The problem appears to be how Exchange stores and retrieves each mail
message.  The above mail would be stored as HelloEML.  The extra
dots prevent OWA from being able to open the message.

Has anyone contacted PSS about this?  Is this a reported bug?  Has
anyone seen a fix for it?

Are you running MSMail? If not, the Directory Synchronisation service
doesn't need to be running. Moreover it has nothing to do with your GAL
being replicated between sites. That's taken care of by the Directory
Service. Have you tried doing a pull on the DR connector in the site that is
out-of-date?

We are running Exchange 5.5 on all the Exchange servers in the Domain.
We have several location who access information from the Corporate office.
My problem is that one of the servers is not getting an updated global
address list from Corporate.
When I checked the server in the remote location, the Directory
Synchronization service has stopped. When I tried to restart it I kept
getting error 2140.
I checked TechNet and tried the resolution for this error based on the
article there and the problem is not resolved.
Does anyone have any recommendations?

Here's what I normally do.  Setup the SMTP Connector with an address
space of something like hotmail.com, leaving the IMS address space at *.
Then send some test messages to Hotmail and make sure they're delivered;
Hotmail messages will traverse the SMTP Connector, the rest of the
messages will go via the IMS.  Then raise the cost of the IMS address
space cost to something like 10, and change the SMTP Connector address
space cost to 1.  *All* outbound mail will now flow via the SMTP
Connector.

Then it's just a case of changing your inbound route, which depends on
what you've got, e.g. changing your upstream SMTP host to talk to the
new E2k server, or perhaps modifying your MX records, etc.

Hi there, here is the deal:

We have exchange 5.5 server in an exchange 5.5 site.  We just bought a
server and we are planning to migrate to exchange 2000.  We have
successfully installed ADC, exchange 2000 sp2 and have run domainprep
and forestprep.  We are in the process of configuring the exchange 2000
SMTP connector and the exchange 5.5 Internet Mail Service.  We would
like to have it so that exchange 2000 will be the one to process mail
intranetly and internetly:)  I was looking at the address space.  Is it
possible to place domain.com to the IMS and place domain.com at the
exchange 2000 SMTP connector while it also having * for internet
delivery and then checking the allow messages to be relayed to this
domain.?

Here are my final assumptions:
-mailbox that are still in exchange 5.5 server can send/receive mail
internally/externally. -mailbox that is moved to exchange 2000 server
can send/receive mail internally/externally. -there is only one point of
entry(inbound and outbound with one IP
address) or can there be a second point of entry for the new server
thats separated from the old 5.5 server?

If anyone has had migrated from exchange 5.5 using move-mailbox method,
please give me some input.  Thanks alot.

Has anyone experienced any problems with IM4.5, with the
Exchange update (from MS Exchange Website) and Exchange 2000?  I have
upgraded two of my machines to IM 4.5, with the Exchange update and now
they cannot communicate with each other.  They can send messages to the
Admin account, which is using IM 3.5, the version that came with
Exchange 2000.  Both of the machines cannot receive messages from
anywhere.  Kind of bizarre, anyone  have any suggestions?

Configuring the IMS on exchange 5.5 on a Win 2K Server

We have a pure NT4.0 SP6 environment into which I'm trying to introduce
a new exchange server running on Win 2K.

I have an Windows 2000 server SP2 with a copy of Exchange 5.5 SP4
installed and working.

When I go to set-up the internet mail service I get an error message
saying that I need to configure DNS.

We don't have a DNS server (although we do have Wins) as all DNS records
are held by our ISP. How do I go about configuring this feature.

IN NT4.0 SP6 with Exchange 5.5. SP4 it was possible to just enter a DNS
name with out the server IP.

Any pointers would be welcome.

Here's a weird one

We have a policy here that when a user leaves, the mailbox is hidden and all
mail addresses deleted for 30 days before the box itself is deleted. I've
just had a call from one user, who has delegate access to a users mailbox.
The user left at the beginning of December, and all mail addresses were
deleted around the 10th. This user is reporting that the mailbox is still
receiving mail - a clear month after all email addresses were deleted! Can
anyone give any input as to how an account with no associated addresses can
still receive mail?

Effectively, the DN is still enabled. Members of DLs are stored as DNs. So,
if you send to a DL it will fan-out into a set of DNs. Redirect the
mailbox to a dead letter box. I think replies may show the same problem.

