RE: [LegacyUG] Sort Number Portion Numerically?

2007-09-18 Thread ronald ferguson

Pam,

If I remember correctly the discussion was about sorting files in numerical
order. They are not without a filename but have the same file name preceded by
a number variable.

I am just now reading some old messages on Legacy UG and I am not
understanding something basic -- why would anybody have a picture filename
that is just a number? I sort pictures by name of subject--and type of
subject matter. Obviously I'm missing something, including the beginning of

Rob:
This is not a Legacy problem. It is a Windows / computer feature.
If you want the files to sort correctly you will need to use something
like

this:

MS0001 - file name.tif
MS0010 - file name.tif
MS0100 - file name.tif
MS0002 - file name.tif
MS0020 - file name.tif
MS0200 - file name.tif
MS0003 - file name.tif
MS0030 - file name.tif

The trick is to use the same number of digits each time. Your name scheme
basically uses a blank after the digit and that is why it gets sorted
early.

Well, if you are Claire, then so am I!

My filing system is very simple with each document given a Section
(indicated by letters) and a page number. So a Birth Certificate in the
"paper" file might be marked C3 because it's in the Documents &
Certificates folder, Certificates section, page 3. The name of the
electronic file which is the scan of that Certificate would be "C3 Birth
Certificate John Doe 123" - the extra information after "C3" being to
make it easy for me to recognise the contents of a file at a glance and
the "123" being John Doe's RIN.

I do not use - anywhere - the MRIN, and as for using it for filing
documents ... this seems to me to be extraordinarily complicated: filing
some stuff with a person's parents number, other stuff with their own
number! Everyone in my file as a UserID but this is partially comprised
of the RIN, so John Doe's UID might be D3.123."

Every document connected to John Doe will be filed according to the
nature of the document - Certificates in the Certificates & Documents
folder, newspaper clippings in the Newspaper, Periodicals & Directories
folder and so on and anywhere John Doe's name is mentioned his UserID
will be written alongside. Where a document - let's say an e-mail from a
relative - gives information about several different family members I
only need ONE copy of the e-mail but I can see at a glance exactly who
are all the people mentioned (by RIN or UserID) and by looking at the
Source for any Fact/Event I can discover exactly where/what the relevant
document/file is.

Easy! And economical too!

RE: [LegacyUG] Sort Number Portion Numerically?

2007-09-08 Thread Linda Altman
Many programs - including windows 2000 sorts MS1, MS100, MS2, MS200 etc
If you want to sort correctly no matter wha, you should number the files as
MS01, MS02, MS03, MS100, MS200 etc. By placing a leading zero as a place
hold it will always sort correctly. If you plan on having more than 999
files then use 2 leading zeros.

2007-09-08 Thread ronald ferguson

Rob,

Please note that file names should not contain spaces or commas the use of
"-" and "_" as spacers is acceptable.

The reason for this is that if you ever come to use them in web pages then
they simply will not work as the space and comma characters either do not
work or are replaced in html. In my view, whilst there may be no intention
of ever creating web pages when starting out in genealogy, it is better to
make the names future proof from the outset.

Hi Ralf:

My naming system is pretty simple (too simple apparently - OW!). But a "new
and improved" example of a file description is below:

ms00175 - SMITH, John (1884-1919) baptism registration [RIN9].tif
ms00200 - SMITH, John (1884-1919), DOE, Jane (1886-1930) marriage
registration [RIN9], [RIN43].tif

I wanted something descriptive (name, lifespan, and document type), that
contained the Master Source ID#, and the person's RIN# all for searching. I
put the RIN# in square brackets so I could (for example) search for [RIN9]
and only get that person's files, not [RIN99], [RIN999] etc. The new and
improved "ms00175" will make searching by ID# more smooth.

Like I said it is pretty simple, but I don't know if it will work for your
MRIN filing system.

Hopefully someone else will reply to your query.

Thanks,

Rob

Sorry Ralf, for some reason Outlook shoved the two file names together. It
should have read:

ms00200 - SMITH, John (1884-1919), DOE, Jane (1886-1930) marriage

Apparently not my night!

Rob:
This is not a Legacy problem. It is a Windows / computer feature.
If you want the files to sort correctly you will need to use something like
this:

MS0001 - file name.tif
MS0010 - file name.tif
MS0100 - file name.tif
MS0002 - file name.tif
MS0020 - file name.tif
MS0200 - file name.tif
MS0003 - file name.tif
MS0030 - file name.tif

The trick is to use the same number of digits each time. Your name scheme
basically uses a blank after the digit and that is why it gets sorted early.

RE: [LegacyUG] Sort Number Portion Numerically?

2007-09-07 Thread Rob Miller

Thanks,

Rob

Sorry I don't know the answer, but I am curious what other information you
include in the file name. I am just starting to file my documents using the
MRIN system, and need to come up with a good electronic file naming system.

Hi Cathy:

Yeah, the land of zero's here I come. Thanks for the idea about the batch
filename changing programs and working in Access. That will definitely help
reduce the rewrite time.

Hi Rob,

That's the way Windows sorts isn't it?

I always put in the zeros.

To add zeros without doing a heap of reattaching, you'd need to change the
filenames and then find them in Access and change them there as well.
There are batch filename renaming programs. Some are more complex than
others.

