RE: [LegacyUG] Sort Number Portion Numerically?
Pam, If I remember correctly the discussion was about sorting files in numerical order. They are not without a filename but have the same file name preceded by a number variable. I am just now reading some old messages on Legacy UG and I am not understanding something basic -- why would anybody have a picture filename that is just a number? Re: [LegacyUG] Sort Number Portion Numerically?
wrote I've always wondered why, if all documents are linked to Legacy, the file name needs to be complex. I just number my documents consecutively - though I lead with DOC. If I'm looking for John Smith's birth certificate, I would look at John Smith in Legacy - not try to find the file in my documents folder. Am I missing something? Well, if you are Claire, then so am I! My filing system is very simple with each document given a Section (indicated by letters) and a page number. So a Birth Certificate in the "paper" file might be marked C3 because it's in the Documents & Certificates folder, Certificates section, page 3. The name of the electronic file which is the scan of that Certificate would be "C3 Birth Certificate John Doe 123" - the extra information after "C3" being to make it easy for me to recognise the contents of a file at a glance and the "123" being John Doe's RIN. I do not use - anywhere - the MRIN, and as for using it for filing documents ... this seems to me to be extraordinarily complicated: filing some stuff with a person's parents number, other stuff with their own number! Everyone in my file as a UserID but this is partially comprised of the RIN, so John Doe's UID might be D3.123." Every document connected to John Doe will be filed according to the nature of the document - Certificates in the Certificates & Documents folder, newspaper clippings in the Newspaper, Periodicals & Directories folder and so on and anywhere John Doe's name is mentioned his UserID will be written alongside. Where a document - let's say an e-mail from a relative - gives information about several different family members I only need ONE copy of the e-mail but I can see at a glance exactly who are all the people mentioned (by RIN or UserID) and by looking at the Source for any Fact/Event I can discover exactly where/what the relevant document/file is. And economical too! -- Jenny M Benson Legacy User Group guidelines: http://www.LegacyFamilyTree.com/Etiquette.asp Archived messages: http://www.mail-archive.com/legacyusergroup@legacyfamilytree.com/ Online technical support: http://www.LegacyFamilyTree.com/Help.asp To unsubscribe: http://www.LegacyFamilyTree.com/LegacyLists.asp
RE: [LegacyUG] Sort Number Portion Numerically?
Many programs - including windows 2000 sorts MS1, MS100, MS2, MS200 etc If you want to sort correctly no matter wha, you should number the files as MS01, MS02, MS03, MS100, MS200 etc. By placing a leading zero as a place hold it will always sort correctly. If you plan on having more than 999 files then use 2 leading zeros. RE: [LegacyUG] Sort Number Portion Numerically?
Rob, Please note that file names should not contain spaces or commas the use of "-" and "_" as spacers is acceptable. The reason for this is that if you ever come to use them in web pages then they simply will not work as the space and comma characters either do not work or are replaced in html. In my view, whilst there may be no intention of ever creating web pages when starting out in genealogy, it is better to make the names future proof from the outset. Hi Cathy: Yeah, the land of zero's here I come. Thanks for the idea about the batch filename changing programs and working in Access. That will definitely help reduce the rewrite time. Re: [LegacyUG] Sort Number Portion Numerically?
Rob: This is not a Legacy problem. It is a Windows / computer feature. If you want the files to sort correctly you will need to use something like this: MS0001 - file name.tif MS0010 - file name.tif MS0100 - file name.tif MS0002 - file name.tif MS0020 - file name.tif MS0200 - file name.tif MS0003 - file name.tif MS0030 - file name.tif The trick is to use the same number of digits each time. Your name scheme basically uses a blank after the digit and that is why it gets sorted early. [LegacyUG] Sort Number Portion Numerically?
I have currently have the scans of my documents named in a manner similar to below. Windows recognizes that 2 comes after 1, 3 after 2, etc. So all is well. MS1 - file name.tif MS2 - file name.tif MS3 - file name.tif MS100 - file name.tif MS200 - file name.tif MS300 - file name.tif MS1000 - file name.tif MS2000 - file name.tif MS3000 - file name.tif However, when trying to attach a file/picture to a Master Source, Legacy lists the files in this manner below. Trying to find the right one is a bit of a pain when dealing with a great number of files. MS1 - file name.tif MS100 - file name.tif MS1000 - file name.tif MS2 - file name.tif MS200 - file name.tif MS2000 - file name.tif MS3 - file name.tif MS300 - file name.tif MS3000 - file name.tif Is there a way to tweak Legacy to get the Load Picture window to "sort Number Portion numerically" like the File ID Assistant window does with File ID's? Thanks!
