Hello Evergreen Community,

I am pleased to announce the appointment of Courtney Brown as the incoming 
Director of the Evergreen Indiana Library Consortium.  Courtney is well known 
to many of you based on her roles as Southwest Regional Coordinator from the 
Indiana State Library, as well as her time at Plainfield-Guilford Township 
Public Library and the Indianapolis Public Library.  Courtney has been a 
long-time advocate and resource for Evergreen Indiana and has served and led in 
many ways throughout the years.  Courtney will enter into her role beginning 
Monday, April 29, and I will be working with her until May 24.

We are excited to welcome Courtney into the Evergreen Indiana Library 
Consortium.

[Evergreen-general] 2024 Evergreen Project Board Election Results and Congratulations

Thank you to everyone who served as candidates for this year's Evergreen 
Project Board election.  As a note for all newcomers, the Evergreen Project 
Board election is an annual event with generally three seats available to fill. 
 This year saw four seats open.  Even so, we had an abundance of willing and 
engaged candidates and the only problem was choosing amongst such a strong 
field.  Thankfully, we also saw a highly engaged electorate with a significant 
number of community members registering to vote and then actually "showing up." 
 Thanks to all of you who participated in this aspect of the election as well.  
In the end, four individuals were elected.

In Aspen, there is a way to sort of do this, but it requires the use of reviews

I feel fairly certain this would be a pretty massive project to come up with a 
way to determine recommendations and may or may not be worth the time and 
development expense since there are third party vendors that already do similar 
things as part of their core business. Syndetics and NoveList added content 
will both provide recommendations at the title or author level (ie, you look up 
a book you liked and it will recommend others that are available to you through 
the library), and then there are other companies that can generate 
recommendations based on personal reading history - that is going to depend on 
providing them with a certain amount of user data though, and that gets really 
tricky with patron confidentiality.

Of course, users can also download their reading history as a CSV file and 
upload it to GoodReads themselves if they are somewhat savvy - this could 
probably made easier with a relatively small development project to allow 
patrons to export their booklist in a format that was specifically compatible 
to goodreads so they wouldn't have to do any editing to it (unless they wanted 
to) after they downloaded it.

Like you, our bibliographic records can contain both paperback and hardcover 
versions of a book.  We actually encourage this, as well, as part of our 
cataloging best practices to try and cut down on duplicate records and to make 
sure that as many items as possible are available for patrons on a single

record, but that is usually based on the content of the book, not whether it is

The majority of our member libraries are fine with this, but we do occasionally 
receive requests to separate paperbacks and hardcovers, because some libraries

is for libraries to use call numbers and/or shelving locations to identify if a

This may not help patrons as much when placing holds, because they cannot place 
item level holds, but it allows staff to easily identify a paperback version so 
they can place an item hold for the patron.  Staff would just have to encourage 
patrons to come to them to place the hold, so the staff can place the item 
level hold for the patron.

It is admittedly not a perfect solution, but because we have combined 
paperbacks and hardcovers on single records for so long, trying to split them 
up now would simply be unfeasible.  And even if we began instructing catalogers 
to use separate records moving forward, that would still leave countless 
existing records in the catalog with both paperbacks and hardcovers on them.

In C/W MARS a bibliographic record may contain items for paperback and for 
hardcover.  We have had some recommendations to separate paperback items from 
hardcover items.

This is a change on the cataloging side but also with how holds would be filled.

Do any of you use separate bibliographic records for paperback vs. hardcover or 
do you have another workflow to make it easy for staff and patrons to place 
holds to be filled by one format vs. the other?

in the consortium, to represent both your library and other EG libraries in the 
same class (A,B,C), and the ability to attend virtual and/or in-person 
meetings.  The executive committee meets every other month in person at various 
libraries near the center of the state (mostly) and has a virtual option.  
Members must attend in-person at least twice a year.  The other committees meet 
virtually via Zoom.

