Hi Phil, when I entering information on two individuals who have had a 
relationship which resulted in the birth of a child I enter my information 
as follows:
1. I check the box in the upper left hand corner that reads "This couple did 
not marry".

2. I change Husband to "Father", Wife to "Mother".
3. I change Married to read "had a relationship with".
4. I change Spouse to Parents.
5. I change Married to "Not Married".

i have always checked the "this couple did not marry" box but like your other 
changes.? too bad so many steps are needed for each?marriage record.? however, 
i just found that the search option does not include this box in the search 
'where to look list'.? the 'this coupld had no kids' box is however there.? 
hopefully legacy will add the missing option at some point.

If you use search and replace, I know of no way to know what record you have 
found.  Can anyone tell me if there is a way to identify the record found in 
the search?  I am trying to clean up some sources and am using search and 
replace (with no replacing) to look for words in the citation-details.  I 
can see how many records, but don't know what records they are.

Legacy has the feature you need but doesn't have it where users would
look for it!  You need to use Search & Replace.  Just don't make a
"replacement".

For years now I've requested Millennia to add a menu item for just
the "Search" part of Search & Replace, but it never appears (or I
can't find it!)

 From what you say you are right clicking on the box with the colour in 
it which produces a menu of colours, since there is no tan on this list 
I take it that you are then clicking the "set" box to select from the 
more extensive chart, then "OK" and after clicking the chosen colour 
again on the first menu it should appear in the little box with

If so, then it should appear as your background colour. If it doesn't 
appear in the box then either there is a program fault or the procedure 
has not been carried out correctly. As I cannot say which of these 
options applies I would be grateful if you would go into exact detail as 
to how you are selecting the colour. Similarly if it does appear in the 
box but you are still getting a black background then the problem lies 
elswehere.


I am going away for a couple of days in two hours so please forgive any

I thought I indicated that I did select the color. The little box that

How are you using the Graphics Options to get your background colour? 
Since you are using "Use Solid Colour" then you need to click on the 
coloured box on the same line to change colour. The Blog on my web

I'm am testing out some families in the web page creator. On the 
Graphics Tab, I chose the option for "Use a Solid Color" and chose a 
tan color. But the web page displays black, which of course makes 
the black test invisible. I don't see any option to change text 
color. How come the background is not the same color as I chose in 
the options? This happens whether I view it in Firefox or IE6.

[LegacyUG] Ahnentafel Numbering System

Hello all,

Although I have been using Legacy to enter family data, I have been slow in
setting up a filing system for data accumulated. According to the Legacy
info, I set up a binder with MRIN numbers and assembled the document sources
I was using. I don't like this much because I always have to look up the
numbers of the person I want to use, and people are not in the numerical
order that makes sense to me.  I have read about several filing systems that
use ahnentafel numbers - does Legacy do this? I am unable to find a
reference to this in the Legacy Help files.  If I want to switch to this
numbering system do I have to start over in Legacy ?

Sadly, no. If you have a backup, you can open that, and drag what you 
deleted over to your good family file. Sometimes I wish there was an 
"Undo Last" command.

I have not found it, but a suggestion. Do it in the
other order. Copy the details to the correct
Source/(Ctrl-C)place, THEN delete the Unspecified.
Note which and why ones went to the unspecified field,
for fixing future GedComs. I write these notes in the
'blank' pages in my Legacy manual.

doing  for two days, copying to the correct event and then deleting 
the unspecified event.It is a slow go.

I have created paper file folders, at least one for
each surname, and have added individual folders to
split those too big to fit nicely in my cabinet. Not
scientific. If still too 'fat',split by categories:
vitals, census, land, other. Using the RIN/MRIN
numbers can be keeping track of more stuff.

[LegacyUG] find records with a specific source AND a specific word(s) in the comments section

What I am trying to find are specific words in the "comments" tab of the 
source - for instance "family tree by Robert Smith".


