With only 12 users, you really have lots of options, I think. Even exporting the clients mailboxes to .pst (and using Outlook to export the public folders to .pst) and doing a clean installation instead of an upgrade. Ensure you are confortable with that. Are you happy with your ability to recover from backup etc. Then consider migration steps. Sorry, my message wasn't well written. Still only on my first cup of coffee. Here's what I did: We already have numerous Exchange servers in our org. We also had ABVs that I couldn't modify as all servers were SP4. When I had a requirement to build a new server and add it to our org I built it to SP3. Then, via the admin console on the SP3 server I added explicit permissions to the ABVs. I then upgraded it to SP4. The problem was sorted. If you don't have any imminent plans to add a new server to your org then maybe do the above procedure with a temporary box of some description. After you've added the permissions you can then uninstall Exchange from the temp box and remove it from your org. There is also another fix which I found on Google that requires you to stop the Exchange services replace a file with one from the SP3 CD, restart the services, add the permissions, then revert to the original file. I wouldn't recommend this on a production server. Storage Limits Warning
I have a user that received more than 30 storage limit warnings every 15 minutes for about 3 hours. Is there a way to have the storage limit warning fire once and not ongoing then stop their ability to send email or whatever we determine appropriate until they've resolved the issue? I'm hesistant to adjust the storage limits warning in the Information Store Site Configuration, since I've never actually seen anyone other than this user hit their storage limits, and I don't want to compromise the way this seems to work for other users. We are currently using Exchange 5.5, sp4. Any thoughts on this would be appreciated. Clarify Thinking on Age Limits, please
I am after some clarification of my understanding. Firstly we are talking Exchange 5.5 SP4. What I want to achieve is to delete items in a public folder once they have become too old. I assume I can select the public folder in question and change the value of Age limit for replicas (days) to the period I want to hold on to the message in the PF. The age limit of the message is determined by the MAPI property Last Modified Time. What I want to check is what happens next, the age limit for the message expires so the message is marked for deletion, am I right in thinking that it is then tombstoned, so the deletion of the object can be replicated. The tombstone period by default will hold the message for 180 days before it is finally removed from the database. Where does deleted item retention start on this process is it when it was first deleted or at the end of the tombstone period? Is my thinking correct or am I way off the mark? OWA setup problems
I know its naive of me to believe everything I have read that OWA on exchange 2000 and iis 5.0 should just work. Well I have a test server running just that with sp2 and all other updates as of yesterday. When I use a web browser to goto \\servername\exchange or \\server_ip\exchange I get a box to enter user name password and domain. At first I could enter the name of a person with a mailbox on the server and just get Page cannot be displayed. Now it does not seem to want to authenticate anyone. I enter the password 3 times and then get not autherized. I have created several test accounts with mailboxes and they are enabled for web. This is all on the internal network. I am not crossing any routers or firewalls at all. For that matter all computers are on the same hub. I should add that test workstations logged on as various users can send e-mail back and forth via outlook. So exchange seems to be working fine otherwise. I think if you've got a t-shirt with a bloodstain all over it, maybe laundry isn't your biggest problem. Spooky Sent folder problem
Outlook user sends message internal to the organization. Message is delivered successfully. User cannot see message in sent items folder. I, mail administrator of sorts, check user's mailbox on Exchange server and can see those messages in sent folder. User sends external mails; no problem. User can view externally-bound messages in sent folder! Scratching head. Please advise. I think this is the general route I'd take... 1. Buy new server 2. Install NT4 as a BDC of your current domain 3. Promote new server to PDC (which will simultaneously demote the old PDC). 4. Install win2k server on new server, converting domain to mixed mode AD 5. Install ADC, do forestprep and domain prep 6. Install E2K on new server 7. Create ADC connection agreements 8. Configure OWA on E2K server 9. Document public folder and mailbox security 10. Move mailboxes public folders from old MSX55 server to E2K server 11. Move DHCP to new server 12. Retire old servers (paying special attention to first server in site issues for the MSX5.5 server) 13. Take AD native 14. Convert the universal distribution groups (your old DLs) to universal security groups. 15. Re-do public folder and mailbox permissions. This is, of course, all theory (except steps 1 thru 4, which I've done in test a hundred times and in production twice). You may want to look at Microsoft's Small Business Server 2000, which gives you E2K server, Exchange 2000, ISA, and SQL Server for very cheap (with some limitations that shouldn't matter for 16 users) Oh, and if you do go SBS2000, it can't install directly over NT4. Jerry first is replication. Depending on the size of your network and your patience this can be a problem. Have you tried domain/user or domain\user or [EMAIL PROTECTED] on the login? One thing I was not aware of is that for a mailbox to be displayed, the user has to have an email address corresponding the AD domain name in their properties (recipient policy might be at fault here). Yeah, tried that variation to log in domain/username and domain\username. And the AD domain is domain.com and the addresses are [EMAIL PROTECTED] I know that all services are running. I can browse to \\servername and get the normal IIS webpage just cant get the \\sername\exchange. This is a test network entirely as I am new to this and it been demanded that once I finish