RE: IMC Mail Que

2001-10-18 Thread Herrick, Michael

Adriaan,
I have an idea of what you are going through. Managing a system without
prior training is tough. And a system that is in use and having problems
makes it much more difficult.

But your education will proceed at a faster pace if you purchase a book or
two that has been recommended on this list. This, and previous questions,
are so basic, that the answers tend towards the curt and/or sarcastic. And
then they won't help you as much as you would hope or need. Many can be
answered by reading, in less time than it takes to type the question. (Well
for me, anyway. I type real slow)

If one of my admins asked this question, his Exchange permissions would
revert to View Only before I gave an answer.

RE: File system in outlook/exchange

2001-10-05 Thread Herrick, Michael

Sure sounds like ytou need some training sessions for your users. Starting
with your boss.

Spending $ on training is probably the best investment any company can make.
Especially with Outlook. Unfortunately most consider it an expense, not an
investment. Outlook has the potential to really enhance productivity. And
most of it's power is never used.

Ok I was just speaking to my boss and he told me that he wants a new
server
as a file server. He wants to use outlook 2000 as a file system. He
doest
want to have it stored in public folders he wants them stored in folder
on
the new file server. Ok so I looked at outlook and showed him that you
can
do this with the outlook bar, you know by going to other shortcuts. But
of
course there was a problem with that, he wants the least amount of steps
as
possible. Basically he wants to be able to see all of his outlook
folders
and messages as well as seeing all the shared networks folders on the
file
server in one window in outlooks application. He want to be able to
drag
and drop files from his inbox to a public share in one window. Has
anyone
ever seen anything out there that can do this to outlook. I went to
slipstick.com but didn't find any tools their that has this feature.
Thanks
for your time.

Ensure the client is off line. Then use ExAdmin to move the mailbox to
another server in the site. Have the user start Outlook. It will find the
new home server automagically. I have seen moving a mailbox clean up

Guess I should clarify a bit. This problem is happening on different
machines, so it has nothing to do with her profile or with a PST. I can
create a new profile on a computer that she has never used, setting it up
for her mailbox. Then, when I open Outlook as her, glack!

Can anyone think of a reason that a mailbox could cause Outlook to freeze
up? We're using Exchange 5.5 SP4, and the client is Outlook 2000. If I add
the user's mailbox to my profile, I can open it up fine. When I create a
new profile with the user's mailbox as the primary, and then open Outlook,
Outlook freezes up. It opens the mailbox and I can see the mail, but
Outlook no longer responds.

This was reported to me by the user's support folks, and they tried it on
two different machines. I tried it on my workstation as well with the same
results. Nothing about the mailbox looks strange. It only has about 11
Megs of data. Permissions settings look correct. I would just say "let's
try recreating the mailbox" but the user is at a remote location, so that
might be difficult to arrange with her.

If anyone has any insights, I would love to hear them. This is about the
sixty-thousandth wierd problem I have had today and my brain has turned to
jelly.

Thanks,
-Kirsten

RE: Restore

2001-10-05 Thread Herrick, Michael

Why BLB = BAD. A true tale from my last company.
After 3 months of banging their heads, the idiots at a remote site got BLB &
restores to work in test. So they ran it on the production box. I was
adamant that the Exchange online backup be run first. That took about 2-3
hours. The BLB took over 12 hours.

So, the VP needed a message restored from the previous day that was
shift-deleted. Can't do it yet. BLB was still in progress. He has to wait.
The next day, they restore his mailbox. And the message was not there! VP is
unhappy. So they go to the next day's tape (a day later). Still no message.
Seems like it came and went between BLB's. VP is now beyond irate. Calls the
CIO. Who calls me. I have DumpsterAlwaysOn. Go into VP's mailbox and give
him his message in 2 minutes.

Oh yes, most of their problems were permissions/UghServe related. So the
full restore did not work. While they had "practiced" restores, they never
opened a mailbox. Just accepted the logging information that the restore was
complete.

Do not waste your time on BLB. Deleted Items Retention, DumpsterAlwaysOn on
an admin workstation, Circular logging OFF. Practice restores. Read the FAQ.
Sleep easy. And keep the untrained away from the server.

