Dear Bill, thanks for the input. Your maximum of 26 might be the 
explanation. In fact, beside my 26 Mailmate tags, I see in Preside a 
bunch of additional tags/keywords that start with $ ($Junk, 
$MDNSent,…), which I guess are “universal” keywords. The question 
is : how are these 26 selected (not the most recent, not the oldest, not 
the first or last by alphabetical order), and am I allowed to decide 
which 26 are accessible (I guess not).
In addition, as my server uses Exchange, I am even more surprised that 
it works, even if only partially.

It is almost entirely a server-side issue, as Benny said. However, MM 
has a slightly quirky feature of using its own private "tag" names 
that it maps to arbitrary IMAP keywords as defined in the Tags prefs 
pane so other MUAs do not actually see the MM tag, they see the IMAP 
keyword. Any MUA should be able to see any keyword set by MM, IF the 
server supports user-defined keywords.


Beyond that, you may be running into a server-side limitation. I do 
not know if it remains true, but historically Dovecot (the most common 
open source IMAP server) supported a maximum of 26 user-defined 
keywords across any one mail folder when using Maildir storage (the 
most common choice.) The technical basis of that limit (using a-z as 
indices in filenames) remains, but I don't know if they have worked 
around it in the past decade. Other IMAP servers using Maildir storage 
may have similar trouble. If your 25 is actually 26, I would guess 
that this is the root of your trouble.



GMail has much stranger issues, as they conflate folders and keywords. 
MS365 and Exchange avoid the problem by not supporting user-defined 
keywords. I would guess that there are specific quirks in iCloud and 
Yahoo mail as well, but I'm not familiar with them.

worries. I do use Mailmate tags extensively, I currently use about a 
hundred of them, including 4-5 of the classical custom IMAP keywords. 
The only other mail client I use is Preside on my iPhone, which is 
very good but, as you explain for the other clients, cannot 
“read” the tags.  I also checked Thunderbird recently, but it 
still does not work.

Too bad for me.

Scott already gave a thorough answer. I'll just add some random 
thoughts:


* Not all servers support IMAP keywords, in particular, 
Office365/Exchange. In those cases, MailMate will quietly (which is 
kind of bad) make them local-only.
* Some server have a limit on the number of IMAP keywords which 
results in various silent errors (like tags getting cleared shortly 
after being set).
* Thunderbird has, I think, 5 custom IMAP keywords. Tags can be 
created in MailMate which map to those keywords and then they should 
work nicely together.
* Colored flags in Apple Mail also uses IMAP keywords. MailMate 
mirrors this behavior.

the advanced Search settings of Preside, and much to my surprise, I was 
able to access 25 of my Mailmate tags (why 25 among the ~100 I use, this

it is impossible to transfer tags (or smart mailboxes based on tags) 
from Mailmate to another client (except for a few IMAP keywords). Is it 
absolutely impossible, or is there a workaround?

Thanks, in this case I did not set up a rule for the Inbox (except now 
for getting rid of all the error messages I currently receive by my 
fault), so I’ll try to contact the IT persons at my institution.


Gmail can be instructed to import emails from a different source (using 
the Accounts and import tab in the Settings), but I checked before 
deleting the Gmail account, and there did not seem to be anything set up 
there. Is it at all possible that a rule set up in Gmail can still be 
active once the Gmail account has been deleted?

Inbox. Does anyone know whether this type of redirection involves a 
setting in Gmail or Mailmate? If it is in Gmail, and that it keeps

yet) to allow to identify (tagged) emails once they have received an 
answer (https://lists.freron.com/mailmate/2014-September/003121.html), 
but it does not address the possibility to remove the "awaiting-reply" 
tag. One step at a time.

What you want is a rule that:

 1. Detects that an incoming message is a part of a thread.
 2. That the previous message (or perhaps a previous message) in the 
thread is tagged with "awaiting-reply" (or whatever).

