RE: what spam or edge server are you using?

Been using SpamTitan for a few years.  It comes with Kaspersky AV and
also has Clam AV.  It works well for us with  ~200 mailboxes, single
domain. Reasonably priced.  Can't compare it to other products as we
haven't used any.  It is supposed to be able to be clustered and handle
multiple domains but I haven't used those features.  The few times I've
needed tech support I have opened a ticket through their web site.  They
have always responded quickly - the support method is usually to open a
secure tunnel through the administrative interface and they work on it
remotely.

In my Exchange 2003 and ISA 2006 environment I have the rule on the ISA
server set to listen on the internal interface as well as the external
interface, and mail.mydomain.com is set up on my internal DNS servers
pointing to the internal interface on ISA server.

 

So internal users use the same URL as external users, they hit the
internal interface on ISA which brings up the FBA the same as for
external users, they authenticate and get their OWA.

I believe no, as the form only comes from TMG. Not sure you would want
to have your internal users access TMG from the external interface. It
my work by copying the HTM files from the TMG to your CAS IIS directory
and rebuild the VDir. Have not see this to work.

We had an employee who, every time she invited a certain person to a
meeting, received a message from a former employee who has passed away.
She was so freaked by this that she was afraid to tell anyone and was
convinced the deceased employee was somehow haunting her.  It was only
when I noticed the message in her inbox, while addressing a different
issue, that she let me know this had been going on for six months.

 

It was in this case due to delegate permissions as Michael indicated.

former assistant sends back and ndr. I think one of their admins deleted
the account and he must have a rule somewhere but I cannot find it in
owa or on the clients outlook. I couldn't remember if mdbvu lets me look
at rules or see if anything corrupt is on the store that we don't see in
OL/OWA...

 

I turned message tracking back on, but seems as if I have to restart the
IS for that to kick in ... which wont be until late this evening ..

I've been running MessageSolution for a few years.  I have one Exchange
2003 server with about 200 mailboxes.

 

In the beginning, it was an almost complete disaster.  The size of my
mail store just about doubled by the time it was done with the initial
archive operation, OWA became completely inaccessible every few days,
and on Exchange store.exe started crashing on a regular basis.

The MessageSolution software would sometimes just stop archiving. 

It was so bad that I asked for a refund, but they asked me to give them
a chance to make everything right.  

 

They did eventually (a couple of months of troubleshooting) get it all
working, although I never did regain the space in my database.  It has
been working OK for a couple of years now.

 

One thing to note, I haven't had to use tech support over a year, so
this may have changed, but their developers all seem to be based in
China. For any issue that required their expertise, I had to give them
remote access to my EEA server and they would work on in during what was
for me the overnight hours.

 

Some other issues - make them show you everything actually working - pst
import, exporting archived messages to pst files, restoring messages,
etc.  Some of these things seem to work through the web interface, and
others don't.  Some functions, you have to use a separate utility
instead of the web interface - I think searching for messages and then
exporting the matching messages to pst was one of these.

 

It works seamlessly (now) in OWA  - users have no indication that they
are viewing a stubbed message.  In Outlook, in the preview pane, stubbed
messages have a button to view the message but double clicking opens the
original message as usual.  The Outlook plugin often gets disabled and
requires reenabling in Outlook.  I see this also on other Outlook
plugins, e.g. the Vipre plugin we use, so I don't know if this is a
problem with the plugins, our environment, or just par for the course.

 

One thing I do use all the time is the searching the archive - I'll
search the archive even for recent messages since it often faster than
scrolling through my inbox if I can't remember the sender and or subject

You can't do a search from within OWA - for that you have to log into
the EEA web interface.  So for users on the road to search their archive
you would have to make the EEA server available from the outside (VPN,
port forwarding, etc.).

 

So, bottom line, I am satisfied with the product now, since over the
past couple of years it has worked acceptably well, but if I had to do
it all over again I would choose a different solution.

That was my other choice when I chose MessageSolution.  At the time I
didn't want to have to purchase MS SQL server, and wasn't sure if the 4
GB limit on SQL Express 2005 would be enough.  In hindsight I should
have gone with Sunbelt.

