Does the BCC field on the AR System Email Messages form populate from incoming messages?

We have recently migrated to Remedy 9.1.02 from 9.0.1. In our 9.0.1 
environment, when an incoming email that had a BCC on it was processed by the 
AR Email Engine into the AR System Email Messages form, the BCC value on the 
form had the appropriate BCC value on it. Now in our 9.1.02 environment, when 
an email with a BCC is processed into the AR System Email Messages form, there 
is no BCC value on the AR System Email Messages.

I am being told from BMC that not having the BCC populated is "by design" and 
that they tested this on an OOB 9.0.1 version with the same results (and 
therefore it is by design on v9.1) and that we must have a customization in 
place to do this. I cannot find any type of customization that we put in place 
that would populate the BCC field via Remedy workflows (and how we would 
populate this correctly without reverse engineering the email engine executable 
is beyond me)

So I am looking for some input from the other Remedy system admins...For those 
of you that have either v9.0.1 and/or v9.1.x (or even earlier versions), would 
you confirm the BCC value on incoming email messages is ether being or not 
being populated on the AR System Email Messages form when the corresponding 
entry is created? Also, would you let me know the ARS version regardless of the 
answer

What do you observe in log when you send an plain text mail, html mail from
Outlook.
Can you check with the content type in debug email logs. when sending an
email to incoming configured email.

Thank you John.  Both the Plain Text Body and HTML Body fields are blank in the 
AR System Email Messages form.  Under Advanced Options/Attachment Alternatives 
I do see the .eml file but again it is blank as well.  I forgot to mention that 
this is an intermittent issue...doesn't happen all the time so logging is tough 
as well.  Troubleshooting continues.

When I put Group ID in To field of AR System Email Messagess form, it send
out notifications to all the user in the group.

I would like to know how ARS transaltes this as there are no filters AR
System Email Messagess form to perform this. Is this achived via some API
calls?

That actually wasn't the case.  I had tried restarting the email engine.  I had 
to remove all errored messages after the messages that were to send.  Then they 
went.

I've had some email errors today, and when I click send in the error-ed 
message, the "Send Message" gets changed back to Yes, but the message never 
appears to retry.  I've run a report on those messages and the new once that 
are going out--but they appear the same  (I though maybe a hidden field/flag 
wasn't getting set).  Any idea why they aren't going or how I can get them to 
send?

Not having an index on Unique Identifier should not be a problem (It's the 
Mailbox... index that is most used by the engine)

None of my indexes have the Unique flag checked

Turn on your SQL logs on the server for a few minutes and see how long the 
Remedy Application Service user takes to pull your email form

There is no default but in the years we have been processing incoming and 
outgoing mail, we have seen that anything over 10K in stored messages begins to 
cause a problem.  
Set the outgoing mail to be deleted after its sent and then set an escalation 
to delete the incoming mail after a day or so, or however many days it takes to 
only have 10K or so emails in the message form.
Also, be sure you index properly.

The email engine has to continually search for mail to send out, then send it 
all in just a few seconds.  If it takes more than the few seconds to do the 
search, it will never get to actually send.

No key back to the originating form/record from "AR System Email Messages" form records??

Hi all:
It appears that records on the "AR System Email Messages" form, caused by a 
Notify action in a filter, contain no information to indicate which form and 
which record it originated from. 

I would have thought they would have designed the email subsystem to include 
the form name on which the filter fired, and the record on which the filter 
fired.

There is a unique GUID on each email message's record, but that doesn't tie 
back to the form/record.

I am trying to have a table on my ticket form to display all the emails that 
have been sent from the ticket. 

Looks like I have to add records on a separate form on each Notify action. Or 
add filters to the AR System Email Messages form to populate some fields based 
on keywords on the message.

Somebody please tell me I am wrong.

There shouldn't be an extended lock on the table, yes it will take awhile, but 
the way the Remedy client works is it issues a delete for each record, so any 
statements working on those tables will be able to work within the gaps between 
delete statements.

If you decide to delete some or all the data from the client, you will have to 
think about locking issues, as it takes time to delete large amounts of data 
from the client, especially on a production system ...other users will be 
blocked, since a delete operation - me think - will require an exclusive lock 
on the table..

So you will perhaps need to do this at the database level ... this is not 
straight foward ... you will need to look for the T, B, H tables (in the 
arschema) and any other attachment field tables for the error log form before 
runing any truncate or delete etc..

I had the same problem, but with an asset management form with a couple of 
tables ... 

