The IDs of deleted items are stored in the file for 90 days. Only internal 
IDs are stored, not the content. It is needed in case you sync to an older 
file so that deleted IDs sent to this file and the items (tasks, contexts 
etc) are deleted there as well. After 90 days the IDs of deleted items are 
cleared from the file.

[MLO] Re: Annoying 'feature' - mouse click selects area rather than item

Hi Iain,

It is a side effect of "One click edit mode" switched ON by default in MLO. 
In this mode when you click the task title in the outline it switched to 
the edit mode without delay. It is helpful if you edit the title of the 
tasks frequently. 

If you switch this mode OFF you will get the behaviour you want with 
drag:  Tools->Options->Behaviour 

Please let me know if it works as expected now. 

I am not sure if I can keep both modes active though.

Yes, by default there is a limit of 10 cloud files (not MLO projects) that 
a user can synchronize with one account.

This is more of a limitation than a problem. Since we pay Amazon Web 
Services for each request to the MLO cloud, we had to set a limit to 
prevent abuse of the system and control the workload. 
The limit we set is satisfactory for almost all of our users. In addition, 
we can increase the limit manually for some users who request it.
In the future, we will consider how to optimize this behavior for users 
requiring more resources while keeping the load manageable.

a short update on our status. I managed to move my family out of Kharkiv 
and we are more or less safe now. 
Alyona is still in Kharkiv :( and I had a short conversation with her - she 
is fine if I may say so
The rest of the team either in Kharkov or moved to other Ukrainian places

I still cannot believe this is happening to all us...

Michel,

I think I understand the reason of the issue. When you change a view on a 
tab it is changed only for this tab until you save it. 
If you want to use the changed view on other tabs or in "Move to " window 
you need to save it. Just find the button in the bottom of the filter 
settings on the left panel and click "Save"

I've just changed the download URL to this one to avoid confusion:

The portable version is here:

Again this is a temporal location of version 5.1.2. Once the ceritificate 
gain full reputation everybody will receive this and future updates  from 
the normal location.

Thanks for bringing this confusion to my attantion. I thought that this 
certificate transition will take just a few days, but it still needs more 
time.

It is not a beta. The URL is correct. The version 5.1.2 is released only to 
some users. The reason is that we updated the code sign certificate 
recently. Now Microsoft shows a warning that this installation is not 
verified each time user downloads the update. The warning will be shown 
until many users download and install the update and as a result the 
installation and the certificate builds the reputation. Only Microsoft 
knows how many users should download the update to remove the warning. So I 
decided to give the update only to some users so that the new users install 
previous version without this warning from Microsoft Smart Screen. Once the 
new certificate receive enough downloads and builds the reputation each new 
update will not have a warning. Three years ago this process took only a 
few days. Now they changed something and even after two months we still see 
this warning about the new certificate. After investigation we descovered 
that many developers reported that this time frame is a normal novadays.

Sure there are no tasks or response time :) You just install the builds 
from the beta (not public) upgrade line and work with MLO as you usually 
do. When I release new features I just ask the team to try them and report 
in the group findings/suggestions if any. So the beta version usually has 
more features and you have an opportunity to influence how these functions 
appear to the public.

There are only selected people on the team who showed they are interested 
in MLO improvements. This is why I invited you :)

I do not remember any critical issues with betas. In 99.9% it is as stable 
as public. You may ask the beta team. But anyway as you know backup is 
always a very good thing.

Andrey is here, the developer. First of all, let me say that I am very 
sorry to hear that you had issues with wifi sync.

You are right that such issues are very hard to deal with, especially if 
you cannot reproduce the problem. From our experience in most cases, it is 
related to the network or firewall configuration issues.

closed team of beta testers who always run the beta version with extended

your data file which which is obfuscated by you before sending. We will 
provide all the details. I hope you still have an old backup file where you 
could reproduce the sync issue.

Thanks for that Dan. Yes, the support agents just did not know what to 
answer. They were waiting for analysis from the developers (and from me 
personally) and as you know this is usually a bottleneck. I am sorry about 
that. With your help, however, I think we could now analyze the issue again 
more effectively to avoid it in future for your and for others.

