When the solution to error 503 are irrelevant, usually either just 
closing and reopening Legacy or restarting your computer and then trying 
again fixes this.

I would not try to reinstall legacy, can you backup using a flash drive
instead and await an update.

of my file to someone else.
I keep my Legacy media in Dropbox (and I've moved Dropbox to shorten the path).
I then backup my Dropbox folder to external drives regularly along with all the 
other data on my computer - like my Documents folder and email and other 
pictures ...

To see what images you have in a folder that aren't yet attached to Legacy, go 
to the Picture Centre on the Tools Ribbon Bar.  Images that are attached will 
have a plus sign in the first column. If that column is blank the image hasn't 
been attached.

With your split between photos and documents note that pictures of people that 
are in PDF format are considered Documents and Documents that are in Image 
Format are considered images in the Legacy Media Gallery Add dialogue.

The main thing with handling media in Legacy is to not change the filename 
after you have linked the file. The only exception is if you change the name of 
an image file in the Picture Centre.
Otherwise you will break the link and the Media Relinker tool will not be able 
to find it.

On the other hand you can change your folder structure whenever you like and 
the Media Relinker will be able to find linked media and fix the links.

Do you not have many people in your family file and not expect ever to 
have many?  I have about 5,000 people in my file now: even if I only had 
an average of 2 photos/documents attached to each person and their 
Sources I would have 10,000 files.  I dread to think how long it would 
take to find a particular file if I had that lot in just 2 folders.  In 
fact, I have many more than just 2 photos/documents per person.


As far as photos are concerned, I have subfolders for People, Homes, 
Schools, Place, Churches, Graves and Shops.  Then there are dozens of 
folders and sub-folders for Source Documents/Images.


My chosen format for filenaming is usually a 2 or 3-letter abbreviation 
of the content type and the name and RIN of the person'(s) concerned. 
For example BC - Bloggs, Joe 123 for a Birth Certificate, Gra - Adams, 
Fanny 64 for a Grave picture and Bap - Smith, John 527 for a Parish 
Baptism image.  Census Images (separate sub-folder for each Country each 
year) I record using a standard reference such as RF10-123-45-678.

Hi

It really your own choice on what to do.

Some people might just dump everything into a single folder, and use 
very long file names. Myself, I prefer to apply a structure to the media 
folder and minimise the file name to be, generally, an unique file name 
downloaded from Ancestry etc. with a short extension to identify the 
person or location. You should never get a duplicated file name that 
way.


Looking at censuses, it is quite possible to have multiple families 
on the same page, so I usually index them by location and page number. 
1911 UK can provide the details for the family itself, so they get filed 
by family name (for the Head of the family).


Parish Birth and Death records can also contain multiple people on 
the same sheet so you will need to deal with that. As I found out, using 
a shortcut to create a file name for one person pointing to the file 
name of another (siblings baptised on the same date) does not work - 
both get linked to the same entry, so I ended up putting multiple name 
on the file name.


Slightly different for photos of people when you might want to list 
all of the people, but that can cause issues on the maximum size of a 
folder/file name. In that case, you might want to include an index file.

This seems to be an intermittent backup error. I've seen it at least 
once. You can usually re-open Legacy and backup from File - Backup File. 
The next backup on exit is likely to be error free.

I don't remember which error # it was, but I got it several months ago and
just tended to ignore it. Well, don't ever do that. I just noticed how much
damage it had done to my database. It was my one-name study.  When I
finally woke up to the problem, my database had gone from slightly over
12,000 persons to 647. During that time period my back up drive crashed and
I had to go back to a backup that I found from September. I still haven't
got it all straightened out. I think I have practically all of my old
database in two files.
Does anyone know a real easy way to add the people to my new file without
having to type every thing in?

I hope there is a way, cause I have over 2,000 people to enter.

If you wish to be unsubscribed I suggest you try going to the bottom of the
emails and check where it says To manage your subscription and unsubscribe
-- and click on that link. There is no point in posting to the User Group -

There's a known problem with Legacy remembering the backup path in Legacy 9.

Legacy 9 has made the backup path family file specific.

I've been able to get it to stick by using File - Backup and then it has 
stuck for the backup on exit ever since. However, I backup to Dropbox.


