I have something similar that I handle differently. The actions that I wish 
to try and accomplish daily are all set with a recurrence to start 1 day 
after completion (thus they show up the next day after completion). I don't 
bother to skip those I don't do, those show as "past due", which helps me 
prioritize as I know I didn't do them on a prior day.

[MLO] Re: Setting up MLO for GTD

I've used MLO for GTD for over 10 years. I approach it differently than 
Leigh described. Hopefully this will give you some perspective between our 
two views.

1. I concur - Outline and To Do are views. For me, my Outline is everything 
out of my head and in GTD for tracking. I use "To Do by Context" so I see 
things that are "on computer" or "away" or "phone". 

2. I don't track area of focus in MLO. Rather, those are part of the weekly 
review to add things to my Outline. As above, my primary method is 
contexts, which as David Allen describes can be modified to fit your needs. 
For me, my contexts for house related things are which room is involved 
(@Bedroom, @Master Bathroom, @Guest Room, etc.). Then you can create views 
that focus on contexts.

3. A Leigh describes, the tabs are to create slices of your world. Mine are 
"active by context", "by due date" (limited to next 30 days), "projects", 
"waiting for", "starred", "someday", and "recently modified".

4. I concur, I don't put references in MLO, unless it is a "read XYZ" and 
then I link to whatever XYZ is. If a task or project needs a reference, I 
have it in the notes section (I love that you can put a ton of characters 
there).

Just a few other points:

   1. While GTD says to only put a due date if it is a true due date, I 
   don't 100% follow that rule when using MLO. I have several tasks that are 
   targeted to be done daily, weekly, etc. For them to show "properly" in my 
   to do list, I have then set with a due date. For each, I have a recurrence 
   that puts it back the next cycle when I complete it (such as next day or 
   next week).
   2. Projects are key to putting GTD in MLO. In my outline, for example, I 
   have a "Crafting and Sewing" folder. Under that, I put the title of the 
   project and check the "this is a project" checkbox. Below that item are all 
   the "next actions" - for a few things, I know all the actions and have them 
   listed (often in a "complete subtasks in order" fashion). For others, I may 
   not know all the steps, which is where the view of "projects" is helpful, 
   because if I see a project and no action, I know I need to define the next 
   action.
   3. Project Status is also helpful because I can differentiate future 
   (not started) from active (in progress). I hide "completed" from the view.
   4. MLO is extremely flexible and it is worth the time to figure out how 
   to mold it to fit you and your style.

[MLO] Re: Question about focussing using Starred tasks

I use starred to tell me it's "important". For me, that means if I'm 
looking at my items and debating between a couple of tasks, after I resolve 
Getting Thing Done priority (time, energy, context), I use the star to 
break ties.

Hi Cameron,

As I recall, you can select tasks and right-click to sort, it has a pop-up, 
and then does what you picked. You *might* be able to reverse it by looking 
at those choices.

Otherwise, I don't believe the sort selection is saved as a permanent; it 
is a one-time sort. If you cannot "undo", then reorder your tasks with 
drag/drop back to how you want it.

Hi Sri,

I do not use attachments, rather I use the "link to file" feature you can 
add in the notes section of a task.

This is more helpful to me than an attachment, especially if the attachment 
is a file that is changing (such as an Excel file that I'm working on).

To use the link, right click in the notes and select "link to file".

Greetings,

I have been using GTD and MLO in combination for many years. I avoid 
attempting to identify daily tasks, as I feel that does not fit with the 
GTD model. Instead, as I end one task, I update MLO, complete the task (if 
appropriate), and ensure the next action for that project is identified. 
Then I use the various views to determine what to work on next focusing on 
context, due date (true due dates), energy, etc.