3. Removed the tag from the tagged message.

Or, alternately, a rule on the virtual mailbox that contains the 
tagged messages that removes the tag when a reply is received:


1. Message contains the tag.
2. Thread of the message has a later message.
3. Action: remove the tag.

I don't know you would do this. My experience with rules is that they 
act on a message based on criteria of the message (as opposed to 
checking a different message).

I would like to include in a mailbox the messages which are waiting for 
an answer (this is easy : I just tag them, and create a smart mailbox 
that contains these tagged emails (but there may be other ways), but 
more complicated : I would like to remove them from this smart mailbox 
(for example by untagging them) when they receive an answer. I am pretty 
sure this problem has been treated in the past in this forum, but I 
can’t seem to find the right conversation.

I use coloring in a slightly different manner  :

I show in attachment the Inbox, which I want to organise by topics. For 
each topic I attach a tag, then create a smart mailbox for each 
tag/topic, and apply color rules for each smart mailbox. Then I want to 
keep the mails corresponding to each topic grouped together : as it is 
impossible to sort by colours (at least I think), I attach a flag to 
each category (trying as much as possible to fit the flag color with the 
selected colouring, but this is not an obligation), and sort by flags. 
This results in the attached screen copy. Only small limitation : there 
are only 7 flags, so this limits to 7 topics.

MM looks (optionally) at your macOS contacts and at headers in a 
mailbox of your selection (by default: "Recipient" headers of the 
Sent aggregate mailbox.) It could be very slow if you have a very 
large address book OR if you have MM configured to use a very large 
reference mailbox. A tactic I use to control the huge number of 
items MM needs to pick from is that I created a smart mailbox that 
is just Sent items less than 2 years old, and I set MM (in 
Preferences->Composer) to reference that mailbox instead of my 
30-year Sent mailbox.

Bill, just one question : when you write *at headers in a mailbox of 
your selection (by default: ‘Recipient" headers of the Sent aggregate 
mailbox.*), does it mean the messages that actually sit in the Sent 
mailbox, or all messages which have actually been sent? The reason I am 
asking is that my sent messages don’t stay in the Sent mailbox (which 
is almost empty), as I distribute them in the relevant mailboxes  (and I 
don’t .cc myself when I send a message, as it unnecessarily duplicates 
emails).

MM looks (optionally) at your macOS contacts and at headers in a 
mailbox of your selection (by default: "Recipient" headers of the Sent 
aggregate mailbox.) It could be very slow if you have a very large 
address book OR if you have MM configured to use a very large 
reference mailbox. A tactic I use to control the huge number of items 
MM needs to pick from is that I created a smart mailbox that is just 
Sent items less than 2 years old, and I set MM (in 
Preferences->Composer) to reference that mailbox instead of my 30-year 
Sent mailbox.

[MlMt] .bcc

I use the hidden preference : *defaults write com.freron.MailMate 
MmDefaultBccHeader -string m...@example.com*, to *.bcc*  my emails to my 
Gmail account (the reverse of what people usually do with Gmail), which 
I use as a repository. My problem is the following : I have 2 email 
accounts (personal and professional). I want to cancel this *.bcc* for 
one of them only, but apparently when I do that (using *defaults delete 
com.freron.MailMate MmDefaultBccHeader*), it cancels both (which somehow 
makes sense). Do you know whether it is possible to keep the .bcc for 
one account only?

what I wanted was to be able to screen an entire mailbox for duplicates,

[MlMt] message window

Since a few weeks, for no obvious reason (as far as I can tell), when I 
open a message, instead of opening a large window roughly in the middle 
of the screen, it opens a small window at the bottom left of the screen. 
I have been unable to revert to the normal (at least I think) behavior. 
I am almost sure the answer is straightforward, but I could not find it 
in the Mailmate nor the Mac Preferences.

I have an "Options" button in the lower left of the dialog box that 
comes up when I choose "Import Messages..." from the File menu. This 
lets me choose a destination for the imported messages. I've only 
tried a couple but expect that anything would work.


I am using version 5937, but I don’t think it is different. I have the 
same Options button, but it only suggests one destination. HOWEVER it 
also proposes a choice of Sources, and this is where the destination 
folder can be selected. What confused me is to call Source a destination 
folder. Now it works.