Yes for now start/due date/time of the tasks are synced to the calendar as 
start/due date/time as well. What would be your proposition? An option to 
not sync start date and use mlo due as start and due for the calendar? I.e. 
create an appointment with zero length?

Hi all,

The error is very strange. I get it myself once in 5-7 attempts to 
synchronize. 

The strange thing is that the key that is transmitted is correct. All API 
calls are the same. However, one of these several completely identical 
requests produces this error from the google service, and the others work 
out correctly. There is currently no way to report this issue directly to 
Google, as they do not provide support for synchronization issues, and we 
can only rely on their forum. I am closely monitoring this problem and hope 
that more information will appear soon, since, probably, many developers 
have encountered this problem. 

In the MLO code, nothing related to the sync with the calendar has changed, 
and Google has not announced any changes. We will let you know once there 
is any update. 

We apologize for the interruption and thank you for your understanding.

Yes I understand the problem. However with the current tree view control I 
could not find a good and easy way for rows without counters to use all the 
space. I will try to look into it again later.

For now if you do not use counters just turn off all of them and the space 
will be used by view name.

1. Click Manage views...
2. Expand all views in Mange Views window (important)
3. Select all views (Ctrl+A)
4. Uncheck "Show Counters" on the right.

Hello Jakob,

What is the size of your MLO data file (*.ml)?
Some people reported that they added many hi res icons to MLO and data file 
is very big as a result. It takes time to save big files to the disk. 
Besides if you use network drive or slow drive to store *.ml file it may 
affect the performance. So in this case deleting unused icons from MLO will 
help to reduce the data file and there should not be any lags anymore.

Please let me know if the information above is helpful for your case.

I am very sorry that you faced such an unpleasant situation with MLO wifi 
sync not working on your network. 

WiFi sync was designed as an alternative to robust cloud sync for those who 
do not want to sync their data outside. Generally your desktop and mobile 
should be on the same network and nothing should prevent the connection 
(firewall, antivirus, any custom network settings and policies by admins 
etc, etc). WiFi sync works just fine for 99.9% of our users for many years. 
But some users do report connectivity problems which could not be resolved 
from our side.

Unfortunately we usually cannot help with any custom network configuration 
which prevent MLO on mobile to connect wifi sync service on desktop. Simply 
because we cannot control these settings. And if there are several routers 
involved with complex policies it is even more harder.

We usually investigate MLO wifi sync logs and if there is no information 
about the problem we could not help. Simpy because usually no information 
is sent to MLO since the connection is blocked for security reasons for 
example by external services.

If wifi sync is essential feature and it does not work on your network we 
could provide the full refund for sure. Just let us know on support email. 
If you still need any help from our side we will be happy to do all we can.

As to the hack you can try to disable reminder syncing completely:

In MLO5:
Menu: Syncronization->Configuration->MLO Cloud->Advanced->Do not sync 
reminders.

If you check it then setting reminder on one device should not set it on 
other device after the cloud sync. 

I personally did not check it after the time it was intially implemented so 
please let me know if it works for you as expected.

Yes I heard the request, thank you! I thought about this feature myself and 
the preliminary idea is to have 3 reminder modes on desktop:

1. Normal - reminders work normally as it is now.
2. Inactive - remindes do not disturb you but if there is a reminder there 
will be an noticable icon in the staus bar. If you click it - you see the 
active reminders. Inactive mode could be set for N min/h or forever.
3. Disabled - no reminders and no icon in status bar about it.

[MLO] Re: Permissions and Cloud sync problems/errors

Hi Teek,

It looks like MLO does not have permissions to write the files. 

1) It needs permissions to write the data file (*.ml) to your documents 
folder or other location you choose. In MLO just select File->Save As.. and 
select a folder inside your Documents where there is a write permission for 
the apps. It is a normal situation when apps do not have write permissions 
to the "Program Files" folder.

