thing: I just don't want to even SEE tasks 
until I am in the mode that is ready to even think about taking them on. 

The problem is that allocating actual values to the Importance field seems 
cumbersome using the mouse. Reluctantly I concede that I could try setting 
up some new, dedicated Context tags, but this too feels cumbersome as I 
already have rather too many contexts for comfort(!). Also turning off one

You might have thought so but I spent a long time battling with this one 
and apparently the answer is no, you can't do this.

The solution to my MLO problem is... [drum-roll]  ...to take drugs!

Sorry but I had to laugh, even though I get your intent was to help.
OK, joking aside, in truth I do find that meditation does help a lot with 
focus & purpose. But drugs & meditation aside, I do still reserve the right 
to say that MLO would be easier to use is we could find a way to have more 
than one Next Action per Project. I still think the best thing of all would 
be to hand-pick additional individual tasks to flag them to appear on the 
Next Actions list. [Fwiw, GTDNext has this.]
 
Failing that, if we had a global setting to show the next XX tasks (e.g. 3 
tasks) for all projects would be extremely welcome. [FWIW, Nirvana has 
this].

Given that other task managers have these features, maybe I'm not quite so 
bonkers after all?

Or even maybe a field at the Project level for how many tasks to show in 
the Next Actions list. That way for larger projects you could adjust this 
value up and keep smaller projects just showing the next 1 tasks.

Any other takers?

If you want to change the colour away from green try:

Tools ==> Options ==> Themes & Formatting ==> Edit ==> Task Format ==> 
Active Tasks Format ==> Font ==> Font Colour

But reading your email more closely it does sound like Start Date is the 
way forward.
If the Start Date is in the future then the task will no longer be "Active".
And if your view is set to only show Active tasks then those tasks should 
disappear from view.
Try: Filter (bottom left) ==> General ==> Show Actions: ==> set this to 
Active.

Alternatively as others have said, you could so some Automatic Formatting.
e.g. If Context contains @Wait-For, then change the colour (e.g. to mid 
grey?)

PS I use Active task views and Start Date *A LOT*. e.g. By just using the 
keyboard:

Just in case anyone else is still interested (and in case I need to re-set 
this up again from scratch):

My Advanced Filter that I had was in fact failing because during the day 
those tasks with @Evening contexts where still appearing. 
So I have changed it to:

   ((Starred) *AND (Context does not contain @Evenings) *AND (Context does 
not contain @Someday)) OR
   ((Starred) AND (Contexts contains (consider open/closed state) 
@Evenings) AND (Contexts does not contain @Someday)

Deconstructing this we have: 
A) For during the day a task must be starred, and must not have an 
@Evenings context
==> If starred without @Evenings, it will appear
==> If starred WITH @Evenings, it will NOT appear
 
B) For during the evenings again it must be starred but if @Evenings is 
open then it will appear.
==> If starred without @Evenings, it will appear
==> If starred WITH @Evenings, it WILL appear

Either way, it will not appear if it has @Someday context.

I'll need to double-check the above, this evening.

Interesting. Fwiw, I just measured the Views and Tab head icons and they 
are 24x24 pixels on my PC - i.e. exactly half 48x48 pixels.
Do you find it of benefit for those to be 48x48, rather than  24x24?

Personally I've never really understood Due Dates, unless they are EXTERNAL 
ones.

For me I just use Start Dates. As we know, if the task hasn't started yet 
it disappears off the Active task lists, so I use hotkeys to kick things 
into the future A LOT - as to when I want to be reminded to have a look at 
something 
e.g.  Alt+S  3 D [enter]
==> takes about half a second to kicks the current task 3 days into the 
future.

What are the advantages of using Due Dates?

To recap the problem with using only using "Do Tomorrow" (/today)  stars, 
is that once you've done whatever task it was for a project, the next task 
does not automatically appear. And the only way around that is to add more 
task to you "Do tomorrow" stars which then can become overwhelming.

For completeness, I don't infact want any tasks to appear that have 
@Someday set either, so now my advanced formula has become:
   ((Starred) AND (Context does not contain @Someday)) OR
   ((Contexts contains (consider open/closed state) @Evenings) AND 
(Starred) AND (Contexts does not contain @Someday)

There may be a simpler way of doing it but it seems to work.

OK I give up!

How do I create an Advanced Filter that shows all Starred tasks, except 
during the day all those tasks with the context of @EveningsOnly should not 
appear?

i.e. 
1. For a task to appear it at all it MUST be Starred. But...
2. During the day, if a task has the @EveningsOnly Context, then it will 
NOT appear. 
3. During the day, if a task does not have @EveningsOnly flagged it will 
appear. 
4. During the evenings ALL the starred task should appear and the 
@EveningsOnly context needs to becomes irrelevant 

Does that make sense?

PROBLEM
I have been finding a psychological problem with using just one "Next 
Action" for each project.

Part of the problem is that as a core principle, it seems that the more 
times I look at something and fail to execute it, the harder that task 
gets. i.e. The more I put something off, the higher its psychological 
'resistance' becomes.

So what I find is that if I fail to execute that any given next action 
within a few days, it suddenly becomes much harder - stupidly hard to 
execute. And if I only have ONE next action for each project, then the *whole 
project* becomes blocked because of individual "stupidly high resistance" 
next actions.

In fact, over time, it's all too easy to end up with lots of important 
projects being blocked in this way.

The honest truth is that personally I find it all too easy for important 
stuff to get put off for no good reason. And I find that it gets put off 
for the bad reasons that 
- it's not urgent (yet), 
- nobody is chasing me for it (yet) and 
- part of me doesn't want to do it yet because it's hard. 
But what is worse is that having looked at it a few times and failed to do 
it, I now start to have the habit of failing to execute that task.