I don’t see a “Select export folder” : I use the Copy to mbox 
command under Bundles-Export, to export.


H... on the Command->Export menu item, I have a submenu with three 
items: Copy to Folder, Copy to mbox, and Select Export Folder. The 
last one lets me select a location where the results of "Copy to mbox" 
will end up.


In fact I previously exported dozens of mailboxes (that end up in a 
folder on my desktop), which I then saved locally into Thunderbird 
(for archiving purposes, as discussed previously), but then I wanted 
to reimport one that I still needed, and this is where the problems 
began.

I first tried to repeat your operation :  I exported your email as an 
mbox, reimported it, and it worked OK. Then I  tried using a previously 
exported mbox (containing 36 messages) using the Import messages submenu 
under File, and the result was quite unexpected : first it only proposed 
me to import the mbox file into the Inbox of one of my email account 
(which is not the place I wanted to import it), I pressed yes (which was 
a bad idea) and that Inbox became populated by messages from a mbox 
different from the one I wanted to import.


So there is something wrong, that I need to clarify.

[MlMt] problems

I recently encountered 2 problems (one of them being in fact pretty 
old). I started deleting mailboxes from the server, and for one of the 
mailboxes I received the following warning (attached). I clicked on 
Retry, or Take mailbox offline, but to no avail. I forced Mailmate to 
quit, but when I reopened  it, the warning reappeared. Is there a way to 
solve this problem?


The second problem is specific for the Exchange server : from time to 
time, trying to delete emails, I receive an email from the Server that 
says : *retrieval using the IMAP4 protocol failed for message XXX*. I 
now have ~1000 of these emails, that cannot be deleted, nor moved to any 
other mailbox (like Junk). Is this a known issue, and how can it be 
solved?

Thank you for all your suggestions. Indeed Eaglefiler seems to be a 
worthwhile solution (there is a Mailmate bundle called Eaglefiler, that 
facilitates export/import, although the new “Copy to mbox”  bundle 
is probably the most convenient (I prefer to export as mbox rather than 
.eml because I have hundreds of “real” mailboxes)). I will also test 
Devonthink, although I am not sure it can import a hierarchy of 
mailboxes.


In the meantime, following another suggestion, I re-downloaded 
Thunderbird (that would have been my favorite mail client if Mailmate 
did not exist) : Thunderbird has the advantage to allow local storage, 
and using the Add-On called “ImportExportTools NG”, I could import 
the mbox files generated by Mailmate, while keeping all the advantages 
of an email client. This is similar to what Eaglefiler can do (at least 
regarding emails), and is cheaper.

PS : the advantage of Horcrux or Mailsteward (that I have tested) is the 
possibility to program the automatic import of specific mailboxes at 
given intervals, but I found the ergonomy of these 2 programs rather 
diappointing.

my emails occupy on their server (currently 36 Go : given my position in 
this institution, I had to keep ~20 years of emails; I am now 
semi-retired and should be able to “delete” some of them). Therefore 
I decided to archive old emails. I found a lot of relevant suggestions 
in this forum, and decided to test Eaglefiler, Horcrux and Mailsteward, 
but I was not thrilled by any of them, for different reasons. Then I

option, I started modifyng the subject of a bunch of emails, and I find 
quite useful, especially in the situation described by Benny (and 
others). I understand the caveats, but for me, so far, the advantages

No, a subject is only changed when you explicitly change it. The 
window shown explains exactly what happens when you change the subject 
of a message. It's not efficient and has several side effects. (A more 
general “note”-feature would preferably keep such changes separate 
from the original message, but this would then only work with MailMate 
and not with other email clients.)


The automation permission given to MailMate is quite general -- and 
it's actually only given to allow MailMate to use AppleScript to show 
the window with the text field. Ideally, this would not require such a 
permission (it was implemented before Apple introduced this type of 
permission).

It does not seem to work under my conditions (no dialog box appears). So 
maybe I have to upgrade to Monterey or Ventura to see this (or maybe to 
Mailmate 5941). I was not planning to do this now (for unrelated 
reasons), so maybe later…..

