I am a Legacy 7 Deluxe user and would appreciate it if someone could help me 
with the following.  I have searched the help area and the archive postings 
without success.

As many of my ancestors seem to have common first names, I would like the 
marriage narrative to use both the first and middle name for all individuals in 
the Ancestor Report.

For example lets assume I have a John Charles Smith who is married to Jane Emil 
Doe.

At present the narrative in the Ancestor Report reads - John married Jane Emily 
Doe

I would like it to read- John Charles married Jane Emily Doe

The following has worked for me in the Ancestor Book Report.  On the report 
initial screen 
select the big Report Options button toward the bottom.  Then select the Format 
tab.  Along 
the left side, one of the check boxes is Use full given name for narratives.  
Check that and 
all should be well.

Click on the Report Options buttonSelect the Format tab
Tick the Use full given names for narratives
Close Report Options and generate your report, this should give you your
desired John Charles married Jane Emily Doe

[LegacyUG] Using Access to Change Data

Dennis - I have not been able to use your suggestion - mostly because I 
couldn't figure out where to start.  I am certainly not comfortable with 
Access, except to view and some items and then export to an Excel spreadsheet 
for further actions.  At the risk of appearing dumber than I am, could you show 
me hgow to start the formula you described in your earlier message?

(tblAR.AddrName=XYZ Cemetery)) 
 
... sets the Burial Address to XYZ Cemetery for anyone on Tag #1 who 
does not already have a Burial Address. This was done quick  dirty so 
it may require more testing. 
 
The usual caveat re backing up your database before doing anything in 
Access applies. ;-)

Disclaimer: I won't be responsible for any damage to your database.
Proceed at your own risk...

 1) Tag only the individuals you wish to update.
 2) Backup your Legacy database and close Legacy.
 3) Open your Legacy database in Access
 4) Go to Create Query Design (how you get here depends on your version
of Access - use Access Help if necessary)
 5) Close the Show Tables dialog.
 6) Go to SQL View (again, how you get here depends on your version
of Access - use Access Help if necessary)
 7) Paste the UPDATE query into the blank SQL window, making sure to
change the tag and the cemetery name to the ones you want.
 8) Click Run! Click Yes/OK when prompted to make the changes.
 9) Close Access.
10) Open Legacy and verify your changes. If not what you expected,
restore your Legacy database from the backup you created earlier.

If you don't feel comfortable doing this than don't! Just make sure you
have a good backup and that you know how to restore from a backup before
proceeding!!!

I am a newbie to this list.

I wish to record information about multiple lines of the same surname. 
i.e. John Smith is my ancestor and I have recorded information. Also 
have information about Isaac Smith and many others.


Has anyone used the group function to separate various unrelated lines 
of the same surname?

I'm trying to create a search list of people who were born, died, 
buried, married or have an event that took place in a certain county. 
 Basically, I'm trying to come up with a list of people who had 
anything happen in that county.


Seems like this would be simple, but I can't seem to pull it off in 
just one step.  Under the Detailed Search I found an option for Any 
Date but I can't find a similar option for Any Place.

Hi Mary

I use and run most of my programs(email, web browser, open office) from 
a 160GB USB drive that I move to any computer I am using at the moment 
and it would be nice to run Legacy from it.(when the USB drive is 
removed there is no trace of it on the host computer, so could be used 
on computers in institutions )

As discussed many times before on the list, Legacy must be installed on the
hard drive of the computer you're using to run the program.

I would *never* trust a USB drive for valuable or sensitive personal data.

Hi All
I'm running Legacy from a portable drive using VMware Thinapp, apologies to
the non technical but for others Thinapp runs through VMwares Virtual
Workstation, by installing a clean machine when Legacy or any other program
including MS Office etc is installed it takes a snapshot of the system
before and after installation, all system files are then copied into folders
of the app which is then run from a usb.
As far as data is concerned I to wouldn't trust a USB for my precious info
but by copying the data and opening the file when needed it's good for
portability and for referring to.

