Thank you for all of your opinions and help, including off-list.



I wanted to give you an update, since I should report the good with the bad.



The bad was the way this was handled by GFI in the first place. That was 
explained in my first email.



But the good is that a couple of different people from GFI spoke with me today 
and we have cleared this up. They are going to credit me the money they charged 
me. So, I wanted to thank them publicly for taking the time to explain their 
position and to help make this right.

  I think that's called ILLEGAL. Don't swallow the lost money, make a

Interesting experience this week that I thought I would share.

We use GFI MailEssentials and MailSecurity. Not really thrilled with it, but 
when Sunbelt merged into GFI, we ended up going down that route.

The other day, I get an email saying our maintenance will expire in 60 days. I 
follow the link and renew for a year.

I then get an email from a GFI sales rep saying that what I had renewed wasn't 
correct. They would send me a new quote. They did. It was higher than what I'd 
ordered from their original email.

I told them I'd have to look at some other options but may not going through 
with the renewal. Then they tell me there are no refunds, so I will lose the 
$503 they originally charged me for the product I renewed from the link they 
sent in their email that was incorrect.

What a bait-and-switch! Here, renew this. Thanks. We have your money. Oops, we 
sent you the wrong renewal quote. The actual one is higher. No refunds.  I 
doubt Sunbelt would have ever done that.

Anyway, who has a good suggestion for anti-spam products that would integrate 
well in an Exchange 2010 and Outlook 2007 environment?

Hi all,

Happy New Year and thanks to so many people that have helped me for the, gosh I 
don't know, 13 or 14 years I think I've been on this list.

Quick question, maybe? My users are getting tired of the usual warning message 
they get when they go to open a .wav file from within Outlook 2007 (voicemail, 
for instance.) Is there a way of getting Outlook to not pop up the You should 
only open attachments from a trustworthy source message box every time they go 
to open a wav file?

Thanks Rob. I've never done any scripting with Exchange. I may have to do it as 
a last resort, but I'm really hoping there's an off-the-shelf solution similar 
to Drop2Mail but that works on Exchange 2010.

Internet?
I'm looking for a program that will run on a workstation and will monitor 
folders. When a text file shows up in a folder, it will email the text file out 
to whatever address(es) are configured for that folder. We're using Outlook 
2007 and Exchange 2010 Enterprise.

I found Drop2Mail 
(http://www.4-tech-engineering.com/software/drop2mail/drop2mail.htm) which is 
perfect, except I can't get it to connect to my Exchange server. I have a 
feeling it's too old of a program and can't talk to Exchange 2010.

Anyone know of anything current out there that could just monitor a hotfolder 
and send an email to a specified address when a file shows up? Searching Google 
got me to a lot of those free-downloads-for-you-with-bonus-virus.com websites.

Thanks everyone for the replies. I couldn't get Drop2Mail working, even when 
setting up a receive connector (which I'd forgotten about - thank you Richard.) 
I ended up using WinAutomation (can't remember who suggested that, and can't 
find the email that I read it from.. but someone did) and it's working very 
well!

Do you need to create a receive connector to allow the drop2mail computer's ip 
to relay through your Exchange server?  Or perhaps configure SMTP 
authentication instead?  Those seem likely causes of why you're having trouble 
with drop2mail.  Do you have any more info. on why it doesn't work as 
configured?  Have you turned up SMTP logging and checked the results?

Another solution would be to use File Watcher from Datamystic to monitor the 
folders, and something like blat to send the e-mail.  I have used File Watcher 
with good success to automatically print pdf files that get dropped into any of 
several monitored folders.  The issue with File Watcher is that it does not 
itself run as a service, so you either need to have an account logged on all 
the time, or use something like FireDaemon to keep it going.  (I have not tried 
srvany, though that might work too.)

Hi Dave,

I'd like to get it off the Exchange server so that I can free up resources and 
essentially keep my email server fast while people are searching archives. 
Again, since speed is my concern far more so than storage, I'm figuring 
throwing twice the hardware at a problem will help :)

fairly minimal requirements for i/o so you no longer need high performance 
storage. Since SP1 whilst the archives MUST be on AN Exchange server it does 
not need to be the same server that the primary database is on.  Even if it is 
on the same server you can have some slower storage for the archives. 
Sadly I did find that the OWA search only searches a single datastore so you 
need to select the archive to search, but at least its accessible from OWA by 
default without having to add extra's in.

now about doing the install... each time they say they can do it, then they 
either never call me, or email me and say they're too busy.