1) Remove NT account and any other accounts on permissions tab
2) Remove all SMTP addresses
3) Remove mailbox from all DL's
4) Hide from address book
5) Set delivery restrictions on mailbox to only allow an admin mailbox to
send to it.

It's not that I didn't believe you, I just posted the question to several
lists at one time.

The question still remains, does the MIB have to be modified for each
individual server or can a generic (Exchange specific) MIB be created and
installed without futzing the SNMP service.

Logic tells me that I can use the generic Exchange MIB on all Exchange
servers regardless of configuration, however I'd like to confirm this one
way or the other prior to doing something that may cause smoke to escape the
components.

RE: OWA Login

Ahhha you where right! For some reason, the M: drive has been
changed to amvex.com instead of my domain amico.com. The drive is
M:\AMVEX.com\MBX\, according to the Exchange resource kit it needs the
SMPT for that address, (Amvex) in this case. I simply added
[EMAIL PROTECTED] to a user as a secondary address and it now works.

Problem I need to change this back to amico.com, can that be done? The
main domain is amico.com, however I'm also hosting an other company
called Amvex and need to be able to continue receiving mail for Amvex.
If I can change the M:\ to M:\amico.com\MBX, I can add secondary
[EMAIL PROTECTED] addresses for Amvex since the users are few.

How to I change the M:\ drive?

I am throwing myself on the mercy of you Exchange gurus who know a lot more than 
me  I am writing this message from my home account.  My work address is 
[EMAIL PROTECTED]

I thought I was open relay safe.  I found out I am not.  Sunday, I got hit with a 
massive SPAM campaign, and I fear I am still spamming people.  Can someone please help 
me so I am no longer an internet nuisance?!?

First, can you tell if my relay is still open?  Exchange 5.5 SP4 on NT 4.0 SP6a.  If I 
am, what do I need to do to close it?

I am able to get mail from outside the company, but our outbound queue is stuffed.  I 
know how to purge the imcdata\out and in dirs, but how do I purge my inbound/outbound 
messages awaiting conversion?

I am sending out 10's of thousands of SPAM messages regarding getting out of debt.  My 
IMS is running near 100% utilization handling all the NDR's my machine is getting.

I am desperate here,

Screwed Up Display Name

For 
whatever reason, it was decided that we would not use last names on our display 
names. This was cool up until a couple of weeks ago. Now when we send email, 
rather than the dispaly name showing up as just the first name, the display is 
showing (in my case) Clayton GDY when we send to hotmail etc. I have checked all 
the usualplaces, AD users and 
computers, and do not have any sort of recipient policy in place other than the 
default, which only dishes out our SMTP addresses. Where does this GDY come from 
(company is called Gameday), and how do I get rid of it. TechNet not too 
forthcoming on this one.

company I'm hosting. I just discovered yesterday that my M:\drive is
M:\wrongcomany.com\MBX or the company that he added. Can this be changed
back to m:\rightcompany\MBX\ ?

With alot of companies this isn't acceptable.  I for one have to keep the
account around until I do the month end backup.  Just in case for some
reason they need to access the former employees mailbox after they are gone
it is right there.  Makes it alot easier on the nerves.

1) Remove NT account and any other accounts on permissions tab
2) Remove all SMTP addresses
3) Remove mailbox from all DL's
4) Hide from address book

We have a policy here that when a user leaves, the mailbox is hidden and all
mail addresses deleted for 30 days before the box itself is deleted. I've
just had a call from one user, who has delegate access to a users mailbox.
The user left at the beginning of December, and all mail addresses were
deleted around the 10th. This user is reporting that the mailbox is still
receiving mail - a clear month after all email addresses were deleted! Can
anyone give any input as to how an account with no associated addresses can
still receive mail?

Well automate it. It's easy enough to do a script that goes round and
deletes mailboxes that haven't been touched for (say) three months. We mark
each one with Deleted Mailbox in CA10 and our script searches for this.

With alot of companies this isn't acceptable.  I for one have to keep the
account around until I do the month end backup.  Just in case for some
reason they need to access the former employees mailbox after they are gone
it is right there.  Makes it alot easier on the nerves.

Here is what I do to disable a mailbox:

1) Remove NT account and any other accounts on permissions tab
2) Remove all SMTP addresses
3) Remove mailbox from all DL's
4) Hide from address book
5) Set delivery restrictions on mailbox to only allow an admin mailbox to
send to it.