POSSIBLE SOLUTIONS
One solution is of course to have *more than one* Next Action per Project. 
The problem is that although MLO has a "Next Action per Project" view, 
there is absolutely no way (that I am aware of) to get individual tasks 
that are not technically the next action within their MLO Project to appear 
on any "Next Actions per project" view in MLO.

The result that I don't normally use this Next Actions view, at all. 

Instead, I flag up tasks for today manually (using Stars). The down-side of 
course of this method is that once I've ticked those tasks off as 
completed, there is no next task automatically on my list, so the project 
can stall again for that reason. 

Also, if I make too many next actions for each project visible on any given 
day, then either 
A) I can become overwhelmed by too much stuff on my screen at once OR 
B) if I fail to complete them all within 2 or 3 few days, 
their psychological 'resistance' can soon start to build... and I now start 
to become numbed to seeing some of those tasks... and they fail to call me 
to action. 
C) Or both!

Yes, I have experimented with "Complete Subtasks In Order" but in practice, 
I wind up getting confused with tasks being hidden from me accidentally and 
I wind up living in "All Tasks" views, that are of course cluttered up with 
stuff I have deliberately wanted hidden from view for now. 

Yes I have experimented with creating multiple sub-projects within a 
Project, but I find that fiddly & very artificial. I find it easy to get 
confused about what really is a Project and what is just a way to get tasks 
to appear on my Next Actions view!

Am I alone in wanting some simple way to flag up individual tasks to appear 
in the Next Actions view?

Sanity check: I have got Alt+F1 set to "Task Views Pane" (which I am hoping 
is the default setting).
So if I hit Alt+F1, the Task views pane toggles between appearing and 
disappearing, however it doesn't seem to change what has *focus*.

But yes, if I have focus on the item in the main view, then pressing Tab 
once does give me focus on the List of Views.
However it only does it if that whole pane on the left is actually SHOWING 
views, rather than the Filters operating in that view.

So my next question is: Is there any way to jump between showing the 
Filters and showing the list of View names?

I just did a trial. In the column of the main area of screen the icons are 
being displayed at 16x16 pixels and an icon size of 48x48 came out badly, 
but 16x16 and 32x32 pixels are indistinguishable.  It's easy to get 
confused though because as you may know a single .ICO file can contain more 
than one size of icon.

To get clear, my question about standalone task was more about where do you 
put them?
I mean I seem to have lots and lots of them. And in true GTD fashion I like 
to go into "Capture" mode to just add them into my MLO system and get them 
off my mind. 
The problem then becomes where do you move them to?
I mean if you have the more complex your hierarchy the more time consuming 
it becomes to physically move each trivial standalone task into the correct 
part of the hierarchy - even if that hierarchy is only "role-goal". I have 
7 roles and that's before adding a layer of goals!

To recap - do you bother to move them at all? Do you move them into the 
correct role? Do you move them into the correct goal within that role?

Yes, that is slightly useful. Thanks. 

But it's fiddly because if using just keyboard, you have to hit Tab in 
order to give it focus and then ALL the context(s) you add at this point 
are allocated to ALL the tasks that you are currently entering in the RTE.

Hello

When using the parsing of RTE (Rapid Text Entry), is it possible to use 
shortened versions of context name? i.e. To use "wild cards" 
e.g. Suppose I had the context of @Office, it would be nice to just enter 
something like 

   Find paperwork for clientA   @Off*

Whereby "@Off" was enough to uniquely identify the full existing context 
called "@Office".

In practice  what happens is that if I try to parse "@Off*", MLO asks me if 
I want to create a new context called @Off* - which is not what I want (!)

A) Yes. I do like your concept of building goal into project hierarchy. 
Excellent concept... will require further work & deep thought to implement.

B) What do you do for standalone tasks? 
I find physically *moving* tasks to be massively painful in MLO, whereas 
allocating a context is trivial as I have them on hotkeys. Without hotkeys 
I'm not even sure I would use an electronic system at all (as many on the 
GTD world have pointed out there is much to be said for paper lists!). 
I do take your point about needing to simplify my Contexts and I shall keep 
watching myself to see which I can remove. Although what really happens is 
that some of them only get added after a task has been on my system for a 
while and are being reviewed a number of times... and again whilst a task 
is being re-reviewed it's trivial to add/remove a Context.

C) But I don't quite understand how you are using your keywords. Are you 
putting the

How do you allocate tasks to specific goals to tasks?
How do you plan today's periods of time?

i.e. For any given day, how do you plan which Contexts you are going to do 
in which order?


[I apologise in advance that this is so long. Partly I am trying to get my 
own thoughts clear!
I've marked it up to make it easier to skim-read. ]

*BACKGROUND*

For any task like to know, some or all of the following:

1. What *Area of Life* it's in 
   ==> this I do through which MLO *Folder *I've put it in.

2. (If it's part of a larger project) what* major project *it's part of 
===> this I do by 
a) using a hierarchy
b) using the MLO *Projects* field in the parent task

3) "*Priority*" - what is the real-world Importance & real-world Urgency
==> I use the MLO *Importance *field, but because I find it too hard to 
enter both values for all tasks
Importance means importance, except if it's importance is "max" in which 
case it means must be done urgently, irrespective of importance!

4) "*Do today*"  status
==> I use the MLO *Star* field to flag up at the start of each day what I 
want to take on today. 

5). Different types of "contexts"

A) What "*where context*" 
i.e. Physically where must this be done
==> Use of MLO *Contexts* field (e.g.  @PC, @Office(paperwork), @Home, 
@Errands...)

B) What "*mood context*" 
==> I *also* use the MLO *Contexts* for this (e.g. @Calls, @DeepThought, 
@LowEnergy ...)

C) What "*task size*" 
This helps me pluck any quick wins - low hanging task 
==> I *also* use the MLO *Contexts* for this ( @Quickies..)