So, I'd like to give up on this product, but I'd like to know what current 
products you guys are having good luck with?

Essentially I've got an Exchange 2010 Enterprise Server with just a few (less 
than 25) mailboxes and a total store of 155 GB. My reason for archiving is to 
get the mail off the Exchange server and onto a separate server, and have it be 
indexed so that people can search large mailboxes very quickly. 
I don't think Exchange's native archiving would work for me because from what 
I've read it has to be done on the same server as the Exchange server, so I 
don't think that's going to speed up searches. 

Any other products I could look at?

My current issue is that although the install was supposed to be done by a 
level 2 tech this morning, it was postponed because he forgot to mention last 
night that the Exchange 2010 server needed to be at SP2 rollup 1, which mine is 
not.

My bigger issue is a concern about something else he told me - that he has 
seen many times where updating to SP2 rollup 1 completely bombs the server 
and it has to be restored from backups.

Are there some things I could do before running SP2 R1 that would minimize the 
chances of this happening!?

Our biggest issue with Sunbelt is that they were totally wrong in the estimate 
of how much storage was required.  What was supposed to handle 5 years filled

With Exchange archive mailboxes aren't they accessed online  so the clients 
being always connected put an extra resource strain on the exchange server. 
Isn't cache mode one of the ways Microsoft got the server requirements so low 
on 2010?

If I setup everyone with an archive mailbox won't I be back to ~2003-2007 
server requirements because of all the online mailboxes?

Hmm... didn't think I was beating a dead horse... that's the first time I asked 
that question :)

I was only asking the list to see if people had had any experience that was

Yeah, sure... And MS has not seen it, but he has? Don't you think it would be

My current issue is that although the install was supposed to be done by a 
level 2 tech this morning, it was postponed because he forgot to mention last 
night that the Exchange 2010 server needed to be at SP2 rollup 1, which mine is

Our biggest issue with Sunbelt is that they were totally wrong in the estimate

indexed so that people can search large mailboxes very quickly.

I've read it has to be done on the same server as the Exchange server, so I 
don't think that's going to speed up searches.

Any other products I could look at?

I have a customer service employee that is having some issues lately. Twice in 
the past month, she has accidentally put an address in the To: field of her 
emails that shouldn't be there. In other words, she sent an email to customer 
A, and accidentally put an address from customer B in there as well. Customer B 
received the email meant for customer A and was quite upset (because their 
pricing is different - long story.)



Anyway. I looked at MAPILab but didn't see anything for this, but what I'm 
hoping for is that there might be an tool that could analyze an email before 
sending, and if there are two different domains in the To; or Cc: fields, it 
will alert the sender.



Anyone know of anything like that?

Thanks vey much for your reply. I do appreciate it. When you say mainline 
folders should have fewer than 100k items, I guess my two follow up questions 
are: 1) Is that due to speed concerns, or, again, stability?  and 2) What about 
non-mainline folders? For example, a user-created customer x folder that, 
over, 10 years may accumulate hundreds of thousands of emails?

I'm going to be upgrading my main customer service reps' computers shortly, and 
8GB of RAM and SSD's are not out the question if it means they can better 
service customers :)

Stability? No.

Speed? Perhaps.

The mainline folders should have 100K or fewer items in them (e.g., Inbox, Sent 
Items, Deleted Items, etc.).

Also, without getting into too much detail on the structure of an OST (you can 
find it on Microsoft's technet if you are really interested), there is a 
folder of folders. Basically a folder that contains pointers to every other 
folder. You don't want that to approach 100K items either.

Also, once you get above the 10-15 GB mark, you should be looking at least at 
7200 RPM disk; and above 30 GB you might want to look at SSD. Plus assume that 
Outlook is going to use 2 GB RAM.

Now, that's all client side.

On the server side, Exchange doesn't care one bit. Validation was done up to 
100 GB and the published maximum size is 16 TB (although not a validated size). 
In fact, you can logically assume that a Public Folder database is a single 
mailbox. There are people with PF databases that are many hundreds of GB in 
size.

Anyone using Quest Exchange Archiver?

Just looking for opinions on it. We're a small installation, but have some very 
large mailboxes that I'd like to archive. I've not had great luck getting a lot 
of info from Sunbelt, so I'm continuing research into other solutions. Quest 
seems to look pretty good to me.

name of our old email server, not the new one. 


I have increased logging and will try to re-run the backup tonight to see what

I went through this with an orders address. I eventually ended up creating a 
separate mailbox with the orders address, then having our customer service 
people open that mailbox within Outlook. Not only does this mean that when they 
reply to or compose a message, it comes from the orders address, but it also 
keeps all the mail in one place and not being delivered to everyone's mailboxes 
separately, like a DL does.



