Re: [users] Calc AVERAGE function faulty

2009-01-14 Thread Brian Barker

and the result came back that it cannot divide by zero, however the
result is far far away from zero if I calculate manually.

The result of the average is not particularly relevant, of
course. The AVERAGE() function would not be trying to divide
anything by this final result. Instead, AVERAGE() needs to divide by
the number of elements it is given, of course, so the obvious
possibility is that you are asking it to average a set with no elements.

If you give the AVERAGE() function a set of cells that contain
nothing numerical, it will count the number of values as zero and
divide the (zero) sum by that zero to get its result - with exactly
the effect you describe. Its not clear what you are merging here,
but my guess is that you have merged a number of cells that
previously contained numerical values. There are two alternatives
when you do this: did you leave the values in the hidden cells or did
you allow the merge to move them into the visible, merged cell? If
the latter, what you now have is not any numbers but a text item,
formed by concatenating the former numerical values with intervening
spaces. An attempt to average this will find no values and certainly
give you a #DIV/0! error.

It would be nice to know that the functions included in Calc
actually work though, without having to know a long work around.

It may still be that AVERAGE() is doing the right thing with what you
have given it ...

I trust this helps.

2009-01-14 Thread Chema
Hi all.
I'm new in this list.
I use OOcalc 3 and I don't know how make this operation with hours:
one cell have 1650:00:00
other cell (C1 for example )is =sum (a1:a5) with this result 168:45:00
If I write other cell with = 1650 - C1 I obtain 39431:45:00. Cell has
time format
If I write other cell with = 1650:00:00 - C1 I obtain Err:502.
What I do wrong?
Please any help...

I have used Open Office for a number of years now and since upgrading to 3.0

Is there something wrong with my installation or is this a bug?

Many thanks.

Hi there,
a little problem with OpenOffice mail merge in the Writer.

But today, for some strange reasons I am stuck.

I start the mail merge and everything seems alright, I match fields, and
here it goes well but when I want to click continue or next, the

[users] OOo2 OOo3 preferences error?

2009-01-14 Thread Morgan Read
Hello Folks

I've just moved from OOo2 OOo3. I simply moved my personal preference
files under ~/.openoffice.org2.0/ to ~/.openoffice.org/3/ . Every thing
seems to work fine - except I get 2 error windows when I start OOo fresh.

Screen shots of the error windows are attached, but the list probably
wont carry them so their text is:
1
Error loading BASIC of document file:///usr/lib/openoffice.org/basis3.0/
share/basic/Launcher/script.xlb/:
General Error.
General input/output error.
[OK]
2
Error loading BASIC of document file:///usr/lib/openoffice.org/basis3.0/
share/basic/Launcher/dialog.xlb/:
General Error.
General input/output error.
[OK]

The location /usr/lib/openoffice.org/basis3.0/
share/basic/Launcher/ no longer exists, so those files can't be the
problem, so there must be something pointing to them in my user
preferences (~/.openoffice.org/3/).

Does anybody have any idea what?

Also, does anyone know of a little howto anywhere of what exactly to
prune edit moving OOo2 preferences to OOo3?

Thanks all,
Morgan.

Sorry to reply to my own post but ...

Better: In the number formatting pane choose User Defined and enter
[0]#.##;[=0] into the Format Code box. This is conditional formatting.
It's in two parts separated by semi-colon. The first part says #.## if the
number is not zero. The second part says (4 spaces) if the number is
zero. For more details read up on Conditional Formatting in the Help.

I am not sure why or who you paid for OpenOffice. You don't need to pay to
download or use the software; it's completely free from www.openoffice.org.
Support and documentation are also free.

There are organisations that sell OpenOffice on CD for a small amount. This
provides a useful service to those who have slow/expensive/unreliable
internet connections. There are other organisations that sell either
modified/enhanced versions of OpenOffice or the standard version but with
extra services such as training and/or installation support. This may or may
not be of value to you.

Unfortunately there is a third class of organisation that sells the standard
software and relies on the customer not realising that it can be had for
free. Under the terms of the licence this is legal ... If you have bought
from such an organisation I'm afraid we can't help you. You must take the
matter up with the vendor. If you paid by credit card then, depending on the
consumer protection laws in you country, you may be able to get your money
back.

To reiterate, you can download OpenOffice for free from www.openoffice.org.
The Windows version works on Vista. Click the Download *tab* (top right) and
then click on System Requirements in the column of links on the right of the
page that opens. You will also find a link to detailed installation
instructions in that same column. OpenOffice.org is free to use on as many
computers as you like in any context you like - business, personal,
education, ... Documentation is free on the we (same column of links).
Support is free via this mail list run by users who volunteer time to help
others. There are also other forums and groups who provide free support. A
list is available from that same column of links.

