I typically use an SMTP connector for the smart host versus the virtual
server.

The routing groups does add to the mix.  Good resolution, though.

I have 2 (2000 sp2) and battled for 5 hours with this so any tips would be

from the linux box!

Eventually gave up and punched a hole in the firewall for smtp out and dns
query the linux dns on its internal nic

You control the routing on your messaging servers, not the other way around.
I can have 5 Exchange servers with one pointing to a SendMail smarthost.
What problmes have you experienced in this situation?

The subdomain is reasonable.  The Linux box relaying unresolved recipients
to [EMAIL PROTECTED]  Each user would have to have both:
[EMAIL PROTECTED]
[EMAIL PROTECTED]
with the former being the reply-to (Set as Primary) address.

Additional admin to that, but an alternative.

exchange server and a smart host, even if you check send direct before
using smart host.. this will not however help you with which mail goes
where.. I would personally adjust the names to something like public.abc.com
and office.abc.com, alterativly you could change addresses to [EMAIL PROTECTED]
being the company and [EMAIL PROTECTED] could be a cust. recip that points
back to the linux box

The native SMTP services?  Or something like SendMail?

host upon failure?

Seeing how Microsoft's patches often fix issues which
Microsoft chooses not to document, this argument is
a bit lame.  The only way to know whether a hotfix
fixes one's problems is to install it and see what 
happern.

Generally MS advice is to not put on HotFixes unless they fix a particular
problem that you have as Jim said. Reading between the lines this means We
have attempted to fix a specific problem with this fix but have not been
able to test it fully enough to ascertain whether it will cause other
problems

Well, you've suggested applying hotfixes to 'fix one's problems'.

I am agreeing not to install hotfixes just because they exist.

Removing 1st Server in site

1st Server Exch 5.5 sp4 on NT 4 sp6a
New Server Exch 5.5 sp4 on W2k sp2

After following the Ed C server move instructions everything went smoothly
in the transition over the last week.  I carefully followed Q152959 (remove
1st Ex srv in site) and Q189286 (deleting srv from sit).  Yesterday I turned
off all of the exch services in the 1st server and just left it and
monitored the new exch server. No one complained of any problems and mail
flowed in an out without incident. 

This morning I executed the final piece and deleted the 1st server object
from the Administrator program. For what ever reason it created some objects
from the 1st server that I had specifically did not want to replicate in the
new server. Those objects were the Eventsconfig_1stServer and 3 public
folders used by Norton Antivirus.

In the past I have had ghosted eventsconfig folders when I added additional
servers to the site to test disaster recovery but have been able to remove
them with the events.exe /c command. This did not worked this time. Any
ideas on fixing?  Other than it being listed is there any harm in it sitting
there?

When I click on the NAV folder with an Outlook client I get Unable to
display the folder. The contents of the public folder are currently
unavailable. Either the MS Exch computer servicing this folder is down or
the public folder has not been replicated to this site.I was going to
highlight this PF object and try to delete Raw Object but thought I would
ask for some additional opinions first.

  Me too.  Similar situation.  Customer requires OOO-to-the-Internet to be
enabled.  Some user had set OOO to forward all his mail to an @home address.

RANT

  Messages sent by programs should either have a special SMTP reverse-path,
or a null reverse-path.  This is the way SMTP is supposed to work.  Why
can't Exchange get it right?

Providing you have no Events scripts running on this server (or perhaps you
have not even installed the Event service?), you will not suffer through
letting this object hang around.

Calendar views by Label

I have a user (on Outlook 2002) who would like to create a calendar view in Day Week Month view that shows only the label she picks. For instance, have a view that only shows 'personal' items or just 'vacation' items. I realize this is possible with categories, but she doesn't want to have to use them if possible.

I looked around but can't find anything. Is it possible? I can't imagine MS would add the ability to color code and not include those in the view options.

I install this patch because Microsoft list this under their 
security site as one of the security patch.
I take it from Microsoft all security patches need to be patched.

Well, you've suggested applying hotfixes to 'fix one's problems'.

I am agreeing not to install hotfixes just because they exist.

Seeing how Microsoft's patches often fix issues which
Microsoft chooses not to document, this argument is
a bit lame.  The only way to know whether a hotfix
fixes one's problems is to install it and see what 
happern.

I do not want to start another debate about the value of service packs, hot
fixes, and rebooting servers.  My boss is paranoid and insists on my
installing every security patch Microsoft puts out so I have no choice.  So
any comments will be directed to the wrong person.  He doesn't read this
list. That said.  Just a word of warning for those of you who are in my
position.  Read Q309622 before applying Q299687 Windows 2000 security hot
fix or the Q311401 Windows 2000 security rollup package.  It is a simple fix
but it took me a couple of hours to find it.