Re: [LegacyUG] Sort Number Portion Numerically?

2007-09-07 Thread Leon Chapman
Rob:
This is not a Legacy problem. It is a Windows / computer feature.
If you want the files to sort correctly you will need to use something like
this:

MS0001 - file name.tif
MS0010 - file name.tif
MS0100 - file name.tif
MS0002 - file name.tif
MS0020 - file name.tif
MS0200 - file name.tif
MS0003 - file name.tif
MS0030 - file name.tif

The trick is to use the same number of digits each time. Your name scheme
basically uses a blank after the digit and that is why it gets sorted early.

But I do like your example with small letters instead of capitals. The small
letters let the numbers stand out more.

Rob, Sort or file your number by:
ms1
ms2
ms3

This will keep everything numerically. Just start with enough zeros in front
my file has 6 figures so started with 01

Rob Miller, Hello
I don't know that you can tweak Legacy but what I do is always 4 digit
numbers. That is 0001, 0002, 0010, 0020, 0100, 0200 etc. This always keeps them
in order

I have currently have the scans of my documents named in a manner similar to
below. Windows recognizes that 2 comes after 1, 3 after 2, etc. So all is
well.

MS1 - file name.tif
MS2 - file name.tif
MS3 - file name.tif
MS100 - file name.tif
MS200 - file name.tif
MS300 - file name.tif
MS1000 - file name.tif
MS2000 - file name.tif
MS3000 - file name.tif

However, when trying to attach a file/picture to a Master Source, Legacy
lists the files in this manner below. Trying to find the right one is a bit
of a pain when dealing with a great number of files.

MS1 - file name.tif
MS100 - file name.tif
MS1000 - file name.tif
MS2 - file name.tif
MS200 - file name.tif
MS2000 - file name.tif
MS3 - file name.tif
MS300 - file name.tif
MS3000 - file name.tif

Is there a way to tweak Legacy to get the Load Picture window to "sort
Number Portion numerically" like the File ID Assistant window does with File
ID's?

Thanks!

It may turn out to be the only way, but I was hoping there might be a "click

This is not an ideal answer, but it might be your most "workable" one.
Consider what your highest number might be. Let's assume for this purpose it
will be 45819 at the very, very most.

To get it to sort correctly, pad it. That number is five digits, so make
sure each number is five digits long. Example using your names:

MS1 - file name.tif
MS2 - file name.tif
MS3 - file name.tif
MS00100 - file name.tif
MS00200 - file name.tif
MS00300 - file name.tif
MS01000 - file name.tif
MS02000 - file name.tif
MS03000 - file name.tif

Longer filenames, granted, but it works. When that is sorted, it will appear
in the correct order. Will this work for you? Let us know.

Re: [LegacyUG] Sort Number Portion Numerically?

2007-09-07 Thread Wayne Martell

I think your only way will be to renumber them as:

MS0001 - file name.tif
MS0002 - file name.tif
MS0003 - file name.tif
MS0100 - file name.tif
MS0200 - file name.tif
MS0300 - file name.tif
MS1000 - file name.tif
MS2000 - file name.tif
MS3000 - file name.tif

I have currently have the scans of my documents named in a manner similar to
below. Windows recognizes that 2 comes after 1, 3 after 2, etc. So all is
well.

MS1 - file name.tif
MS2 - file name.tif
MS3 - file name.tif
MS100 - file name.tif
MS200 - file name.tif
MS300 - file name.tif
MS1000 - file name.tif
MS2000 - file name.tif
MS3000 - file name.tif

However, when trying to attach a file/picture to a Master Source, Legacy
lists the files in this manner below. Trying to find the right one is a bit
of a pain when dealing with a great number of files.

MS1 - file name.tif
MS100 - file name.tif
MS1000 - file name.tif
MS2 - file name.tif
MS200 - file name.tif
MS2000 - file name.tif
MS3 - file name.tif
MS300 - file name.tif
MS3000 - file name.tif

Is there a way to tweak Legacy to get the Load Picture window to "sort
Number Portion numerically" like the File ID Assistant window does with File
ID's?

Thanks!

Rob

Rob, Sort or file your number by:
ms1
ms2
ms3

This will keep everything numerically. Just start with enough zeros in
front my file has 6 figures so started with 01

Rob Miller, Hello
I don't know that you can tweak Legacy but what I do is always 4 digit
numbers. That is 0001, 0002, 0010, 0020, 0100, 0200 etc. This always keeps them
in order

Re: [LegacyUG] Sort Number Portion Numerically?

2007-09-07 Thread Robert Carneal USA

Rob-

This is not an ideal answer, but it might be your most "workable" one.
Consider what your highest number might be. Let's assume for this
purpose it will be 45819 at the very, very most.

To get it to sort correctly, pad it. That number is five digits, so make
sure each number is five digits long. Example using your names:

MS1 - file name.tif
MS2 - file name.tif
MS3 - file name.tif
MS00100 - file name.tif
MS00200 - file name.tif
MS00300 - file name.tif
MS01000 - file name.tif
MS02000 - file name.tif
MS03000 - file name.tif

Longer filenames, granted, but it works. When that is sorted, it will appear in
the correct order. Will this work for you? Let us know.