When you type something like 1650:00:00 into a cell, it is

it is the cell formatting - as Time - that cause the display to

numbers separated by colons is not recognised as a time in a

 =68.75-C1
instead, which will work. The 68.75 here is your 1650 hours
expressed as a number of days.

But that is messy. Better, if you want to put a fixed time into a
formula, you can do this in two easy ways, either:

 =TIME(1650;0;0)-C1
where the parameters are the separate numbers of hours, minutes, and
seconds, or:

 =TIMEVALUE(1650:00:00)-C1
where the single parameter is a text string in the same format in
which you would enter it into a cell.

Hello Andrea

Language in OpenOffice.org is an attribute of the character/letter, and you
would typically include it in a Paragraph style (see first icon on Format
toolbar, and droplist next to it / or click F11)

• Take a look at Format Character Font type Western text Language.
You should find a list of languages there - some have an ABC-V sign in front
of them, which means that the spellcheck dictionary is installed for this
language (you may find English-US, English-UK etc.)

• You choose the language you'll use most of the time in Tools Options
Language settings Languages Default language Western. Again, you'll
see (or not) the ABC-V sign next to the dictionaries that are installed.
You can also choose Asiatic and Complex scripts, and determine a default
language in these scripts.

• If you have the Status bar active (bottom of OOo window), you'll see in
the third rectangle the language of the paragraph the cursur is in.

• If dictionaries you need aren't installed yet, you can do this in the
following way:
- in OOo up to version 2.4.2 with the Dictionary Wizard (File Wizard or
Assistant Install dictionary from the Web)
- from OOo 3.0.0 onwards, dictionaries come as extensions, and you can find
them at
http://extensions.services.openoffice.org/dictionary

You will have to install the English version to get English menus.

Note that you will be able to type in Arabic just as well in the English
version as in the Arabic version. Just be sure to go into Tools →
Options... → Language Settings → Languages and click on the box marked
as “Enabled for complex text layout (CTL)” so that it is checked. Also
set CTL under “Default languages for documents” to the form of Arabic
you wish to use. You may also want to make some changes under “Language of”.

As you appear not to be subscribed to this forum, I am sending a copy of
my response to you directly. If you have any further questions or

You will have to install the English version to get English menus.

Note that you will be able to type in Arabic just as well in the English
version as in the Arabic version. Just be sure to go into Tools → Options...
→ Language Settings → Languages and click on the box marked as Enabled for
complex text layout (CTL) so that it is checked. Also set CTL under
Default languages for documents to the form of Arabic you wish to use. You
may also want to make some changes under Language of.

I don't think that you can just move your preferences from Ooo2 to OOo3,
there are issues with extensions. Instead, I'd recommend renaming your
OOo3 ~/.openoffice.org/3/ folder, restart OOo3 and use the dialog to
import your preferences from OOo2. You'll then need to reinstall your
extentions in OOo3.

Screen shots of the error windows are attached, but the list probably
wont carry them so their text is:

 The location /usr/lib/openoffice.org/basis3.0/
share/basic/Launcher/ no longer exists, so those files can't be the
problem, so there must be something pointing to them in my user

Does anybody have any idea what?

Also, does anyone know of a little howto anywhere of what exactly to
prune edit moving OOo2 preferences to OOo3?

Whatever may or may not have worked in version 2, in version 3 you
cannot (apparently) include a time expressed as 1600:00:00 in a
formula. You need to use either TIME(1600;0;0) or else
TIMEVALUE(1600:00:00) - whichever you prefer. Another way would be
to put the constant value in a cell and then refer to that cell in the formula.

Is it a bug? No: it's a feature!

I trust this helps.

 Regards
 Chema

It means that that OOo2 Calc had bugs and OOo3 corrects them. The
Err:502 is telling you that you entered the formula/format incorrectly.
Please read the F1/Help section on times, formats:

Time Formats
To display hours, minutes and seconds use the following number format
[snipped]

To display seconds as fractions, add the decimal delimiter to your
number format code. For example, enter hh:mm:ss.00 to display the time
as 01:02:03.45.