The boss is still having problems.  A quick look at her BB as compared
to her Outlook inbox shows that she seems to be missing about a third of
her messages on the BB.  Running the script referenced by Phil below
(thanks) shows that on the dozen or so messages I checked, the ones that
were delivered to the BB have a RFID and the ones that were not
delivered do not.  Makes sense, but what does that mean - where do I go
from here?

 

Interestingly, according to that script over the past several days 122
of 382 of the messages in her inbox do not have RFIDs.  Of my 3 other BB
users, for two 100% of the messages in their Inboxes do have RFIDs, and
one is missing RFIDs on 35 of 301 messages.

 

I don't see any pattern for which messages have and which don't.  Google
is getting me nowhere.

have been given a refid by the BES. I've looked at this to get an idea
of timings for delivery, where users complained it was slow, and to try
and prove if the BES was slow or if the users carrier was causing
delays. In your example you may find the one that arrived on the BB had
a refid and the other didn't. If they both have refid's I'm stumped!

Thanks all.  I went ahead and deleted her user account from the BES
Server and reactivated her device with a new account.  Except for the
fact that in the process her voice service and Bluetooth stopped
working, everything seemed OK for a day, and then yesterday she emailed
me a curt email sync not working again message.  

 

With her frenetic schedule in and out of the building it's hard to get
more information, and even harder to get my hands on the phone, so I'll
have to wait to get more details.  I have this feeling this issue is
going to be a long term problem, and of course it's the CEO.

I have had her leave her deleted items folder full for several days and
there was no difference in behavior.  Reconcile Now also made no
difference, but thanks for the suggestion.

If a users empties their deleted items folder before the BES server has
reconciled with the mailbox the mail will stay on the BB device. Often
users at senior level don't have time to wait for the reconcile to work,
or have too busy a mailbox to worry about it. Their perception is that
it should work in real-time but it doesn't. If the user, or more likely
in this case, their PA has time it may be worth observing what happens
if they just wait for reconciliation to work in both directions.
Alternatively you can do the same sort of test but select Reconcile Now
on the BB to force the process.

OT (a little) Blackberry sync problem

Hi all,

 

I know just enough about Blackberries to have installed BESx and connect
the devices to it, so I am in search of some guidance.  Sorry for the
long message.

 

The CEO of our organization is having problems with messages
synchronizing on her Blackberry.

What she sees is that some (not all) messages that show up in her
Outlook inbox never show up on her Blackberry.  For messages that do
show up on her Blackberry, when they are showing as read on her BB,
sometimes they continue to show as unread in Outlook.  Also messages she
has deleted on her BB don't always move to Deleted Items in Outlook.

 

Sometimes the opposite is also true - messages she has read and deleted
in Outlook continue to show as new unread messages on the BB.

While I was talking to her this morning I witnessed two messages from
the same internal Exchange user show up in Outlook, but only the second
one showed up on her BB.

 

I only have 4 BB users here, and none of the other three have reported
issues.

 

Her Blackberry is a Storm2 9550 on Verizon

BES Express 5.0.2.29 on Windows 2003 R2 SP2

Exchange 2003 SP2 on Windows 2003 SP2

 

What I've tried so far:

 

Made sure Outlook cached mode was off - it was.

 

Made sure she is leaving messages in her Outlook deleted items folder
for at least a day before permanently deleting - she was.

 

I had her do a Reconcile Now on her BB - no change.

 

I had her do a reset by removing the battery - no change.

 

On the BB went to Messages  Options  General Options  and made sure
Hide filed email is set to Yes

 

Checked Messages  Options  Email Reconciliation settings:

Delete On = Mailbox and Handheld

Wireless Reconciliation = On

On Conflicts = Mailbox Wins

 

On the BESx server set Hard Deletes = true

 

 

Any tips on what else I can try to do to help her out?

