Sorting Office/Filters

Good day, sirs.

I   have   some questions about Sorting Office. I clearly understand Incoming,
Putgoing  and  Selective  Download  filter< when they are applied and for what
reasons. But there are two options that confuse me a bit.
It  has  an option to set up "read mail" filter. When The Bat applies it? Will
be it applied when I manualy mark message as read or - yes I have such cases -
it should be deleted at ince as soon as I have noticed them?
It   has   an option to set up "replied mail" filter. When The Bat applies it?
As  soon  as  hit reply button|kb shortcut, or message must be sent away& Does
they - filter - will be applied for the replies themself?
And  thу  questions.  For  now   I'm  using Incoming and Outgoing filters, and
Selective  download  a  bit  (he-hem  I  have  about  15  thousands mail-error
reports). Is there any way to avoid duplicates. i.e. There're a lot of messges
addressed  to [EMAIL PROTECTED], it's simple to separate them - Incomming
Filter  for  Receipent  [EMAIL PROTECTED] Then another one,  I'm writing
messages to the same address [EMAIL PROTECTED], it's a mail-list where I'm
included,  often I need BCC: field filled with address wich should be known to
me  in  the  future.  That's  why  here  comes  Outgoing  filter for Receipent
[EMAIL PROTECTED]  Now  I'msending two messages to this address, message
"number  1"  with BCC field and "number 2" without BCC fiels. Both of them are
processed  by  Outgoing filter and soon they arrived again and processed by my
Incoming filter. After that I have four messages in `hostmaster` folder
 - "number  1" - outgoing copy
 - "number  2" - outgoing copy
 - "number  1" - incoming copy
 - "number  2" - incoming copy

How could I avoid this situation and have only
 - "number  1" - outgoing copy
 - "number  2" - outgoing copy
or
 - "number  1" - outgoing copy
 - "number  2" - incoming copy

And,  of  course,  I  need  all incoming mail not writen by me and directed to
[EMAIL PROTECTED] processed by Incoming filter and moved to `hostmaster` folder

Any ideas?

A couple of oddities:

I subscribe to three mailing lists, of which this is one. I have
filters to send messages from each list to its own folder.

Two of these filters look for an expression in "kludges", the other
looks for a simple string in "subject". When I use the mouse to move
between the filters, the "location" field seems to stay set to the
first filter rule. eg. if I start by looking at a filter where
location is "kludges" then "kludges" is dispayed even if "subject" has
been set.

And the filters which look for an expression in "kludges" works, but
the fikter which looks for a simple string in "subject" doesn't.

Any thoughts?

Hello,

I've just switched to 'The Bat!', and am still exploring all the
functions and features of this program.

I have a simple question about the 'Sorting Office' (Account > Sorting
Office/Filters):

Is it possible to apply a newly created 'Sorting Rule' to the messages
that are *currently* in the Inbox? This is possible in Outlook Expr,
but I can't find a similar function in 'The Bat!'. Can someone help me
out?

Hello,

  I'm having a bit of a problem getting filters to act the way I would
like.  I'm not trying to do anything complicated (at least I thought I
wasn't), all I want to do to messages is have the messages in the message
list turn a certain color based on where they are being sent from.

  I would like for the filters to act on the messages as I receive them,
but it seems the only way I can get messages shown like I want is to read a
message and then hit Folder --> Re-filter...then the message shows up with
From/Subject/etc the way I would like for them to look.  How do I set up
the filters to make the message appear like I want as I download them?

  I'm sorry if this sounds like a stupid question but I did look in the
help file and even made an attempt to look at the online archive.

I just tried it and it seems TB does that as soon as an e-mail that
corresponds the filter settings is marked read (when I tried it it
worked only when is was marked automatically).

Well, you can set up a filter to process certain incoming mails to go
directly to the trash folder, or even to be deleted right away, but
in that case you should be pretty sure you don't want to take a quick
look at them before they are gone. Look through the filter action tab
in the sorting office to learn which options are available (gosh, I've
written to many user documentations lately... I already sound like one
myself :-) ).

As soon as the reply is sent, because only then will the original
message be marked "replied".