I enabled the SQL logging for the client, did a refresh, and then copied the 
select statements from the log file to a SQL editor and ran the queries ... 
found two of the the select statements taking too long before coming back with 
data  added chunking to the field table and also an index to one of the 
classes and it resolved my issue

Add the followings before your selects if you don't want to execute your query 
and want to see how long it will take and if any indexes are being used etc ...

set noexec on
set showplan on
set statistics time on

I agree, although having the table refresh at the beginning wouldn't be as much 
of an issue if BMC would simply add appropriate indexes to the forms they

Thanks Lyle
Setting an Index on the 'Email ID' field on the Email Error Logs form was 
the solution.

I do the same thing every month deleting 20k-30k items from the messages 
form.  I should probably setup an archive. 
I wonder if ARS 7.5 has the fix  for when you delete the message it 
deletes its associated error log entry.

There shouldn't be an extended lock on the table, yes it will take awhile,
but the way the Remedy client works is it issues a delete for each record,
so any statements working on those tables will be able to work within the
gaps between delete statements.

If you decide to delete some or all the data from the client, you will have
to think about locking issues, as it takes time to delete large amounts of
data from the client, especially on a production system ...other users will
be blocked, since a delete operation - me think - will require an exclusive
lock on the table..
 
So you will perhaps need to do this at the database level ... this is not
straight foward ... you will need to look for the T, B, H tables (in the
arschema) and any other attachment field tables for the error log form
before runing any truncate or delete etc..

I had the same problem, but with an asset management form with a couple of
tables ... 
 
I enabled the SQL logging for the client, did a refresh, and then copied the
select statements from the log file to a SQL editor and ran the queries ...
found two of the the select statements taking too long before coming back
with data  added chunking to the field table and also an index to one of
the classes and it resolved my issue

If you decide to delete some or all the data from the client, you will have to 
think about locking issues, as it takes time to delete large amounts of data 
from the client, especially on a production system ...other users will be 
blocked, since a delete operation - me think - will require an exclusive lock 
on the table..

So you will perhaps need to do this at the database level ... this is not 
straight foward ... you will need to look for the T, B, H tables (in the 
arschema) and any other attachment field tables for the error log form before 
runing any truncate or delete etc..

I had the same problem, but with an asset management form with a couple of 
tables ... 

I enabled the SQL logging for the client, did a refresh, and then copied the 
select statements from the log file to a SQL editor and ran the queries ... 
found two of the the select statements taking too long before coming back with

of Email messages form the following fields are Indexed, is there supposed 
to be that many fields being indexed?

Turn on DB logging before you open the form, open the form.  Analyze the log
and find out what query is taking so long, then find what on the form is
causing the query.

I just deleted the error logs.

I reopen my Messages form and it still takes over a minute to open the 
form in search mode to display only one item. 

Any other suggestions?

Could it be thread settings for email?  Here is what I have set.

AR System Email Messages Error in Event Viewer.

Hello Listers,

Has anyone ever seen this error before in the Windows Server 2003
Application Event Viewer Log:

Source: AR System Email Engine
Category: None
Type: Error
Event ID: 4097
Description: The RegQueryValueEx function failed for the following
reason: The system cannot find the file specified.


AR System Server: v6.4 patch 20
DB: Oracle 9i

We have had issues due to RAM leaks where the Email service has hung
every couple of days and needed to be kicked but a RAM upgrade has
basically solved that problem.

James and Mike, thanks for the quick responses.  When our developer said
he "set up archiving" I thought he meant he was archiving data to an
archive form.  When I looked at the form I saw that he had set the
Archive type to "Delete from Source", so we won't have an archive form
after all...

Just to share the other side

We started archiving 09/2006 while on ARS 6.0.1, patch 1497. We're now
running 7.0.1, patch 7 (on Solaris 5.10, Oracle 10g). We archive all
Sent messages, using Archive Type "Copy to Archive and Delete from
Source", daily @ 0700. We've never had a problem with it.

Several years ago, we tried to archive user logins as we removed them
and ran into a reserved field id issue that sounds similar to what James
described. We just haven't seen it on our email form.

what I wrote to the list a few months ago about it:

According to Remedy Support, creating an Archive Form for the AR System
Email Messages form causes a duplication of the reserved fields used by
the
email engine to send email.  Apparently the email engine was not setup
to
distinguish Field IDs such as 18085 between two separate forms.  When I
created an Archive form off the Email Messages form, the Email Engine
decided that my Archived Email Messages form was the new form to process
incoming and outgoing email on.  This became somewhat amusing as

email went directly to my Archive Form, and Outgoing email just sat in
my
original Email Messages form waiting to get processed.

Removing the Archive form and restarting the Email Engine fixes the
problem.

I have found that for 'us' keeping less than 100k Help Tickets or Tasks

those forms keeps performance at an acceptable level.  You have to
remember
that all workflow is affected by the number of records in the form and

is not recommended to archive system email messages, there is some unusal
result related to it."?  Do you remember where you got this information?
Are you still archiving your email messages?

those forms keeps performance at an acceptable level.  You have to remember
that all workflow is affected by the number of records in the form and keep
in mind any table fields that are refreshed.