I also have every Cc orders when they email, so we see outgoing mail as well as 
incoming in the Inbox.

I've created a new distribution group called quotes.

Now I've been asked that when a user replies to an email originally sent to the 
group, the from address would be the group address. Otherwise, the from 
would be the user's address.

I've come up with can only be considered an ugly hack. When our quoters reply 
to an email, the group display name should be in the text. My idea is a 
transport rule scanning outbounds for that text and prepending something to the 
subject. Then a second transport rule watches for RE:prepend in the subject 
of inbound mail and routes that to the group. This configuration doesn't 
specifically meet the request, but it fits the desired outcome of getting 
further replies going to the group.

Anyone know a better way?

(I'm thinking there has to be one)  :)

Kinda funny... the first time I tried to send that reply to Steve, I got a 
rejection notice from Lyris. Apparently I'd forgotten I was in the message 
journaling folder, and replied form that, and it included a Lyris header. This 
is the rejection message I got:


Your message posting was rejected because the (lyris) header was detected in 
the body of the message you sent.



This header is usually only included by automated email programs, such as 
vacation programs. For this reason, Lyris ListManager does not accept 
messages which contain this header, because it is highly likely that they are 
automated messages, and not appropriate for a mailing list.

So I fixed it by replying from my own account.

I then received 22 OoO replies...  (and counting)

Outlook 2007 rules issue

Weird issue. I have a mailbox that customers always send their orders
to. I set up a desktop machine that's just dedicated to running Outlook
2007 with that mailbox open, so I could process rules. 

 

One rule I would like to implement is that every time an email comes in,
it is replied to with a template email thanking them for the email and
confirming that it was received. The only problem is that it only seems
to trigger once for each sender. If a person sends an email, it sends
them the template reply. But they don't seem to get any more for
subsequent emails. Is there a setting somewhere that I'm missing that
would allow it to trigger for *every* email that comes in?

Dumb question - Contacts

Been a while since I've made a fool of myself* and I hate to disappoint
my fans, so

 

We're running a pretty small environment.. Exchange Server 2003
Enterprise and maybe 20 users. 

 

For years, peoples' address book has consisted of just using the
auto-complete in Outlook 2003 (and now Outlook 2007 in some cases.) But
now, I'm growing more and more concerned about that technique and would
like an easy and reliable way to have a central repository of contacts
that everyone can use and update.

 

My question is, what is everyone doing? I would assume a public folder
that contains contacts and then is assigned as an address book in
people's Outlook configurations, but then I've also heard that public
folders don't exist in E2K7, which I may upgrade to at some point, so
I'm not sure how to proceed. 

 

So, is there a third party solution that people know of and use, or is
it just a public folder filled with contacts?

Barracuda question

Good morning peoples and peopettes,

 

I'm seeing something with my Barracuda that doesn't seem to make sense
to me. 

 

Wouldn't it seem like if you have attachment blocking set up (in this
case, blocking all zip files,) that that should take priority over a
whitelist? In other words, I'm seeing zip file get through from
whitelisted addresses, but I would think that it would and should still
block the attachment even if the sender is whitelisted, no?

Rules for a mailbox that's not your own?

Hi,

 

We have a mailbox that exists only for people to connect to as a
secondary mailbox. It's basically used instead of a public folder. There
are about 7 people that open it within Outlook in addition to their own
account.

 

I'm just wondering if there is an easy way to set up rules for that
mailbox since no one logs into the actual account it's associated with,
and I'm wondering if there is a way to get the rules to run even if
there is no computer open with that account up and running in Outlook?
I'm using Outlook 2007. The server is E2K3 Enterprise.

Well, using that rule in Outlook 2007 that Jim mentioned, he could have
a copy of every email he sends sent to a folder, just make that folder
the Inbox. Then he'll get a copy of the email he sent in his Inbox, and
it's the same as if he Bcc'd himself.

difference is between having all his sent items in his inbox to sort

Stopping an email user from sending to anyone outside of the organization?

Okay, I used to think my users were crazy. Scratch that.. I still think
they're crazy, but some weird things are going on with multiple people,
so I don't think it's just a simple user screwed up issue.

 

For the past few months, several users have been having issues in
Outlook (2003) where they either start a new email, or hit reply, and it
ADDS an address to the To: field at random. It seems to be an address
that an email was previously sent to from that account.