They shouldn't be as the option is called "replied mail", i.e. mail
that you have replied to.

I don't get this exactly *confused*, but I think what you need to do
is to run "kill duplicates" in the folder menu. Even though it's
probably kind of annoying to do that all the time. I don't know that
there is an automated feature for this, but I could be wrong here.

You mean without having your own messages moved to that folder, too?
Try to set up a filter for all messages sent to that address, moving
them to the desired folder, and then create a new filter to sort out
the messages written by yourself and putting them somewhere else. Make
this filter the first in your list and activate "continue with other
filters" (sorry, I don't have the English version of TB, hope my
translation is close to the original wording) in the filter's options
tab. Should work!

Sometimes you use BCC and sometimes you don't? You are sending two
messages which are the same? My suggestion is you standardise this.
for example, always BCC to yourself.

Then, leave the outgoing copy in the Sent folder, i.e. don't use an
Outgoing filter. Use only an Incoming filter. This way, you ave the
message only once in the list folder.

Would that work for you?

After you've created the filter, use View menu -> "Re-filter" command.

(It will run all defined filters, or classes of filters, though. I'm not sure
if it's possible to run just one filter selectively.)

I try.

If i understand you right, you want to colour code your messages based
upon the sender (or whatever). For that you first define the colour
groups you need, then create filters in the sorting office.

There you need the actions tab, look for the colour group option and
check it, choose your colour group. Set the filter active and
automatic.

This should take of the colours for your messages. If you now want to
filter them into folders, you have to check "Continue with other
filters" and create them. Be sure to put the colouring filters above
the "foldering" one's.

  Assuming that you are creating a filter under the 'incoming'
  folder rather than the 'read' folder, then how about the
  following:

  Select "Incoming Filter Folder"
  Select "New"
  Name : color my msg red (or whatever)
  Source Folder: Inbox
  Move messages to folder: to a folder of your choice

  StringsLocation  Presence
  [EMAIL PROTECTED]kludges   yes

  Actions Tab
  select "Set the messages colour group to:
  select your color

  Place this filter @ the top of the list of filters.

On the whole Jan made the process much more efficient; where I used
two filters for any filtering criterion he used one. Should have
thought of it myself.

As for "automatic": Un-check (if checked) "Rule is Manual only".

In that case the problem is in the colour group definition in that
there are *two* colour settings - one normal (the surface definition)
and one for unread (the secondary tab). Check there.

I'm afraid that your problem is that whith unread messages,
the colour simply doesn't show. Try making a coloured
message unread and watch the colour change to black, instead
of to fat  :-(

Sorting Office Filters - Config File?!...

Hi TBUDL,

I'm using the same version of TB! at work and at home and in the quest
to keep the two setups roughly equivalent I'd like to be able to
ensure that all the new filters I define at work (where I use email
the most) are also available at home.

I noted there is a file in my TB! account directory called...

  ACCOUNT.SRX

What I'd like to know is if this file is (as I believe) the place
where the definitions of the sorting office filters are kept and if it
is, is there any reason why copying this file to my home setup
wouldn't transfer the filters across without problems?

If this isn't the right file, is there a file or are the filter
settings held elsewhere - and can I transfer them to the home setup?

Ideally, I want to be able to transfer the filter settings without
transferring other settings since there are subtle differences between
the way TB! is setup at the two locations due to the type of network
connection each location has.

Correct.  I have created a color group and then I pick that color group in

Okay, I have the filter set as Active in the "Rule is" part of the first
tab...is there a separate setting for automatic?

I was a bit wrong in my last message...I don't have to hit re-filter to get
a message to show up in the correct color group.  It seems that as soon as
a message is marked read that it will show up correctly...which still isn't
quite what I'm looking for.

Nope, just looked and the filter is in the Incoming Mail folder...I don't

Strange folder in sorting office/filters

Hello,

Since this morning, when I go to filters of my accounts, in "Incoming rules", I 
can see my 10 rules like yesterday, but more, there is now a sub-folder created 
named "Moving in Hooks" !