RE: Cannot Generate Offline Address Book

2001-10-04 Thread Herrick, Michael

We had a similar problem at my last company. Some untrained admin-wannabe
added a fax connector and it created a bogus address template. PSS had us
delete a template for a foreign language. I can't remember the details. It
may have been done in raw mode. You should call PSS to walk you through it.

Subject: Cannot Generate Offline Address Book

Hello,
For some reason, my Exchange servers are no longer generating the
OAB. When I try to manually generate it from Configuration\DS Site
Configuration Properties\Offline Address Book, I get an error with ID no:
c1031662 and the Event Viewer logs event 5004. Micro's Support site
describes a problem where the foreign Details Templates or One-Off Address
Templates have been installed, but the corresponding Code Pages have not. I
have followed their directions to check it, but everything looks as they say
it should. I do have 3 templates installed, English/USA, French and German.
Does anyone have any ideas about what else could be causing this
problem? I have 5 5.5 SP4 servers.

RE: Replication problem

2001-10-04 Thread Herrick, Michael

All Exchange servers in a site or org do NOT have to be at the same SP
level. In a site with many servers it may not be possible to upgrade the SP
on all servers at the same time. And if there are problems, this may be most
undesireable. However, you certainly should run with all servers at the same
SP. So upgrade them all within as short a time frame as your business will
allow. Have a contingency plan for restores of machines with different SPs.

Be sure to check out the post SP hotfixes. And TEST. TEST. TEST.

Upgrade the admin workstations to the latest SP of the servers first. IIRC
there were issues with older SP workstations connecting to newer Sp servers.

Don,

I had looked at Q247654, but I'm a bit confused. It has the correct
exception error number, but the parameters are different. Also, is it only
caused by large DLs? My largest is only 1542 so would this really be my
problem? But I do think now is probably the time to install sp4. Will I
have to install throughout the entire site or can I have just the one server
on SP4? You've been a great help.

Check out these couple of articles. The first thing I see is that you
are running SP3 for Exchange and I'm seeing that SP4 is recommended to
fix this. SO with that said, I would make sure you have a good backup
and apply SP4.

Again, check out these articles. From the sounds of them, they might
very well apply to you.

For example, use the /o parameter on the admin.exe command:

We are not trying to use anything to get to the fiel. It's an actual error

See http://support.microsoft.com/support/kb/articles/Q184/5/32.ASP and look
at error 156.

Ex Admin will not place the info in the CSV.

It could be a long street address or a notes field.

RE: Help with Public Folder

2001-09-26 Thread Herrick, Michael

IBID is hardly jargon.

i·bi·dem (b-dm, -bdm)
adv. Abbr. ib. or ibid.
In the same place. Used in footnotes and bibliographies to refer to the
book, chapter, article, or page cited just before. [Latin ibdem. See i- in
Indo-European Roots.]

RE: Move Mailbox Transfer Rate

2001-09-25 Thread Herrick, Michael

Try moving mailboxes in small groups of 20-30. Then check database
consistency. I have seen the move cure corruption problems. I think you will
be pleasantly surprised. A 20MB mailbox takes about 3-5 minutes, in my
experience, over a similar LAN.

No, that was by selecting 850 mailboxes and moving them all. One by

RE: Exchange 5.5 sp4

2001-09-25 Thread Herrick, Michael

Harriet -
Upgraded to Sp4, applied all subsequent hotfixes and the Security Rollup
Patch on many servers. Took exactly 1 hour on servers with approx 25GB
priv.edb.

If you have teamed NICs on Compaq servers, be sure to break the teaming
before applying the Security Rollup Patch and then re-team afterward.

I saw in a recent thread that exchange 5.5 service pack 4 updates the
databases and cannot be removed.
Can anyone advise how long this is likely to take (yes I know trhis a stupid
question, but compared to other SPs, usually I'd get the service back within
about half an hour say) Hours? Most of a day?

restoring if anything goes wrong - if the server is upgraded to SP4, then
the database conversion screws up , could I restore the online backup? Or
would I have to rebuild the server?

any advice welcome,
thanks,

RE: Editing Inbox Contents

2001-09-25 Thread Herrick, Michael

I think you are needlessly worrying about editing received messages.
Certainly it is possible. My experience has shown that almost all employees
are looking to contribute to the company/dept/organization. When some user
changes a message, it will most likely be discovered or challenged. Compare
the message to the one in the sent items folder of the original sender. Then
let management deal with the incident.

hi ed,

i don't see a problem with editing inbox contents, in fact i find it to be a
useful feature. however, one of our site managers expressed the opinion that
someone could falsify the contents of a recieved message (say from a
customer) in order to get away with something.

sorry, english slang here. Skiving (sky-ving) means not doing any work, or
not even turning up for work

'Where's the admin gone, is he skiving off somewhere?'
'I'm so tired after last night, I might skive off work today'.