[LegacyUG] Using Tags to Get a List

This has to be so simple. I am just learning about tags. To start out
simply, I have tagged all my direct-line ancestors as Tag 1 and all of
my husband's direct-line ancestors as Tag 2. I can easily get a report
of all my relationships by doing a relationship report of all Tag 1
individuals. It indicates that I cannot do the same for my husband
without making him the Source individual. Is there a work-around,
i.e., a way to get a similar relationship report for my husband's
direct-line ancestors (Tag 2) without making him the Source
individual?

Or am I too scared of changing the Source Individual?

Yes. ;-)

Just change it back when you are done.

P.S. If you are afraid to do something, make a backup first and then try
it. Or use File  Save Family File As... to make another copy of your
database and try it on that one.

Hi Allen

Of course! Thanks for reminding me! I must have been a little brain  
dead to have forgotten that tidbit, LOL. I just have never used it We  
share on our home network of 4 Macs and one WinXP and I sync up to  
the cloud. I backup to Time Capsule daily and monthly to a separate  
firewire hard drive. I'll continue to use Dropbox for syncing my  
Legacy files between my two computers (much faster and more reliable  
than the cloud). It's the best way to go, in my opinion, for doing that.

OS? I must have missed the boat there. I should have mentioned before
that I store my Legacy Pictures folder in my Dropbox as well. That
way, the pictures I use in Legacy are always in sync on both
computers. And, by the way, the reason I put my Dropbox on my Mac  
side
is that way, it is backed up hourly by Time Machine to my Time  
Capsule
as are my Legacy data files and backups. It works much better that

Yes, I am on a Mac but I use Parallels. I don't know how  Fusion works,  
but Parallels allows you to share your folders whether  on your Mac or  
Windows side. That's how I use my Mac-saved documents  and photos in  
Legacy. Legacy just links to them.  So, I only  installed Dropbox on my  
Mac side. The Dropbox folder syncs my Legacy  files (Windows) and  
several things from my Mac side. They all co-exist  quite happily in  
that Dropbox folder.   :)

It isn't, and without a complete rewrite never will be. You need another 
program to run it on a Mac. hence the references to Parallels and Fusion

I'm sorry for the confusion there. I, and some others on this list,  
use a Mac computer but, with the help of programs like Fusion and  
Parallels, we are able to run a complete Windows system from within  
our Macs. That enables us to run Legacy, which is far superior to any  
Mac program, in my opinion. That, and the fact that most genealogy  
programs such as mapping programs, etc. are only made for Windows,  
forces us over to Windows for our genealogy purposes.  :)

Hi Janis

The ONLY problem I have had was when I first started with it and was  
trying to figure out the way it worked, I didn't know if it would  
upgrade and sync the second computer's copy while it was open..  
like, on the fly. (Working on computer #1 but having the same file  
open on computer #2)  I tried that to see what would happen and it  
DOES sync the file to the other computer's Dropbox. But, because the  
file was open on computer #2, it saved a file called Kathy (conflicted  
file name). So, I reasoned that you have to have computer #2's file  
closed so that it will overwrite the file correctly with the exact  
same name. That works as it should and hence my caution about that in  
my original post. So, you simply need to close the file when you are  
no longer working on it on computer #2 so that when you work on  
computer #1s file and close it, it will sync properly. Pretty simple  
and normal operation for computer file saving rules, if you think  
about it.  :)  But, I just had to try, LOL.


No other problems. It works great!