I never saw that before, and I'm sure I've not created this folder. I'm sure 
because TB authorize me to create rules in "Incoming mail" section but not 
folders...

What happened ?

Isn't "hook" an other name for someone known ? I remember that an
install from fresh (not under a previous install) create a special
rule and a special folder but don't remember its name. I guess it was
"Known people" or something like that.

I tried to find "hook" in help and found "Adressing your message".

He probably and inadvertently hit  while while at a message
from "Moving in Hooks". That created the filter  and the filter
triggering later on a new message from same source did create the
folder. Although I think he is a bit ambiguous what talking about
"filters" (or rules) and folders and sub-folders.

Ludovic's message gave me an idea, your  filter has disappeared.
I guess that's a tiny bit of filter corruption.

You don't have a lot of filters, so you could try this.
Copy and paste your filters from the sorting office to a text editor.
Close TB
Delete the account.srb file for the Wil account
Restart TB
Paste your filters back to the sorting office

Note: Don't forget to save your outgoing (etc) filters too.

You are right, I didn't pay attention to the icons. It may be then just
an icon display problem as Outgoing, Read, etc., also display a folder
icon. Wierd!

Not  at  all...  this  filter is supposed to be there. It is a default
filter  created  by TB! developers so that you can just put in a tick,
and it automatically filters anybody from your address book into "inbox
- known instead".

No. It's a new addition to the Sorting office to allow you to do a
quick filter for "anyone in your address book" - an anti-spam device.
Just disable the filter if you don't want to use it.

No, it's not. It's a feature. If you don't want it, go into your
Sorting Office and de-activate the -filter. After that you can
delete the folder of the same name.

 Is it possible that the particular phrase "Moving In Hooks" comes

Ok, I've deleted account.srb.

I've paste my filters copied before deletion. I create a new filter for .

All work ok and I don't have this strange sub-folder anymore.

Interesting quirk if you use this to transfer to a folder that isn't
under any accounts - say you have one called 'Friends' - is that the
identity of that folder is (initially) blank.  This can be interesting if you have
different users - it seems to pick the first name out of the drop-down
list for From and Reply-To - possibly awkward and embarrassing when
you reply to an email in this folder. :)

How to get two Sorting Office Filters to act on the same incomingmessage

For the sake of this discussion, I am looking for incoming e-mails
with "YES" or "NO" in their subjects. Both of the filters work, but
they act as EXCLUSIVE-ORs. I'd like them to act as INCLUSIVE-ORs.

My YES filter moves all YES e-mails to a TheBat! YES folder, and
exports their messages (per a YES export template), adding them to a
file called c:\YES.

My NO filter moves all NO e-mails to a TheBat! NO folder, and exports
their messages (per a NO export template), adding them to a file
called c:\NO.

Occasionally, an e-mail arrives that has both YES and NO in its
subject. (This is not an error, but it does not happen often.) I'd
like such an e-mail to to be moved to both the TheBat! YES folder and
the TheBat! NO folder, and to have its message exported their messages
(per the appropriate export templates), adding them to both file
c:\YES and file c:\NO. In other words I'd like both the YES filter and
the NO filter to act on such a message.

Since the order of my filters is first YES then NO, I tried checking
the Continue Processing with Other Filters option of the YES filter.
That didn't work. Is there something I must do in addition to checking
the option?

Next I tried putting a new YES and NO filter ahead of the YES filter.
This met with partial success. I was able to Move the Message to the
YES folder and Create a (un-parked) copy of the Message in the NO
folder. I was able to export the message into c:\YES, but I could not
export the message into c:\NO.

What should I do?

Yes.

If your YES filter is before the NO one, on the Options tab of the YES
one select "Continue processing with other filters".

This won't work, because the YES filter has already moved the message.
If a filter moves a message, no following filter can touch it.

You're right. I do something similar but I forgot that on the first
one I move from Inbox to Inbox and just _copy_ to desired folder.

Is there a way to park the created copies automatically?

Not AFAIK. Can you try parking the message in the filter that
creates the copy then unparking it in the delete filter? Will that
work? Probably not. I think that "parked" is an "index" attribute
rather than a "message" attribute.