I understand but haven't tested for myself that there are further 
problems with an external drive if that drive isn't available when you 
go to backup.

database itself. This gives protection against user error, but that's about
all. Forty years in the IT industry has persuaded me that backups are meant
to be on different media, so I change the paths to an external drive every
time I backup.

I'd like to not have to make the change every time, if that option exists.

Ken,

Legacy 9 should be remembering unless you are saving to a drive that 
isn't always connected.
It is now file specific so different files can be saved to different 
locations.


However some people have had trouble with the location resetting on 
updates or taking some time be remembered (me). I think the location was 
finally remembered for me (I've been using a different computer for a 
few weeks)when I backed up from within the program rather than on exit 
but I have yet to test that.

Thanks for the clue. Turns out that was not the problem, the actual problem was 
one of my pictures somehow had it access rights changed, corrected that and all 
is well.

In my experience a skipping file event occurs when you have one of the linked 
media files open in some other software. Because the file is open Legacy's 
backup is prevented from opening the file to add it to the .zip file.

I do not ever remember receiving that message when selecting media files.

[LegacyUG] Backup Error: 527

Since upgrading to version 8.0.0.516 I receive error message "Backup Error:
527, At least one 'SkippingFile' event was triggered because an error
prevented a file from being processed." when using backup file and also
selecting Media Files. I have run the Media Relinker and have no missing
files.



Any suggestions?

I fully understand what you are saying about the need for not instructing 
Legacy users on basic Windows operations. That's partly why I used the words 
"rudimentary" and "very simple statement" in my post. But I guess Legacy has to 
draw the line somewhere otherwise the Help files get overly complicated. The 
only other point that I would make is that since users can easily use Windows 
to create the same backups of Legacy but for some reason the programmers 
thought it necessary to move the creation of ZIP files as a function within 
Legacy. It's in that regard, that I thought a brief mention of their use might 
be helpful. Otherwise, be prepared for this same questions being posted on this 
LUG every so often about how many, how long, how to delete, etc.

We kind of agree and disagree at the same time. I guess the programming 
priorities are definitely elsewhere at this time as they should be.

I do not feel that Legacy should, in its Help Topics, try to instruct users on 
basic Windows or computer usage topics. Making a backup/recovery plan for all 
your computer data, including Legacy files is a general computer user topic. No

importance of having and making regular backups and I feel that is sufficient.

Part of the backup and recovery planning process should consider all the risks 
to your data and include a plan for immediate recovery after a computer crash 
(most recent backup from each work session), longer term recovery from

unsuspected problem has resulted in corrupted data (an import that created 
multiple duplicate records or an incorrect merge which deleted someone who 
should have been retained and corrupted the data on the retained person) and 
catastrophic recovery in the event of a house fire or natural disaster that 
makes all locally held copies unavailable by storing regular backups off site.

Other considerations are where and on what media backups are stored.
Backups on a hard drive (or any media) which has failed are no longer backups 
they are lost data or can only be recovered by expensive data recovery 
services. Off site storage could be as simple as a copy on CD, Memory stick or 
DVD in a safety deposit box or as complex as multiple internet-based storage 
options like One Drive, Dropbox, Carbonite etc.

The answer all depends upon just how comfortable you feel with one, two, six, 
or any other number of these backup ZIP files. It seems a common number to keep 
is somewhere around the number 6. I would add that technically only one is

They end up where-ever you told Legacy to put them.

If you don't know where they are going, next time you go to do a backup
- and before you click on the 'Backup' button to start the process
running - look up from that button and you'll see where the backups are
currently set to be saved. You can change that location by clicking on
the large button just above where the current location is shown.

Note that there are two sets of current location and button to change it
- one for the data, one for the media files.

You do not need to delete the older backup files. They will sit quite
happily where-ever they are. The only time you'd need to consider
weeding some out would be if you were running out of storage space,
either on your hard drive, or in an online storage service in use
(Dropbox, One Drive, etc).

One thing to check is whether the reminder to backup on exit has been
turned off.
Options - Customise - 12.5 - button Turn on or off optional reminder
messages - Prompt/Reminders tab.

However, if you can't do a manual backup from File Ribbon - Backup, then
something else is going on.