The views I find most helpful are:

   - By Due Date - sorting tasks by due date - I attempt to have due dates 
   be either a hard date (following GTD model) or a soft date (one I am 
   attempting to enforce, but I try and avoid those)
   - Projects - view of my projects, sorted by their status and the active 
   tasks
   - Waiting For - I have a context @waitingfor that shows items I've 
   delegated or need something from another. This view is very help 
   (especially at work) for ensuring I'm following up
   - Starred - I use stars to identify items that I consider a priority but 
   don't have a due date
   - Someday - I have a context @someday that I use to identify items to 
   consider for later. This way I can review them periodically and enable them 
   if desired. I use the conditional formatting of MLO to gray those out in 
   the outline
   - Modified recently - this shows items that have been updated in the 
   last 24 hours - very helpful for "what did I do earlier today" and "why did 
   that task appear to move dates" - helps to reset something if I didn't mean 
   to change it

I see a couple of other folks have replied prior to be seeing this, but I 
felt the need to chime in as well. I've been using MLO for many years, am a 
BETA tester, and follow GTD. From my perspective:

   1. Only a project needs a status, and MLO has that.
   2. All tasks availability can be managed either:
  1. Using an "@Someday" context to show it is not for now (and I have 
  MLO automatically format them in a color that appears greyed out)
  2. Linked to another tasks that has to be done first and therefore 
  this particular task is not active
  3. The child of another tasks, therefore this one has to be done 
  first and not the parent
  4. In a list of tasks that are checked to be "completed in order"
  5. Adding a start date to not show things prior to a particular 
  date/time
   
In all those cases, my list of active tasks is showing me what is available 
to me. Then I use contexts to provide my GTD contexts.

As David replied, I too manage hundreds plus of tasks on Android and 
Windows and follow the GTD system.

I've even added my own custom icons to make it quick for my eyes to see 
various types of activities.

Honestly, there is little I need changed. I hope we are aware of details 
before they are implemented. I've used the Windows and Android version for 
years and am quite happy.

That's an interesting idea, but I see some flaws, since my updates as I do 
them today could be adding more information to the task, such as tracking 
my @WaitingFor items or adding a new idea when I do my @Write item.  To me, 
that's not procrastinating, that's reviewing the item and appropriately 
updating it.

The question is about how you use the product. I follow Getting Thing Done 
methodology.  This means a calendar is only valuable when the due date is a 
hard date; not a soft target date. Personally, I will not find value in a 
calendar. I review my next actions daily.

My concern with this is it is allowing a system to determine your next best 
logical action instead of performing a review each time you complete an 
activity.

I created a context called "!Cancelled", add that context, then click the 
checkbox to mark it as done.  Then if I'm reviewing my older stuff (i.e. 
closed items), I can tell it wasn't done versus was done.

Welcome!  I hope you will be as happy with MLO as I am.

I cannot address your specific concerns because of what another user said - 
how accurate can I be on Monday for what I'll do on Thursday.  Instead, I 
set due dates for things that MUST be done by that date.  For the rest, 
each time I am available to take a new action, I review the list of active 
actions and decide.  Also, when I'm closing an action, I perform the 
Getting Things Done (GTD) process of defining the next action, so I won't 
have to reconsider next time.

I only use my calendar for items that must be done at a specific date/time. 
Otherwise, I follow the GTD process of energy, context, etc. to select my 
next action from my list of actions.  If I'm able to keep working on a 
single project, I look at what else is associated to that same project.

On your phone, you have a choice when syncing for how to resolve conflicts 
- use local or use remote (might say word host).  Since the phone has the 
task and the computer does not, that would be a conflict.  Make sure you 
check the box to use local when you sync and everything should be pushed to 
the computer.

[MLO] Re: How do I clear things from my inbox?

The inbox is just like any other folder in your hierarchy, which means you 
need to move the item from your inbox to its appropriate location.  It 
would not work for me if when I put a context on it and it left the inbox, 
since I want it in a specific location in my hierarchy.  I personally have 
my hierarchy by project (alphabetically) and all sub-tasks under that.  I 
have views that show by context, which includes the inbox.

1. Flags - not sure if that is on Android.  I don't use them in either 
Android or Windows.
2. Counters - these exist in Android.
3. Deletion/Archive - not sure what you mean by deletion of items; you can 
delete in Android.  For archiving, I synchronize to my Windows platform and 
let it do the archiving.

