Attaching Files as Shortcuts
Hello, We are running exchange5.5 with Outlook2000 clients. We would like to have the INSERT ATTACHMENT function default to inserting the file as a shortcut to the file rather than the default attachment as file. Is this possible with a registry entry or a profile of some type? We would like to cut back on the number of various file versions that float around in emails and have just shortcuts to the file on a fileserver. We would also like the option to attach the actual file, but we want it to not be the default. Any references would be greatly appreciated. _ List posting FAQ: http://www.swinc.com/resource/exch_faq.htm Archives: http://www.swynk.com/sitesearch/search.asp To unsubscribe: mailto:[EMAIL PROTECTED] Exchange List admin:[EMAIL PROTECTED]

RE: Attaching Files as Shortcuts
Some files are being modified and some are not being modified. I am concerned about the whole issue, having multiple copies wasting disk space as well as confusing people as to which document is which. Right now we have some users who do attach files as shortchuts already. I simply wanted to force the rest of the users to do the same by changing the default. Just out of curiosity, what would be a "better" purpose for the use of this functionality? In my opinion this is exactly the solution for what I am dealing with here. And yes I know that training the users is the way to go, however I know from experience here that it would open a whole new can of worms. And I agree with your troubles of people using their mailbox to store files. This would help with that greatly by letting them store shortcuts rather than actual files. > ...and keep in mind that the "multiple copies" issue may not be as > severe as it seems, at first blush. RE: Attaching Files as Shortcuts
This is my problem. Although these restricts would work in the long run (after people learn that they need to use shortcuts) it would cause major headaches for everyone involved before that point. It just seems so much simpler to have the default option as a shortcut rather than the file itself being the default (or at least the ability to change the default for just such an occasion) > I had this problem where I used to work... > > The users were about as dumb as a post when it came to outlook and used it > store anything they could in their mailbox. Mailbox doesn't mount after Restore
I backed up the Exchange Information Store using MS Backup in order to rebuild the Server PC under a different domain name. After restoring the databases (checked the 'last back up' and 'mount after restore' options) the mailbox and public folder store doesn't mount. I get the message (ID no: c1041724) that 'an internal processing error has occured. Try restartin the ESM or MS Exc Information Store service, or both.' I checked at the knowledgebase and used the eseutil to make a hard recovery but I discovered that no log file was created in the path I indicated during the restore. I tried to recover the data using an offline folder of Outlook but I get the message that this folder cannot be accessed because it has been configured for use with a different mailbox. Could you please help? T.I.A. Hi David, thanx for the reply. Yeah, all that stuff is pretty much in place already. I've modified the recipient policy and changed the FQDN to the outside FQDN under the advanced button of the delivery tab for the SMTP virtual server. Those things have already been done. Ed Crowley Move Server Method
Hello all. I'm having a bit of a problem with #9 of the ECMSM for Exchange 2000. As soon as I change the default Public Store for the existing Exchange server to the new Exchange Server, OWA breaks with an error stating (Access is denied. Your browser security settings do not allow acces to this folder from this page.) I change it back and everything is OK. Change it again, and it breaks. After I hit OK at the error, Public folders are not available. Looking ahead to #10 I can't create replicas for the system folders. There are no properties for EFORMS Registry, Offline Address Book or Schedule+ Free Busy. Only the subfolders, is this sufficient? Thanks for the help. I seem to be over my head. Using script to get header info