In terms of what a board member needs to do, most of it is conceptual and 
involves gaining an understanding of general library workflows and needs as 
well as the willingness to work collaboratively and help make consensus based 
decisions.

[Evergreen-general] The Evergreen Project Board - Call for nominations open!

The Evergreen Project Board nomination process is now underway! We need to fill 
four (4) open positions, three of which are for three-year terms. The fourth is 
for a one-year term that will complete the term of a seat being vacated early.

Any individual who has contributed to the Evergreen open-source ILS community 
or is employed by an institution that uses the Evergreen ILS is eligible to be 
nominated as a candidate for an Evergreen Project Board seat. The deadline for 
nominations is Friday, March 1, 2024.

You may nominate another person or nominate yourself by filling out the form at

Voter registration will begin the week of March 11.

The slate of candidates will be announced following the Evergreen Project Board

[Evergreen-general] Invitation to apply to participate in the virtual Evergreen Project Strategic Plan Stakeholder Retreat

Dear Community Members,
The Evergreen Project Board has been in the process of gathering information to 
help formulate a strategic plan for The Evergreen Project, a 501(c)3 
organization established to support the Evergreen open-source ILS and its 
community of practitioners.  Feedback has been solicited from that community of 
practitioners through a variety of activities and meetings.  On February 22 and 
23, the Strategic Plan Subcommittee of the Evergreen Project Board will host a 
virtual Stakeholder Retreat facilitated by Carson Block Consulting, Inc. to 
review and compile the gathered data.  The outcome of the retreat will be a 
strategic plan to ensure the sustainability of The Evergreen Project as an 
organization and provide a path of support for the Evergreen open-source ILS.
The Evergreen Project Strategic Plan Subcommittee invites interested 
individuals to apply to fill a limited number of seats for this and will select 
from the pool of applicants at the regularly scheduled TEP Board meeting at 
2:00 p.m. ET, Thursday, February 15.  If you are interested in participating in 
the virtual retreat, please fill out this 
application.  You will be notified of your 
status following the TEP Board meeting.

Kathy,

Just a question – in the NOBLE public catalog, I see where the library shelving 
location groups appear in the Advanced Search.  I notice that when a library 
shelving location group is selected, it does not populate the included shelving 
locations in the “location” field in the same way shelving locations are 
populated there when an org unit is selected.  Is there a desire within the 
staff catalog to include that functionality (and hopefully also eventually 
bpac)?

We have found exactly the same thing that Terran describes.  Oftentimes, we’ve 
had larger, more well-funded libraries indicate that they’re afraid the smaller 
libraries will “clear their shelves” of new materials.  In reality, we’ve found 
that the smaller libraries contribute a ton because they have retained items 
that are often weeded at the larger libraries, filling out series and providing 
access to items that are out of publication.  Age protection is the thing that 
seems to alleviate the fear.  We have found that three month age protection 
generally works best except for those few outliers (think Harry Potter, 
Twilight, Spare…).

My suggestion is to put the emphasis on how much it will improve the patron 
experience by being able to offer them so many more titles than they currently 
have access to.

We have done resource sharing in Georgia since the beginning of PINES and one 
of the things that we have found is that oftentimes the less well-funded 
libraries that can't afford all of the new books end up being really valuable 
for holds because they may have some of the older titles that other branches 
have weeded.

Also, if you are using age protection, then staff can be sure that their local 
patrons are still getting the brand new items first.

Hello, is anyone else tracking all the stale cover art that they come across 
through Content Cafe?  I'm getting frustrated with it because the B content 
cafe support staff have stopped responding to my emails about the issues, and 
none of the reported issues ever get resolved.

I have a list of 20 isbn's with pre-pub images, 102 with no image, 4 with back 
cover image, and one with a sideways image.

We started reporting the problems to them in April 2023.  Apparently their 
Redis cache that backs the XML request method that Evergreen makes use of never 
expires images once they are initially loaded.  I can rule out Evergreen's 
caching having anything to do with it by placing the request directly using the 
Postman service.