I am in the same boat as the other poster.  Just because the sub-tasks are 
complete doesn't mean the project is.  Since I follow GTD, I often only 
have the next action listed and therefore need this prompt (project without 
a sub-tasks) to remind me to review the progress and either create the next 
tasks or close it.  I would not like to see the behavior changed.

Hi Tammy,

When an item inherits the date of the item above, it sets the start and due 
dates to the same as the parent item.  As other discussions have shown, 
this can be helpful or irritating - it depends on what you are trying to 
achieve.  I personally appreciate the inheritance, as it helps me notice 
the date range and not set a start earlier than the parent or a due after 
the parent (unless that's what I really want to do).

I use a bit of a combination.  I have those that are "Someday/Maybe" with 
the status of "Not Started" and a context of "@Someday".  Then I have a

[MLO] Android - Project Encoding

I may have missed this or improperly searched.  If this is a duplicate, I

On my android, I would like to have the same Project Encoding that I do on 
my desktop.  On my desktop, I have all tasks that are associated with a 
project displaying with a prefix of "[project-name]".

How can I do that on my phone?

I feel like I'm a user on an island.  I don't want to share.  When I share, 
I have a totally different structure of tracking a project.  When it is 
"my" project and I have an element that is "waiting for", I don't need a 
full-blown separate tool, I just use contexts.  I really prefer MLO to be 
individual.

I can't address much, but here are a couple of points.

Your second #3 (Pricing) - not everyone uses the cloud, so it would not 
help the developers if people (like myself) got to use the product for 
free.  Personally, I love the tool (I don't have any issue with the 
interface) and don't mind paying for a good product.  I've used it for 
years and advocate it for everyone I work with.

As near as I can tell, for the lifetime you use it.  Of course, you 
probably want upgrades at some point. I've been using the desktop for

Steve is correct.  When you set the reminder, future recurring reminders 
will be relative to the due date.  For example, if you set the reminder to 
10 am on the due date, each recurring event will be at 10 am on the due 
date.

 of In Progress and saved.

 Yet, when I tap on the Projects line under the Outline section at the 
 left, nothing shows up at all. 

 Can anyone steer me in the right direction?

You may also want to validate if the folders Work Projects and Home 
Projects have the Project tag checked.

Well said.  I have been utilizing GTD for several years (thanks to MLO) and 
because I don't clutter my mind with things I need to remember, I am the 
person people seek at work for how to be organized, not miss deadlines, and 
be as productive as I am.

[MLO] Re: MLO end of life?

I sometimes feel the odd man out on this forum.  While there has not been a 
big upgrade, I picked this tool because of the features it had at the time, 
not the future.  Sure, there are things I look forward to doing on Android, 
but I'm so happy MLO exists!  I could not have tracked all that I do 
without this tool.  Plus, how many tools out there are released one time 
and that's all she wrote?  Too many!  I'm thrilled a future exists for MLO 
and I'm fine with them taking their time.

I must be in the minority.  I think MLO fully meets the needs of managing a 
project, but it obviously depends on the situation.  What I mean is that I 
don't manage projects with a ton of people - it is mostly myself and my 
waiting for items.  I manage those with the context field.  The other 
difference is that I don't believe in spending time building a week-long, 
month-long, view of what I'll be working on.  I follow GTD and validate the 
plan each time I pick the next action.  This way, I have a rough outline of 
a project and don't ever have to throw the how plan out when half-way along 
the goal changes, the action I just finished changes the path to done, or 
the goal is cancelled.  Plus I can accommodate having a new action thrown 
in that wasn't considered before without all the hassle a full-blown 
project management tool (like MS Project) can cause.

I don't view MLO as a project management tool, I view it as a 
mind-capturing tool that can be applied to projects.

 than desktop app (inbox and calendar management are enough)

 - All process must be very efficient so that i will not spend more time 
 managing my tasks than task himself. 
 In that way i found that i can't work well with the many online solutions 
 that lacks of efficient interface as with pure project management softwares 
 that are too complex and overbloated for my needs. 