Hi folks, I created a public folder and asked several of our users to move their spam into it. From there, I can open the messages, view the headers, pluck the IP addresses of the offending mail servers, and add them to our internal dns blacklist. Works like a charm, but it's very labor-intensive. I wrote some vbscript code that examines all the messages in the folder, and returns things like Sender, Subject, etc., all of which are basically useless to me in this case, but the practice was good. There doesn't seem to be any property that will return the header info, no? I don't have a good reference book handy, but searching through the online MSDN library was helpful. Now it looks like maybe ADO/CDOEX might be the way to go. Does anyone have any sample code that might give me some pointers? This doesn't have to be fandy or polished. If I can retrieve the headers, I can parse through them and find the right "received by" line, and pull the address from that line and output it to the screen. I'd greatly appreciate any pointers at all, be it a web page, KB article, book, etc. Thanks, Mike _ List posting FAQ: http://www.swinc.com/resource/exch_faq.htm Archives: http://www.swynk.com/sitesearch/search.asp To unsubscribe: mailto:[EMAIL PROTECTED] Exchange List admin:[EMAIL PROTECTED]
RE: Using script to get header info
Well, I wrestled with this for a few days, and this is what I've come up with. It may not be pretty, but it works for my purposes. This is a VBA macro in Outlook 2002. It prompts for a folder, then retrieves the IP address of the originating server for each message in that folder, reverses the octets and writes it out to a file, for inclusion in a dns blacklist file. '** exported from Outlook 2002 *** Attribute VB_Name = "GetSpam" ' ' NOTE: Requires a reference to the Microsoft CDO 1.21 Library ' Sub ShowFolderInfo_Click() '*** this is the string to search for in the message headers '*** substitute your own "servername.domain" in the search string strSMTPSearch = "]) by servername.domain with SMTP" strSpamOutFile = "c:\spam.txt" Set MyNameSpace = Application.GetNamespace("MAPI") Set myFolder = MyNameSpace.PickFolder If myFolder Is Nothing Then MsgBox "User pressed cancel.", vbInformation Exit Sub End If Set oSession = New MAPI.Session oSession.Logon Set oSpamFolder = oSession.GetFolder(myFolder.EntryID) Set oMsgColl = oSpamFolder.Messages If oMsgColl.Count > 0 Then outfile = FreeFile(0) Open strSpamOutFile For Output As #outfile For Each oMessage In oMsgColl oHeader = oMessage.Fields(&H7D001E) '^ this is the full header oHeader = Left(oHeader, InStr(oHeader, strSMTPSearch - 1) '^ this strips everything after the search string oHeader = Right(oHeader, Len(oHeader) - InStrRev(oHeader, "[")) '^ this gives us the offending IP address strOctet = Split(oHeader, ".") RE: Using script to get header info
Of course it doesn't. It's not a perfect solution, it's just one tool I use. I still go through the messages in the spam folder, to make sure what's in there is spam, or at least my definition of spam. Sure, we've got clueless users, just like any other company. A common saying around here is to try to make things "Ginny-proof", named after our favorite administrative assistant. And at the risk of getting into the "recursive RBLs are bad" discussion again, I have to say that it works for us. I use a combination of bl.spamcop.net and our own internal blacklist zone for RBL lookup. We're blocking between 2000 and 3000 messages a day, and every time I check the quarantine, the legitimate emails are very few and very far between. I haven't had to release a legitimate message in over two weeks. As I said, it's not a perfect system, but it has made a significant dent in the amount of spam that hits our users' mailboxes, and it has not gone unnoticed. -Original Message- From: Chris Scharff [mailto:[EMAIL PROTECTED]] Sent: Friday, January 24, 2003 3:49 PM To: Exchange Maillist Subject: Re: Using script to get header info Does your script do reverse DNS lookups on the IP address as well so you can make sure you didn't just block a major business partner by IP because one of your users is clueless? A streamlined version of an OUTLOOK mailbox

We want the users to be only able to have the INBOX, DELETED ITEMS, OUTBOX, DRAFTS, CONTACTS and SENT ITEMS folders. If she is set up as an alternate recipient for this VP, then what you experienced is expected behavior. RE: A streamlined version of an OUTLOOK mailbox
Silly wabbit: Trix are for kids! What you are attempting to do is, in my opinion, absurd. Give your users Outlook Express as a client, which doesn't have Calendar, Journal, etc, and use (as someone else suggested) sendmail or some such on the back end. Or give them Outlook or OWA and let them have the full functionality of the Exchange server product. Castration works for Oxen, but not for Exchange! RE: Using exchange server without a WINS/DNS server ???
Nope. DNS. Outlook looks at DNS entries first-- hence when Outlook takes 2 or 3 minutes to start up, the first thing to look at is DNS. Since DNS is the answer, the HOSTS file is more important than the LMHOSTS file. Both of these files can be identical, though, so if you're making one, it's no big deal to make the other. RE: Using exchange server without a WINS/DNS server ???