[LegacyUG] Using Dropbox to sync Legacy

Hi Everyone

I apologize in advance for the length of this post but I wanted to  
share with everyone how I am keeping my Legacy files synced and  
current between my two computers as I think this is a concern to many  
of us that use more than one computer. I routinely work on both my  
computers in Legacy, adding and changing the data. I try to keep it  
all sorted in my little brain as to which one was the most up-to-date  
copy, but it isn't always easy to do that and sometimes I'm just not  
100% sure which one I used last. I fear I was overwriting newly  
created data on occasion.  Enter Dropbox. I have been using this for a  
while now to keep various files in sync between my two computers and  
it works beautifully. I had even been backing up my Legacy files to  
Dropbox so that each computer had access to backups in the same  
(synced) location, but now I'm actually storing my Legacy Data files  
in Dropbox and it works great!


To explain .

First, to learn more about Dropbox, go to http://www.getdropbox.com/.   
Basically, it is a FREE little program that you download and install  
on each of your computers that you'd like to keep in sync. On each  
computer, it creates a Dropbox folder. Whatever you put into that  
folder, gets synced to your Dropbox account on the Internet and then  
to your other computer(s) with the same setup. It happens very  
quickly, usually within seconds, depending on the size of the file.  
The beauty of this, is that it only depends on the Internet to do the  
syncing, so your data sits in the Dropbox folder on your computer,  
always available to you. You don't have to access it on the Internet.  
AND, that same data now sits on the Dropbox server as an off-site  
backup to you AND available to you from any computer, anywhere through  
the web interface! It can't get any better than this!


This was recently written about by Dick Eastman in a recent Plus  
version of his newsletter and he sings its praises highly. I had used  
it before but his newsletter gave me the idea to use it to store and  
sync my Legacy data files. I'm so glad I did. Dropbox only syncs  
changes when you close a file. So, in Legacy, when I am through  
working in my file, I close it (you don't have to quit the program)  
and it immediately syncs to my Dropbox folder, then to the Internet,  
then to the Dropbox folder on my other computer. No more wondering if  
I am using the most current version of my data!


This is free and works on both Macs and Windows. You are allowed 2GB  
of storage space and you can pay for more if you need it. Oh, and by  
the way, it works beautifully if you are a Mac user like I am, using  
Legacy from within Parallels or one of the other virtualization  
programs. Legacy knows to look for my data in the Dropbox folder and  
all my images and documents I link to from my Mac folders.

Of course, I and hundreds of others, immediately went over to check it 
out.  I signed up, downloaded, installed and all that.  For my first 
experiment I uploaded a 662 file/33 folder family wiki.  Dropbox only 
found about 500 of the files.  I am now going through 33 folders 
uploading the ones they missed.  Is it worth it?  Maybe this once.

You say you uploaded? Did you just copy the file you wanted to sync to  
your computers Dropbox folder? Because that is all you have to do.  
Sorry you have had troubles but it has worked flawlessly for me .

  (synced) location, but now I'm actually storing my Legacy Data files  
  in Dropbox and it works great!

  To explain .

  First, to learn more about Dropbox, go to http://www.getdropbox.com/.   
  Basically, it is a FREE little program that you download and install  
  on each of your computers that you'd like to keep in sync. On each  
  computer, it creates a Dropbox folder. Whatever you put into that  
  folder, gets synced to your Dropbox account on the Internet and then  
  to your other computer(s) with the same setup. It happens very  
  quickly, usually within seconds, depending on the size of the file.  
  The beauty of this, is that it only depends on the Internet to do the  
  syncing, so your data sits in the Dropbox folder on your computer,  
  always available to you. You don't have to access it on the Internet.  
  AND, that same data now sits on the Dropbox server as an off-site  
  backup to you AND available to you from any computer, anywhere through  
  the web interface! It can't get any better than this!

  This was recently written about by Dick Eastman in a recent Plus  
  version of his newsletter and he sings its praises highly. I had used  
  it before but his newsletter gave me the idea to use it to store and  
  sync my Legacy data files. I'm so glad I did. Dropbox only syncs  
  changes when you close a file. So, in Legacy, when I am through  
  working in my file, I close it (you don't have to quit the program)  
  and it immediately syncs to my Dropbox folder, then to the Internet,  
  then to the Dropbox folder on my other computer. No more wondering if  
  I am using the most current version of my data!