D) What "*time of day context*" 
I only use this occasionally, but it can be important.
Normally tasks get done at the correct time of day depending on their Area 
of Life
But sometimes a work task must be done during the evening
And sometimes a person task MUST be done during working hours 
==> I *also* use the MLO *Contexts* for this too (e.g. @Evenings, 
@WorkingHours...)

E) What resistance history?
For tasks that have been around too long, I also want to flag up "Frogs" - 
harder/high resistance stuff (witness by the fact that I have put them 
off). I like to start the day with tackling one of these tasks.
This ALSO goes into the MLO *Contexts* field  (e.g.@Frog)


6) What "Executable Status" (when would I like see again & execute) 
==> 
a) Partly I kick into the future (change MLO *Start Date* field) so task 
disappears of Active view  [GTD "Tickler" file]
b) Partly I also use the  MLO *Context *field too [@Soon/Later, 
@SomedayMaybe, @Bonus ]


*GATHERING MY THOUGHTS*

So I am now using the MLO *Contexts* field for SIX different types of 
thing: 

A) What "Where context"   ==>  (e.g.  @PC, @Office(paperwork), 
@Home, @Errands...)
B) What "Mood context"==>  (e.g. @Calls, @DeepThought, 
@LowEnergy ...)
C) What "Size" is the task ==>  (e.g. @Quickies ) 
D) What "Time of day context"  ==>  (e.g. @Evenings, @WorkingHours... )
E) What "Executable Status"==>  (e.g. @Soon/Later, @SomedayMaybe, 
@Bonus )
F) What "resistance history" ==>  (e.g. @Frog )


But I'm now running out of fields!!

a) How does one track which personal GOAL any task is part of?
[Explanation: I do find by using task management software it's all too easy 
to keep yourself busy executing lots of tasks... but it's not clear WHY you 
are doing stuff. In fact it's very easy to do all the wrong stuff.]
==> So I am really going to allocate Goals using the MLO *Context* field, 
as well as for the other SIX things listed above?

b) How (the heck) does one plan which Contexts I'm doing to do today and in 
which order... 
...And hopefully tie in which task area part of those Context?

convert it to .ICO icon format using http://icoconvert.com/

[MLO] How can one move the F3 window's default location?

Is there a way to move the F3 window's default position?

Background
I have been trying use the F3 window to move tasks. But what is frustrating 
is that each time I hit F3 it always opens in an annoying location on the 
screen and I need to move it.
I have tried moving it and closing it by holding down Control and 
left-clicking the (x) at the top right of the window, but this had no 
effect.

I'm not sure I understand the problem.

For any given task, there are really 3 options:
A) you want that task to appear only during business hours
B) you want that task to appear only outside of business hours (e.g. only 
during the evenings)
C) you want that task to appear at any time

Presumably, you want "Call Friend A" to appear during the evenings too... 
but during business hours do you want "Call Friend A" showing up or not?

If you don't mind "Call Friend A" showing up as well as the @BizHours task 
it's a simple problem.

If you create a context called say @BizHours, and make it set to be "Open" 
only during the working hours you require, then you can create an Advanced 
rule to say:

(Contexts contains (consider open/closed state) @BizHours) OR 
(Contexts does not contains @BizHours)

==> Tasks without @BizHours will now be visible at any time, but only 
during business hours will @BizHours tasks  appear. 


However, if during business hours you do NOT want those tasks which do not 
have @BizHours set to appear, but you do want them to appear during the 
evening, that's harder. And I don't know how to do that. 

...Unless of course you set up another time-sensitive context called say 
@EveningsOnly (Fwiw, you could create this by duplicating @BizHours, 
changing its name and inversing the opening hours)

In which case you could set up 
(Contexts contains (consider open/closed state) @BizHours) OR 
(Contexts contains (consider open/closed state) @EveningOnly) OR 
(Contexts does not contain @BizHours) AND
(Contexts does not contain @EveningOnly)

==> 
During business hours the @BizHours would appear
During evening hours the @EveningOnly tasks would appear
Tasks which have neither set would appear at any time.

...which tends to be what I personally want.

Yes as Olivier says using "Area of Life" folders solves *most* of this 
problem because you can zoom in to the business area during the day and a 
personal area during the evening. BUT for me I do sometimes get cross-over. 
i.e. I do get some items which where I need to make personal calls during 
the day or business calls during the evenings.

[MLO] Is it possible to have a tab whose folders are collapsed differently from the rest of MLO?

Hello

This is probably a stupid question but... is there any way (in MLO on 
Windows) to set up a Tab("workarea)" whose folder that are expanded / 
collapsed is different from the other folders?

Background
I am wanting to have a dedicated tab for processing my Inbox. And on that 
tab I allows want everything collapsed except that I want my 1st level of 
folders (i.e all my Areas of Life) visible so that I can drag & drop my new 
tasks into the appropriate folder.

This may/may not help, but what I have done is put everything (i.e. all my 
folders) into to my  folder.

I then hit give the  folder focus and hit Shift+Alt+1 
That creates a screenful showing each of my (what were) root directory 
folders for each of my Areas of Life - of which I have about 7.
And below those folders are all the tasks that I have added using Rapid 
Task Entry (Control+Shift+M). 

I can then drag and drop them using the mouse into the correct Area of Life 
folder.

If you do it fast enough the folders don't open further. 
If you want to put it into a sub-folder then just hover for a second or 2 
over a folder and it will open.
If you cut and paste then the folder you have pasted into will open up to 
reveal where the task has moved to.

[MLO] Tip for GTD users - how to remind yourself into adding a Context for every new task

Hello 

Here is a little tip for you GTD method users.

Problem:
In order for GTD to work well, it's important for all your actions to have 
at least one Contexts. But during a busy day, it's easy to forget to do so.

Solution:
What I do is work from the Active Actions and make them *slightly hard to 
read* until they have a Context. 
This keeps visually reminding/nagging me to add a Context until I have done 
so.