All I can tell you, Rick (notwithstanding your place of employment), is that when we were having DNS issues, Outlook didn't work very well. It would take at least 2 or 3 minutes for it to open, and quite often navigating between inbox folders experienced the same delay. WINS was working fine, and pinging servers by name was no problem. When I created a HOSTS file with the Exchange server names in it and did an "nbtstat -R", Outlook behaved just fine. Of course, once DNS was fixed, things were fine as well. WINS and NetBios did come into play, but only after DNS resolution timed out and failed. What OS and version of Outlook is on the client machine? Can you recreate the problem on another machine? Hello all, I have a Microsoft Exchange server 5.5 sp4, latest fixes running on Windows2000 sp1 server. I have built it in the same way as all my other servers in the same site though they are all on Windows NT, not 2000. Problem is that if I go to a pc where there is a profile for a user and logon as someone else, i.e. not that user, we can read that users mail. It doesn't matter who logs on, we can all read the person's mail! It is not an isolated case, it happens with all mail accounts on this server, but not on any other servers. What am I missing? THe mailboxes look just the same as all those in the rest of the site. Is there some security thing about 2000 that I am unaware of? RE: An Academic Exercise (was: RE: Minions (was RE: Undelete comm and) )
The tasks that you have outlined look about right to me, Chris. I'm not very good with VBScript-- anything I've done so far has been very simple, and relied heavily on code samples and snippets created by others. Here are my observations on what you have outlined (I'll maintain the step-by-step format that you started). Some can be looked at as statements _and_ questions... 1. User could be determined either from a file, from requested input dialog box, or command line switch. 2. I assume this is a fairly basic VBScript command 3. You assumed that the Manager field was populated-- how do you get the manager's NT account from that information? Would it be supplied in the same way as the user to be deleted was in step 1? 4. Is this something that VBScript can do with native capabilities, or would it be an export, massage, import type of thing? 5. Notification is easily done... I assume that adding the mailbox to the manager's profile would have to be a manual step. 6. Implication here is that you know that the manager has done this (or that the SysAdmin does it). 6.5. Could be pretty standard inside script, with a command line input for a date variable (or even a date calculation within the script). 7. Would you need to use Exmerge, or does VBScript have access to Outlook's export function? 8. Easily scripted (assuming administrative access exists). 9. Ditto. Although it does beg the question of what to do if the size exceeds a single CD. But then again, in your assumptions list you specified a non-crap CD burning software, so hopefully it'll span a couple of CDs. Otherwise some logic will have to be put in place to split things up somehow, or this becomes a manual task. 10. Burn, baby, burn! 10.5 Good ol' sneakernet. 11. Could a delayed delivery message be scripted (or a calendar appointment) for the manager and the Exchange Admin? 12. Self-explanatory. 13. & 14. At this point, doing these manually is no problem. That's my (more or less non-programming) take on it. Anything in there that is totally wrong, or am I more or less on the right track? Mike Morrison NT/SMS/Exchange Administrator Ben & Jerry's Homemade, Inc. -Original Message- From: Scharff, Chris [mailto:[EMAIL PROTECTED]] Sent: Tuesday, August 21, 2001 10:31 PM To: Exchange Discussions Subject: RE: An Academic Exercise (was: RE: Minions (was RE: Undelete comm and) ) I thought I'd try to break down the process into discrete steps and see how one might go about automating the process. For the purposes of this exercise I'm going to use the following assumptions: 1. All supervisors have e-mail accounts. 2. All users have the manager field populated (or can have it populated prior to running this script). 3. All users are in the same site. 4. All users are in the same NT domain. 5. All supervisors have a web browser and access to an intranet server. 6. The G: drive is specified as their home space in user manager. 7. Their C: drive is accessable from the network using an account with the appropriate permissions. 