my migrations that OWA be implemented. I would not think that I would have this much trouble getting this to work on the local test network. I was told that there was a recent security update that broke OWA so you had to find a certain setting and recheck it. But they could not tell me what that was. Reading those docs makes troubleshooting e-mail issues so much easier. Printing out RFC821 and trying to send e-mail from a telnet session (to duplicate what's being done in the RFCs) takes only a day, but the benefits will last much longer. I don't see how anyone could call themselves an email system administrator if they can't do this. It scares me that I might be exposing my poor email servers to people who think this is new news... Well, to be fair there are plenty of folks on this list for whom e-mail administration (and even IT work in General) is not their full time job. It would (and does) scare me if someone who gets paid to administer an e-mail server exclusively hasn't read them. There's another option that should work here: Microsoft ISA server in the DMZ forwarding http and https to the internal Exchange server. I've never tried this, but it was what our Microsoft tech guy recommended for putting OWA2K on the Internet. If we can talk our Internet hosting service into this, it's the path we'll probably take. On your E2K server, use Explorer to look at the M: drive [1]. The subdirectory there reflects your default recipient policy SMTP address. To use OWA, a user MUST have an SMTP address corresponding to this address. For example, if your default recipient policy has an SMTP address of @telemanager.com, your users have to have an address of [EMAIL PROTECTED] in order to use OWA. [1] The M: drive doesn't have anything to do with the problem. I am not crossing any routers or firewalls at all. For that matter all computers are on the same hub. I should add that test workstations logged on as various users can send e-mail back and forth via outlook. So exchange seems to be working fine otherwise. Ok, what I have now done is to just set up IIS and exchange with defaults and some test users with mailboxes. I fought with it then got more frustrated and walked away and came back an hour later and voila, it works. Savings in this example: The cost of an upgrade to an Exchange enterprise CAL. Next year when a court order for e-mail document discovery is received, that Exchange enterprise CAL cost is likely going to pale in comparison to the cost required to grep PST files for relavent documents. To go out and spend money to get a job done is simple. To get it done without spending money (or spending less) requires thinking and planning. An apples and oranges comparison. Any solution, whether it is 'free' or requires a capital expenditure must first be subjected to thought and planning. As an example, removing the ability to send high risk files (*.pif, *.bat, etc.) within exchange drastically reduces the likelihood of getting a virus in your company. To not perform the above and to opt to get some EXPENSIVE software is doing your company an injustice. Without implementing an AV solution or upgrading clients to a version of Outlook which can block those file types, the ability to perform the actions you describe cannot be achieved. Both can potentially require a capital expenditure. It is our duty to get the job done while keeping expenses low. All while presenting risk levels and exposure to the company owners. If they will pay for it, let them decide. I'd contend it is our duty to understand the business needs of our organization and to propose and implement solutions which best meet the needs of our customers (from both a financial and productivity standpoint). I have no qualms about proposing implementing a multi-million dollar solution or a $500 solution for a customer if the solution benefits the company. Sure, either proposal might get put off or rejected but there are times that a solution is worth fighting for (hence my 4 requests for AV software in a 12 month period). But as I see it your arguments against improvements in IT process management are currently a bit weak. BTW, Exchange standard has a 16GB limit BTW, not an 18GB

Import the Exchange tracking logs into a database and analyze them. You will be amazed at the interesting data than can be harvested in the tracking logs, particularly in a large organization. If you have a database person at your disposal, they will have a field day with them. Even with little to no database experience, you can make some nice reports with Access. Mailbox not created
I have a wierd issue here that I never before had happen to me. I am running Exchange 2000 SP2 in an all Windows 2000 Domain. This is a one server, one site setup. Exchange and DC are on different machines but on the same network segment and in the same room. When I create a new account in active directory users and computers and check the box to create an exchange mailbox the process is carried out seemingly. When I refresh the screen and look at the properties of the newly created account there are no e-mail address (either smtp or x400) listed in the E-Mail addresses tab. OWA 2000 - logon box weirdness
Trying to make sense of this... My newly built Exchange 2000 box is running OWA. From the inside network, when I go to the OWA page (outlook.mycompany.com) I get prompted for a username, password, and domain box. I have IE5 on NT4. From the inside network, when my coworker goes to the OWA page (outlook.mycompany.com) he does not get prompted for a username, password, and domain box. It goes right into his mailbox without having to enter in credentials. He has IE5 with NT4. I had another user access the OWA page from home and they get prompted for the username, password, and domain. They used IE6. Anohter user accessed the OWA page from home, and they only got prompted for a username and password, NO domain. This person was not able to logon even though they supposedly used the domain\username appropriately. What's the deal with the 2 box logon versus the 3 box logon? And why do some PCs here need to authenticate and others go rihgt in? It's weird. Go to the Application Event Log and filter for 4192 events, making sure that you have the Description Bar at the top of the page turned on. Some messages viewed in OWA 2000 give 404 errors?