2) It is strange that MLO could not create tmp file for sync. Such files 
are created in a special location for temporal files where all apps should 
have write permissions for the current user. 

So to me it looks like you installed MLO in a way it could not access basic 
locations to write files with the current user. Did you install MLO normal 
way?

You can not exclude empty folders from counters. However since the counter 
shows the number of task in the current view you can create a view which 
does not include items you do not want to count.

not reported as positive by any anti-virus:

[MLO] New in MLO for Android: Counters for tasks

In the recent MyLifeOrganized update for Android you can see the count of 
different tasks for views in your task lists!

This functionality allows you to glance quickly over the list of views and 
understand how many different tasks require your attention. You don’t even 
need to open each view.

For example, you can see how many tasks in your Inbox waiting for your 
processing, even not revealing this view. Or you can see that there is an 
overdue task appeared in the Active Actions view even without opening it.

As you know, MyLifeOrganized app offers maximum flexibility. Therefore, the 
most important thing in the new feature is the ability to decide what type 
and what kind of tasks are important to you in the current view: All, 
completed, not completed, started or overdue.

Autosync - start sync on app start/exit automatically. 
PUSH - device starts sync even in background if cloud changed
If you disable PUSH you will save more battery. But you will need to start 
app to get the latest updates from cloud.

It depends on how you are using the sync. If all your tasks in MLO Cloud 
then just create new empty local file in MLO desktop and sync it to the 
file on Cloud you used.
If you did not sync then you can find a backup file *.bak which is created 
each time MLO saves data. Just copy it to a file with name *.ml and open in 
MLO.
If you configured advanced backup (as MLO suggested) you will find backup 
data for days, weeks and months back in the location you specified.

Flags already implemented and we are finishing the tests with the beta 
team. We are solving the issue now when the same flag should look a bit 
different on different platforms after sync to be consistent with design of 
this platform (iOS, Android, Windows).

Activation Code which start with 7: is from Windows version.
If you have code for MLO-Android it should start with  6: for version 1 and

[MLO] Android PUSH sync in pubic beta

We have just released the first public beta version with PUSH sync 
functionality on Android. If you want to try it, just install this beta 
from the link below over your current MLO-Android version.

*How to configure PUSH to work*
1. Install new public beta over your current version or as new installation 
(third party apk installation permission should be ON on your Android to 
install the apk)
2. In MLO settings switch ON push and autosync 
(Settings->Synchronization->Cloud)
3. Change any task in MLO-Android and perform one manual cloud sync to 
register your device for PUSH on cloud. 
4. From this point completely forget about any manual sync with MLO cloud 
on your android.

Once final version is released you can install it over this beta normally. 


*A few nice facts about new PUSH sync in MLO on Android:*
- all changes will be delivered to MLO-Android in 10-20 sec after you 
synced them to the cloud from other devices.
- if no Internet connection on your Android device that time then the 
changes will be delivered once connection is restored
- if you made any changes in MLO-Android while it was offline then they 
will be delivered to MLO cloud in background once connection is restored 
(no need to run MLO)
- the sync will work for any MLO-Android profile (not only for active 
profile)

As I said no need to bother about cloud sync on MLO-Android anymore at all. 
It is fully automatic now.


Please let me know if comments if new PUSH sync works for your. 

*Important note: *
1) It is NOT needed to install this public beta for the beta team.
2) It is NOT needed to install this public beta if we sent you other beta 
personally to fix bugs like keyboard problem. We will inform you when you 
can upgrade to the public release with your fix included to it.

Yes we are using SSL when syncing to MLO cloud. It means the transfer is 
encrypted. 
WiFi sync relays on encryption provided by WiFi network. We do not 
implement additional encryption there.

[MLO] PUSH and background sync released in MyLifeOrganized for iOS. Soon for Android.

In the latest iOS update we released one of the most awaited functionality 
- the PUSH synchronization from the cloud. The PUSH notification is needed 
for MLO on iOS devices to receive updates you made on other devices via MLO 
Cloud automatically and in background i.e. even without opening MLO app on 
your iPhone or iPad.