Has anyone else been reporting issues to them and have been getting a response? 
 If anyone else wants to compare spreadsheets I'm happy to share what we have 
found so far.

The Evergreen ILS seems to be the only ILS that makes use of the XML Request 
method to grab added content from them, and that seems to be the only method 
that has issues.

Can anyone recommend a different cover art vendor that they have been happy 
with?

I've been unable to make a empty call # for a while now. Not an error message, 
just takes me right to the item edit screen, so I have to create a whole fake 
item when I need to transfer the item to a different marc record.

My understanding is that the number of Claims Returned does not go down 
intentionally because the idea was that each patron gets X number of Claims 
Returns over time and if they take advantage of it then they get stopped from 
making more. It was never intended to be a count of the current number of 
Claims Returns.

A staff member at a Missouri Evergreen library marked an item Claims
Returned. The item was later checked in. Is there any way to remove it from
the patron's Other/Special Circulations? We tried everything that we can
think of.

Yes.  I’m confident it’s basically a “free-for-all” at this point.  That will 
change as more and more interfaces are developed into Angular so that we can 
utilize the angular print template management.  There is a specific permission

We also use parts in Evergreen Indiana.  This is not currently incorporated 
into the Serials Module AFAIK.  We do have some libraries using that module, 
and then they individually add the parts from the staff catalog.  There is 
currently development in process that addresses some of the parts issues that 
Kate describes.

While I'm not sure if there is some mechanism in the serials module that makes 
things different (we don't use it), we utilize monograph parts BIG TIME in our 
consortium. It gets the job done re: holds, but it's rough making sure 
everything has parts because if ONE holding has parts, it really only works 
(okay, it works best) if then every holding on that record has parts.

I appreciate it.  I think I got my roundabout question answered in the 
Evergreen channel of IRC.  Currently, in server administration, the print 
templates interface has only a very limited number of templates.  This is 
because not only are they server managed.  They are also based on Angular.  So, 
the current print templates relate to interfaces that are written in Angular.  
Things like “checkout” or “items out” or “transit slip” are still triggered 
from interfaces written in AngularJS and so not yet “eligible” to have Angular 
print templates.  A bit of a gobbledygook answer, but there it is.

session/transaction, or YTD, or over the life of their account?  Anything?

Hello all,

I received this email from an EI member library and wondered if any of you or 
your libraries have implemented or investigated such a thing.

"We would like to activate [my assumption is...log into the client] our logins 
via barcode scan. Is there software that can bridge the gap from our scan to 
Evergreen's login screen. Staff could walk up and scan their badge like 
hospital staff do to bring up the computers [again, my assumption is this means 
"staff client" rather than "computers"]. Of course, it would affordable too, 
right?"

Well, I’m pretty open.  Full disclosure – we’re investigating i-tiva right now, 
and they do offer this added functionality.  Our current provider (and this is 
me having never dealt with any of this before), Indiana Telephone, is 
deprecating their T1 and [insert some other technological word here] service.  
It sounds like we’re going to have to run some new physical wiring along with 
our prices going up.  So, at this point, I’m looking for anything that 
Evergreen libraries have implemented – good, bad, and maybe less attractive 
than super attractive.

I know of at least four systems that supply Evergreen holdings to EDS. The 
mechanisms used to date are periodic MARC exports to EBSCO and Z39.50 lookup by 
EDS to get current item status.

William Jessup University, and the South Carolina State Library.

Is anyone using NCIP, (the NISO Circulation Interchange Protocol), specifically 
Circulation-Interlibrary Loan (CILL) Borrowing and Lending Profiles to liaise 
between an ILL provider and their Evergreen institution?

We're interested in improving interoperability between our Evergreen consortium 
and our statewide ILL service, which uses AG ShareIt.