Assuming that a message is selected, you should see a dialog box 
appear that lets you edit the subject while warning of some of the 
possibly unintended consequences. On my system, this works whether a 
message is highlighted in the message list, or if a message is open in 
its own window. I'm using 5941 on Ventura.

You're welcome! If it's helpful, there is a method out there for 
making the Library folder visible by default--mine always is. I can't

Which toggles the hide/reveal setting, and has worked unchanged over 
many years and OS version — AFAIK it is just s wrapper for the 
preference setting change mentioned by John down thread, but it sits 
in the dock and does not need  me to google on those very rare 
occasions when I want a change, ie., almost always in “reveal” 
these days.

Can you be a bit more specific? I had the same question and answered it 
by tagging each email to which I expect an answer, and use a smart 
mailbox that contains all the tagged emails (but you have to empty it 
from time to time). If there is a better or smarter solution, I’d be 
happy to know.

Thank you Henry, the trick is indeed to select the color first. However, 
the Color command in the Mailbox menu behaves differently from the Color 
command you access by right-clicking on the mailbox icon. And more than 
that, testing another mailbox gives me a Color list of commands which is 
grayed or not, depending on whether I select one message or none. So I 
need a few trial and error  before I can have this function to work 
correctly. But maybe there is something I am not doing correctly.

Irrespective of my efforts, I could not have the  "Use Color in Message 
list"  to be anything else than grayed. Using the Custom color I have 
been able to color the mailbox icon, but nothing else. So I turned to 
the "Styles.plist" approach, which works nicely.


So I am still wondering what is the purpose of the Mailbox->Color menu, 
unless of course I am doing something wrong, or misinterpreting its 
function.

In my hands I don’t get a hyperlink in MS Word until I press Space 
once. In Mailmate, with Markup set to Markdown, for whatever reason I 
get an hyperlink right away. As it always behaved that way, I never

got used to Altamail), which I also find the closest thing to Mailmate 
on an iPhone. In particular its Search function is pretty impressive. In 
addition, its developer, Rich Waters, answers queries very quickly. He

I experienced the same problem with MM and Preside about a year ago, and

Just to clarify, the order of IMAP accounts in all of the standard 
mailboxes (like the Inbox) follows the ordering under Sources in the 
mailbox list (where you can drag'n'drop to reorder). Smart mailboxes 
can be dragged anywhere you want.

[MlMt] mailboxes rearrangement

Within my general Inbox I have a bunch of smart mailboxes in 
alphabetical order, followed by the inboxes of my 3 IMAP accounts. Is 
there a possibility to rearrange the order of the mailboxes, in order to 
have my 3 IMAP inbox mailboxes at the top? I can rearrange the smart 
mailboxes by renaming them, but I can’t move the 3 inboxes.

transforms the link to have a "$" at the end. MailMate seems to not 
recognize that the "$" is part of the link and leaves it off the 
underlined portion. This means clicking on links in MailMate 
virtually never works for me and I have to copy the actual string 
and paste in my browser.


I'll see if I can fix this for the next update. MailMate is still a 
bit too strict when auto-linking.

Thanks Benny, indeed my 2 Deleted Messages submailboxes (2 separate 
accounts) were offline for 20 months (the main Deleted Messages mailbox 
did not indicate Offline, so I did not check the status of the sub 
mailboxes). Any idea why these 2 mailboxes (and no the others) went 
offline (and remained offline when I synchronised the 2 sources, which I 
did fairly recently)?

Make sure all mailboxes are online under Sources in the mailbox list.

I can’t answer your question, but I was interested in the Exchange 
categories you mention, as I have tried for years to sync smart 
mailboxes between computers. I have been able to do this just for one of 
them, using one of the few available IMAP keywords. Can the Exchange 
categories help? Are they defined client side or server side? I guess in 
the second case it won’t help.