We generally keep 13 months of or closed records.

Since we upgraded to v7.0.1P3 last year I was excited about the 'archive'
option.  In the last month I've used it on HTs, Tasks and email messages.
For us it appears to require a huge amount of disk space for the
copy/delete option.  That needs to be planned for and it was greater than 1

I tried to setup an Archive form for the Email Messages form a while ago,
and ran into the unusual activity that Susan was referring to.  Here is
what I wrote to the list a few months ago about it:

According to Remedy Support, creating an Archive Form for the AR System
Email Messages form causes a duplication of the reserved fields used by the
email engine to send email.  Apparently the email engine was not setup to
distinguish Field IDs such as 18085 between two separate forms.  When I
created an Archive form off the Email Messages form, the Email Engine
decided that my Archived Email Messages form was the new form to process
incoming and outgoing email on.  This became somewhat amusing as Incoming
email went directly to my Archive Form, and Outgoing email just sat in my
original Email Messages form waiting to get processed.

Removing the Archive form and restarting the Email Engine fixes the
problem.

Field 1's database name can be different.
If you always indicate Field 1 as I have shown above it will always work and 
you don't have to always specify the actual database name set for that form's 
entry ID in the syntax.

Basically as a general rule, if you want to setup a process to delete entries 
from a form as part of a filter I would use this command (no quotes around 
schema or the 1 actually in your syntax):

Application-Delete-Entry "$SCEHMA$" "$1$"

So basically on a certain change in that target form (say when the Status moves 
to a Delete status) you can use this command for any forms to indicate that you 
want to delete the entry for that form.

The SCHEMA keyword will always be the form the filter fires for and Field 1 is 
a field that is always contains the system generated ticket number.

Since forms released by ITSM or by AR System releases there may be cases where 
Field 1's database name can be different.
If you always indicate Field 1 as I have shown above it will always work and 
you don't have to always specify the actual database name set for that form's 
entry ID in the syntax.

Using Application-Delete-Entry "$SCHEMA$" $1$ will work.  $1$ is the
core Request ID field and is the example usage shown in the v7
documentation and does work.  You then just need to add your
qualification to the Run IF statement.

Good morning all,



I tried using a archive form on the e-mail messages form (by enabling the
new Archive tab) and for some reason the link was broken between the mail
messages form and the e-mail engine.



I needed to import all mail objects from production to development (where I
tried this little experiment).



We are planning a refresh of Development from production (So I will have
over 400k mail messaged to try and delete) and I will then try the delete
option on the archive tab (I am not going to try using archive form again).



Let you know in a week what happens.

The new Audit feature can be used to track any changes on a form or the whole 
form if needed. The information you need is located in the Form and Application 
Objects manual.

I'm still on 6.3 but I can tell you the RTF Content is an attachment
located on the Advanced Options tab in the Attachment Alternatives tab
Attachment pool (It's one of the 5 Attachment fields).

I don't know if this is best solution, but I've made similar task for
auto create helpdesk ticket from email.

1. Add field in HPD:Helpdesk to store Email UID (EmailUID)
2. Add attachment pool in AR System Email Attachment Join
3. Create filter which query ( $EmailUID$ = 'Source ID2') then set
attachment to the HPD:HelpDesk.

AR System Email Attachments and AR system Email Attachment Join are the 
two you want to look at.  Personally, to save space, I'd just reference 
the GUID on the AR System Email Attachments form rather than copying it 
over.  If you still need to copy it for some reason, you should be able to 
push it over.

Doug,

Thanks!  This works.  My problem is now that incoming email messages which
have attachments.  I can see the attachments in the AR System Email Messages
form, but evidently they are actually on a different form, because they
aren't in the 'table' when I create my escalation.  I would like to grab any
attachments that are included and put them to my attachment pool in another
form.  How can I do this?

There are a few ways to do, but there is a hidden field that has the
mailbox ID (GUID). Doug

Email Engine: Attachment-Flag in AR System Email Messages not been set

hello everyone,

first some platform info:

ars 6.03.00 patch 13
os solaris 9
db oracle 9.2

well, i've got a problem with the email-engine, more precisely with the 
attachment flag field "Attachments ?" in the AR System Email Messages Form.
When sending a mail with attachments to the ars the flag won't be set 
to 'yes', althoug all other entries in the concernde forms are ok. the 
filter AR System Email Association Mark Email Entry Attachments(core)is 
also ok, run if condition works, but he can't find an entry in the AR 
System Email Message Form, so he takes no action (if no request match ...). 
i'm a little bit confused about this ... hope somebody could help me ...