This may or may not help in your situation, but if you are not currently
using sender filtering in Exchange 2003, you can use it as a kind of
hack to create a white list.  You set up sender filtering to Archive
filtered messages and  Accept messages without notifying the sender.
Leave the other two boxes unchecked.  You then add the email address to
the Senders list, such as *@blackberry.net to white list any email
address from the blackberry.net domain.

 

Exchange will move filtered messages to the Filter folder, usually in
the mailroot\vsi 1\ folder.  You can then manually move the filtered
messages to the Pickup folder and it will be delivered, or you can run a
scheduled task to move messages periodically.

an address or domain.  I know there are tools like IMF Tune that can be

We don't use connection filtering (we have appliances to do that) but
from the description, I suspect you are correct that it will see the
connecting server always as your parent company's relay.

I've got a question about the Connection Filtering in Exchange 2003.
All our incoming email is handled by our parent company's mail relays.
They then pass on any mail intended for our server to my Exchange
environment.  Does the connection filtering in Exchange 2003 look into
the headers of the email to see where the email originated from or does
it just check the last connection?  If it only see the last connection
then this won't help me because all email always appears to come from
our parent company's mail relays.  

 

The reason I ask is lately a lot our Blackberry activation messages are
ending up in people's junk mail folders (I think it's related to our
Outlook 2010 rollout but I'm not 100% sure yet) and it's causing my
activations to fail.  I figure if I can add the Blackberry network range
to my connection filter that would prevent them from being tagged as
junk mail.

Unless something has changed since I last looked at this, I believe
SpamTitan treats each email address as a separate entity, so you would
have to log in using one of your secondary addresses and you will see
mail quarantined for that address.

Not ideal if you have a few aliases.

 

I have to admit I've never had any success attempting to contact them by
phone, but have always had a quick response to email support requests.

You could also try their support forum.

Sorry for the edge-topic post. I've tried contacting Spam Titan, but
they're not answering phones or emails. (Strike one for them)

 

I'm running a demo of Spam Titan and I'm having difficulty with the
quarantine. I'm currently testing by routing inbound email from a
disused domain through the Spam Titan box. I have several email
addresses in this domain assigned to my account. Good email is flowing
through and spam is being quarantined. When I log in as admin, I see
lots of quarantined spam addressed to my secondary addresses. 

 

The problem is that when I log in to the quarantine as myself, I'm not
seeing any quarantined emails. My hunch is that the Spam Titan box is
only showing me emails addressed to my primary address. They're aren't
any, because that mail isn't going through Spam Titan.

 

Has anyone found a way to make Spam Titan show all mail from all
addresses?

I tried it for a bit but ran into problems with licensing that was a
headache for our internal small deployment.  I bought what they referred
to as a fifty user license...but what they really mean is email
addresses.  So if you have multiple distribution group email addresses
those will count also.   

And if you have a domain that you don't want to do LDAP lookups against,
then be prepared for every email address to that domain to eat up a user
license.  This was really annoying because I wanted to also push my
personal domain email through it and let it just filter and forward to
the mail server.  But because I didn't use ldap on that domain it would
eat up licensing. 

But the really, really annoying thing was that when you exceeded
licensing it would eventually completely lock you out of the management
interface and stop sending quarantine emails until you contacted the
company.

almost nothing gets through that shouldn't.  Easy interface for users to
manage their white and block lists, as well as searching their
quarantine.  For me, once I got it set up it just runs and I harldy ever
mess with it.

$40 per year.  They will store your messages and attempt to deliver them to 
your mail server for up to 10 days.

Spiceworks does have a nice report builder, but since Lansweeper is SQL
based its easy to create custom reports in any number of ways.  Also
true of Spiceworks with the ODBC driver for SQLite. I may have to give
Spiceworks another look because I really want to like it, but 2 years
ago I just found it too frustrating with stuck scans, slow response,
missing devices and unreliable monitors.

My 4 cats stay indoors, except for a screened in porch, which half the
time they can't enjoy because my neighbor's dog comes in my yard and
harrasses them, then craps all over my backyard, which I end up cleaning
up (or stepping in).  Then there are the times it jumps out in front of
my car as I'm nearing the driveway, and the neighborhood kids who are
terrorized on their bikes.