Ive got 
Exchange 2000 SP2 on my server.

I can logon to 
the IM when im on the LAN, but not when Im outside the LAN,.. like on 
the WWW.

The exchange 
server is on the extrenal LAN (the www). It worked fine until maybe a 
week or so ago.

Question for Exchange 2000 and Terminal Server

only problem I've had is errors due to a PDF printer installed on my workstation 
and not on the server.. this produced errors on logon only!.. otherwise I use it 
all the time.. works beautifully !!

I went into the Exchange Admin for 2000 and changed my Storage Groups to
use circular lagging and I got a warning massage about if you change this you
will only have online backups and you need to restart you store. Would this be an example of a
local message you are speaking of?

Recovery platform during migration from Ex 5.5 to 2k

Hi,

We are in the 
transition from Exchange 5.5 to Exchange 2k.
Existing platform is 
NT4.0 SP6a and Exchange 5.5 SP4.
Just some question 
on the recovery server, tothose of you who have gone through the 
process.

We intend to setup a 
recovery server during the process of migration, just in case anything 
goes
wrong we can fall 
back to Exchange 5.5. We have engaged a vendor to assist us. For 
me
since after the 
migration everything will be in win2k and active directory running, I will 
prefer the
recovery server to 
be win2k SP2 then install Exchange 5.5 with SP4. The vendor 
suggest
that the recovery 
server should still be NT4.0 SP6a and Exchange 5.5 SP4.

The recovery server 
is a standalone server, no DC or active directory will be running on 
it.
Should I use win2k 
or stick to NT4.0? Any preference or reasons?

How do I prevent users from using the option to open other user's Inbox
(FILE, OPEN, OTHER USER'S FOLDER...)?
Is this a default setting?

The application section of the Event Viewer is reports that several
individuals were logging on to other employee's mailbox when they were not
the primary NT account users.

permissions to do so.  Check the permissions for the mailboxes being

By default no one should be able to access other users stuff, so check to see if folks 
have delegated, otherwise, in the Exchange Management, you can edit the properties of

Event viewer shows when anything hits a mailbox, INCLUDING when someone looks at someone else's calendar, which is not really them looking at their mail. That may be what you are seeing.

If they truly are looking at their mail, the ONLY way that can be happening is if they have permission to do so. You need to check perms on all of those mailboxes. Check the delegations too.

The Event Viewer shows calendar access! If it says someone else hit the mailbox, it is 99% of the time because they looked at their calendar...well, that or your perms are toast

They can't by default, unless someone has gone to a specific mailbox on the Exchange server and added a user to someone's mailbox. Go to the mailbox in question on the EX server and check the permissions. By default, regular users should have permissions only to their own mailbox.

Be warned- you may be making much to do about nothing. If User A makes User B a delegate to a folder of their mailbox, when User B rightfully opens User A's folder, you will see that message in the event log.

OK I have been running on 2000 for almost a year now, so I am kind of out of touch 
with the 5.5 management interface. But...

Basically you need to do two things. In Outlook, on the users mailboxes who are being 
accessed, checked the Delegates tab in Tools|options to see if anyone is listed there, 
and then go to Exchange Admin, and under recipients, check the permissions on the 
mailboxes there as well.

By default, you cannot open other users mailboxes, so someone has changed these 
permissions at some point, so make sure to get a really big stick, and beat whoever 
did it soundly :-)

Have the people who's mailboxes are being opened delegated this to the
people who are opening them?

Is this Exchange 5.5?

By default no one should be able to access other users stuff, so check to
see if folks have delegated, otherwise, in the Exchange Management, you can
edit the properties of the mailboxes to deny access.

migration is a 2 step process.

There 
is a kb article on reversing a failed upgrade.
Alternatively, the migration paths are not really 
destructive to the source server. Up until mailbox moves, 5.5 can almost 
be unplugged from the network, and data recovered. 

I 
think you would maintain your old 5.5 recovery server on NT, since that is what 
the source server is on.

Microsoft chooses not to document, this argument is
a bit lame.  The only way to know whether a hotfix
fixes one's problems is to install it and see what

Changing sort order of GAL

Does anyone know of a way to change the sort order of the GAL in 5.5?  By
default it is sorting based on the first character of the display name, is
there a way to have it sort by the first character of the last name?  Or
can this be accomplished somehow by using Address Book views?

Mailbox problems

5.5 SP4 / NT4 sp6a / Various Outlook flavors

  We have a site that is reporting that when about 20 users open their
mailboxes in Outlook, it stops repsonding.  The admin had the user's try
other machines to access their mail and they still freeze.  He accesses
their mail with the same result.  Other than the 20 mailboxes, everyone else
is working fine.  No messages in the event viewer.  I'm trying to avoid a
eseutil due to the amount of downtime involved with a 15 GB database.  They
had to do this about a year ago due to the same symptoms and the ese fixed
it.  