 At the end unfortunately this software does'nt exist yet.
 I found few of them, including MLO, that are not far away from this (MLO 
 lacks of calendar management and few project management points), but i 
 can't avoid any of the above key points to fullfill my needs.

 Obviously i'm open to pay more for such software: the fact that all task 
 management softwares have a cost that is not more than 100$ show the market 
 they adressed to.
 For a  more professional and business approach to my needs i can pay up to 
 $400-500, but the software must really help my life.

 Maybe i will found something as it in future, for the moment i'll continue 
 to check around (including monitoring MLO software)

I personally prefer my someday items to be a context, not a folder.  This 
way, I can keep my existing hierarchy and just toggle things active and 
inactive.  What I mean by that is my normal tab shows all my stuff (as 
usual) and my active tabs exclude the someday context.  I then created 
a special tab with just someday items so that when I do my GTD review, I 
can easily see them.

Honestly, I do not want all of that merged into one tool.  I find MLO to be 
pretty darn good as it stands today.  I'm one of the rare people who 
doesn't want a calendar - I find I prefer to see my items as a list by due 
date.  Calendar events are different than items with a due date (in my 
opinion).  Plus, as a few other people commented, adding in this extra 
development increases cost, which I would prefer to avoid.

 filter (ProtectName is empty) will select all tasks that are not a part of 
 any project. Follow these steps:

1. Select a view that's as close as possible to what you want, except 
that tasks from inactive projects need to be excluded. Maybe it would be 
active actions or something similar
2. In the left hand pane, make sure that the view name is at the top 
and filter definitions fill the pane. If you see a list of views instead, 
click on the word Views at the top to bring up the filter definitions.
3. Find the Advanced section and be sure that the Add Advanced 
checkbox is marked.
4. click on setup to bring up the advanced filtering pop-up. I'm 
assuming the popup is empty (no rules yet). If not you will probably need 
help.
5. Click the Add Rule button
6. after the checkbox is a blank button. click it and select 
ProjectStatus from the dropdown
7. the next button should show an = sign. If not, click the button and 
select = 
8. click the next blank button and select in progress
9. the last button probably says [AND] - click on it and change it to 
[OR]
10. click the Add Rule button again. The first line changes to 
(ProjectStatus=InProgress) OR and a second line of buttons appears
11. clicking each button as before set the first one to ProjectName 
and the second one to IsEmpty. The rest of the line is irrelevant and you 
can ignore it.
12. Click the OK button to close the Setup Advanced Filter popup.
13. IMPORTANT: click the Save View button near the bottom left in 
order to save this new view. Enter a name for the view. It can be 
informative like active actions excluding inactive projects or short, 
like Justin-1. In the future whenever you select this view, you will see a 
display similar to the view you started with, except that tasks from 
inactive projects will be excluded.

Maybe I just don't understand what people are looking for, but I adore my 
Android client.  Well, maybe not adore.  But I find it works very well. 
 Yes, there are upgrades that would be good (mostly for me it is about some 
custom views).  But on the whole, I have been very successful managing my 
actions with the existing version that I've run now for about 2 years.  I 
guess I'm wondering what you tested that didn't meet your needs.

I personally like how it is today, as it helps me see why I'm doing the 
task.  I do make sure that my project names are reasonably short, to assist 
in the view.  If I have a long name, perhaps I didn't focus down enough to 
the end goal.  At that point, I shorten the name and put the rest of the 
details in the notes of the main level.

[MLO] Re: How do importance and urgency work?

Hi John,

You can create a new view that uses either or both of those fields as a 
sort field.  Here is what I did to validate.