Details:

1. I set the base colour of my tasks to a pale, slightly annoyingly pale 
colour.
Tools ==> Options ==> Themes and Formatting ==> Task Format ==> Active 
Tasks ==> Font ==> Font colour ==> something pale (i.e. pale green would be 
"$0099DD99")

2. I also set the automatic formatting to a more readable colour if the 
task has a context of any sort.
Tools ==> Options ==> Automatic Formatting ==> Add [Add a new rule fairly 
high up the list of rules] ==> Condition ==> "(Context is not empty)  AND 
(ActiveAction)" 
Format ==> Font colour a darker colour (e.g. "$7700" would be a dark, 
easily read green)

ALSO 
I have now set up a hotkey for almost every Context-Tag. They all start 
with  "Control+Alt" as there seemed to be fewer default MLO hotkeys using 
that space.
e.g. "Control+Alt+E" toggles the Errands context on/off.

If you have forgotten which Context-Tag hotkeys you have set up, they are 
all visible when you right-click the Context column

Fwiw, because I sometimes use several Context-Tags at once for my tasks, I 
find it easier to see what's going on visually, so I use the Icon column 
for this - which is also set up withing Automatic Formatting. 
a) Tick "use icon" 
b) Click icon to select the icon you want
c) Set "Icon type" to "Custom" 
d) Set the icon position number if you want to space the icons out
e) Set the icon hint to remind yourself what context each icon was for. 
(e.g. "@Errands")

FINALLY 
In order to scoop up any tasks that have slipped through the net, I also 
have a view to just show tasks which have no Context-tags.
Personally I use: 
- Show Actions: Active
- Show hierarchy: No
- The Advanced Filter "Context is empty"


Personally, all of the above has rather transformed my MLO life  :^D

Yes, good call. And following my experiences above, I now broadly do the 
same!
The exception is that I am marking my (GTD) SomedayMaybe stuff with a 
Context Tag, and I *HATE* seeing all that stuff except when I am doing a 
weekly review.

No problem. I didn't know about Control+Tab. I just use Control+Pageup (or 
PageDown) to change tab, as it is the same as MS Excel so easy for me to

PS I would particularly like to have a folders-only view possible when you 
hit F3 as this would help cut and past tasks out of the inbox into the 
correct Folder.

Hello

Is there a hotkey way to give focus to the current View in the left hand 
pane?

I tried setting the hotkey for "Task Views Pane"  [Tools==>Options ==> 
Hotkeys ==> View ==> Task Views Pane], but it just get the whole pane to 
disappear/reappear.

IMHO, it would be extremely useful to be able to do this on a hokey because 
once you have the current View with focus, (if the current Tab is not 
locked) one can then use the arrow key to move between successive View 
simply by using the keyboard up/down arrow keys.

On the up-side it shows your folder hierarchy very cleanly and it works 
well when used with F7 to open all the folders as far as possible.

Furthermore, if you then save that View and give it a hotkey (e.g. 
control/shift/alt/F) I can even apply that filter to the current view using 
a hotkey.   :)

However, there are problems: 

1. If the current Tab is locked it won't work without creating another tab 
every time you use it (which causes confusion and clutter).

2. Also you can of course no longer open up any given folder to see what's 
actually in it. (This is due to the View's filtering that will now be in 
place!) 

3. In order to see what's in each Folder, all you can do is - IF and only 
if the folder has no child-folders -  is double-click on that folder  and 
be taken to your first Tab on the left.  

BUT once you get there : 

a) If your Tab has filtering that stops that folder from being viewed (e.g. 
it is using Active tasks view), then no row will have focus (which feels 
confusing) [so this forces you to have an ALL tasks view...]

b) If you get to the LH tab without losing focus, you now have a problem of 
how to get *back *to that Folders- Only tab. If you click the folder name 
again and it does have child tasks, then it will simply open up any child

I agree that's a first step, but it's not what I'm looking for.

I have tried putting everything into a single folder and then giving it 
focus and then using "Show level 1" or "Show Level 2" or "Show Level 3" 
etc. using hotkeys.
My problem is that it's showing EVERYTHING at those levels, including all 
the tasks that it doesn't need to show - and this is cluttering up the 
screen.




i.e. In my example in order to show Folder 1.2.1, it is also showing tasks 
like "This is task A" and it's siblings.

Yes I am using Icons a lot for working out which Contexts I've got set. 
This is extremely fiddly to set up but once done it works brilliantly. It 
has been something of a revolution in fact!  (FWIW, if you are interested 
it's set up in the Automatic Formatting Rules - and what's particularly 
nice is that you can choose which column position each Icon will appear in.)

I have discovered 
   [Alt]+[2], [Tab] 
==> gives focus to Importance in the righ hand pane.  At this point you can 
use [up_arrow] [right_arrow] [down_arrow] [left_arrow]
but it only increments Importance by 1 unit (out of a max of 200).

Rather surprisingly you can keep Importance having focus by then using 
either control+arrowkey  or Alt+arrowkey, to move between successive tasks 
WITHOUT losing focus on the Importance field. 

This is definitely quite cool, although I would much prefer to use the 
increment that the Importance popup field gives you.
i.e. Importance = 150 for  "more", "175" for "a lot", "200" for "max" etc.

So (to repeat) is there any way to either 
A) Get the popup that appears when your right-click on the Importance field 
column in the middle of the page?
OR
B) Get the Importance in the left hand pane (under the General section) to 
increment by same coarse amounts that you get when using the popup? ...That 
I just mentioned in "A)"

What I really want is "hide the children - not the branch itself - from 
To-Do"...   but yes if I select all the children at once an apply that 
condition it does the job.