Having this problem with random e-mails. Sometimes even with read upon receipt notifications. Sometime in plain text e-mails? This seems to be an issue with front-end servers because when I connect to the back-end Exchange box I don't have this problem. No errors in event logs... Any ideas? Because internally OWA is using windows authentication, and your user is logged into the domain, hence his authentication token is being passed to the OWA server allowing him access to his mailbox. Now if he can access other illegally then there is a problem. But remotely from home OWA relies on basic authentication to prove the user has permission to access the mailbox, because this user is not on the domain. I know that a user can create a disclosure that appears when the signature is chosen in outlook tools. My question is -- Can I create a system wide disclosure that will be on all outbound emails and not on internal emails? one or the other or both? I haven't found anything in exchange server that would help, but it seems that there should be a way. Esm installtion error
All I am having an annoying problem with exchange on a blackberry server. The exchange system manager cannot be launched and was told to re-install ESM. Anyway, when i launch the setup, wither from explorer or the comamand prompt, i get and error message when setup initializes that reads get an error message that reads A Fatal Setup Error has Occurred Error Message Occurs When You Try to Install Microsoft Exchange 2000 Server. Well, i found a Kb article(Q319757) which is of no help becausei do not have any DNS resolution probs. At least as far as this server is concerned. Enabling Outbound Integrated Authentication for SMTP connector.
Any 'gotcha's' that I should be aware of before I turn this on? Should this be combined with TLS encryption or would the overhead be too high? NSA's guide recomends only using Integrated Authentication unless traffic is super-sensitive. Thought I would get some feedback from people who have implemented these options. RE: Front-end Servers
So, if I wanted to take my new front-end/back-end setup and have the front-ends setup for routing inbound/outbound mail - I can do this via setting up smtp virtual directories. Current setup is (2) fe's and (2) be's with load balancing on the front-ends. I have a virtual IP Name in DNS for a single point for the NLB to the front-ends. Testing: since I have my last 5.5 server handling the smtp at the present time, can I setup the smtp virtual directories to handle some test mail so I can ensure that email is capable of being routed properly. Recovering servers
We are writing the procedures that are needed to recover our hub Site: - Its a hub and spoke environment, with 100 or so spokes. - We have two servers in our hub Site. - We are running Exchange V5.5 SP 3. - Exchange on-line backups available. - NT server backups available. - Full server backups (with Exchange services set to off-line) are NOT available. On a Business Continuity / Disaster Recovery exercise (for the hub only at present), we need to restore these hub servers onto new hardware. Both servers should get installed into the same named Organisation, the same named Site, and the same named Server as their originals. The first server that is recovered should be installed with SETUP /R, and Create new site should be specified. BUT - what about the second server?? - Do we use SETUP /R, or normal SETUP? - Do we join this site (its all happening on a totally separate test network) that was created when we installed the first server? Or do we also say Create new Site and give it the same name as the Site we want to join? Only server in a site
I have in the past followed the instructions involved with removing the first server in a site. However, we have a Site with just one server in it. We wish to remove the whole of this site / server. Is there anything particular we need to do to the rest of the Sites within the Organisation? Or can we just remove the server + remove the connectors + remove the directory replication connectors? There are no users left on this server (apart from our final test user). There are no Public Folders homed on this server. How can I figure this out?
I get error messages from Exchange routed to my inbox. Recently I keep getting a host unknown on a sent item outgoing mail message and an unknown recipient on incoming mail message error I suspect it is some virus or worm trying and failing but how do I figure out what machine? Is this logged somewhere? INCOMING ERROR The following recipients did not receive the attached mail. Move user native permissions
From reading technotes, I am supposed to give anyone associated with doing user moves Domain Admin rights (q259426). It seems that this is so that the AD administration can create a dynamic MAPI profile on the server. Is there a way to accomplish this without using Domain Admin Rights? I would like to be able to have helpdesk staff from around the world to be able to deposit mailboxes in a transfer store which they all have access to, but only allow local IT staff to move mailboxes out of their local office Exchange servers. Help with Customized Views in Outlook 2K
I have a user that wants to create new fields that will appear along with From, Subject etc. and the user wants to be able to pull the data out of the message. Creating the new fields is easy, but how can I set it up to pull data to populate these new fields. Yes, you can manually deleted old tracking.log files. Or archive them. You should configure the message tracking log retention period so that you don't have to delete them manually.