I know my main source is "Tree", so I did the following steps:
view
master lists
source
Find the "Tree" source
show list
tag everyone in the list with tag 9
got out of that
search function - look for tag 9's
this shows my 394 people with "Tree" as the source
BUT
what I want to do now is find ONLY those with "family tree by Robert Smith" 
in the Comments tab


Can this be done?

Yes, Legacy "does" Ahnentafel numbers.

To find information about it in the Legacy Help, click on Help >
Contents > Help Topics > Index then type Ahnentafel in the search
field.  Actually, you only need to type the first two letters and
you'll find you're already there.  :-)

If you haven't left the field yet, in other words, you caught your error 
before you tabbed to another field, you can right click and at the top of 
the list is Undo. Once you've left the field, though, you're sunk and have 
to look at a backup as is suggested below.

Well, if you are in the Individual Information window, yes, you can do 
it. It works like that.  But, if you are in the Descendant view as John 
said he was, then he should have gotten a Confirmation window asking him 
if he wants to actually delete that person. (You can turn that off.)  
Once you click yes to the confirmation window (if there is one), it is 
gone unless you retrieve from backup.

[LegacyUG] focus group to export

I am trying to create a GEDCOM file for my husband's cousin. I want to send 
him everything I have on my husband's family but do not need to include 
mine. I am starting with the cousin. When I select to include a person and 
ancestors, I have the choice of direct line ancestors or entire ancestor 
line.
When I choose the direct line ancestors, I do not get all the collateral 
descendant lines from the ancestors' siblings, but if I choose the entire 
ancestor line, I get all of my family, too.

Is there a way to get  what I am looking for?
I have Legacy 6 Deluxe, the latest build.

Hi Denise,

I, like you, followed the advice on a Legacy video and went out and bought
everything they said, it cost me about $80 by the way, and had the same
problem you related.  I've thought about about abandoning it, but I'm too
stubborn after having spent the money.  If you really want a mess, start
changing the MRIN and FRIN numbers, so the ones you are working on most are
in the first fifty to one hundred numbers.  It is a real pain, but I'm
determined to stick it out.

There are several other systems out there, color-coding, generational
folders, surname folders and others.  I've tried them all and I think over
the long haul the one we're using is best.  For me, I hate file folders,
boxes for the folders, and just stacks of misc. stuff.  At least with the
system we're using, you eventually get everything into notebooks that can be
neatly arranged on shelves.

I've rambled too much; just knowing there is at least one more frustrated
paper-handler out there might help.

I usually export my LEGACY file to a new temporary file, perhaps doing some
filtering as I export.

Then go through a series of tagging groups of people by ancestors of one
person usually or by date.  Then delete those tagged.

Another option, Pat, is to export all your notes and events to a
GEDCOM and search that in a text file. Then where you find it, you can
go back to your Legacy file and locate it. Cumbersome, but it works.

You could do a source report, export it to a text file and then search
that file for the words you are looking for.

Click on:
File -> Export to -> GEDCOM File ->

Make sure to include private info, in case it is tucked in there.
Set: Produce file for GEDCOM 5.5.

Click on:
Customize: You can remove anything you don't want, leaving just notes,
but since you are doing a search, I wouldn't bother. (You highlight
items on the right hand list, then click " < Remove ".

If you do a lot of removing, and think you will search notes again, I
would save this export criteria by clicking Save List.

Click OK.
Make sure Record Selection at the bottom includes all records in file.

Click on top right,  Select file name and start export. Open that file
in a text editor (MS Word or Notepad, for example) and do a search.

Glad to know I am not alone. I feel like abandoning ship and starting over;
I only have about 15 names and a few sources entered so this is not as bad
as it sounds. I didn't know you could change the MRIN numbers; what is a
FRIN number?