Any ideas?

What could be causing Outlook 2000 not to process incoming NetFolder
messages? They build up, and until a user clicks on them they do not
process -- and when they are clicked on, it says, You shouldn't be seeing
this.  Outlook will now process the message

Our exact setup is that our users use a college POP3 server for their email,
but our in-house Exchange Server is running for Calendar Sharing and Public
Folders.  We restored the public folders from a PST that was extracted by
exporting all public folders in Outlook 2000, from a technology
administrator's workstation (full ownership access to all public folders).

Maybe I had the wrong terminology, but I guess to describe it, we are using
Net Folders using our Exchange Server's Global Address List to speed up the
delivery process -- if we used our normal campus email addresses for the
updates, it would be incredibly slow, and we have no control over how the
campus regulates it's email.  The Exchange Server is not storing the
calendars per se, they're stored on Personal Folders on each individual's
workstations.  Is there a better way to set this up, even though we
currently have 50 users with PST's on their own workstations, and a general
paranoia from upper management about a central server storing everything
would be too insecure?

You mention using an Exchange Server, but then the steps you describe
sound like sharing with Net Folders.  I.e. the user approving calendar
sharing, user not getting a response and sending updates.  That doesn't
sound like the data being shared is on the Exchange server.  Have you
imported the files from the saved PST back to the public folder or
private share?  Once that is done, you should be able to just give
permission and the users can just access it, without responses or
sending out updates or the Net Folder hassle.

My experiences with Exchange Server 5.5 SP4, Outlook 2000 SP1 (Corporate
Edition), and Calendar Sharing on Win2K Pro workstations haven't been
smooth, but here's something that has come up that really has me
boggled.

After a recent HDD crash on our Exchange Server, I was able to restore
our XCHG 5.5 SP4 public folders through a saved *.PST, but not the user
names, mailboxes, or any other previous settings.

After manually setting up each individual mailbox and their Active
Directory accounts, we were able to start sharing 3 user's calendars.
Unfortunately, the results have been:

1) One user starts sharing through the Global Address List, user
approves Calendar sharing responsibilities, and then the first user
either never gets the response back or seems to get it, but then doesn't
start sending the updates;

2) Another user was able to share her calendar successfully the same
way, but then all updates that were sent were not processed
automatically by the other user's Outlook;

3) Another situation where a contacts list was shared, and after sending
the initial round of 200 updates, never updated again.  Ever.  Calendar
sharing was still in operation, and updates were one way only -- from
the person who was given authorization to modify the contacts, to the
person who was sharing her contacts list.

What's going on?  How can I fix this?  Is it client side or server side?
All procedures listed are the ones we've always been following. We never
had any problems before the server crash

Does it happen 2o seconds or so after Outlook opens?  We had similar issues
at a small site and it turned out to be a dns issue.  Are all the users
affected or just a small pool?  Have you checked the possibility of name
resolution issues? dns, WINS?

Single Instance Storage my friend. Here is an example. Lets say a 10MB
attachment was sent to 10 people in your company. That 10MB of data will
stay there until it is deleted from the very last of the 10 people. 9 people

ran eseutil /d, the priv.edb only went from 8GB down to 6.4GB. I was really
hoping for about 5GB. Am I dreaming? If so, why? Why wouldn't eseutil
actually give back that space that is now in PST files?

need space for the temporary database so it can execute.  I have very
limited space, and I have to redirect my temp file to a workstation hard

experience with one server and one OS.. but it's the only way I know to
shrink that database back down. 

Your database is huge compared to mine; so you're looking at more than a few
minutes offline.

I've finally got a lot of mail archived to PST's. Probably about $GB in
various files. Now, as I think is usually the case, the priv.edb file size
has not shrunk (still 8GB). What the safest way to shrink this? While I
still have 5GB free on the array, I use NT Backup to backup Exchange to my
file server each night. That file then gets picked up on tape, which is only
40GB, and I've been at that limit forever, removing new things from the
backup each night to keep it under the limit. I need to cut this size down
if possible

  Yes, shortly after it opens up.  It is a small pool of users, but it
doesn't matter what client (PC) they try to use, they still freeze.  The
admin can access his mail from a client that locks up when one of the 20
tries to check theirs.

BackupExec 8.6 with BE Exchange Agent, but not using the OFO. Circular
logging is disabled.

In the Info Stores volume, we select the Information Store and Directory
(entries available because we use BE Exchange Agent) but not the file-level
priv.edb or pub.edb, of course, as they are open.