We use SpamTitan - we get about 4,000 messages a day.  About 800 are
clean, the rest are blocked.  I can't remember the last time we had a
false positive, and we get few false negatives - I personally had maybe
3 or 4 false negatives in the past year.

I am running that as a VM here with about 200 mailboxes and over the
last few years I've had few problems and good results.

Two support incidents were fixed remotely by their tech support.  I am
running a single machine (non-clustered) with only one domain and one
mail server.

Thanks - I was just curious since I use the product myself.  I will
agree that attempting to reach them by phone is difficult, and they are
not overly responsive on the forums - definite red flags.  The couple of
times I had problems I initiated a support request using their web form
and the problem was fixed within an hour each time.

The support forums are just full of dissatisfied customers. Mainly about
problems contacting support. 

 

Now I know that is mainly what happens in support forums but when you
see the same kind of complaints over and over again, it does tend to
make you think twice. 

 

As I said in a response to another posting - if Vamsoft ORF supported
multiple domains, this question wouldn't have been asked. I have now
seen it kill a spam problem stone dead on multiple sites - as in
straight cut off, users notice the spam has gone etc, with no reported
false positives.

almost automatically skip over it because I know the price is going to
be too high.

Occasionally I'll fill out the form, am always right that it is too
expensive, and then have to deal with sales calls for a product my

user was not listed on the original meeting request. This one has me

I use a product called SpamTitan, which has all those features exept
greylisting.  Also includes AV scanning using Kaspersky and Clam AV.
Very configurable.

Users can get quarantine reports emailed to them which allows deleting,
releasing, and whitelisting options for blocked messages, or they can
use the web interface for this as well as managing their personal white
and block lists.

 

Has a fully functional trial download available as a VMware Virtual
Appliance, or as an ISO installer (runs on FreeBSD I believe).

We had a situation where a salesperson was trying to get a new customer.
The potential customer wanted to send a 15 meg attachment with the
product specs to our salesperson so we could get a quote back to him.
His email was bounced because of the attachment size limit.  We asked
him to upload it to our FTP server, but he didn't want to do it.  Now
our rules are making it difficult for him, and he starts getting the
feeling we are hard to work with. So do we relax our message size limit,
or lose a sale?

stick with the methods and vendors I know.  We can't even get a foot in
the door because we asked him to do something a little different.

 

Don't get me wrong, I prefer not to use Exchange as a FTP server, and I
still have a 15 meg limit on incoming and a 10 meg limit on outgoing
messages.  My point is that sometimes what is best and easiest, and
makes the most sense to us, isn't always seen that way by people outside
the company that we have little ability to influence.  So each
organization has to make that call for themselves.

 

Another example of why message size restrictions can be a problem:  My
CEO gets several messages a week ranging from 10 to 13 megs from various
government agencies.  She needs to receive these messages, and the
senders are sending them out to numerous different agencies at once, so
there is zero chance of getting them to do anything differently.  So we
make adjustments on our rules, increasing the incoming limit from 10 15
MB.  I know at some point she is going to be vexed because she didn't
get a 16 or 17 MB message, and I'll be upping the limit again.

That was an example; there are several people here with the same
situation (often the same emails).  This may be my Exchange ignorance,
as I am far, far, far from being an Exchange expert, but when I tried to
do that it seemed as though messages coming in from the outside were
still being blocked if they exceeded the global setting, although
internal messages between people with the higher limits went through OK.

Hmm.  On Exchange 2003 Standard, where do I find that?  Under Routing
Groups I have no connectors, under SMTP virtual server properties the
Limit Message Size and Limit Session Size boxes are both unchecked.  I
can't say definitively they were unchecked at the time, so if that is
what you are referring to I'll have to test it again - thanks for the
tip.

We have 2 offices with 30 users. Both offices are connected via VPN and
use one exchange 2003 server. Each user has his own xp desktop and can
get emails via outlook from his local profile.

Now, people are going to be moving back and forth between offices and
will use different computer each time.