Really? How do you mean are you scrolling through them or clicking through 
them?
Either way the keyboard shortcuts Control/PgUp  and Control/PgDN work very 
well for going through them in sequence... (much like going through MS 
Excel sheets)

But it doesn't solve my core problem which is that sometimes I want to go 
DIRECTLY to a tab whose name I can see, and at that point (unless I have a 
hotkey setup for that exact Tab) I would tend to left click with a mouse. 
And if I click on (x) by mistake there is NO recovery!

This is probably a stupid question but...

Is there anything I can do to stop MLO treating my child 'tasks' of a 
(real-world) task as if they are Actionable actions?

i.e. I want a task which has children below it (i.e. a 'Parent' task) to 
appear as if it itself is an Active Action, even though it does has 
children tasks.

Background
My problem is that I want to create a tick-list for a Task, but I want *the 
Task itself* (rather than the first of the tick-list items) to appear in my 
Active Actions view (which is 'flat' and non-hierarchical).

So is there any way to 'neutralise' certain child tasks and get MLO to 
treat them as reference information (i.e. to basically ignore it from the 
Active/Inactive logic)

No. I instead of taking you to the task in your current viewt, it puts you 
to the very top task of the entire view! That does not help me work through 
my list from the current position.

So far the best I can do is 
1. Use my mouse to carefully left-click on the task that is about to 
disappear.
2. Without moving the mouse, use the keyboard to change the Start Date  
(e.g. Alt+S, 3 D [Enter]  )
==> The task now disappears from the view
==> The next task should come up the page into its place
3. Without moving the mouse, left-click again 

This works but it's fiddly and requires concentration. And it slows one 
down because anything to do with using the mouse slows one down.  Plus too 
much mouse use gives me RSI.

When you are in an Active view, after you have just made a task no longer 
Active, without using my mouse, how do you get focus on to the next task 
in your list?

Background
When looking at an "Active tasks" view, I am in the habit of "kicking tasks 
into the future" using just the keyboard. For example I might move the 
Start Date 3 days into the future by doing Alt/S 3 D.  This works well.

My problem is that when I do this, the current task (quite correctly) 
disappears from current view and this means that no task on the current 
view is selected.  Whereas my workflow is that I am working my way down my 
list of tasks, and so what I want to happen is to go to the NEXT task in my 
list. 

Is there any way to go to the *next* task in my list just by using my 
keyboard?

TL;DR - Is there any way to step through each of my MLO Views in sequence, 
without changing MLO tab/workarea?

Background
If like me you have a large number of Views - I have about 15 - one 
solution is to set up one MLO View for each MLO Tab/workarea. The advantage 
of this is that you can easily step through them in series by hitting 
Control/PgUp and Control/PgDn.

Slight problem with this is that if they are not pinned, they don't all fit 
horizontally across the screen without their names be compressed, whereas I 
like to see all the names of my views. Also, if the tab/workareas are not 
pinned, they are very easy to accidentally close bit accidentally clicking 
the (x) with your mouse.
On the other hand, if you pin all your tabs to the left, it becomes quite 
hard to jump directly to the correct tab unless you have allocated a 
special Icon to that tab. Also if they are all pinned you can no longer see 
a list of all their names, which is something which I find helps my mind 
think what to do next, when it is a bit tired & sluggish.

So an alternative setup is to simply use one Tab for hosting all your 
different Views. Although you can allocate a hotkey to each different View, 
given that I have so many different Views, and given that I want to set up 
the workflow habit of stepping between them in sequence, there is no easy 
way to step between them using a dedicated keyboard shortcut for each 
different View.

So I need some keyboard hotkeyss for stepping through my Views (think next, 
next, next, next... or previous, previous, previous) much like I can from 
tab/workareas to tab/workarea...

Is there any way to do this?

Hi KC

To get clear, no, the left pane shows VIEW name, not actual TAB's (AKA 
Workarea) names.

Yes, if you pin the Tabs and if you also give them a suitable icon that 
does stop you from closing them accidentally and yes, it's not a bad 
solution.
The advantage of having a dedicated tab for each of your views is that you 
can easily step through them using hotkeys Control/PgUp and Control/Pg/Dn. 
However I am unaware of any hotkey way to step through different views from 
within one Tab.

OK, that's an interesting approach. And clearly vastly different from what 
I have been doing!

Yes, now that I have a larger screen leaving F3 open could work very well 
for moving tasks. Good idea.

Yes, icons on the Tabs is also a good idea.

But I still don't quite get your workflow. OK I get the idea of having one 
"All Tasks" tab and one Tab into which you can load any of the Views you 
are using (be they Views that you have saved or Views that came with MLO).

- Which views and how many of them you needing during a typical day? 
- And how do you get there?
- In the left-hand column do you leave the names of the Views visible, or 
do you have the Filter pane visible?

- If you just leave the names of views visible, how then do you change 
which Context-tags you are focusing on? 
- In fact, how many different Context-tags are you using?

i.e. When changing what you are focusing on are you achieving they by 
changing View or by directly changing it using the Filter pane?

Did you ever get a reply on this?

I have a 27inch 4K screen. In order for text to be readable in most 
applications, I have set the Windows scaling at 200%.

Currently I am running MLO from a shortcut Right-click ==> Properties ==> 
Compatability ==> "Override high DPI scaling behaviour. Scaling performed 
by Application". 

My problem is that the even where there is plenty space for Tabs, due to 
the large Tab names text size, the Tab names are too small. 
What is worse is that if there are too many Tabs to fit into the screen 
width, rather than give scroll right/left arrows, MLO is simply crushing 
the widths of all Tabs to force them to fit into the with available.  :^[ 

I have tried "Pinning" tabs, but it then becomes hard to see which tab you 
are in... 

What did you do in the end? Any tips?

Interesting...  It looks like you've put a lot of demanding thought into 
your system. I don't know if the extreme simplicity of your tagging would 
work for me, but it's an interesting approach and I shall ponder on it.