The Exchange DR white paper says that committed log files are backed up then

actually gets logged whether the attempt to access the resource was

Your 
Executive and Assistant need to swap the way they are on delegates. The 
assistant should be the delegate to the Executive's calendar, and should have 
the "Delegate receives copies of meeting requests sent to me" marked, and the 
assistant should be an editor on the Executive's calendar and possibly the 
Tasks. 

This 
setup should have the most success for them. If I were you, I would pay 
them a visit and set things up like that in their Outlook options and see if 
that doesn't change this situation. This is how we tell people to setup 
their delegates.

You 
can email me offline if you have other questions. I've dealt with this a 
lot, and it's a pain in the rear to get "users" to get this setup correctly, but 
when it's setup correctly, it works flawlessly.

SYMPTOMS

When you attempt to access another user's
mailbox or schedule, Microsoft Exchange generates the following event in the
Application Event log: 

Event ID: 1016 
Source: MSExchangeIS Private 
Type: Success Audit 
Category: Logons 
NT User DOMAIN\username logged on to John Doe mailbox, and is not the primary
Windows NT account on this mailbox. 

This occurs even if
you have permission to access the mailbox, and it occurs regardless of whether
your attempt is successful or unsuccessful. 



CAUSE

This behavior is by design. 

Exchange records Event 1016 in the Event Log regardless of how you set the
diagnostics logging level on the Information Store. 

The decision to log this error was made with security in mind. It is important
that any possible security breach be logged. If this type of logging were
suppressed, an actual breach of security would not be logged.

I am running Exchange 2000.

One of my depts has set up some public folders for some of their programming lists.  
They would only like retain the messages until they hit a certain qty or until they 
reach a certain age.

I can't seem to find where Exchange will do that on its own.  Am I missing it?

If Exchange will not do it on its own, is there any software out there to help me?

This 
error is logged whether someone successfully OR UNSUCCESSFULLY access a mailbox 
other than their own. Take note that the term "mailbox" refers to all 
folders contained within. Someone could just be fooling with the "open 
other user's folder" option and being denied. Or they could be accessing 
another users calender, tasks, etc that the other user intentionally shared for 
them.

confirm, yes, that is the event ID 1016, that shows up when you access someone's 
calendar that you have permission to access. I just accessed a co-workers 
calendar that he has shared with me and then checked the Event Log, and it

Yes I understand that it logs unsuccessful
attempts too. That still implies foul play though, if someone is attempting to
look at other users' mail. My question is concerning the innocent and
necessary function of viewing others' calendar. I have read in
documentation that an event is logged when that occurs, and have SEEN it
happen. If you look at the mailbox resources, you can see how other accounts
have hit a user's account, as it shows the LAST NT account to use that
box's resources, whether that is a service account or user viewing
calendar items.

When you attempt to
access another user's mailbox or schedule, Microsoft Exchange generates the
following event in the Application Event log: 

Event
ID: 1016 
Source: MSExchangeIS Private 
Type: Success Audit 
Category: Logons 
NT User DOMAIN\username logged on to John Doe mailbox, and is not the primary
Windows NT account on this mailbox. 

This
occurs even if you have permission to access the mailbox, and it occurs
regardless of whether your attempt is successful or unsuccessful. 



CAUSE

This behavior is by
design. 

Exchange records Event 1016 in the Event Log regardless of how you set the
diagnostics logging level on the Information Store. 

The decision to log this error was made with security in mind. It is important
that any possible security breach be logged. If this type of logging were
suppressed, an actual breach of security would not be logged.

That event is logged when someone reads another 
user's calendar, not just when they access their mail.

I'm going to add a comment also, because we had a 
similar situation. You are referring to event 1016 in the Application log, 
correct? This event actually gets logged whether the attempt to access 
the resource was successful or not. Take a look at 
Q173692. This should answer your question.

How do I prevent users from using the option to open 
other user's Inbox (FILE, OPEN, OTHER USER'S FOLDER...)? Is this a 
default setting? 
The application section of the Event Viewer is 
reports that several individuals were logging on to other employee's 
mailbox when they were not the primary NT account users.

Properties on a public folder has a tab called limits

I'm not sure about number of items, but certainly you can limit folder size
and age of contents.

You can also set this with the pfadmin utility from the Exchange2000
Resource Kit.

I am running Exchange 2000.

One of my depts has set up some public folders for some of their programming
lists.  They would only like retain the messages until they hit a certain
qty or until they reach a certain age.

I can't seem to find where Exchange will do that on its own.  Am I missing
it?

If Exchange will not do it on its own, is there any software out there to
help me?