Hi Graham,

The main idea or archiving is to clear your data file to keep performance. 
The more tasks you have in MLO data file the longer MLO starting up and 
building views. It is not a problem even with big files with the sync on 
daily basis since only changed tasks are sent to the cloud. But if you ever 
want to fully re-sync or sync to a new data file it could take much time if 
you have more than 4k-7k tasks in your list. 
So the archiving is necessary to keep things happen faster. The new version 
will warn about moving old completed tasks to archive before sync if you 
have too many of them. 

If you want to remove tasks from view but still have them in the file it is 
not archiving. You can do it with views. For example you can create special 
flag and mark such branches with this flag. Then you can setup some views 
to ignore such marked branches and other views to include them. You know 
MLO is extremely flexible )

 in MLO is a very special place. 
- it is the place for Inbox view
- it is the home for  Rapid Task Entry tasks
- it is the home for Task By Email
- it is the home for the tasks which could not find parents due to 
different conflicts in move and/or sync
- it is the home for any other tasks MLO could not find where it to place
there are maybe other usage I could forget.

With such wide usage of the  the MLO system should be sure that this 
place exists on each platform and it is the same place for all of them.
Since MLO is very flexible and each user may have completely different 
outline structure we decided that  is the *first folder with such 
name in the outline root*. If it does not exist - it is created 
automatically just before using. We designed it a long time ago and it 
works this way for all platforms and cloud now. 

The functionality of moving  to other location and still receive TBE 
to it is not documented. It can be changed later during any bug fix.

P.S. I have just checked and even if you rename  to other name after 
moving it from the root to other location it still receives the task by 
email. This is very strange even for me now...

In my opinion the power user is not who completed *all* the tasks. The 
power user is who knows for sure which tasks are not completed yet and why 
:-)
The new tasks filling my list much faster than I can complete them also :-) 
This is why I developed MLO.

I cannot find you bug report about crash with Ctrl-X.

Could you please send me a demo data file where I can reproduce the issue 
with steps?
If the issue does not occur all the time what is the high probability steps 
for it to show up?

You can share only selected files form your cloud account to another cloud 
account(s). 
If you share one cloud account with other people you cannot restrict them 
form seeing all profiles in this account.

on your iPad in time of the purchase.

If you uninstalled MLO 2 from iPad already then install it again from 
"Purchases" section in AppStore app on your device. This is needed since

Yes you are right. This is the restriction of MLO Cloud sync service. The 
table which contains tasks does contain a limit for the task title for 255 
characters.

Answering your questions:

no, it is truncated on cloud side and synced back to any MLO client.

To keep cloud performance we do need to set a limit for the task title. We 
set it to 255 chars. All what is longer than 255 chars should be placed to 
notes by user.

It was introduced in the initial cloud version back in 2010 year and it was 
never changed. I do not remember that anyone for 6 years mentioned that it 
is a problem to have such limitation. 

Maybe we need to rework the clients and copy the long task titles to the 
notes just before the sync. Or probably better to set the limit for the 
control not allowing 255+ chars in the task title to avoid the issue.

Hm.. you are right. No such option. I remember that MLO detected that you 
do not sync for too long to Outlook and proposes to disconnect. 
If you want to do it manually probably the best way to copy/past your tasks 
to the new data file.

Hi Joel,

First of all I understand your concern and will try to help. Thank you for 
such detailed explanation. 

I see that you have quite complex setup. You sync two branches to other 
files located on a network drive and wifi sync to Android. It requires time 
for analysis considering 1.5 Mb of log you sent to me. Besides it is 
difficult to understand the full picture without having the same setup 
locally.

>From the logs you sent to support and the the screenshot I see the 
following:
1. There are several times in December when MLO could you access your file 
on a network drive and could not sync.
2. There are 5 times in January when MLO has been terminated unexpectedly
3. In the conflict screenshot I see that some tasks are changing parents. I 
do not see if these tasks are in Inbox and do not know if it is master of 
slave desktop.