1. Create a new tab (I called it Important)
2. Apply a basic view (I selected To Do  Active Actions) - this got me the 
layout I wanted, active tasks with no hierarchy
3. Click Filter to pull up the filter menu (it is in the bottom left of the 
screen)
4. Scroll down to Group and Sort and click Sort
5. In the Sort tasks by select Importance and the Descending radio 
button.  This will put the most important at the top
6. If you want, click the second sort and select Urgency and Descending.
7. Click OK
8. Click Save View and name it

Generally, I only put things in the inbox if I am trying to be fast and 
will resolve the actual placement later (typically after syncing to my 
computer).  Otherwise, I navigate to my folder structure and insert.

To set a recurrence, you have to have something that has both a start and a 
due date.  In your example, the due date would be the 13th of each month (I 
added 25 to 18 and ignored months with 31).  You can set the start date to 
a reasonable amount ahead of that (such as 25 days lead time).  Please let

I personally prefer it to not automatically check it as done.  This allows 
me to validate it is done.  Often, I only list some of the sub-tasks and 
list more once those are done.  If it automatically assumed I was done with 
the task, it could be incorrect.

   2. Select Advanced  Sort Sub-Tasks
   3. Enter your sort criteria
   4. If you want it to apply as Lisa mentioned, click the box for 
   Recursively to all subtasks at the bottom of the screen
   5. Click OK

I do not specifically know, but my guess would be that it is a professional 
product level feature and you may be running the free or standard version. 
 Do you know which version of the product you are using?  We can then check

Excellent point, Lisa.  These sorts are a one-time decision.  One that you 
can make more than once, if needed.

   1. Right-click on any level of the hierarchy (whichever one you want the 
   sub-tasks to sort)
   2. Select Advanced
   3. Select Sort Subtasks
   4. You get a three-level sorting (much like in Excel)

This is why I encourage all new users to be slow in what features they use. 
 I actually turned off some features (and hid them from view) since I 
wasn't using them.  They key is probably that all of us need to submit a 
tutorial for one feature we like and use.  That way, they can be available, 
since I'm happy with him focusing on coding versus help guides (but I'm a 
self-serve type of person).

[MLO] Android - Home Screen - Can you customize which views show?

Hi James,

This sounds interesting.  I do think the method of implementation might be 
a bit hard with all the maintaining of folders.  Have you considered using 
the contexts to indicate which group of 3 it is a part of versus folders? 
 I personally use GTD with MLO.  The keys for me are to have a context on 
everything, have projects flagged as projects, and to have everything 
captured in a way that is easy for me to find it again (without relying on 
searching).  I've found that I prefer my list to be alphabetical (I 
typically use the naming structure of GOAL: ACTION for sorting).  I will 
then use the star or goal to indicate items of current focus.

Please do let us know how it is going.

 Then, under each Week/Month/Year Outcomes, Rule of 3 folder, I created 3 
 folders, for each of the three Projects/Outcomes I want to create within 
 the time period.  On the outcomes folders for week, month, and year, I 
 marked each subfolder/project as Goal for Week/Month/Year, as 
 appropriate.   Then, under each folder, I place the 
 projects/subprojects/tasks that support accomplishment of each goal.

 I would like to just work with Goals, Projects, and Tasks in outline view, 
 and perhaps have a Goals view I can look at that would show me only my Rule 
 of 3 outcomes for week/month/year, and not have to have these items under a 
 Weekly Outcomes, Rule of 3 or Monthly Outcomes, Rule of 3

 That is where I am right now. I am curious if anyone else has tried 
 implementing this ARR3 system, or something very similar, in MLO, and what 
 advice they have to share. The trick is to capture things to be done in a 
 trusted system, that then helps you remember and execute them in a 
 productive way.  The challenge for me is spending too much time creating 
 and managing lists of what could be done and not enough time doing it.