 

I thought Sharon Carmack's system sounded good: files for Surname, then
subject as necessary, so I set those up. I am already unhappy with that
system as I rather like thumbing through the binder looking at the
"evidence" of my ancestors. I may use the file folders, however, for all but
my focus people. I have to have a third storage system as well because most
of my data/sources are original documents and need to be stored in archival
boxes. I ordered several of these from a library supply company and they are
working well. Which brings me to another problem: do I list ALL of these
different storage locations in Legacy? And if so, where and how? I should
probably use photocopies in my binder and Surname folders, and originals in
the archival boxes.  Maybe I only need to source the location of originals
in File ID.

 

Do most users work with mainly photocopies rather than original documents? I
agree with you that notebooks are nice and compact. Thanks for filling me
in. if you rambled, I must be really meandering.

Hi Jim and Denise

I am using the MRIN system. Before I started, my paper records
were already filed by family name.  I started on my father’s side
and set my parents’ MRIN to number one. I then went through the
records changing the MRIN in Legacy as I went. This meant that
the numbers made sense and I could then easily remember that my
father’s side went from record 0001 to 0040, and my mother’s side
followed. 

I had a lot of help from reading the system explained and
expanded here:

After a while, you get used to remembering the number of
important often used MRINs.

[LegacyUG] Legacy e-mails

Not entirely a Legacy question but I hope some one might answer this
question.

Is there any way to have all the Legacy e-mails go straight to a Legacy
folder please ?

I am using Outlook 2000 - I think.

Denise,

Sorry about the slip of FRIN.  You're right there is no such thing--only RIN
and MRIN.  You can go to help and type MRIN into the index and I believe if
you scroll down one, you will see how to renumber your MRINs.  I think
you're in a good position to use that system if you have less than fifty
individuals at this point, yes, I see that you do.  I started changing
numbers on about 700 people in my file.  You can see how crazy that
gets--the system has you buying numbered tabs.  Its OK when you have fifty
or so to deal with, but I'm working on it.

Also, I don't know if you've noticed the numbers in the lower right corner
of the individual screen.  If it wasn't for those, this filing system would
drive you crazy.

The first number is H for husband and his number, the second is M for the
marriage number and finally W for the wife's number.

I'm not familiar with Sharon's system.  Where can I find it?

About referencing your materials.  If you are not going to use the system
we've been discussing, you probably should use the notes on Legacy.  In
addition to the filing system, I sometimes use the individual's note.

The note for the individual can be accessed by clicking on the icon below
the individual that looks like a stenographer's pad.  The way I have my
icons set up its third from left.  When you click on that you will see that
you have three seperate files; one for general notes, one for research
notes, and one for medical notes.  Making a quick not to where your hard
copy source is in the "research notes" will insure that you can always
easily find the document in whatever filing system you're using.

I hope this helps.  I'm not sure if my answers are too long for this board

You're right Jennifer.  I've just got to somehow figure out how I want to
keep renumbering my files.  I'm working on some fourth and fifth generation
ancestors and I move back and forth a lot.  I need to look at my numbers and
give some thought to how to renumber.  Your info about numbers one to forty
for one parent and upward for the other parent makes sense and will help
me.  Glad to know there's someone else using the system.   I'm convinced
that over the long haul, this one will work really well.  I sure am getting
tired of putting the little round reinforcement circles for the holes
though.

Yes Val

Click on Tools > Rules Wizard > New
"Move messages Based on Content
The bottom box willhave Apply this rule after the message arrives with 
"SPECIFIC WORDS" in the subject or body.
CLick on specifc words . add new and add the section in the emails 
subject matter EXACTLY as it appears [LegacyUG] (ensure the box brackets 
are used)
Click on Specified folders > personal folders and then either the Legacy 
folder if it exists or create one >new.
Click finish and ensure the tick box is marked for legacy in the rules 
wizard page and on the bottom click 'run now'


It should work from now on to every Legacy email from the group

Make as many other rules as you wish for other emails

What about going to a staionery supplier and get them to make a stamp 
that will number as you require?