If a time is entered in the form 02:03.45 or 01:02:03.45 or 25:01:02,
the following formats are assigned if no other time format has been
specified: MM:SS.00 or [HH]:MM:SS.00 or [HH]:MM:SS

So change your formula to =1650:0:0 - C1 and it will work. Or as Brian
suggested, =TIME(1650;0;0) - C1

In OOo3 if I have

A1= 1650:00:00
A2= 1650:00:00
C1= =SUM(A1:A5)
the result in C1 is: 12:00:00

Now in C4 I put: =1650:0:0 - C1
the result in C4 is 06:00:00

However, in the above you still get inaccurate results as the format is
[HH]:MM:SS. So 1650 get rounded to 18:00:00, etc. Change to:

A1= 16:50:00
A2= 16:50:00
C1= =SUM(A1:A5)
the result in C1 is: 09:40:00

Now in C4 I put: =16:50:00 - C1
the result in C4 is 07:10:00

The results will be exactly the same in both OOo2 and OOo3 if you follow
the format. Put the above in OOo2 and you will see.

Use the keyboard combination Shift + Enter. That will insert a line
break w/o inserting a paragraph break.

Then at the end of the stanza, press Enter to create a paragraph break.

In addition to Richard John's good advise, you sometimes can find MS
Word templates that will work with some modification:

http://www.google.com/search?q=ms+word+%2B%22poetry+template%22complete=0hl=enfilter=0

For example, in this doc, the poem styles are defined and added to the
style list:

http://www.csufresno.edu/gradstudies/thesis/templates.shtml
[MFA poetry template: Instruction file | Times New Roman template]
http://www.csufresno.edu/gradstudies/thesis/template/pTimes_New_Roman.doc

When you open the doc in OOo and go to the poem sections, you'll notice
that there are indeed actual poetry styles in the doc that you can
copy/use/modify.

POEM TITLL (CAPS)
Poem title (Multiple line

etc.

All of which you can create on your own of course, but handy to see how
the style is set up for a Cal State Master's thesis for a Master of Fine
Arts in Creative Writing.

One could use Default style for all the lines and add an empty line
between stanzas. Or else, one could use the Default style for other
lines and Text body style (that inserts a space after the paragraph) for
the last line of a stanza, thus controlling the space between the

Apologies; I should have read:

In any event it will give you an idea of how you can create your own
poetry styles for your documents.

Re: [users] How to use VLOOKUP function

2009-01-14 Thread Andrew Douglas Pitonyak

Dear ALL,

When we are using a vlookup fuction in dowloaded file that gives up error
508. for this we can me can use past special for both data but output not
come.

We know the command
= VLOOKUP (SearchCriterion; Array; Index; SortOrder)

But still the command works only on the first cell and the rest of the
cell it throws an error 508.

Any solution for the same.

Regards,

Ithelpdesk.

Use VLOOKUP to search the first column (columns are vertical) of a block
of data and return the value from a column in the same row. For example,
search the first column for the name “Fred” and then return value in the
cell two columns to the right. VLOOKUP supports two forms: with and
without sort order.

The first argument, search_value, identifies the value to find. The
search value can be text, a number, or a regular expression. For
example, “Fred” searches for the text Fred, 4 searches for the number 4,
and “F.*” is the regular expression for find something that starts with
the letter F.

The second argument, search_range, identifies the cells to search; only
the first column is searched. For example, B3:G10 searches the same
sheet containing the VLOOKUP formula and Sheet2.B3:G10 searches the
range B3:G10 on the sheet named Sheet2.

The return_column_index identifies the column to return; a value of 1
returns the first column in the range. The statement =VLOOKUP(Bob;
A1:G9; 1) finds the first row in A1:G9 containing the text “Bob”, and
returns the value in the first column. The first column is the searched
column, so the text Bob is returned. If the column index is 2, then the
value in the cell to the right of Bob is returned; column B.

The final column, sort_order, is optional. The default value for
sort_order is 1, which specifies that the first column is sorted in
ascending order; a value of 0 specifies that the data is not sorted. A
non-sorted list is searched by sequentially checking every cell in the
first column for an exact match. If an exact match is not found, the
text “#N/A” is returned.

A more efficient search routine is used if the data is sorted in
ascending order. If one exact match exists, the returned value is the
same as for a non-sorted list; but it is faster. If a match does not
exist, the largest value in the column that is less than or equal to the
search value is returned. For example, Searching for 7 in (3, 5, 10)
returns 5 because 7 is between 5 and 10. Searching for 27 returns 10,
and searching for 2 returns “#N/A” because there is no match and no
value less than 2.

Use VLOOKUP when:
* The Data is arranged in rows and you want to return data from the same
row. For example, student names with test and quiz scores to the right
of the student's name.

* Searching the first column of a range of data.

[users] Converting MS Access database to OO.o Base

2009-01-14 Thread Bill Bailey
How does one go about converting a Microsoft Access database to OO.o Base?
The document converter does not include Access. I have a rather large
database, more than 38,000 records, that I wish to convert.

Thanks in advance.

Once you have selected the material you want to delete, just press
Backspace instead of Delete.

I trust this helps.