[LegacyUG] Backup Failure

While doing my monthly file maintenance to keep Legacy 8.0, current
release .473, functioning well, I discovered that Legacy has not created
a backup since April 3. I have nearly 10,000 people in my file (35.4 MB)
and am using Windows 7. I have Legacy set to back up whenever I log out
and I alternate between my Dropbox folder anda backup folder on my C:
drive.I also back up to Mozy and an external hard drive. Tonight when I
closed Legacy I noticed that it closed immediately and did not seem to
backup to create a .zip file, that is, there was no progress bar. I also
thought I had made a backup before doing file maintenance, using the
dialog boxin file maintenance, but I find no backup.

I have done the followingbased on some messages in the archives from
Dec. 2009 and Jan. 2013:

-Rebooted my computer and made a couple of changes to my file and tried
backing up again. Same result:no backup created

-Tried using File/Backup butsame result

-Used CCleaner to be sure that I had space for a backup – same result

-Tried backing up from the Index screen instead of the family screen –
same result

-I have checked all the boxes in the backup dialog box.

-I have verified the absence of backup .zip files after 4/03 in Dropbox
and my back up folder.

-Tried backing up to a flash drive but that didn’t work either.

I have not uninstalled Legacy.Is that my next step? I have copied my
.fdb file to my flash drive so that I can uninstall/reinstall Legacy in
the morning…..too sleepy now.I’d appreciate knowing if there is
something I should try beforeI uninstall.

[LegacyUG] Backup Zipfile names

I've been wondering about this for awhile. I periodically go into Dropbox
and delete old backups of my Legacy files.

Can anyone tell me what's the difference among these 3 file names in my
backups?

Posthumus Legacy file post SLC-multimedia 2013-12-25 3.55.21 PM.zip
Posthumus Legacy file post SLC-media 2014-11-06 5.45.19 PM.zip
Posthumus Legacy file post SLC 2014-10-27 3.53.49 PM-media.zip

My fdb filename for the active database is Posthumus Legacy file post SLC.
I understand the date appended onto it. What I'm wondering about is the
"multimedia" (granted, from a 2013 backup...maybe Legacy update changed how
they named that item) but what about the "media" moving around in the zip
file name, on backups made just a couple weeks apart?? I haven't updated my
Legacy 7.5 for about a year.

I usually do backups when I'm exiting the db. Sometimes I include the
media, sometimes not.

Barb,

Besides saving backups to your working hard drive, also save to either an 
external hard drive, flash drive, CD or cloud storage.  If your computer hard 
drive fails, you will want your backups somewhere other than that hard drive.  
When I make a backup, I back up to my main computer and to cloud storage.  I 
back up often because I really don’t want to lose everything.  I keep my 10 
most recent backups and then delete anything earlier than that.  For cloud 
storage I use SkyDrive but there is also GoogleDrive and DropBox (I am sure 
there a lot more than that).  I also have my entire computer backed up using 
Carbonite.



To get Legacy to automatically open up to the last file that you used or to a 
specific file every time, go to Options > Customize > 1. General Settings



Options 1.1, 1.2, and 1.3 are the ones you will want to look at.  This is how I 
have mine set up (this is an example only)

1.2  Open last used family file automatically

1.3  Display last viewed family

Hi Boyd,

It’s working fine here... I’ve just tried.

Double check the file locations for backups... you need to set them 
specifically when you carry out a backup.

Other than this, you could do a search for the particular backup file you think 
you have created.

>From Windows:
* Click the Start button Picture of the Start button, and then type a 
word or part of a word in the search box.
Ie. Type 2013-12-26 (the date you created the backup)

Hopefully you will find the file you have just created.

Thanks for your comment.
I have just reinstalled version 367 over the previous copy of the same
version.  In the process it skipped most files but stopped to copy at
least one, so it looks like an original installation issue. Backup now
appears to work fine.

Is Legacy not giving you the Backup Reminder when you exit the program
(which it will not do if you have not changed anything since the last
backup) or are you going through the motions but the backup has not been
produced?

Rc3 files are the files where legacy stores relationships.

No, the backup will always contained compressed files. What you are
seeing are the fines contained inside the .zip backup file Legacy makes.

When you click backup on that merge screen Legacy makes a backup for its
own use not a regular backup like File > Backup Family file does. That
working backup file is in a temporary folder and will not be deleted
when you shut down Legacy. It will be used however to restore your file
to the pre-merge state if you decide, before shutting down, to undo the
merge.