EG
1-40..1-100..1-1000 etc
Then you can set the numbers as you want and change (automatically) as 
each piece of paper is stamped (After sorting to whom they belon, of course)


All Your fathers familys  papers will be 1..1-100..1-1000
whilst your mothers will be 41..1-100...1-

Valerie -
I am not sure about Outlook 2000, but in Outlook 2003 you can easily route
your mail into folders.

1. Go to Tools: News and Alerts
2. You should be at the Tab for Email Rules; select New Rule
3. The Rules Wizard pops up and will walk you through setting a rule for
what you want. Here is what I selected to automatically move mail into a
Legacy Users folder
1 - Step 1: Stay Organized, Select "Move messages with specific
words in the subject to a folder"
2 - Look at the second box labeled Step 2: Edit the rule
description. Click on "specific words" in the subject.
3 - Specific words or phrases: [type] Legacy User, click Add, click
OK
4 - Click on the words Move to a "specified folder"
5 - A box will pop up showing your email folders; Click New; Name
your folder Legacy Users, click OK
6 - Click Next
7 - Exceptions - do nothing
8 - Name Rule - I call mine LegacyUsersGroup
9 - Run Rule Now - all Legacy Users mail will be moved to your new
folder
10 - Finish

That's a good point Phil.  I bought some dividers with blank tabs and some
with the clear colored tabs that you can change.  It's working for the time
being, but I'm only up to about 150.  At this point its getting hard to
remember the individual and family numbers, so I use the numbers at the
bottom right constantly.

Hi Jim

Well I put all my paper files in page protectors as I don’t like
punching holes in my documents.

My files are in binders and I bought some dividers (tabs is the
word in some places) which had a see through sleeve and a tab to
insert the number. There were 10 per pack, I labelled them using
a Brother P-Touch 1830 labelling machine. (This machine comes in
handy for other things like labelling the cords on your PC.) The
see though sleeve contains the family group sheet.

I like to label the lower numbers with zeros before the numbers
as then they line up nicely.

To the List and Valerie:
I do use a HP Laptop with a AMD 64 with 3200 chip inside it runs very well 
with Legacy 6.0 Deluxe with a 1.5 gig  of Ram. a 15.4 screen.
Most of the laptops today do not have a floppy disk in them any more so you 
can work on the computer with its hard drive but you must us flash drives 
for back up or use them as your work drives, I use external hard drive, and 
a USB portable 4 gig hard drive and also flash drives.

Thanks for the link to the legacynews discussion. It is great. Very clear
and detailed.

I like the idea both of you had about renumbering, especially since I have
so few entries. I tried searching Legacy Help for ahnentafel but all I found
was how to create an ahnentafel style report, definition, etc. Did I miss
how to access the number for each individual?

Now it's time to let the little grey cells ponder the problem.

I do use a HP Laptop with a AMD 64 with 3200 chip inside it runs very
well 
with Legacy 6.0 Deluxe with a 1.5 gig  of Ram. a 15.4 screen. Most of
the laptops today do not have a floppy disk in them any more so you 
can work on the computer with its hard drive but you must us flash
drives 
for back up or use them as your work drives, I use external hard drive,
and 
a USB portable 4 gig hard drive and also flash drives.

punching holes in my documents.

My files are in binders and I bought some dividers (tabs is the
word in some places) which had a see through sleeve and a tab to
insert the number. There were 10 per pack, I labelled them using
a Brother P-Touch 1830 labelling machine. (This machine comes in
handy for other things like labelling the cords on your PC.) The
see though sleeve contains the family group sheet.

I like to label the lower numbers with zeros before the numbers
as then they line up nicely.