In theory such cases may cause the issues you described. 

Here are some ideas which may help us to understand together what happened:
1. When you use branch sync the tasks which are moved out of this branch on 
one desktop are deleted on other desktop.   
2. Inbox is a special folder which is used for different purposes by MLO. 
For example it is used to move conflicted tasks to it when you add a task 
on one end to a parent which was deleted on other end and sync. If you add 
here the branch sync it complicates the process. If you add here wifi sync 
to Android it complicates the process even more.

Here are only my initial thought after analysis of what I have at hand now. 
I will ask you via email more specific questions to understand all the 
details of your setup.

[MLO] Re: Android MLO 2.016 temporarily forgot its Pro registration

Hi Wolfgang,

Could you please confirm the following:
1. After purchasing MLO-Android v3 Activation Code you entered it to MLO 
and you have seen "Thank you for registering" message in the registration 
dialog.
2. After some time you installed an update for the app and the registration 
gone? Is it correct? Are you sure you entered the activation code initially 
and it is gone switching to the TRIAL mode again?
3. If an Activation Code was NOT entered all PRO features may show warning 
message once per day. This is normal. If you entered an Activation Code you 
should not see these messages and your PRO registration should not be 
removed after an update. If you see this please report to support for us to 
analyze and fix this issue. 

There was a bug with PIN code protection dialog which expired even for PRO 
version and we fixed it in 2.0.17.

[MLO] Android: Samsung devices affected by an issue with date selection calendar control

Most Samsung devices with Android 5.x are affected by an issue in the 
standard calendar selection control which may cause MLO to crash since we 
are using this control. 
Starting from MLO version 2.0.16 we introduced an option to use calendar 
control or not use it for date selection. This option is OFF by default for 
Samsung devices now. If you do not see crashes during date selection you 
may switch this option back to ON and use the calendar for the date 
selection.

We hope Samsung will fix this issue in the next Android updates.

I am considering it as a complement since my first serious computer was IBM 
PC/XT with MSDOS v2.0  in early 1990s :)

Your article motivated me to finally (after 6 months) fill out the beta 
tester application form thing.  
There was no confirmation message when I submitted it though, so I'm not 
sure if my internet connection was dropped.

I am going to start reviewing the application forms today. MLO-Android v2 
is ready to get more beta testers so I plan to add more people to the beta 
team today or in a few days. I will make sure you are invited :)

If you are using WiFi sync then MLO reserves one of the following port for 
communicating with your mobile device: 
21030 (or 21031 or 21032 or 21033)
MLO should not reserve any other ports.

 is kind of a lifesaver for me like it is for many of us. But it is SOOO 
 hard to really understand and be able to use the amazingness of it all 
 without any videos.   Anyway, thank you so much to you folks that are so 
 incredibly helpful on this list. And thank you for even considering making 
 some videos. I know it will take time away from other important things. 
  You could maybe justify it by knowing the value you will be bringing to 
 other folks like me for whom your videos will help make their lives 
 function better. That's it . Thanks!

Hello everyone,

Yes I understand that you upset because public beta testing of the new 
generation of MLO-Android has not started yet. I feel the same way and each 
time I delay the release I think about it. However the quality of the 
product is extremely important to me. The release was delayed several times 
because our tests indicated potential data loss issues. That’s how 
development process goes - you can’t predict everything that can happen. 
Sometimes we just want to check on smth twice to be sure that everything 
will be ok with your personal data during testings.

So let me update you on the status (yes I know I should do it more 
frequently). The good news is that the last week I decided that it was 
stable enough and have added a few external testers to the testing process 
to check MLO-Android v2 with real data. The test was good and a result we 
discovered just a few new issues which I hope will be fixed soon. After 
these fixes v2 will be releases to the entire beta team. And I personally 
use my real data with MLO-Android v2 already. 
I can assure you that all we are working on right now is Android beta last 
preparations, and we will send it to the beta team as soon as we can! I am 
sure that what you will like the new version as much as I like it already 
:) 


As for the situation in Ukraine, it upsets us, of course. But it doesn't 
affect directly the development process in MyLifeOrganized. Also I already 
mentioned this several times and will repeat it here again: all our 
development environment and your cloud data are stored only on USA servers 
manged in automated way or by people who live out of our country. So do not 
worry about this. 

