Therefore, performing that step is a waste of time and potentially could
lead to a dreaded restore if you are deleting the wrong ones!

We have set up a calender in our Public Folders and would like it to default
to showing appointments as busy, at present it defaults to free. I have
looked at all options but can't see how to set this.

The only way to check the dates blocked out is to open the calendar from
Public Folders. One work around is to create a mailbox, share the Calendar
and give delegate access to an admin in the group.
I think you meant that it is currently not showing any free/busy information
as opposed to