 

What's bad is that it happens with customers. So, for example:

 

1.  I send an email to, say, Joe, talking about how we're having
trouble with a job for customer A. 

2.  Joe replies to my email, yet somehow, a random email address
(typically another customer, like customer B) is magically added to the
To field.

3.  Customer B replies with a WTH??? email.

4.  People look at me with extreme frustration

 

Any ideas what could be causing this? I don't think it's that they're
accidentally hitting a key and it's using autocomplete to put a name in.
The user that it happened to twice today swore that she checked the To
field several times before sending the second email where this occurred
(because obviously she was very nervous after it happened the first
time.)

Old FaxMaker connector won't go away

I have a problem that GFI didn't seem to be able to help me with. 

 

Here's the quick summary. I had an old mail server E2K) that ran
FaxMaker. I set up a new server (E2K3 Enterprise) a while back and
transferred all mail stores to it, and installed FaxMaker on it.

 

The problem is that I get the message below in the new server's event
logs dozens of times a day. There's no string that matches OLDSERVERNAME
in the registry of the new mail server, or even in the registry of the
GC server. I can't seem to find any reference to it in IIS, either. If I
look in the System Manager under Routing Groups/Connectors/FAXMaker SMTP
Connector, only the new mail server name appears, as it should.

 

Anyone know where it might be looking for this old server name, and how
I can stop these messages?

Well, the three serve different purposes :)

 

1. The Barracuda is set to a low threshold, where it allows more spam than most 
would allow. In essence, it still stops 95% of the spam that was previously 
actually hitting our Exchange server from ever reaching it (about 4,000/day), 
but rarely if ever triggers a false positive. We also block attachments with 
the Barracuda.

 

2. Ninja is set to kind of fine-tune the sorting of the remaining spam that 
gets through the Barracuda. It gives users Spam folders that they can easily 
look through from within Outlook, and they're used to it.

 

3. ScanMail is what actually does any virus scanning on the IS. 

 

So, it SOUNDS like a bunch of filtering, but probably isn't, in reality :)

Good point. We do have a Barracuda in front of the email server, We also have 
Trend Micro ScanMail on the server, as well as Ninja. I suppose there could be 
some issues there...

What do you have in front of the Exchange server? Any kind of AV or antispam 
gateways? AV running on the Exchange server?

Exchange actually corrupting attachments itself is rare if ever. Other 
components in route are more often the culprit.

My company works with a lot of art files... AI files (Adobe Illustrator) and 
TIFF files are the main ones. The problem is that a high percentage of them 
lately seem to be unopenable when they arrive. The companies that are sending 
them are saying they can open them on their end, but they seem corrupted when 
we go to open them here.

 

Over the weekend, I did an offline defrag, just to clear out any gunk (that's a 
technical term, I know) that might be causing it. 

 

Anyone know how to go about troubleshooting something like this?

 

Exchange 2003 SP2, clients are Outlook 2003 and 2007.

I agree that this could be a big help. My only problem is that there are
quite a few customers, and getting them all to take this extra step is
going to be a challenge. I would really like to figure out why for years
beforehand (still running all three products on and around our server)
we had no issues, and then suddenly... boink... issues.

 

Well, not boink issues, but... issues. Oh nevermind. This may turn into
another Shook thread...

Although it will be nice to figure out where the corruption is happening
a
stop gap may be too ask them to zip or preferably rar the files before
sending (most AV products look inside zip files).  You may have to try
and
get the original files on optical media and test sending them from
various
other places to see if they are still corrupted.  In these ways you can
probably rule out your infrastructure.

And ya, what's with the million [sic] layers of scanning hehe?  I
thought
we were fairly paranoid here but...

I do, too. I think I'll ask our biggest customer to start doing that,
and see what the results are. 

 

I'm also looking into replacing our slightly aging (maybe 6 years old)
Cisco router.

I like the suggestion from one of the others to have them send the
attachment to the company address and CC a external mail source like
gmail or hotmail.  If the one to the company address is corrupt, check
the external source to see if it is corrupt.  That should show you if it
is your systems or one of their outbound gateways.  Check the message
headers for both messages to see if they used the same outbound gateways
on their end.

Hmm...I have a client that has both a Barracuda on the front and Trend

Mail alert?

Hi guys,

 

You know the little desktop alert thingy that pops up on the bottom
right of the screen when new mail arrives in the Inbox? Is there any
Outlook (2003) add-on that can pop up an alert when an email arrives in
an Inbox of another user, whose mailbox you have open within Outlook?

 

I haven't found any that can actually do it.