8. Their CD burning software isn't complete crap and one can pass it a job of some kind via command line. 9. Ex 5.5 I'd personally probably tackle this issue in Perl, but vbscript is probably better documented by Microsoft on a number of the tasks required for completing the entire process. I guess one could use Delphi or WSH too Here are the manditory major tasks to be accomplished as I see them (did I miss any?) 1. Determine the user to be terminated. 2. Disable the user's NT account. 3. Grant the primary NT account of the Manger's mailbox and the Admins group owner rights to the terminated employee's mailbox. 4. Remove the Mailbox from any Exchange DLs for which it is a member. 5. Notify the manager and have them add the mailbox to the profile. 6. Once manager has added mailbox to profile, hide mailbox from GAL. 6.5 Make administrative note of pending deletion. 7. Run exmerge against mailbox. 8. Copy G: drive c: drive and pst files to CD burner machine. 9. Zip files (I hope). 10. Burn baby burn. 10.5 Interoffice to supervisor. 11. 90 days out.. Notify supervisor account is to be deleted. 12. Determine ownership of archived data. 13. Delete mailbox. 14. Delete NT account. Comments? Suggestions? Problems? * Chris Scharff[EMAIL PROTECTED]www.swinc.com Simpler-Webb, Inc. This means steps to reproduce the problem, error messages, client & server versions, 3rd party software and SP levels, OS and anything else that might even be remotely relevant. Now, I can understand why looking through the sorry ass posts the average questioner brings to this list the proper format might not be immediately obvious, but there are at least 8 *highly* skilled people in this thread trying to understand your problem and who want desperately for you to tell them the information they need to be your knight in shining armor. Repeating "it's broke" repeatedly doesn't give them the information they need. Most of us were new here once.. We've all been flamed. We've asked silly questions and we've failed to mention critical pieces of information. So.. Assuming you still would like our help... RE: auto booking conf. rooms w/ Outlook 2000 & permissions
Diane-- I read the rest of this thread before replying here... while everyone is offering valid input, I'd like to take a slightly different tack. In the message below, you say: "The place that it is wrong is when I open this room from the server where we configured the script, and this view is where the requests are determined if they are accepted or not. So the meetings aren't getting written to this view, so multiple meetings get booked for the same time, but can only be seen from the user or another client." Have you deleted and recreated the profile on the server? Sounds like that profile may be hosed. I'm having a hard time getting myself around the idea that the profile on the server has anything to do with the auto-accept script, though. The script should be profile independent, I would think. I mean... that was part of the purpose of developing it (I think): to make it so that someone wouldn't be sitting there with the mailbox open for the meetings to get scheduled. Since this isn't happening to other conference rooms, I'm guessing there is a problem with the mailbox itself... have you recreated the mailbox? One other thought crosses my mind: do you happen to leave outlook running on the server with that mailbox open? I've seen strange behavior from the script when the mailbox is open and someone tries to schedule a meeting (although usually the meeting request gets declined, not what you are seeing). Lori-- you have _got_ to have the worst luck with this script of anyone I know! I don't know if any of the above applies in your case or not. Tom M.-- re: footnote #4 in another post... This has been a pet peeve of mine for over a year, but no one will touch it until we can prove that the script isn't causing all the problems. And why would this affect only this one room and not the other 49? I know users who look at the calendar this way on the other rooms and this is the only room that we see mismatched meetings between the server and the client. I have also created a brand new profile for this room on my workstation and opened the room on my workstation and I see exactly what we see when we do file, open other user's. The place that it is wrong is when I open this room from the server where we configured the script, and this view is where the requests are determined if they are accepted or not. Some users cannot connect to server