The NT account is deleted, I wasn't aware that exchange accounts could be
disabled - how is this done? All email addresses have been deleted. I've
since found out that it's only company-wide mails from d-lists that are
arriving there.

Here's a weird one

We have a policy here that when a user leaves, the mailbox is hidden and all
mail addresses deleted for 30 days before the box itself is deleted. I've
just had a call from one user, who has delegate access to a users mailbox.
The user left at the beginning of December, and all mail addresses were
deleted around the 10th. This user is reporting that the mailbox is still
receiving mail - a clear month after all email addresses were deleted! Can
anyone give any input as to how an account with no associated addresses can
still receive mail?

Can you help me kill Interorg?

All,

  I'm looking for any alternatives to using Interorg!  We have 2 different
connectors going to two different orgs and it's getting to be a burden.  It
will work great for a while and then it seems to go crazy sometimes.  I
thought about doing a export of the gals and an import to a specific
container at each org.  Can you doctor the export so that they import to the
destination org represents custom recipients?  Can you automate this?  I
seem to recall a utility, possibly on the resource kit that can help with
this, but I can't remember the name.

Any ideas?

Why do you have a smart-host entry on the virtual server?  Do you have
an upstream SMTP host that sends/receives from the Internet?  E.g.
MailSweeper, etc?  If you do, put this IP address into the SMTP
Connector, as the value here overrides the value in the virtual server.

Alright, I manage to send internet email(to my yahoo account) using a
test account on the new exchange 2000 server in the 5.5 site.  I can
also send a message from the test account to one of the users in the
exchange 5.5 server(Although it takes awhile to get to the recipient
instead of instantaneous...??).  I'm guessing this has something to do
with me adding a smart host on the virtual smtp server on exchange.

Things that don't work are:

-People from the internet aren't able to send or reply to the test
account homed in the exchange 2000 server.(this can probably be fixed by
neil's last suggestion)

-People from the exchange 5.5 server aren't able to reply or send email
to the test account located on the exchange 2000 server.

Am I missing something?  Possible connectivity between IMS and SMTP
Connector?

 space of something like hotmail.com, leaving the IMS address space at 
 *. Then send some test messages to Hotmail and make sure they're 
 delivered; Hotmail messages will traverse the SMTP Connector, the rest

 of the messages will go via the IMS.  Then raise the cost of the IMS 
 address space cost to something like 10, and change the SMTP Connector

 address space cost to 1.  *All* outbound mail will now flow via the 
 SMTP Connector.
 
 Then it's just a case of changing your inbound route, which depends on

 what you've got, e.g. changing your upstream SMTP host to talk to the 
 new E2k server, or perhaps modifying your MX records, etc.

Exchange 5.5 troubles with Mac's

I have an Exchange 5.5 SP4 server that works fine with the win2k machines on
my network, but is just starting to have problems with some macs.  I setup 5
macs on my network to use the server and it was working fine for a day and a
half, but now when they go to open outlook 8.2 on their Mac, it asks for the
login info, but then errors out saying they have network issues and to talk
to your administrator.  I am at a lost, as I am not a Mac expert.  The macs
are able to access network resources as well as the internet.  Any ideas?

i would start by upgrading to the new outlook for MAC, as it resolved some
issues we had on our network.

Seems like it can't authenticate with the DOmain controller, are you using
TCP/IP or Apple Talk ?

company? Did they simple add anther address to the recipients policy?

custom fields for email messages

Not sure if this is possible but I figured someone here would know.  

User just came up and asked me about organizing email messages in a folder.
Basically what he wants to do is sort them by subject and then under that
subject, sort by another field that he creates for each message.  For
example, all these emails have a common subject (Purchase Order, for
example).  He can sort by subject but then he also wants to classify them by
the department which submitted them.  The department number is nowhere in
the subject line.  Can a custom field be added to all these messages where
he can enter a department number and sort by it?  

Exchange 5.5, SP4 running on W2K, SP2.  Client in question is Outlook 2000.

We're running Exchange 5.5 with Small Business Server. Every few weeks we
have to reboot the server and that clears up the issues with Mac log on for
us.

Well automate it. It's easy enough to do a script that goes round and
deletes mailboxes that haven't been touched for (say) three months. We mark
each one with Deleted Mailbox in CA10 and our script searches for this.