Jennifer,

That is probably what I should be doing.  I'm trying to keep the notebooks
as small as possible.  I have large notebooks, but I've already gotten three
of them full.  I followed the advice in the video and so I have lots of
other info included.  I'm going to set up one just for my misc.
information.  I am determined to get all of those stacks of folders off my
den floor.  My wife has threatened to throw them out, and occasionally, my
dog, Gabby starts chewing on the folder corners.  Sometimes I feel like like
the old saying my grandfather used to use when he had about all he could
take.  He said he was, "craving a bullet".  Its not that bad.  Actually I am
making marked progress.

I was lucky enough to find a new computer that still had XP on it, so
that's what I bought.
I'll probably go with Vista when it's been around a bit longer and
more of the bugs have been worked out.

Hi Lloyd,

I hope you're using the Source Copy button so you can copy and then 
paste (using the Source Clipboard) the whole source - Master and 
source detail - that is if your previous sources have come over with 
both bits and not as all individual sources.


If they've come over as individual sources, you may want to sort out 
what the Master Sources should be and which bits should be in Source 
Detail before you finish moving them all so you don't have another 
clean up sources task later.

[LegacyUG] Document handling, and numbering systems

I, too, Jim and Jennifer, am beginning to deal with my growing mountain of
papers and photos.  I bought acid-free archival quality boxes that are
fitted with 3-ring binders, and I bought the archival sleeves into which
each document goes.

 

If it isn't an original document, I write the source or provenance on the
back. All documents go into the archival sleeves, and I use my Dymo Duo
label printer (imagine the fun my children got out of me asking for THAT one
Christmas; my daughter fondly told me that I truly am the ultimate nerd) to
print a label which has 1) the reference number and 2) the full source as I
would record it in my Legacy file.

 

I invented my own numbering system, which does not make any reference to
Legacy numbers. One of my documents might be numbered W.HR.4.will(1887)
Which to me indicates Walker, the HR (Helton Rutherford family), the 4th
child, a will, and the year. While completely unscientific, it does allow me
to see at a glance exactly where the document falls in my research. My hope
is that if I keep the surname reference letter, and the given name
references together, the documents will roughly sort into a browsable
formation.

 

At this point, I am just slamming them into notebooks, willy nilly. When I
feel I have gained some ascendancy over the stacks, I will begin to sort,
and determine how many notebooks I need for each surname. In the meantime,
they are at least IN notebooks, and shelveable (is that a word?).

 

I also have an event for each individual with a document - in the event, I
list any filed document applicable to that individual, and the file number
assigned. This is a little unwieldy, as some documents reference numerous
people - I'm sure I'll end up jettisoning some of these procedures and
instituting different ones. Meantime, at least I have a (flawed) plan.

[LegacyUG] How to List a Location

I have found that I have quite a number of ancesters from a location in
Germany. The location is Buchig (the U has an Umlaut) in Baden-Wurttemberg,
Germany (again with the Umlaut U).  BUT the GeoLocation List in LEGACY does
not like that!  When I examine the political structure of Germany - I find
that

Buchig is a DISTRICT in the
TOWN called Stutensee in a
COUNTY called Landkreis Karlsruhe Land in an
ADMINISTRATIVE DISTRICT called Nordbaden, Karlsruhe in a
FEDERAL STATE called Baden-Wurttemberg in the
COUNTRY of Germany.

Suggestions as to how to handle this mess??

Go to this wesite -  http://www.familyhistory101.com/states.html
Then click on the map the state that you are researching.
If say it's South  Carolina, then on the left had side click on SC State 
Maps.
It will expand that menu to show several other map options. Click on SC 
County maps.
Now you will see a page called County Formation Maps, and, that is exactly 
what it is.
You can now play with it. You can click on the years at the bottom to see 
what the counties were during certain years. Well, like I said play with it.
One thing that I discovered is that it is hard to see the date at the top as 
you click forward or backward. So hit f11 button on your keyboard (which 
expands your screen view) and you will be able to pull down the date at the 
top while still being able to click the play, stop, view, preview and next 
buttons on the bottom. Have fun, its a good site. I just discovered it a 
month or so ago.