Good afternoon, OUTLOOK 98 Exchange 5.5 SP3 We have 2 Exchange servers both configured the same way. We had a problem today where several people (10) could not sign into one of the servers. There were either getting that the server couldn't be found or that the login credentials were incorrect. Hundreds of users were able to sign on without problems. Of the people that could not log on 8 of them had good passwords and the passwords were not expired nor had they been changed recently. These people could sign onto the OWA without any problems using the used and password that they knew. All services were running and there was nothing in the MTA queues. We bounced the server that was having problems and all was well. Does anyone have a clue where we should start on this one? RE: Rule of thumb for Public Folders
Some of these points I agree with, others I don't so much. I inherited a rather mucked up PF hierarchy, and you're right: changing it after the fact is a major PiTA! Try to plan out your PF structure as much as you can, but also leave some room for free-flow of information. Remember... as IT staff members, we need to help our users do their jobs more efficiently, not restricting them from doing so. I've tried to organize mine (as much as possible) by location and/or department, as well as a company-wide area. I've restricted top-level folder creation, but left anything below that fairly open. If someone requests a folder (not realizing that they can create it themselves), I create it, make them (and myself) an owner, and then show them how to change permissions, etc. Decentralized management is not a bad thing. I do stress that it is probably not a good location for archival type data, nor for highly sensitive or business critical stuff... rather people should use them for team calendars, shared contacts, and information dissemination by way of shortcuts or links. Set you retention policy to something that makes sense, and make sure the folder owners know that after x number of days, the info is irretrievably lost. That's my $.02. I wish I could put them into practice. 1. Do not let any users create public folders. Have them send the request to a knowledgable Exchange admin. Preferably the one who will have to restore them. 2. Design a naming standard and hierarchy first. Think WAY ahead for the potential requests months down the road. 3. Train users. Delegate management of permissions to users. Train them more. Create DLs for managing permissions. 4. By intelligently and creatively naming the items in a folder, the number of folders can be drastically reduced. Think document names & key word fields. 5. Severely limit the number of users who can delete items in a PF. The inconvenience is worth it. This alone will save many restores! Once a PF is created and in use, making changes is almost impossible and can be quite painful. What is the general rule of thumb concerning Public folders? 1. Do you let anyone create them as will? 2. Does the Exchange admin force everyone to go to him for requests? 3. Do all folders under "Public Folders" let all employees in? 4. Do you create sub folders for folders that are needing restrictions on who access it? I was thinking of creating a Main folder called Company info with subfolders like Bulleting board, MIS tips, HR forms etc. Then creating another Main folder called "Business related" or something and have sub folders that only certain folks can get to. I'm not sure I understand what you did, but here are two thoughts as to your problem. First-- if you opened up your user's mailboxes, went to the Tools menu, selected Recover Deleted Items, and then deleted everything from the deleted items recovery window, then they are gone. Those items no longer exist on the server, can not be recovered, and are no longer taking up space. Second-- if you want to do this for all users without opening their mailboxes, go to the properties page of your private information store (in Exchange Admin) and knock the setting for deleted items retention down from 30 to some other number (15 or 0 whatever). When nightly maintenance runs overnight, the deleted items past the retention stage will be purged. Hi, Everyone I enabled the deleted retention last month for 30 days retention. I am almost running out of my disk space. I think that is why my MTA service keeps stopping. It would take long time to get rid of everyone's deleted rentention if I have to go to each user desk to do that. What I did right now is go to each user's desk and then click on the outlook tool tab and click on the recover deleted item. I have disable the deleted retention(30days), but the deleted item would stay in the server for 30 days. Is there a way I could force it to get rid of all the deleted item right the way? RE: Restore of directory.