RE: # of folders in mailboxes

2001-09-24 Thread Herrick, Michael

If I read the question correctly, you scanned the server and saw other
folders in their mailbox. How did you do this? If you saw folders on the
Exchange server, then what you saw were not PST files. And PST files do not
prompt with a warning about running out of disk space. Can you please
clarify what you are seeing?

Does anyone know if there is a way to run some kind of a report on Exchange
that will tell me how many personal folders were created in each user's
mailbox? We are running Exchange 5.5, sp3 on 1 server and Outlook 98. While
running a scan on our server, I noticed some users had folders they'd
created under their Inbox or somewhere within their mailbox. We want to
notify these people that we want them to point their Personal Folders to
their Home drives and not on the C:\drive. Some of these people are usually
pretty obvious because they constantly complain about running out of mail
space.

RE: Calendar of user causes hanging

2001-09-11 Thread Herrick, Michael

This may be helpful. I had a similar problem some time ago. I do not recall
the specific steps, but they went somthing like this.
MS-PSS had us export the calendar to a PST (the one instance where they are
useful). Then on importing it back to a dummy mailbox, it croaked. They had
us import the first half of the calendar. That failed. So then we imported
one month at a time. Finally narrowing the problem down to one meeting. THEN
the user recalled that was the day the cable from her handheld device
disconnected while synching. We deleted that appointment from the PST copy.
Then the entire import went without a hitch, first into the dummy mailbox,
then the production mailbox.

Thanks for the suggestions so far... A few more questions on this though...

OWA does work on the calendar, but how can you recognise the corrupt
appointment?
Problem is that this user has been on a holiday for 6 weeks *jealous* and
the problem became visible during his holiday. In that time lots of
recurring appointments have been made by his secretary, up till the end of
2002... it is gonna be a lot of searching.

When this problem occurs, is this always visible immediately? Because we can
track changes so far being succesfull from August 14, but after August 27
the problem became visible...

We will apply the q281935 on CDO, there is a good chance this applies to us,
as Outlook is defenitly in a loop here Main problem for us now is
finding the corrupt record

It's the corrupt meeting that's causing the problem. All you have to do
is use OWA to access this person's calendar and delete the corrupt
calendar item.

  How's this:

Before the system will accept a post to the mailing list from an address
for the first time, it mails a confirmation request message to the would-be
poster. The confirmation includes the text from a Q from the FAQ, selected
at random. To enable posting, you have to reply to the list server with the
*section number* of the question.

That way, they are forced to find the FAQ, and read enough of it to at
least find which question was randomly selected.

And by using item 4.1 instead of a random question, we could cut list
traffic in half.

  ;-)

  Happy Friday.

RE: Blocking Outside Mail

2001-08-31 Thread Herrick, Michael

Here is a short outline of the process for blocking outgoing SMTP.
1. Create a DL for this specific purpose.
2. In the IMS properties, Delivery Restrictions tab, add the DL to "Reject
messages from". Stop & Restart the IMS.
3. You can now hide the DL from the GAL
4. Add names for those who will be blocked to the DL.

I don't think you need to stop/restart the IMS when you add names tothe DL.

IIRC, senders will get a message something like "a restriction in the system
prevented the message from being sent" or something like that. It's easy to
test.

For inbound mail, delete their SMTP address from their mailbox.

We'll just to give you some ideas to look at.

Things I'd check. Not in any order.
1. Plug the video card that doesn't seem to work into another system and
see
if the card works. It might be a dead card.
Did that. Works fine in other machines.

2. Check Ati and make sure you have the correct drivers.
Plug
and Play will not always install the correct driver.
Did that. Everything is as it should be.

3. I'd also check to make sure that the bios is the latest version.
Find
the Make/Model of the motherboard and head over to their site. Look for
any
bios updates for that motherboard. If there is something messed with
bios
this will set everything back to the defaults.
Not looking forward to taking that machine apart AGAIN!