With alot of companies this isn't acceptable.  I for one have to keep the
account around until I do the month end backup.  Just in case for some
reason they need to access the former employees mailbox after they are gone
it is right there.  Makes it alot easier on the nerves.

oh. My normal plan was to forward e-mails to supervisor or replacement for
awhile, remove from GAL and all DL's.  Eventually I nuked the mailbox.

Here is what I do to disable a mailbox:

1) Remove NT account and any other accounts on permissions tab
2) Remove all SMTP addresses
3) Remove mailbox from all DL's
4) Hide from address book
5) Set delivery restrictions on mailbox to only allow an admin mailbox to
send to it.

The NT account is deleted, I wasn't aware that exchange accounts could be
disabled - how is this done? All email addresses have been deleted. I've
since found out that it's only company-wide mails from d-lists that are
arriving there.

Here's a weird one

We have a policy here that when a user leaves, the mailbox is hidden and all
mail addresses deleted for 30 days before the box itself is deleted. I've
just had a call from one user, who has delegate access to a users mailbox.
The user left at the beginning of December, and all mail addresses were
deleted around the 10th. This user is reporting that the mailbox is still
receiving mail - a clear month after all email addresses were deleted! Can
anyone give any input as to how an account with no associated addresses can
still receive mail?

We're running Exchange 5.5 with Small Business Server. Every few weeks we
have to reboot the server and that clears up the issues with Mac log on for

i am afraid i can't help you, like i said we had problems with Domains,
althoguh that was on NT4.0 but moving to office 2001 or what ever it is for
the mac seemed to fix the problem.

I read this list to learn and sometimes it is difficult to know when you
guys are just playing...
The M drive is automatically mapped in Exchange 2000 when the Installable
file System (IFS) is created.  The information store is mapped as the M:
drive for Exchange 2000 clients who can then store any type of document in
the information store.  This M: drive is actually a portal into the
store.exe process.  It is automatically mapped to:
\\servername\BackOfficeStorage
The only way it would seem to me to change it would be to change the name of
the server - which I would think just might create more chaos!

But are you talking about the DEFAULT recipient policy?  If so, the
general consensus of opinion is to leave it alone, and create a new one.
So I'd think about putting it back to how it was.

Here is a loaded question, but I would seriously like an answer.  Is it possible to 
sufficiently harden Windows 2000 / Exchange 2000 to be a viable candidate at the 
firewall/DMZ level?  We are currently looking at using Sun boxes at the firewall level 
to pass mail in and out of the DMZ to our Exchange infrastructure.  I wanted to 
investigate whether it was possible to make the whole infrastructure Exchange and what 
risks are involved.  Can someone point me to specific articles discussing this topic?

Ok new we are near the real problem. Has this not worked for 6 months?
Or just recently not worked? What did the consultant do to add another
company? Did they simple add anther address to the recipients policy?

found putting a hosts file on the mac works, remember MACS cannot use wins to 
resolve, I bet if you put the IP of the Exchange box in tthe ms ecxhange 
settings the netbios name of the server will appera, but after that it cannot 
resolve the name.. best bet is a hosts file but to be honest I've forgotten 
where on the mac to put it such a long long time ago

Sync Errors

Hi i think you might 
be able to help me on this one, when we try and do a sync of any folder on our 
Exchange server, it throws up this error

I have no idea why, 
everything seems to be working fine otherwise, we have not had a problem until

I read this list to learn and sometimes it is difficult to know when you
guys are just playing... The M drive is automatically mapped in Exchange
2000 when the Installable file System (IFS) is created.  The information
store is mapped as the M: drive for Exchange 2000 clients who can then
store any type of document in the information store.  This M: drive is
actually a portal into the store.exe process.  It is automatically
mapped to: \\servername\BackOfficeStorage The only way it would seem to
me to change it would be to change the name of the server - which I
would think just might create more chaos!

It is actually a viruswall that scans and sends mail for inbound and only
sends mail via outbound.  Where do I put the Ip address on the SMTP
Connector?  Under smarthosts or routing group?  It says to either use dns
or smarthosts...however, in my dns, it is setup to have a primary mx
record of the viruswall server.

 Why do you have a smart-host entry on the virtual server?  Do you have
 an upstream SMTP host that sends/receives from the Internet?  E.g.
 MailSweeper, etc?  If you do, put this IP address into the SMTP
 Connector, as the value here overrides the value in the virtual server.

i would start by upgrading to the new outlook for MAC, as it resolved some
issues we had on our network.