Hi Lisa,

I have debated about using the Effort field.  The reason I say debated, is 
that I've not fully incorporated it into my process.  Like you, I view it 
as willpower or mental / physical capacity.  I include physical, because 
some tasks on my list will mean burning a lot of energy and probably 
getting sweaty.  At one time, I had a view that showed items only of a 
certain effort level.  The reason I am not doing that now is that I found I 
accidentally overwhelmed myself with to many views into my tasks.  My 
current method is following GTD and using context first.  I do have 
estimated min and max times, which is my next way to cull out tasks.  My 
next step is to decide if I have the energy for any of the tasks that match 
my context and time.  Lastly, I have given myself permission to not work on 
something so long as I'm aware I'm not working on it.  I hope this helps.

that items that I know I will not be able to devote any energy to it in the 
next couple of months to @Someday.  This context is hidden in most views.

natG's answer is better, but I wanted to share what I do.  I actually use 
start and end dates on just about everything in order to allow myself to 
setup recurring tasks that appear, for example, 4 days later.  But, since 
not every due date actually means it is DUE, I have a context @DueDate to 
know that those items actually have a set time they MUST be done.  Not sure 
if that helps.

I wish I knew.  I've been able to have drag-and-drop work on Exchange 
server e-mails, but I only use one instance of MLO with those links.  I've 
never tried to have two connect.

When you drag and drop an e-mail into MLO, it does two things: (1) put a 
link to the exact current location of the e-mail and (2) put a copy of the 
text.  Becuase I like to have my inbox empty, I first move the e-mail to 
the folder where it will be archived (for example, into the correct project 
folder) before I create a link.  This way, the link won't break when I move 
it.  What you might be able to do is synchronize your PST files.  The key 
will be to ensure both computers have the PST in the same location.
 
Becuase I use MLO at work and at home, I actually have two different MLO 
files.  One focused on work activities and only on my work computer.  One 
focused on everything BUT work and lives on my home computer and android 
phone.  That might also work for you.

I have noticed that sometims when I launch MLO on my Android phone, that it 
asks me if I want to download / install the newest version.  The issue is 
that it is offering the same version I'm running (based upon the launch 
screen).  Any ideas?

 NOW, on this december 11th, if I had to choose between This week;  This 
 month; This year, this goal would go, at this date, in This month.
 
 
 
 ...and when we get to, let's say, the 19th of december, I will switch it to 
 This week...And on december the 26th, it will go in This year goal...
 
 
 
 So, in other words here, Plan the Christmas Holiday is more of a This 
 month goal, than a monthly goal, wouldn't you say?
 
 
 
 You tell me if I'm in the You say tomato, I say tomato stuff here...I've 
 had more than my share of Getting too much into details before!

[MLO] Re: Currently I see no future in MLO

I'll admit that having an iPad, Android tablet, Android phone, and a 
Windows desktop can be frustrating if you want tools across all of them.  
But I have to say that MLO has enabled me to eliminate the brain drain of 
trying to recall each task and which ones I should be doing next.  It's 
gotten me kudos at work. :)  I originally tried to have the two Android 
items and the computer all synced, but now I just use the phone and desktop 
- more efficient.

[MLO] Re: Does anyone else make heavy use of recurrence?

Hi Michael,
 
I also use a lot of recurrence (often with the setting to not save a 
completed version of the task).  Like you, I use the desktop to setup these 
items and my Android to complete them.  It would be nice to be able to use 
the phone to set them up too.  Since it doesn't work well, I create the 
item in my inbox and when I sync to the desktop, create it properly.

Correct - the desktop can only be paired with one device.  I found that 
frustrating since I have both a phone and a tablet.  Takes a few steps to 
unpair / repair, decided to skip it and rarely use tablet.

I've seen this happen if the task is not active.  When it becomes active, 
the score changes to a value other than zero.

I understanding asking - as an analyst I like knowing expectations.  I do 
have a question - is there functionality you don't have that you are 
chomping at the bit for?  Personally, I know I'm not utilizing MLO to its 
full extent now, so I'm not thinking about an upgrade.

I recall the android version had a default MLO file that showed a bunch of 
features, like hidden branches and projects.  I don't recall if there was 
one like that for the desktop version.  Do you have some basic questions we 
could answer?

The issue for me is that there is an extra fee to use the cloud with MLO.  
I had no issue paying the fee for the PC version.  I had some issue paying 
$10 for the android version, especially when it doesn't have all the 
features.  Paying yet another cost is becoming frustrating.