After you make the merge you will be told that you can undo the merge
using a choice that will be added to the Edit menu. That undo will use
the temporary backup file to restore your file.

I'm not overly bothered by this behaviour, but for those that are, suggest that
instead of reverting to C:\, the program on encountering a drive which isn't
ready or otherwise available, prompts the user to either change the location or
insert/activate the missing drive and retry.

My backup drive is always connected.  I have automatic backups of my
computer and I don't want to forget about plugging it in.  It doesn't
cause any problems to always be there.

We did have problems when Legacy was remembering an external drive
that wasn't connected.  I'm glad it's change!

That must be wrong behaviour as you would only insert the backup drive when you 
wanted to use it.
You may want to use the USB connections for other devices when legacy is 
connected.

Do you unplug your external between uses?  That may matter.

Maybe legacy 8 checks to see whether the backup path is valid when Legacy is 
opened.  If not, then revert to "C:\"
A possibility that maybe the programmers can shed some light on.
I would have thought the path check would have been done when the backup was 
invoked.

Hi Anne

The backup locations are stored in the file Backup.usr in the folder
[YourUserDocuments]\Legacy Family Tree\_AppData\Usr. It is a text file
so you can open it with Notepad.

I suggest that you examine the file before backing up, when the default
C:\ is being offered,  and then again after backing up to your external
location and see if the locations have been changed.

Sorry I don't have an answer to this - I also changed the location for backup 
of both data and media and they have definitely stuck for me.  I do not backup 
to external / removable drives - I wonder if that makes a difference.  It 
sounds like it's not finding the default settings - did you move the location 
of these files?  Others might be able to make suggestions.

[LegacyUG] Backup to external hard drive

Every time I exit Legacy I do a back up to an external hard drive. When I was 
using Legacy 7.5 it remembered my settings and automatically backed up to where 
I wanted it on the external drive.

However when I exit v8 it automatically defaults to the C/ drive for back ups 
and I have to change it to the E/ hard drive every time. I have checked the 
user manual and the help in the programme but cannot find how to set the 
default backup to the E/ hard drive.

Any suggestions please?

Are you saying that it is backing up the new work into the older zip file?
 I was viewing it in Windows File Manager.
I made a new file and put restored that new file to it.  Nothing was there
except the same file missing my work.
I am learning to back up about everytime I think of it.  Or after inputting
awhile.

I think what you are seeing is the contents of the zipped (compressed) backup 
file you created.  Windows File Explorer treats the compressed backup file as a 
folder and lets you view the contents, but it is only a single .zip file.  
There are various associated files that get created depending on which 
functions you use.  Some are temporary, others like the .rc3 (relationships) 
file are more permanent and therefore get included in the backup.  If you want 
uncompressed backups of your files, you can just use Windows File Manager to 
copy those files to an alternate directory and/or drive.

That is what it does.
Just this morning, I once again entered allot of profiles into Legacy 7.5.
 I fund a merge I needed to do, so I did it.  There is a prompt to backup,
so I click backup and do you know what it doesn't all the work done before
the merge is gone.  There is no backup there since last night when I closed
Legacy.

So, I immediately did a Backup off the File menu and sure enough it is
there.  So, I have learned to backup off the file menu before doing any
merges.  There must be some setting I am missing, but I don't know where it
is.

Re: [LegacyUG] Backup overwriting

And I found boxes asking whether to overwrite or not.   Click on merge,
select your profiles click merge, and the backup reminder in that window
offers the two options.  There are also boxes for the options of "always".
You might know which one I chose.

I just put someone on the merge, did nothing about the second person,
closed it and the undo merge option is even then under edit.

tools, merge, manual merge, do the merge, close it and then it will under
edit saying undo the merge.  If I am remembering what I just did.

When you go to back up your file, on that pop-up window there should be an
OPTIONS button right next to the Backup button

Click on OPTIONS and then select Append Date &/or Append Time to default
backup file name

With both selected you can back up 10 times in the one minute and not
overwrite another backup because each will have the unique time added.

If you already have these selected, please provide further details so that
we might be able to help further

[LegacyUG] Backup overwriting

I am new at Legacy and have just started using Legacy 7.5.  When I can do
it without a big deal, I will upgrade.  Until then.