[MlMt] New problem

I experience a recent problem, which may or may not be related to 
Mailmate. Since a week the app no longer fetches the new messages which 
arrive on the server. I have to quit and relaunch Mailmate to get these 
new messages, which is of course not a viable solution. Otherwise, my 
other mail clients work well, so for some reason it only occurs with 
Mailmate.


I have tried to change the Mailmate version, just in case that would be 
the problem, but when I tried to check for new versions, I got the 
following error message :


*Error checking for new version
LibreSSL SSL_connect : SSL-ERROR-SYSCALL in connection to 
updates.mailmate-app.com:443*


Does that relate to the port I use? But I don’t use a port for 
incoming email, only for SMTP.

been able to delete. Most of them correspond to an event in my Calendar.


The message usually says  :

The server couldn't retrieve the following message:

Sent date: 9/25/2020 10:50:27 AM
The message hasn't been deleted. You might be able to view it using 
either Outlook or Outlook Web App. You can also contact the sender to 
find out what the message says.

When Mailmate crashes, the email I was just writing seems to be saved 
somewhere (even if I did not save before), and when I relaunch Mialmate, 
it asks whether I want to re-open this mail (some of the final texte may 
not be saved, but usually it works). However I don’t know whether this 
also works when you click Don’t save.

The instructions you indicate seem to involve tags, and not flags. Tags

I am currently using Mailmate (1.13.2/5726) on a computer running 
Mojave. Since a few weeks, when I either open a window for a new mail, 
answer an email or try to forward it, the coloured ball starts spinning 
for ~10 s, which is quite annoying. Has anyone seen that? Is there a 
solution to get rid of this problem?

I have installed the bundle, re-started Mailmate, and unexpectedly I 
don’t need any new keyboard shortcut : when I paste (command-V) a text 
form MS Word, it now appears as plain text, which is perfect for me, but 
seems to differ from the behaviour you describe.

Thanks Guillaume, I will try that. Incidentally, I use version 5726 of 
Mailmate, but for someone else who uses an older version (5673 or 
something close), this problem does not exist. At some point I remember 
Benny mentioning something along this line, but I can’t seem to find

I use Preside, I have around 300 000 emails, split into multiple 
folders, and it works fine. I found it the closest thing to Mailmate 
(although I find it much less ergonomic on the iPad). I also used 
Altamail, but for some unknown reasons (I suspect due to the fact that I 
use an Exchange server), some of my folders never appear in the list. 
Therefore I stopped using it.

The Preside dev is, indeed, extraordinarily helpful and responsive; 
but he also hints within Preside’s FAQ page about issues with 
mailboxes with massive numbers of emails. For example, in 
https://preside.io/faq.html#NotificationsTooLong: “One more thing 
that can help a lot is to keep your Inboxes clean. The app can check 
an Inbox with 50 emails a LOT faster than it can check an Inbox with 
5,000 emails.”


Of course, that reference is specifically about notifications, and 
thus perhaps unrelated to the issue mentioned here. Just FYI.

Thanks for the tip. I think the problem (at least one of them) is that I 
don’t really know where (in which mailbox) the app is searching when I 
click the arrow : the current mailbox, the Sent mailbox, anything else 
(the only thing I am sure is that it does not search in All Messages, 
which would have been fine)?
So if I create a smart mailbox, I need to know where it will pick the 
messages. Of course the ideal would be that this smart mailbox 
“contains” the messages which have once been in the Sent mailbox, 
irrespective of the mailbox they are now, but I don’t think a rule can 
be designed to do this.

Perhaps you want to create a "smart" mailbox that includes messages in 
both mailboxes (e.g., both the Inbox and the mailbox to which you move 
the message).  If you view messages in the "smart" mailbox, see if 
that shows the full thread.

forwarded, I do not access anything (except, apparently,  when the reply

assuming they have a free trial version. Given the (very) high number of 
mails I have to keep, the efficiency of the Find function will be

[CriticMarkup](http://criticmarkup.com). Maybe it would be great to 
add CriticMarkup as an extension like we have for the Math language or 
Highlight code feature or as a bundle (if possible)

* the documentation should detail what is supported (and possibly

[MlMt] strikethrough

People often send me a message asking for my modifications before 
sending it. To highlight my modifications I can use bold or italics, but 
this is not really sufficient, and  I was wondering whether there is a 
possibility to use strikethrough? Of course the possibility of using 
colours would be great (like in Thunderbird for example) but I 
understand it can’t be done in Mailmate. But having bold, italics and 
strikethrough would be sufficient for the majority of my needs 
(otherwise I have to open another mail client to do that, which is 
cumbersome).