4. Make sure you're not booting into safe mode. :)
Don't be silly.

5. Look for bent pins on the monitor cable.
Monitor works fine on other machines. Not a cable problem.

6. Take a vacation and let somebody else worry about it (SEP). ;)
I wish.

What I've learned after inheriting an unplanned PF hierarchy and then
integrating 5 servers in Europe into our org...

1: A naming convention that makes sense

2: No one but Admins can create Top Level Folders.

3: No Top Level folders created unless NO alternative folder can have
the
data as a sub folder. Keep visible Top Level Folders to a minimum.

4: The Default and Anonymous roles are *always* set to None and Not
Visible.
Only the people who need a folder should even know that it is there.(if
they
can't even see the folder, less questions, less hassles.) This also
keeps
folders like "Zahlungsanweisungen" and other such from our euro sites
from
the view of US users that don't need to see them.

5: All subfolders will have an owner, preferably as close to the
business
unit requiring access. That owner is responsible for all add/removal of
users. That owner will have a backup owner for vacations/absences etc..

6: All Folders have a data retention time stated and agreed to in
writing.
After that date, all data is irretrievable. (some folders are agreed to
be
'indefinite') All folders will have storage limits agreed to (even
'none')

7: All folder access rights are managed with DL's whenever possible.

8: Folders will not be replicated to other sites by default, to keep
cross
Atlantic Wan traffic down.

9: Set up deleted item recovery for the public store for people who
ignore
#6.

Subject: Rule of thumb for Public Folders

An issue has reared its ugly head over public folders. Due to lack of
planning in the beginning, we have dumped all folders under the public
folder area for folks to post to. Some folders allow all, some folders
allow
only certain folks to access them. What is the general rule of thumb
concerning Public folders?
1. Do you let anyone create them as will?
2. Does the Exchange admin force everyone to go to him for requests?
3. Do all folders under "Public Folders" let all employees in?
4. Do you create sub folders for folders that are needing restrictions
on
who access it?

I was thinking of creating a Main folder called Company info with
subfolders
like Bulleting board, MIS tips, HR forms etc. Then creating another Main
folder called "Business related" or something and have sub folders that
only
certain folks can get to.

Does this sound normal? How do you maintain your public folder
hierarchy?

Thanks!!

RE: Rule of thumb for Public Folders

2001-08-28 Thread Herrick, Michael

Heer are some of the things I have learned. I wish I could put them into
practice.
1. Do not let any users create public folders. Have them send the request to
a knowledgable Exchange admin. Preferably the one who will have to restore
them.
2. Design a naming standard and hierarchy first. Think WAY ahead for the
potential requests months down the road.
3. Train users. Delegate management of permissions to users. Train them
more. Create DLs for managing permissions.
4. By intelligently and creatively naming the items in a folder, the number
of folders can be drastically reduced. Think document names & key word
fields.
5. Severely limit the number of users who can delete items in a PF. The
inconvenience is worth it. This alone will save many restores!

Once a PF is created and in use, making changes is almost impossible and can
be quite painful.

Why not create the subfolders you indicate and then give the responsibility
of managing the folders to the respective people? The responsible people
can set up permissions on the applicable public folders as needed. You
don't need separate subdirectories for that, if that is what you are
thinking (a public folder and a semi-public folder?)

Yes, go here: Site...Server... Public Information store...Age Limits tab.
You can set an age for every PF homed on the server and replicas on other

A simple solution: unplug the modem. Plug it in when you want to surf.

When your kids have figured out how to see all the pictures YOU have
downloaded, then you can leave it plugged in and just let them surf away.

RE: Calendar Corruption and Bouncing Emails

2001-08-15 Thread Herrick, Michael

A quick solution is move the mailbox to another server in the site, via
ExAdmin. User needs to be logged out of Outlook. This has worked for me in
the past. If there was corruption, it gets cleaned up as messages are
gathered from the store for the move.

If Outlook hangs or burps when opening a particular folder, it's often due
to a corrupt item, or message. (Each calendar entry is a message.) In that
case, you need to find the corrupt message and delete it. Sometimes
changing the view makes that possible, sometimes you might have to open the
mailbox with an old Exchange 5.0 client.

You'll need to clean out the corrupt item(s). Then you'll need to update
cdo.dll on the OWA server and any server running the event service.