I wanted to let everyone know that I am retiring at the end of this month.  
Before I go,  I wanted to say thank you to all of you who have helped me over 
the past several years as we migrated to Evergreen and then lived through 
multiple upgrades.  From Serials to Cataloging to Reports, you have all been a 
great help to me and my library!  I will also echo what Jane Sandberg said a 
few months ago, it has been a joy to be part of the Evergreen community.  It is

The Evergreen Project (TEP) was incorporated as a 501(c)(3) in June of 2018. On 
behalf of the Evergreen Project Board, we wanted to announce that the move away 
from the Software Freedom Conservancy (SFC) is complete!

Remaining project assets were transferred from the SFC to TEP in March 2022.  
Ownership of the Evergreen trademarks and registrations were transferred to TEP 
in December 2021.  We are working with the U.S. Trademark Office to update the 
ownership information in their database.

Thank you to everyone who helped make this transition happen!

We’ve implemented this.  We let people know beforehand, and have used it as a 
way, #1 to remind libraries to be actively managing their staff accounts and #2 
hold individuals with continuing ed requirements (generally catalogers) 
accountable for staying current on those requirements.

[Evergreen-general] Call for 2021 Images for Annual Report

Hello all,

On behalf of the intrepid Evergreen Outreach Committee, I come to you 
soliciting images from the past year for use in the 2021 Evergreen Project 
Annual Report.  Traditionally, the annual report would include images from the

  Hello, we are looking at circulating laptops for in building use only, and 
are looking into options for how to handle the checkout timing.

We would like to check out each item until the end of the day.  So if a branch 
closes at 9pm, then we would always set the due date to 9pm for any checkouts 
that day.

We want to be able to immediately bill the next morning, or even that night.  
We are not currently thinking to charge fines, so we don't need to worry about 
those right now, or all the current issues with hourly fines.

We were thinking of having a duration rule that specifies 12 hours, since that 
covers the longest time period that our locations have open.  But that causes 
checkouts in the afternoon to be pushed to the next day, with potentially extra 
days added if the next day is a closed day for that branch.

So maybe we should use a shorter time period for the duration rule, to avoid 
that.  But then staff will see a due time a few hours in the future, which may 
cause confusion.  Ideally the initial checkout due date would be set correctly, 
so the receipt could show the exact time the customer should return the item.  
Or maybe we should just not show the exact time for the due date to keep 
customers from reading too much into it.

I was looking at how the duration rules work... and I wonder if it would work 
to create one, or several special duration rule strings.  And then teach 
create_due_date in Circulate.pm how to handle those?

"eod" = end of current day/end of current open period.  (For when the split 
hours feature comes in).
"bond" = beginning of next open day
"eond" = end of next open day

Otherwise maybe I could change the duration rule over the course of the day, so 
subsequent checkouts don't get pushed to the next day at least... so at 7pm 
change the duration rule to be "2 hours" instead of 12... and do that every 
couple hours over the course of the day.  Set the interval to now() - 9pm every 
time the script is run  normal=(now()::date + '21 hours'::interval) - now().

We have also thought of just updating the due dates for any non returned items 
at 9:01pm each night, so at least the billing would happen correctly the next 
morning.

Does anyone have any suggestions for how to make this work?

Seems like this is something that could be set up using an action/trigger.  To 
have the “re-request” option, there’d likely need to be some deeper involvement 
to query recently cancelled holds and also provide appropriate links for 
replacing the hold.

Would it be possible to have a message pop up to alert a patron when a recent 
HOLD has expired or been cancelled. It might say something like: A recent HOLD 
has been cancelled by you or the system because it was not picked up on time.

It would be really cool if it included the titles. Our old system did this and 
it was really helpful. My wording for the message is terrible so I hope you get 
the idea.

[Evergreen-general] Patron Engagement Services

Hello all,

I'm at the "not quite beginning" point of gathering information for a project 
related to 3rd party patron engagement services such as Patron Point and Orange 
Boy and their interaction with Evergreen ILS and would covet your input. Are 
there other similar services/companies that you know of/have dealt with/are 
interested in?