 

I'm using Exchange 2003.

Issues with users using an additional mailbox

Hi,

 

Been a crazy weekend/week for me. 

 

Ever have a great idea that you KNOW will make everyone happy, and then
you end up practically being burned in effigy?

 

I created a new mailbox to replace a distribution group. The DL was
getting about 300 emails a day, and so all of our CS people were getting
their own copy of the email, filing it in their own folders, etc... It
wasn't fun.

 

So, Ev The Superhero steps in and decides it would be a good thing to
create a mailbox with the address of the DL (and change the address of
the DL to something that wouldn't be used.) So that's what I did. I
created a mailbox, gave everyone permission to the mailbox, went around
to their computers Monday morning and opened the mailbox within Outlook.
I even created search folders so that different customers' emails would
be automatically filed in the appropriate company folder. I didn't do
this with a public folder, because 1) I couldn't find a way to create
search folders within a public folder, and 2) I know public folders have
been removed from E2K7, should I ever go in that direction from my
current E2K3. I even found a utility that auto-fills the From field with
the name of the account, so they don't have to type it when they make a
new email or reply to one.

 

So I'm great, right? No, I'm on the verge of having my tires slashed,
re-inflated, and slashed yet again.

 

The first complaint was that they don't get pop-up notifications when an
email shows up in an inbox that is not their own. I'm onto a couple of
third party utility things that may help this.

 

But the really big issue is that there is no per-user read or unread
information on this mailbox. People are used to their unread mail being
in bold. Now, whenever someone, somewhere opens a piece of mail, it
looks like it's been read to everyone, and people are losing track of
what they have read and what they haven't.

 

Any suggestions on this last item? Do I deserve to have my tires
slashed, or is my heart in the right place? Okay, forget the heart... is
my BRAIN in the right place? I'm not trying to push this down anyone's
throat... I'm looking for something that would HELP  :)

Outlook 2003 auto-fill

Hi,

 

Quick question for you fine folks.

 

Is there a way to selectively delete entries from the auto-complete list
that Outlook 2003 generates as you type in an address in the To: or Cc:
boxes?

 

I don't want to clear the whole list, but I'd like to remove one or two
that are invalid and come up before some valid ones.

Search folder limit?

I'm hoping this is not as dumb a question as my previous one (though in
some ways I'm hoping it is.)

 

Is there any way to increase the maximum number of Search Folders in
Outlook 2003? It seems like 20 is the limit. I need more than that. Any
tweaks or workarounds?

 

I'm using Exchange 2003 Enterprise.

Flags in Public Folders

Hi folks,

 

My company is a small company and we're beginning to get inundated with
emails from customers. It's getting to be too much and things like
orders, requests for quotes, requests for shipping info, etc.. are
getting missed sometimes by Customer Service just because of the sheer
volume of emails.

 

I'm trying to think of a way to have one member of the CS team be
responsible for triage and basically send emails to subsets of a
public folder according to what kind of attention the email needs (i.e.
Quotes, Orders, etc...) My plan was to then have each memeber of the CS
team set a flag depending on what they have done to satisfy the request
(so, maybe Complete means the order has been entered, but Red means
there is a problem, or Green means it's been accepted as someone's
responsibility and they're working on it.)

 

Only problem is, Public Folders do not seem, by default, to share flag
info from user to user. Each user has their own flag data. Is there a
way for items in a PF to have flags that are visible to all users? On a
side note, anyone know of existing software that integrates with
Exchange/Outlook that makes these kinds of situations easier?

Troubling view issue

I have a user (and I may possibly now have a second user with this issue
as well, I just found out) that is having the following problem:

 

When he opens Outlook (version 2003 SP3 on XP,) his Inbox view is not
how he left it. He arranges it with the columns he wants in the order he
wants (and the order it's been in for years and years,) and now,
suddenly, whenever he opens Outlook, the folder view changes to just the
following columns:

 

Importance, Icon, Attachment, Sensitivity, From, Subject, Received,
Flag.

 

The problem is that he has never added Sensitivity as a field, but it's
always there, and the sort order is by Sensitivity, which is bizarre. He
wants it to stay sorted by date received, descending. 

 

Any idea what might cause this behavior? I've rebooted his machine,
rebooted the Exchange box. No luck. 

 

Exchange 2003 SP2 on Windows 2003.

Start  Run  outlook.exe /cleanviews. 

 

If that doesn't resolve the issue, close Outlook and delete the
outcmd.dat, extend.dat, frmcache.dat, and .srs files. Have the user
reset his views to see if they remain after that.