  This is free and works on both Macs and Windows. You are allowed 2GB  
  of storage space and you can pay for more if you need it. Oh, and by  
  the way, it works beautifully if you are a Mac user like I am, using  
  Legacy from within Parallels or one of the other virtualization  
  programs. Legacy knows to look for my data in the Dropbox folder and  
  all my images and documents I link to from my Mac folders.

Hi Janis

I do backup to Dropbox, as well. I don't need to do that, but that  
way, everything on my computer including Dropbox and its files, gets  
backed up to my Time Capsule. So you can store your backups there. I  
delete the older ones as I go along. But, the real beauty of Dropbox,  
in my opinion, is in keeping your data files from Legacy synced with  
all your computers so they are all current and working off the same  
file. You can even access the file from a computer at work, providing,  
of course, you have Legacy on it, too. By data file, I mean your  
working family file.


Anyway, this is how I did it:

If the Desktop computer is the up-to-date one, I would put the Legacy  
Data folder (you can call it anything you wish) into your Dropbox  
folder on that computer. Be sure to change your default location in  
Legacy to reflect that. You do that by going to the Options menu in  
Legacy, Customize, Locations tab. Then, choose the folder you are  
using that is in the Dropbox folder. From then on, Legacy will use  
that location to save your data to.


That folder will sync to the Dropbox folder on your laptop. So, on the  
laptop, I would wait until you see your data appear in the Dropbox  
folder there. Launch Legacy but do NOT have a file open. Close it if  
you do. When your file is safely in the Dropbox folder on your laptop,  
simply open that file by going to File/Open Family File. Do NOT choose  
the file listed there. It will be the old, out of date one. Instead,  
browse to your Dropbox folder and find the file there that just got  
synced from your desktop computer. Now, you are set! Synced and up to  
date on both computers! Check on Legacy on your laptop and change the  
default location as above, if you need to. Mine automatically changed  
it when I made that new selection from Dropbox. It works beautifully!


As long as you close the file you are working in when done, then  
Dropbox will sync it automatically and the other computer gets synced  
as well. Then, you are always up to date.  :)  It is not necessary to  
quit Legacy. Just close the file and it will  sync.


You do not have to tell Dropbox anything. The nature of the Dropbox  
folder/program is such that anything that you put into it, gets  
automatically synced. You don't have to do anything but the initial  
set up.

So you have NO data file left in your Legacy file. It is only in your
DropBox file?

Actually, my laptop is my primary workplace (lots of travel) and my desktop
is the one that I have to keep up to date. Plus I am on Macs, working
through Fusion - so I have DropBox installed on the Mac side and the PC side
of the laptop, and on the Mac side and PC side of the desktop.

I believe you are on a Mac as well. Is that what you are doing?

Yes, I am on a Mac but I use Parallels. I don't know how Fusion works,  
but Parallels allows you to share your folders whether on your Mac or  
Windows side. That's how I use my Mac-saved documents and photos in  
Legacy. Legacy just links to them.  So, I only installed Dropbox on my  
Mac side. The Dropbox folder syncs my Legacy files (Windows) and  
several things from my Mac side. They all co-exist quite happily in  
that Dropbox folder.  :)

[LegacyUG] using two computers

Can anyone give me some quick advice please?  I have Legacy 7 deluxe on 
my PC but when I try to compare two databases - using the split screen 
facility - the two databases seem to become corrupt, or perhaps I am 
entering detail into the wrong one but I don't think I am.


I wonder if it is possible to download Legacy 7 to my husband's laptop, 
enter the deluxe number and then have two different databases open on 
the two computers side by side when comparing will be easier.  Having 
said this, I now realise that perhaps it won't then be easy to copy 
detail from one to the other but I could then tag people that need 
amendment in the master database and tag those individuals in the other 
that are missing from the master.  I will still have to do the merge 
though...