Article Q191357 has a description of that error that may be helpful. Mike Morrison NT/SMS/Exchange Administrator Ben & Jerry's Homemade, Inc. -Original Message- From: Semiglia, Michael [mailto:[EMAIL PROTECTED]] Sent: Wednesday, August 29, 2001 12:42 PM To: Exchange Discussions Subject: Restore of directory. Hi all, Exchange 5.5 on NT 4. Veritas Backup Exec and TSM/ADSM backup solution. We had some issues recently where we had a corrupted directory on a server and I had a brain cramp in implementing the restore. Looking back, it was definitely an oversight on my part, however even after the 20/20 hindsight, I see no easy way around the problem. We were doing service pack updates on all of our servers from NT SP4 to NT SP6a and then from Exchange SP2 to SP4. Prior to packing the servers I had an online and offline back available. This was server number 18 out of 19. Work had been commencing over a 3 month period and all our servers are on Compaq proliants with the same h/w and s/w configuration. Installed both NT SP6a and Exchange SP4 on this particular server with no unusual entries in the event logs. However on the next backup of the directory using backup exec, started getting the following -1018 errors: Event Type: Error Event Source: ESE97 Event Category: Database Page Cache Event ID: 118 Date: 8/12/2001 Time: 11:50:27 AM User: N/A Computer: CAEEXP01 Description: MSExchangeDS (471) Direct read found corrupted page (25075) with error -1018. Please restore the databases from a previous backup. The indication in technet was that there is a hardware issue. At that point, using perfopt, moved the directory around to different physical/logical hard drives. Also ran the eseutil with the verify switch. Moving the directory around still caused the above error and the eseutil program returned no errors. At this point I tried using the TSM/ADSM backup solution that we were rolling out and this caused the same -1018 error. This pretty much told me that there was no issue with the backup solution and sort of exonerated the h/w. At this point I decided to do a restore of the directory from the last good backup I had, which was the night prior to the service pack work. I placed the tape in and kicked of the restore. Now for all of you reading along, this is where you go "You can't do that". The braincramp is that the server is at NT SP6a and Exchange SP4 now and the backup set is at NT SP4 and Exchange SP2. The disaster recovery whitepaper specifically states that the service pack levels need to be the same as the backed up copy. I also realized that after I kicked of the restore. The restore finished successfully and all I need to do was start the directory. At this point, I said just let me see what happens. I had an online and offline backup of the corrupted directory and could return to the point I was prior to doing the restore. After starting the directory it started replaying log files and the came up with the following error: Event Type: Error Event Source: ESE97 Event Category: Logging/Recovery Event ID: 134 Date: 8/25/2001 Time: 2:22:18 PM User: N/A Computer: CAEEXP01 Description: (501) The database s:\exchsrvr\DSADATA\dir.edb created at 10/22/1997 20:51:54 was not recovered. After that, I got a bunch of table rebuilds indicating that something was aware that the restored directory was NT SP4 and the OS was now NT SP6a. After that everything came up smoothly. No errors anywhere in sight. I then performed a backup and it worked w/o and errors on both backup exec and the TSM/ADSM backups. I really don't understand the above error. Anybody have any insights on that one? I guess my question is, is the directory all right or should I run as fast as I can to the server an turned it off before it poisons my entire organization. Thank You! RE: IMC problem with Earthlink.net
Nate, You might check you DNS cache record to make sure it is updated for earthlink and has an MX listing in the record. Mike Hoskins -Original Message- From: Couch, Nate [mailto:[EMAIL PROTECTED]] Sent: Wednesday, August 29, 2001 12:05 PM To: Exchange Discussions Subject: IMC problem with Earthlink.net Scenario: MS Exchange 5.5. SP4 MS Exchange/Outlook 98 for the clients. IMC through UU.NET Here is what I am encountering: 1) IMC functions fine for just about everyone we send to EXCEPT Earthlink.net 2) Based on the rules we have setup on the firewall the messages for Earthlink are leaving the firewall destined most often for mx00.earthlink.net. 3) When we send to earthlink.net addresses we get: "Unable to deliver the message due to a communications error" 4) Our ISP engineer and they can send email to earthlink from the firewall as a company.com address so they tell me. However, anyone from inside the firewall sending to earthlink.com gets kicked back with the above error code. 5) It seems that something on the earthlink.net side does not like whatever MS Exchange is doing to the outbound messages. Inbound works fine so far. Headers reveal that earthlink.net is using: 220 eagle EL_3_4_2 /EL_3_4_1 ESMTP EarthLink SMTP Server 6) I have checked the IMC and found no filters nor any weird configuration (I haven't changed anything on the setup for the IMC in months and this whole thing started up about four weeks ago. 7) I haven't found anything in the archives, FAQ, or Technet for the above error code (at least nothing helpful). I am not seeing anything strange in the Event logs (not sure if I really would, but checked anyway just to be sure). 8) Message Tracking doesn't reveal much information as to why the message is not being delivered. 9) Earthlink.net Tech Support hasn't been much help to date. Anyone have any ideas as to what could be causing this? My feeling is that either company.com is being blocked due to spam being sent from us (I checked UXN Spam Combat and did not find our domain listed, but did find UU.NET listed). Or, more likely the MS Exchange IMC and earthlink.net are not talking the same language. Regards.