Seems like it can't authenticate with the DOmain controller, are you using
TCP/IP or Apple Talk ?

It is actually a viruswall that scans and sends mail for inbound and

But are you talking about the DEFAULT recipient policy?  If so, the
general consensus of opinion is to leave it alone, and create a new one.

Tim,

Take a look at Categories for adding the Department. Get your user to add
all Departments to his Master Category List. Then add the Category
(Department) using View-Options in the Read window for each message. Then
use the Customise Current View (or Cretae a new view) to Group by Categories
and the sort by Subject.

Seems a lot of hassle to me but I guess we are here to serve!!

User just came up and asked me about organizing email messages in a folder.
Basically what he wants to do is sort them by subject and then under that
subject, sort by another field that he creates for each message.  For
example, all these emails have a common subject (Purchase Order, for
example).  He can sort by subject but then he also wants to classify them by
the department which submitted them.  The department number is nowhere in
the subject line.  Can a custom field be added to all these messages where
he can enter a department number and sort by it?  

Exchange 5.5, SP4 running on W2K, SP2.  Client in question is Outlook 2000.

The utility is called DirSync. It was designed to dirsync with mail systems
other than Exchange. It has to be said that the line-delimited nature of the
output files doesn't make your life easy either - reminds me a bit of FFAPI
files! I would say that the easiest thing is to automate an export (using
admin /e) , change the Obj-Class from Mailbox to Remote, move the
Primary Email Address (probably the address beginning X400:) to the Target
Address field (E-mail address) and re-import. Trouble is once you've done
this you have to make a choice - do you refresh ALL data every day (quite
possible if they are fairly small ORGS) OR implement a system where each
export will be a list of adds, deletes and modifies (that's where DIRSYNC is
useful).

Tim,

Take a look at Categories for adding the Department. Get your user to add
all Departments to his Master Category List. Then add the Category
(Department) using View-Options in the Read window for each message. Then
use the Customise Current View (or Cretae a new view) to Group by Categories
and the sort by Subject.

Seems a lot of hassle to me but I guess we are here to serve!!

Not sure if this is possible but I figured someone here would know.  

User just came up and asked me about organizing email messages in a folder.
Basically what he wants to do is sort them by subject and then under that
subject, sort by another field that he creates for each message.  For
example, all these emails have a common subject (Purchase Order, for
example).  He can sort by subject but then he also wants to classify them by
the department which submitted them.  The department number is nowhere in
the subject line.  Can a custom field be added to all these messages where
he can enter a department number and sort by it?  

Exchange 5.5, SP4 running on W2K, SP2.  Client in question is Outlook 2000.

connectors going to two different orgs and it's getting to be a burden.  It

destination org represents custom recipients?  Can you automate this?  I
seem to recall a utility, possibly on the resource kit that can help with

NT4 SP6a/5.5 SP4/Outlook (all flavors)

  We recently exmerged some users from one site another and removed the old
server and site from our org.  Everything worked great except all Outlook
clients attempt to connect to the old server at startup.  If you cancel it,
Outlook resumes and everything works fine.  Unfortunately it causes some
delay.  They have created new profiles, reloaded Outlook,  and no old
offline folders exist.

  Any ideas on what Outlook is looking for?

is my situation:

Wehave a single domain xxx.edu.We have Exchange 5.5 SP4 on 
NT4 SP6a (MAIL). Allthe staff and faculty are in this 
host.Wehave all the students in a Iplanet (Netscacpe) 4.x on Solaris 
6 (STUDENT).

We are 
curently using Sendmail on an ALPHA (Digital UNIX) server withan ALIAS 
file to redirect all our emails to the related host (MAIL or 
STUDENT).

We 
would like to have a SMTP host with LDAP to redirect our mail to the related 
host. This way we don't have to keep up with the ALIASES file. Everything will 
be done automatically thru LDAP.

Do you 
guys know of any solution to accomplish this?

to resolve, I bet if you put the IP of the Exchange box in tthe ms ecxhange 
settings the netbios name of the server will appera, but after that it

2000 if they are on the same site?  The viruswall only handles mail that
are going out and coming from the internet.  Is a smart host really
necessary to send mail locally?

 Can't you just put the IP address of the viruswall server into the

No, a smarthost isn't needed to send mail locally.  You've another
problem lurking there.  It was just that I've always put the smarthost
IP address (for external mail) on the SMTP Connector and not on the VS.