One thing I still can't decide is how best to use folders within MLO. In 
Particular how many root folders should one have? Indeed, how many folders 
to have at all? 
If I read your correctly you have about 9 folders in the root directory:
- Inbox
- Career
- Relationships
- HAF
- Learning
- Fun
- Grocery List
- Reminders
- BS
==> Yes? 

But to what extent do you use the David Allen's GTD 5 stages of workflow ?

1. Capture
2. Clarify/Process
3. Organize
4. Reflect/Review
5. Engage/Execute

The main problem with having too many folders is that all new stuff needs 
to be moved into the correct folder, and that can be a serious pain. How do 
you do that - by copy and paste, with lots of scrolling? e.g. Do you use F7 
to open up all the folders?

When I am doing a review of ALL my tasks, obviously it's easy to stick any 
new tasks directly into the correct folder, BUT 
when I am busy executing other tasks, I just need to get it all out of my 
head and dump it somewhere ASAP so as to avoid distraction.

i.e. At this point, I am using GTD Stage #1 "Capture"

At some point, this requires me to come back and do GTD Stage #2 to 
"Clarify/Process" the new stuff as to what each item is.
Personally, at the same time I would tend also do GTD Stage #3 and Organise 
them - i.e. move them into the correct position within my folders. And give 
everyting a Context (using a hotkey).
i.e. I can't see any point it separating Stage #2 from Stage #3.

Then about once a per day I will do a GTD Stage #4 "Reflect/Review" where I 
do a pass over all my "Live" / "Active" / "Do ASAP" stuff, to decide what 
to do today by giving it a Star.

Then, during GTD Stage #5 "Engagement", several times during each day, I 
will then keep reviewing everything on my "Do Today" (i.e. starred)  list 
to see what to do next.
I will then set about anything seriously urgent. 

Then if the list is too long (it generally always is), I find it useful to 
step through my different Contexts [depending on my variables like my mood 
/ my location tools / urgency]

NOTE: This is a dangerous time to get lost down rabbit holes. When my 
energy levels are high I take on the harder stuff - particularly anything 
that I have already put off ("Frogs" - from "Eat that Frog" book).
I'm not sure I have any real answers... but one thing I like to do is time 
things with a kitchen timer and force myself to move on.
 
What about you - where do you put your simple stand-alone tasks? Do you 
even put them into the correct directory within the "root directory" or 
leave them all in one place?

At present, I only have Work, Personal (includes non-chargeable Admin and 
social life), Health (includes fitness), but I am planning to have more one 
the dust has settled a bit on my setup. 

Yes, I too use Stars for "attempt to do today".
Yes, I too use Start date, to kick things into the future (partly Tickler 
File, partly Waiting For), because I am using a lot of "Active" views in 
MLO, which will of course hide tasks which haven't started yet.

I know that I probably do have far too many Context tags, but I use them 
for completely different purposes:

[Note: These are NOT the exact context names that I use but roughly what i 
am doing is this: ]

a) *Traditional "context"* - i.e. physical location, and/or type of 
equipment to be used (e.g. @Errands, @House, @Office (means paperwork), 
@Calls, @PC-very-quick, @PC-not-quick

b) What is my core *level of commitment* to executing it - is it one of a 
small number of "Goals", if so over what period? Useful to help make sure 
my priorities stay on target.

c) What, in principle, is its *status* of 'do I want to do, and if so it 
now?" 
e.g. 
- Live, (Do ASAP)
- Do Someday (Maybe never do)
- Do Soon  (Coming up, but not yet urgent/important enough to be of "Do 
ASAP" status)
- Archive - look again say in a year. But completely exclude from all 
weekly/monthly reviews before then.
- Information only (not executable)

d) What is the level of *psychological resistance*? - e.g. Have I already 
put it off a few times?
If so, special attention may be required to stop avoidance.

e) What *time of day* to execute it? - e.g. Evenings only

PERSONAL ENERGY
f) Is it fun i.e. is it an *energy generator*? 
g) Can it be done when I have *lower energy*
h) Does it demand *higher energy* &/or deep reflective thought 

i) I also have a temporary MLO context-tag for "was starred yesterday" 
which sounds slightly nuts but which I find easy to use and surprisingly 
useful when allocating my Stars for today.

j) Currently, I also need to have a tag to flag up tasks which I have 
*publically 
committed* (on a different system) to executing them within some time 
frame. 


Yes, yes, I know that's probably far too many MLO context-tags but I 
currently do find them all useful. 

Fwiw, what I also find incredibly powerful is that I am using the Icons 
column to indicate visually which MLO context-tag(s) each task has. I am 
currently using about 6 icon positions so that I can have up to 6 different 
icons visible on each task. This creates an extremely compact view of what 
context-tags I have allocated on each task. This also means that I 
dont have to keep reading my tags, and for this reason they currently are 
able to have very long names (This is v. useful whilst I get used to what 
my own tags actually mean...).  

Note that it is very easy to allocate tags to tasks because I have 
allocated hotkeys to almost all of my MLO context-tags (all of which FWIW, 
involve with Control+Alt+...)

However just the same, I do like the sound of fewer, much shorter tags...


But *SRhyse*, I am intrigued by your setup.  Are you saying that you only 
have 3 contexts in total i.e. D, S and W?

Also if you don't mind sharing I would be intrigued to know what your 
folders you have in the root directory i.e. in effect what your areas of 
life (AKA Areas of Responsibility) are. I don't need exact names, just a 
sort of generic description would be of great interest to me as I am 
currently re-thinking this aspect of my data...

[MLO] Re: What is "Icon Hint" text ? Where is it visible?

Oh... It turns out that none of my popup text was working within MLO. (e.g. 
When a Tab's name is too long for the space available it should pop up - 
and that wasn't working either)

Strangely 
A) even though I had rebooted the popup text was still failing to appear
B) for who knows what reason the pop-up texts have now suddenly re-appeared 
- including the "Icon hint" text.