I understand 1-3. With 4 and 5, where do these words show up? In
a certain report? I couldn't find where changing the wording made

[LegacyUG] About dates

I have many people in my database that I do not know when they were born
nor when they died  but have an idea as to when they were around e.g. in
a directory, witness to a marriage or last child born etc.

How does everyone handle this problem.

If I look at the index I could have 7 John CULLODENS so it is helpful to
know that he was for example born before birth of first child and/or
that he died after birth of a child.

I tried putting all the different events of John CULLODDEN as events in
a family name but that did not work because when it was printed all
these events belonged to the same person so poor John CULLODEN died 5
times etc.

I hope some one an understand what I am trying to say.

Good morning all - such a beautiful day in Sydney.

As I am new to Legacy and as I am about to go on a research trip I would
like to know how best to organize my "to do " items to help me expedite
my research as I understand this is a very useful part of Legacy. 

As I will not have very much time ALL suggestions will be greatfully
received as I need to be very organized.

I have read the manual and help files BUT I would like to hear about
some examples.

Here is an example.

In my database I find that some one has died in 1832 in Belmont ?
Wexford leaving a will. Her name was Jemima BEDDY formerly CULLODEN nee
HALL.

I would now like to find her death date, place of burial and her will.
As you will all realize this would mean looking in many different places
so I am wondering how to make these entries.

We do understand. Try this:
Hover your mouse over the kids, and right click.
Select Children's Settings.

You order the kids by highlighting them, and using the "Order" buttons 
(on the right side) to move them up or down.



This works fine.  If you ever add dates to just a few of them later, and 
then try to get Legacy to do the ordering by birthdate for you, it will 
get out of order. It orders by the birthdate, and puts those without a 
birthdate first. So you will need to be a little careful here.


Off topic. You are in Sydney? Sunny? Isn't it cold?

Oh dear no.

It was nothing to do with children's dates. I have obviously confused
everyone.

If I have a John CULLODEN in a 1798 directory this is going to tell me
that he was at a particular place at a certain time but this will not
appear in my index so that I can not relate him to any other John
CULLODENs BUT I do know that he was born before 1798 and that he died
after 1798. [Yes I know directories are not a primary source but it is
better than nothing ].

This will tell me that he could not be the other John CULLODEN whom I
have dying in 1777 ?

How should I record this date of 1798 to appear in the index ?

It depends what I can get hold of!  It's great to have original 
documents, but these are not always available.  Where I have originals, 
I do scan them and keep a copy with all my other genealogy files, but I 
don't usually file paper copies *and* their originals.


FWIW, my filing system is, I think, fairly simple, but it works for me. 
I have 6 major headings and when I have sufficient material, these will 
encompass 6 (or more) separate files - probably in 6 different colours 
for ease of identification.  The Headings are:
Correspondence & Reports, which includes E-mails (E), Letters (L) and 
Reports (R)

Certificates (C) & Documents (D)
Newspapers (N), Periodicals (P) & Directories (T - for Trade!)
Family Papers (F) & Memorabilia (M)
Website Printouts (W).

Every item is filed with a letter and page number, so when I cite, for 
example, an e-mail as a source the file ID will be "Correspondence & 
Reports, page E7".  Sometimes an item has several pages, so the file ID 
will be "Certificates & Documents, page D6" but the actual pages of the 
document will be labelled D6i, D6ii etc.  Where I have multiple copies 
of the same item the file ID will be "Correspondence & Reports, page R5" 
but the copies of the Report will be labelled R5ai, R5aii etc and R5bi 
etc.


Within each document or item filed, I indicate which family member is 
referenced by using the UserID for that person.  My UserIDs comprise the 
initial letter of the family (the 4 main families which comprise my 
Legacy file), a number which indicates the generation, a dot and then 
the RIN (eg P6.331) or D1.2101.)


It's a long-winded explanation, but I think it's a simply method and it 
works well for me.