Since we don't use any roaming profiles or profiles that are stored on
the server, we have to setup each user once to create a local profile to
connect to the exchange server and this will be a big pain.

Is there away to have the profile created automatically when the user
login to a domain computer?

or just picking a server at random would still inform.

  I'll start:

SIS ratio = 5.6

  You can discover the SIS ratio by:

1. Open Performance Monitor (PERFMON.EXE)
2. Select System Monitor on the left
3. Right-click the graph on the right, and pick Add Counters
4. For Performance Object, select MSExchangeIS Mailbox (or similar)
5. Select the Single Instance Ratio counter in the list on the left
6. Select the _ Total instance in the list on the right
7. Click Add
8. If needed, select the resulting counter in the list at the bottom
of the graph
9. Look at the Last value reported for that counter

OWA Message Content not displayed

I'm hoping someone can point me in the right direction with a problem I
am having with Outlook Web Access on a single Exchange 2003 Standard
installation.

About half the time after the server is rebooted there is a problem that
the message content will not display.  The message list is visible, but
the preview pane is completely blank.  Double clicking on a message
opens a new window, also completely empty.

 

Sometimes issuing IISreset at the command prompt will 'magically' fix
the problem.  Other times rebooting the Exchange server fixes it.  Other
times, like today after several IISresets, and reboots it is still not
working.  

 

This problem actually started after MessageSolution added their OWA
add-in to my system to handle messages that are stubbed by their
archiving software.

In the past they have remoted into my server and fixed the problem for
me, but I have had to wait days for them to fix it, and it is always in
the middle of the night because apparently the only people they have who
can do this are located in China.

 

They have promised several times to give me instructions on how to fix
this, but they never follow through.

 

Is there anything I can look at?  Is there a pretty standard way that
they might have implemented this add-in that may have some typical
things to look at?

I know I'm fishing here, but I am not knowledgeable about how OWA and
IIS work, and the vendor is almost completely unresponsive.

I had a situation where the edb size was about double the size of all
the mailboxes together.  It turns out that an email archiving solution
that had been recently implemented was creating a lot of Restricted
Views, which take up space in the database but don't show up in the
mailbox sizes.

 

Anything like that recently implemented?

I had this problem for several users - it was caused by an Outlook
plug-in that was part of an email archiving system.  The vendor has
since updated the plug-in which seems to have resolved the problem.

We couldn't even end task Outlook on the PC, so we would pskill it from
another computer.  Generally this would happen if the user selected more
than a few hundred messages at once.

Definetley evaluate them in your own lab environment if possible.  

I made a big dumb mistake making a decision based on live demos.
However when I got the system (not Sunbelt)installed it had some
unexpected effects on my exchange server.  One example - by the time it
finished archiving all the messages in my exchange store the size of the
.edb file had almost doubled.  

They said they 'had never seen this before' and it is apparently due to
restricted views created when it queries the database.  I also had
random store.exe crashes while it is stubbing, the Outlook Plugin under
certain conditions crashes the workstation, the OWA addin sometimes
stops working making OWA unusable, - I could go on.  Had I trialed it
myself I would have caught at least some of these problems.

There is no white list in Exchange 2003 as far as I know.  However,
there are a few approaches you can take to help.

One is that you can use Group Policy to add a list of safe senders to
everyone's safe senders list.

Another option - 


If the email always has certain unique keywords in the subject or body
and you are using IMF, you can use custom weighting to effectively white
list the email.  It involves creating an XML file called
MSExchange.UceContentFilter.xml, which you can copy and paste from the
documentation and modify to your needs.

One other approach which I have used is to use the sender filtering
function in Exchange to create a pseudo white list.  It's not really
what it's supposed to be used for, but this method does work as long as
you aren't using sender filtering for anything now.

I can't recall where I read about this originally, and there may be some
caveats.  Try Google.

The basic idea is to add the sending email address to the list of
addresses to be filtered, but instead of deleting it, archive it.  Then
use a scheduled task to periodically move the archived messages from the
Filter folder to the Pickup folder.