I found a workaround for my problem, but then I stumble on a Mailmate 
question :
Instead of hitting the *Delete* key, I use the *Move to Junk* command, 
and the messages finally disappear from the Preside Inbox. But to me 
that does not make much sense: hitting *Delete* moves the messages to a 
mailbox (located above the Sources) called *Deleted Messages*, while 
hitting *Move to Junk* moves them to a Junk mailbox : so I can’t 
really see why one works in Preside while the other does not. With a 
caveat : hitting the Move to Junk key (or shortcut) moves the messages 
not to the Junk mailbox located above the Sources in the left panel, but 
to another mailbox called Junk Email, located within the Sources, that I 
don’t remember having created. Does that make sense, or am I missing 
something?

and remembering where you are is a bit of a challenge). Besides Preside 
is free while Altamail charges you for upgrades (if I understood 
correctly).
There is however one problem that I seem to experience with Preside, but 
which wasn’t present last year : when I delete emails on Mailmate, 
they remain in the Preside Inbox, but when I move emails in Mailmate 
(from the Inbox to a specific mailbox), it works OK : they disappear 
from the Preside Inbox and can be found in the target mailbox. I thought 
this was because the designated Deleted mailbox was different in the 2 
apps, but this is not the case. This is a bit irritating (to say the 
least), and I can’t seem to find a way to fix this.

Same for me, except that at the end the app crashes, or I have to kill 
it (last version of Mailmate, MacOS High Sierra). Therefore I can no 
longer blacklist an email address.

The message that you see in MailMate is generated by Exchange, and is 
not MailMate-specific but rather IMAP-specific.


Such incidents can be transient on the server side, so using 
Message->Reset in MailMate may resolve the problem.   If it does not, 
you may be able to unstick the message by moving it to a different 
mailbox with a client that can really see it, however you may only get 
a fix for the situation from whoever manages the recalcitrant Exchange 
server.

[MlMt] mailing list

From time to time I have a long mailing list that exceeds the size of 
the window that shows the recipients’ addresses. This window enlarges 
to some extent, but only shows 6 lines. What I find annoying is that it 
is impossible to scroll through the list, you have to use the up and 
down arrows, which to me is not very convenient. Is there a way to 
circumvent this “problem”, that I may have missed?

thanks, I’ve been using that one and the keyboard short cuts

This is what I do, except that I also copy the message to a
"Stationery" mailbox (the term Eudora used), to make it easy to 
find.

I have the same problem : forwarded messages appear empty from time to 
time. I did not try to solve the problem, nor to determine which type of 
message is affected. I usually get around the problem by copy/paste, or 
using Reply and changing the Recipient, but this is because I’m lazy. 
I’d be happy if there is a way to solve this problem.

If you use Evernote, you can forward the mail you want to keep to your 
Evernote specific email address, and it will create a note with a clean 
(searchable) representation of the original email.
You can also drag and drop it into a Devonthink window, with the same 
final output as with Evernote (incidentally Devonthink can keep a 
searchable database of all Mailmate emails).

Umm... I don't believe that to be true.

Drag & drop into the Finder creates a plain text file for each message 
with a .eml extension which adheres to  RFC822 email message format. 
The file naming is a mess, but it works.

a specified folder as the same sort of ".eml" file with less sketchy 
naming or as a ".mbox" file which is a Unix mailbox file: essentially

These are standard formats. They are *plain text* formats. Most mail 
client software with any import capability will understand them both.

You can hit the right-arrow. If you hold down ⌥ then the entire 
thread is expanded. You can also use some of the message navigation