We want to be more opened for our users, and soon we will publish an 
article about MLO team and our working process, so that we could understand 
each other better.

I would like to say thanks to everybody who contacting me personally and 
supporting me and our team during this time. I really appreciate it.  We 
really like what we do and with your support we do it even better.

Thanks for your message. Yes I know this topic is one of the most popular 
feature request for MLO.

The topic is not easy though since RTF support would require support it on 
all MLO platforms in the same time. You cannot edit RTF notes in 
MLO-Windows and not able to edit them on Android or iPhone. Besides RTF is 
a complex format which supports attachments, pictures etc. The current MLO 
architecture cannot support this structure at the moment.

The other solution would be to support something like Markdown markups. It 
would be easier to implement and we could start support it on one platform 
first and then extend on other platform later. We are now considering this 
solution. Markdown is used in Trello for example and you can investigate 
how it works there.

So to answer your question I cannot guaranty that we implement an RTF 
support soon due to architecture difficulties but we are working in this 
direction considering different alternatives to implement it.

[MLO] Android: version 1.6.10 has been released

We've improved the auto-sync behavior on app start and released this 
version as 1.6.10.

It has been released in Staged Rollout mode in Google Play. So the update 
will be available to 10-20% of the users first. 
We will keep an eye on performance and possible crash logs during first 
days. 
If all is good we will release the update to 100% users.

[MLO] MyLifeOrganized for Android v.2

Hello,

Yes, I know that many of you have been waiting for MLO-Android v2 news too 
long. I understand. Android version really needs some love.

I can confirm that the new version is in development. 

I never promise any release dates due to complexity of MLO product and 
nature of the software development under fast evolving mobile platforms. I 
would like to inform that we did run into some problems that slowed down 
the development. Now we are back to speed and have all the resources needed 
for the project.

Also we have one important question where we need your help. We need to 
decide if the new version should still support old 2.x Android devices. If 
we support old devices we may not be able to add new cool features 
available only in new 4.x Android devices. Also the development may take 
longer due to compatibility issues.

Our statistics shows that there are still ~19% of MLO users are currently 
using old 2.x devices.

Yes I have ETA for this feature. The calendar view is almost ready for 
iPad/iPhone. We plan to start testing with beta testers next week and if 
all is good will publish it on the AppStore.

The version 4.3.0.2432 is a private beta and installed only by beta 
testers. Are you a beta tester (subscriber of closed beta group)?

If you are not - please let me know (on EMAIL only please) where did you 
get this installation. 
I will help to you to resolve the issue once I understand where did you get 
the installation of the beta and how it is installed.

I have analyzed the request and found that Dwight's solution is the closest 
one we may have in MLO now.

The problem for this request is in how MLO filters the child tasks. Once 
*any* child task (of the main filtered task) on *any* level found, it is 
added to the view together with *all* its parent tasks. This is why A13 is 
added:
 A met criteria of the main filter
 A13 met criteria of the child filter
 A3 added because A13 should be placed in structure. 
 
 P.S. I think Dwight even more expert in MLO filtering now than I am :)

Starting from version 2.7.0 you can customize your views on iPhone or iPad. 
This version has been released to the App Store and you can try this new 
Pro functionality.

This is really an historic event for MyLifeOrganized products! It is the 
first time when you can create your custom views on a mobile device. It 
means that MyLifeOrganized for Desktop is not needed for this functionality 
and you can create almost any views of your tasks on the go with your 
mobile device.

Joel,

It was not MLO who renamed your file. It looks like software similar to 
Google Drive or DropBox has renamed it due to a conflict. 
Do you sync your MLO file with DropBox? Do you change them in one place 
while it is open in other place? This maybe the reason of the conflict.