I using 7.5  and can not stop Legacy from overwriting when I backup my
family file or exit Legacy.  Help says there should be options to not
overwrite, I can not find that screen that gives that option.

This is my story, I was frustrated.  I spent the afternoon inputting some
long lost ancestors that I had found.  For some reason, when I clicked undo
to undo an input, I lost the whole afternoon's work.  Then, I thought, I
will just go get that other backup.  There was nothing there except today's
date and the time of closing file.  We have to close the family file to
restore a file.  So, when I closed it backed up and overwrote by previous
file.

Looking at my backup files, I see that at one time in September 2013, it
was not overwriting. I don't know why I lost the no overwrite feature.

Can anyone tell me why I can't find the proper screen to tell it to quit
overwriting?

I have 3 external hard drives, two stay at home and one goes to a safety 
deposit box, a total of 4 copies, one is the master on my computer. I backup on 
each  every week or so, legacy file and multimedia backup,  or when major 
changes, additions are made.  I also unplug the drives when not in use. A kind

Barbara,

I use Carbonite and love it.  I emailed their customer support and asked 
specifically how to back up Legacy and it is very simple…..select a file or 
folder to be included in your backup, right-click the item and select ‘Back 
this up’ from the Carbonite context menu.

  I recently had my pc crash and thought for awhile I'd lost Legacy-all 13,000+ 
names, notes etc...also lost a few years off my life! I backup on Carbonite and 
an external hard drive. I understood that Carbonite backed up everything 
automatically but didn't! Evidently you have to 'adjust settings'. 'Did manage 
to get my Legacy restored from the external hard drive. Legacy support also 
suggested SkyDrive and Dropbox, neither of which I use. In a recent Family Tree 
Magazine a site recommended was backupmytree.com

  Would like feedback from anyone who uses Carbonite, SkyDrive, Dropbox and/or 
backupmytree.com as to how you like it, ease of use, success in restoring files 
etc.

I have to say - i just use the regular legacy backup feature and move the
files to my google drive. A lot cheaper (free for a lot of people) and it
has worked for me.

Hi Barbara,

There has been a lot of discussion about Dropbox here lately.

You may like to go to the list's archive (see the link at the bottom of
every LUG post) and search there for past comments.

I like Dropbox so much I now pay them a subscription to get more than
the free space they offer and store everything that I'd normally put in
"My Documents" there - including my Legacy data files, which I've never
kept in the default location*.

.* For a long time now, my working theory has been that every-
.thing I'd want to retrieve in the event of a computer failure
.(as much as possible) is kept in "My Documents", so my
.backups (when I remembered to do them!) would comprise mainly
.of that folder.

Before I became a paid subscriber at Dropbox, and only had the free
space, I kept particularly precious things there - such as my Legacy
backups.  The original data files weren't kept there.  You could do it
the other way around (data file in Dropbox, backups elsewhere) if you
wanted; once it's set up, you don't have to think about it again.

Whatever service you end up using, consider how easy it is to retrieve
your files from it.  Does the service simply hold a copy of your folders
and files, or does it convert them to another format (eg a compressed
backup format) that has to be converted back to the original before you
can use it?  I'm not saying that's a bad thing, there could well be
features of that method that suit your requirements, but I'm thinking
about how easy it would be for YOU (as the user) to restore your files
after a disaster.  Such things might be quite easy for you, or they may
be a daunting prospect you don't want to consider.

Dropbox stores a copy of my files and updates them immediately a file is
changed when the computer is online, and I can access them from any
other online computer - as long as I can remember my password!

And if the worst happened and I had to set up a new computer, once I
installed the little Dropbox program and logged it into my Dropbox
account, all the files in my account would be downloaded automatically,

What you describe is indeed very common. I think the setup option to ‘backup 
all my data’ in most of these programs determines what is “data” by common file 
types e.g. .doc for documents, .jpg for pictures etc. I’m not sure any of them 
would ever backup “unique” file types like .fdb in their default configurations.



I use MOZY and I needed to set it to explicitly back up certain drives and 
directories, including the one with my Legacy files and multimedia.

It is true that by default Windows will display .zip files as folders. But if 
you don't like that method and want to rely on your own 3rd party .zip program 
to view the contents of .zip files, then check out the following web page with 
instructions on how to disable the display of .zip file contents in Explorer. 
It does involve some registry changes but the site include a .reg file to 
download and perform all the needed changes. And you can always change back to 
the original default method if desired. On the web page, start with step #4 to 
disable the display of .zip file contents.