I shall keep an eye out and see if it happens again, but for now the "Icon 
hint" text is working nicely   :^)

Yes, I too tend to do the same thing, but I am wanting to plan better.

My question for you is how then do you move between contexts? 
How do you decide which context to move to next?

For me one problem is that I tend to get stuck and spend far too long 
within each context. 
i.e. I "plough too deep" as it were, and by failing to switch between tasks 
I tend to:
a) Exhaust myself unnecessarily 
a) Tend to not cover enough ground

So I would like to put time-limits on contexts (using a nice simple kitchen 
timer on my desk!)

[MLO] Is there any way to stop a Tab from being closed WITHOUT locking it?

Hello 
Is there any way to stop a Tab from being closed WITHOUT locking it?

Background
If you are changing between Tabs by clicking on Tab names, it's all too 
easy to accidentally click on the little (x) at the right of each tab and 
thereby close the tab by mistake.

One way to stop this happening is to tick "Lock default in this tab". 
However, if you do this it becomes impossible to change your filtering on a 
temporary basis, and if you try to do so MLO will instantly create a new 
Tab and take you there. And if you're not careful, pretty soon you have far 
too many Tabs.  

e.g. I find it quite useful to open up a Tab and leave the filters on the 
left pane on the screen open and to step through the Contexts one at a time 
(e.g. by using the arrow keys). 

This works well, but if you don't want to be awash with new Tabs, (as 
above) you should only do this if your tab is NOT locked. And if it IS 
unlocked then (as above) it is annoyingly easy to accidentally close the 
Tab. If you have saved the View that your Tab is using then you can, of 
course, recreate the Tab as it was, but it's a fiddly, confusing, waste of 
time to do so.

Hi Pavel

No, clicking on the top of columns does not sort the column below it. But 
if you click and drag you can change the order and/or column width of 
columns. If you right click you can add new columns.
 
Have you discovered the following (in the left hand column) Filter ==> 
Group & Sort ==> Group by 
and/or ==> Sort 

Note that if you are attempting to change the View being used by a Tab (AKA 
Workarea) that is Locked, MLO will create (and instantly take you to) a new 
Tab. This can be very confusing.  To avoid confusion I recommend that you 
carefully Save your new views.  

If you want to change a View that has been locked by a Tab, one solution is 
to start changing the view and top allow MLO to take you to the new Tab. 
But if you save the View that is being used by the Tab, you can overwrite 
the old version of the view with the new version of the view. This means 
that the original tab will now be using your modifications to that View. 
And you can in fact now delete the new Tab that MLO created.

Ideally I wanted my Inbox to be populated from the top, rather than for new 
tasks to be added to the bottom.
However, on reflection, I no longer think that this would be quite as 
useful to me as I originally thought, so let's leave it for now.

[MLO] Help needed planning my Contexts

Hello

OK, I have created my list of tasks, and I have put each task into one of 
about 12 Contexts. 

I now need a way to decide *what order* I'm going to do my Contexts by 
briefly looking at the list of tasks within each Context.

So I need a clever way to: 
A) Create a list of all my Contexts, which I can then 
B) Manually shuffle (into the order in which I intend to execute them) by 
C) Jumping back and forth between each successive Context and the list of 
tasks within it, e.g. by using a simple mouse click (or using a hotkey)

To recap: From a functional/user perspective, what I'm trying to do is to 
whiz in and out of my Contexts, and based on what's inside them to change 
the sequence in which I will take my Contexts. 

*Possible solutions*
I have tried to create 12 dedicated Tabs - one for each Context - and then 
to drag and drop the Tabs horizontally on my screen, so as to put the Tabs 
into the order in which I intend to execute them.
The problem is that because I already have 12 other tabs in use, and 
because my Windows is running at a large 200% scaling, the tab names are in 
rather a large font and it is hard to read their names.

- Is there any way to add a bookmark to a task, so that when you click on 
the task you are taken to the correct Context?

- How do you folks go about planning your contexts?

At present, 
- Max, a lot, more ==>  are red 
- Normal ==> is black
- Less, Little, Min ==> blue

Is it possible to change these colours, and if so where?

No, none of these options really solve the problem.

No, I don't want my entire view to be in Create Date Descending, just my 
Inbox folder.

Is it possible to get Rapid Task Entry to add tasks to the top, rather than 
to the bottom of the  folder?

Background:
I would prefer not to have to scroll down through all my other tasks in the 
Inbox in order to see my new tasks.

OK it's annoying but I think I'm going to have to rebuild my icons from 
scratch. 
To save me time - does it matter what size of .ico file I use?
16x16, 24x24 or 32x32? Or should I build all three?

Nice try but no cigar.

Exporting conditional rules doesn't work because the conditional formatting 
rules can't see my custom/added icons that I am using on my Flags. That's 
the whole point! 

Meanwhile, I have managed to export the Flags from one MLO data file (.ML) 
into a new MLO data file, by exporting the Flags as part of an MLO template 
file (".mlt" extension).
However, it's still the same problem because I can't get my custom icons on 
my Flags to appear in the "Icons Library". And for that reason so that the 
Icons AutoFormatting can't see them either.

[MLO] Is there any way to export icon files from MLO?

Is there any way to extract icon files from MLO?

Background
About a year ago, using a different PC, I found and uploaded some 
.ico files into my MLO. The problem is that I have now lost the original 
".ICO" files, plus although my icons are in use as my Flag icons, I now 
wish to use them as "Icons" in the Icons column... however, when I try to 
change or allocate icons, there is no sign of my icons anywhere!  
If only I could export my flag icons out of MLO, then presumably I could 
re-upload them as Icons for use in the Icons column.

Hello

In MLO on Win10, is there any way to change the colour of the currently 
selected task(s)?