The steps would be 

Open Exchange System Manager
Expand Global Settings
Right Click Message Delivery and go into Properties
Go to the Sender Filtering Tab
Check the box to Archive filtered messages
Check the box to Accept messages without notifying the sender
Leave the other two boxes unchecked
Add the senders you want to whitelist
Apply and OK

Then what I did is created a batch file with 2 lines (beware wrapping-
move starts one line, exit is the second line)

move C:\Exchange\Mailroot\vsi 1\Filter\*.tmp C:\Exchange\Mailroot\vsi
1\Pickup
exit


I made a scheduled task to run this every 30 minutes and it has worked
well.

For all the reasons already mentioned I wouldn't do it.  

 

Also, (and I am willing to be corrected if I am wrong) I have been told
that should some sort of litigation at your company come up that could
involve data on the user's computer, a judge can order their personal to
be seized for investigation.  The user may want to take that into
consideration when thinking about using their own computer for business
purposes.

I have a user who wants to use their own laptop for business use.  He
likes the way it's set up but I have always been the one who says it's
better to have the company buy one and keep personal and business
separate.  I see this could be an issue of privacy and also an issue of
control in that i have no real say on what is installed on his machine
and what if any policies can be inforced.  Your thoughts?  I don't want
to be paranoid and i see the cost savings in having him use his own

I will second this.  I get this complaint a lot, either I'm not
receiving any new messages or messages show up days after they were
sent.  Sometimes it is Outlook working offline, but more often the user
has changed the view in Outlook either as Bonnie pointed out, or they
are in a different folder rather than their inbox, or they have their
inbox sorted with oldest messages on top and they don't scroll down to
see new messages.

One user repeatedly has a problem because she has thousands of messages
in her inbox.  Even though the scroll bar visually looks like it is at
the top, she has actually moved to a message a couple of hundred down
the list and all the new messages are not showing at the top of the
list.

Besides the other suggestions, one thing I find a lot when the e-mail
always arrives the next day is that they've accidentally modified
their view.  In particular, they have collapsed the - sign next to
Today (so it shows as a + instead) and simply don't see the messages
until they roll into the Yesterday group.

If you can't get to their screen, tell them to click the View menu and
choose Expand/collapse groups, then Expand all groups.

Subject: User complains that Exchange internal e-mail has huge delay


  We have Exchange 2007 SP1. E-mail(organization internal mail) was sent
yesterday 16:31 and user said that it actually appeared in his mailbox
today morning around 9 o'clock. I guess I have only user word for it,
because Exchange shows in it's tracking logs the event RECEIVE at 16:31
and right after that event DELIVER where recipient is complaining user.
I can't dig any more debug info out from anywhere. We also have Symanteg
Mail security 6 but it doesn't show also any errors or events about it.
This also doesn't happen regurally so researching it is difficult and I
can't make analogical situations happen at will. Any experiences from
other people or ideas why this may happen?

RE: Remote office / DC needed?

I have several branch offices some of which have their own DC and some
do not.  However, they are all connected to the main office by a site to
site VPN.  Not sure how or if this would work with each workstation
using a VPN client. In the offices that do not have their own DC,
authentication is over the VPN to the main office.  

 

We also have an Exchange server at the main office, and the branch
office users have Outlook set up to use Exchange over the VPN the same
as if they were physically in the same building. This has worked out
well - unless they lose Internet access or the VPN goes down. 

 

But if you are going to have a file server there anyway, I would
recommend making it a DC so that authentication is local.  I am planning
to add DCs to my current serverless sites when we can afford it.
Sometimes implementing group policies, running logon scripts, deploying
software through active directory can be slow and difficult when there
is no local DC.

Hello All,

I am looking at opening up a remote office and wanted to get your
opinion/experience on whether or not a DC is needed in the office.  It's
a small office of 3 users who have been using a vpn client up to this
point which has been working fine so far.  Would it be advantageous to
put a dc at the remote site?  I want to sent them up with file and print
services as well.  I am just wondering if it would be better to set up a
dc on that end now that they have a permanent location.  we are also
using exchange but it is currently located at the central office only.