PS - The only reason you'd want to do this if the default display of the .zip 
contents confuses you and while in Explorer you'd rather deal only with the 
.zip file by itself and rely on your own 3rd party .zip program (WinZip, 7-Zip, 
WinRAR, etc) . Otherwise, just try to figure out just Windows is trying to show 
you about the contents of the .zip file. And learn to embrace it.

The .Rc3 file is a subordinate file created by Legacy when you set
relationships. This file contains all the calculated relationships.
There are other of these subordinate files created by Legacy which can
be included in the backup as well. This will depend on the number of
check marks you have filled in on the backup screen and whether you have
done anything in Legacy to create these files.

Windows can confuse you because it insists on displaying a .zip FILE in
the folders column in Windows explorer as if it was a sub-folder of the
folder where the .zip file is stored. The .zip file is the file Legacy
creates when you backup your family file.

Using version 7.5 on Win7-32
A bit confused about the backup files.
Using Windows Explorer.

Looking at Windows explorer, in the left column, there is a folder
(or is this called a Directory) named "Legacy Backup"; this has my
.ZIP file:  Main 2013-11-06, as displayed in the right column.
Also in this right column there is an icon which displays , when I hover
over it with
my mouse cursor, the statement that this is a zip folder.
OK back to the left column, there is a sub-folder (or directory) named:
Main 2013-11-06, and in the right column is displayed the file name;
MAIN.fdb
and immediately below is another file name:  Main~Rc3.Rc3.

Question; what is that: Main~Rc3.Rc3 file ?

As you can see, I am somewhat confused.

Rightclick on the Legacy icon and 'run as administrator' (note this is
not the same as logging in as administrator)  If that works, you
should only have to run it as administrator that one time to fix the
license key.  Another program had the same problem in v8 and this was
the recommended fix.

The OP actually referred to Error 530.  This is also in the list of
Errors by Number/Description and advises that Legacy should be re-installed.

There you will find a solution called:
Backup Error 503 and 507

Clicking that takes your to:
  • Backup Error: 503
The Error 503 is generally the result of a problem with access to the backup 
device.

You can test your CD-RW drive very easily. First, save your Legacy backup files 
to your desktop screen and then close Legacy. Next RIGHT click on the backup 
files and select Send To > CD-RW Drive (or DVD-RW Drive) from the popup menu. 
If you still get 503, then the problem isn't with the Legacy program at all. 
The possible causes of this error would be one of the following:

 The CD-RW disk is marked Read-Only, or the security switch on the memory 
stick is set to lock. Try another disk or unlock the memory stick.
 The ZIP file being saved exceeds the maximum size of the removable storage 
device.
 The CD is not formatted for direct save of data. Reformat the CD or try a 
different disk.
 The CD is formatted but the access software (e.g. DirectCD or InCD) is not 
ready. Insert (or re-insert) the CD or memory stick in the computer and then 
open Legacy and try backing up again.
 The CD-RW disk or memory stick has developed a bad area. This can, in some 
instances, be fixed by reformatting.
 Out of date driver software for the CD writer hardware. Update the CD 
Writer driver.

If backing up to the desktop and then right-clicking works, this means you have 
the kind of CD drive that won't allow to backup right from the Legacy program. 
Please keep in mind, not all computers are equal or some may have older CD 
burners and associated software. If you have questions consult the CD drive 
manufacturer's instructions.

All of which takes approximately 30 Seconds.  Much faster, I am sure you will 
agree, than waiting for an answer by e-mail.

[LegacyUG] Backup Error: 530

I have a new computer, with Windows 8, downloaded and installed the
latest build and moved my family file over and have been working with it
without difficulty. I just tried making a back-up and received the
following error message pop-up:

Backup Error:530. The license key required to use the control was not
found or invalid.

What is my next step?

Yes, I am confusing the two Brian.  But I think I am good now.
Legacy.fdb is how you save your tree and how you open it on a thumb
drive on another computer. Gedcom is to transfer from different
software.

She also keeps talking about backing up to GEDCOM.  She is obviously confusing 
the legacy.fdb backup process and the process for creating a GEDCOM.ged file.