Background:
At present any tasks that are currently selected have white text on a 
pale/mid blue background.
This is a bit irritating because I am using Format to indicate things about 
the task (e.g. is it Active? Is it a Project? Is it a Folder? etc)
but the fact that the task is currently selected is over-writing this 
formatting of the task. 
This means I have to select a different task from the task that I am 
interested in, in order to see the Format of that task.



Is the Format if the currently selection task changeable? As it seems like 
the format of everything else can be changed in MLO.

Are you saying that if I set the "Icon Type" to be "Note" that the text I 
supply in the "Icon Hint" will appear when I hover my mouse over the icon 
where it appears in the Icon column? Because if so it doesn't work.

So it looks to me like I need to choose an Icon Type of "(Custom)" in order 
to get the effect you describe. Indeed, ONLY if I choose "(Custom)" is the 
"Icon Hint" field actually editable(!).
However, if I do so, then when I go back out to view my tasks, when I hover 
my mouse over the relevant icon, still no text appears. Likewise, 
left-clicking on the icon has no effect either.

Tools ==> Options ==> Automatic Formatting ==> Properties of selected 
rule(s) ==> [tick "Icon] ==> "Icon hint" 

Where is the "Icon hint" text visible?
It's not coming up when I mouseover on an icon & I can't see it anywhere 
else.

Is there any hotkey way to get the current line to be in the middle of the 
screen?

Background 
If while one is looking at one's tasks, one accidentally hits say the 
[Home] key, then the top task on your view gets focus. 
What is useful is that [Alt]+[BackArrow] will get one back to task one was 
looking at. 

However, now your task is at the *bottom* of your screen. (But this is 
irritating because you can't see the neighbouring tasks below it that are 
coming up...)

If one then hits [PgDn] then [PgUp] you task will now your task to the top 
of your screen.  (But this is irritating because in Hierarchical view you 
can't see where you are...)

Obviously, you could use the mouse wheel to scroll the current line into 
the middle of the screen, but this is slow because it requires one to use 
the mouse. 
How can I quickly get the current task to be (vertically) in the middle of 
my screen, just using the keyboard.

Thanks. 

For now I am allocating my coarse/absolute priority by popup on the 
Importance field and I am then manually sorting them twice
1. I sort them manually into the 7 different values of importance. Although 
this is a slight pain because this can be done visually and only really 
applies to new tasks, it is fairly quick to do this manual/visual sort, 
once the bulk have already been sorted previously. 

2.  I then go through them more carefully, re-evaluating the priority of 
each task relative to each other.

Because I am only doing this to my Starred tasks there aren't all that many 
tasks to process at any one time.

Out of interest did you ever find a way to change the Importance by small 
(i.e. 0-200) increments using just the keyboard?

Yes, using multiple fields to do the sorting is a cunning idea... but it 
doesn't really help me.

What I am trying to achieve is slightly subtle.
 
The problem that I have found is that any form of priority that uses 
"absolute" values eventually breaks down when one uses it. This is because 
you end up getting lots of tasks that are of about the same level of 
priority to you and for this reason, you get a sort of "clustering effect" 
emerging over time with lots of task seeming to have the same priority. 

So for example, I might well end up with say 10 tasks ALL of which have 
Importance=120, Flag=red, and one quickly runs out of whatever your finest 
divisions are. i.e. You run out of 'granularity'...

But what I was trying to do is to prioritise my tasks in two passes. 

*Pass #1. *In this pass I go over my tasks in a hierarchy view. Here I 
allocate an approximate absolute priority to me. [e.g. MLO's Importance 
field with 7 possible values works well for this ("Max, A Lot, More, 
Normal, Less, Little, Min" )] And I allocate any Stars (which to me means 
"Attempt to do in the next 2 days")

*Pass #2. *In my second pass, I am looking at a flat (non-hierarchical) 
view.  I am just looking at those items which I have starred. In this pass 
I am trying to decide in which order to actually execute my starred items.

execute their tasks. I mean even if you have your 10 tasks with exactly the 
same level of priority in the absolute sense (i.e. of how important/urgent 
each of them is to you), what you then have to decide is: In what sequence 
are you actually going to execute those tasks?

And that last bit will require a* manual sort *of all those tasks that have 
roughly a similar priority to you. 

So this is what I tried.
Having completed my careful manual sort, I tried to switch on the automatic 
sort by Importance on a temporary basis, hoping that it would only move 
tasks past each other if they had differing Importance values and that task 
of the same Importance values would stay put. 
I was then hoping to switch back to a manual sort to complete the 
fine-tuning of which tasks to do in which order.

However what happens is that the automatic sort uses 
1. Sort by Importance and then 
2. It ignores my careful manual sort and instead sorts by the sequence in 
the unsorted master outline... 

And then the second that you remove the sort and turn on manual sorting 
again, the sort order goes back to whatever it was before, completely 
ignoring the fact that I had ever turned on the automatic sort. 

TL;DR It seems that the only way to do a relative [task vs. task] sort is 
to do a manual sort, but that it is impossible to get things roughly into 
the right order first using an automated sort.

Is it possible to have a View that is only *partly* a manual sort?

e.g. Can I have a view that is sorted by Importance, but between tasks of 
identical Importance, I can manually sort them?

To get clear, what I am trying to achieve is that I when I do a pass over 
my tasks, I want to flag up the really high priority task, and also flag up 
which are definitely lower priority, but which nonetheless I intend to do 
during this time period (i.e. normally today). And I want it to stay 
visually obvious as I refer to and execute my tasks as to which tasks are 
of what 'absolute' priority... And yet at the same time, within the rough 
ranges of priority I then wish to change which tasks are of which priority 
*relative 
to each other*.   

Maybe there is a better field to use other than Importance, but it would be 
nice to be able to use keyboard shortcuts as much as possible.