Has anyone experience of merging databases or copying information from 
one to the other, without corrupting either or both?

You do not say what/which database(s) are being corrupted, are they both in the 
same format eg Legacy7, and what exactly are you doing - in my experience just 
looking does not have any effect?
 
In the second part you are getting close to talking about networking 2 PCs, and 
yes it can be done - I do it (although with Open Office as it happens) and it 
is necessary to give read-write consent to at last one of them. I suggest that 
you read up on this subject as it is diverse, not appropriate for this list.

Yes - both databases are Legacy 7 ones.  I had my own family file and 
found a professional genealogist had gone considerably further back in 
the family (all meticulously sourced) than I had.  I have gedcoms of 
various branches from the other person, which I have tried to merge with 
my own.  This is where things went wrong.  I now have the situation 
where I have my own database which has had recent births and deaths 
added (within the last month) but with only some of the new material.  
There is duplication in the small gedcom files I've downloaded (where 
they overlap) and I am finding it unmanageable to merge the new material in.


I fear that if I go back a long way to start again from a previous 
version of my family file, even if I get all the new stuff (from the 
gedcoms) in successfully, I will then have lost the latest data entered 
within the last six months. 

Intellimerge went completely haywire when I last tried to import 
something, so now, apart from re-typing all information, including the 
myriad of sources for each piece of data, I am stuck as to know how to 
proceed.

Any advice welcome.

Bob,

I have been running Legacy on my iMac for a couple of years.  I looked at
every Mac genealogy program before deciding I had to find a way to get
Windows on the Mac.  I installed WinXP under VMWare Fusion and it works
great.  I hate having to set my iMac up to run Windows just to run one
program - Legacy.

[LegacyUG] Using Legacy on Mac

I have a iMac and am running virtual box and have installed Legacy. It  
works but I am having one problem that I know of at this time.


When I close down Legacy and VirtualBox and then start it back up I  
loose one of the Legacy files. The file I loose is the one that has  
the color options.


I have my legacy files stored on the Mac and use it as a server.

Any suggestions? I have considered storing the files on the virtualbox  
but I would rather have timemachine do the back up for me.

Exactly what to you mean by losing a file. I do not use a Mac but have found 
something similar happening with Windows from time to time, in that the normal 
default file eg Background is no longer showing. When I search for it is 
still there, just hadn't been selected on start up.

I use Parallels and my Macbook Pro and have no problem with Legacy
forgetting settings.

Someday I hope the Apple comes up with their own full-featured genealogy
program like Legacy for the Mac.  The others I've seen just don't compare.

 The problem I am having is that I go into options and set the

You can avoid having to go through all the resetting by saving your colour 
options (OptionsCustomiseColour) and click on Load and the file name you 
gave it to get them back. The Legacy\ColourSchemes folder contains these 
settings and the standard range which Legacy offers.
 
As I said, I do not know the Mac computers so others can best advise you on 
them.

The trick I use is to tag the husbands (or wives), and use the search on 
individuals, which finds the marriages, missing only the women (or men) with no 
spouse. But that should grab 90% or better. I have found tagging the marriages 
useless since the marriage list is never trimmed, but it shows both spouses in 
the individual list instead. In the past, it didn't show 'only tagged 
marriages', like the Search list. I asked for this in L5.

Since I'm sourcing many marriages to to a newfound source it definitely
helps me to see tags on the marriage list for all that are sourced to it. I
can globally tag all individials using the source but tagging marriages can
only be done one at a time. Still worth the effort. I agree it would be nice
to show 'only tagged marriages'.

The Subsequent Citation is a (very) abbreviated version of the full 
Citation which will be used the first time a Source is cited.  Quite 
rightly, the programmers don't think it necessary to repeat the whole 
rigmarole every time.  The only time this should be a problem is if you 
have two Master Sources for letters from Tom Brown and John Brown to 
Jane Smith.  (Although this might not be a problem - I haven't tested 
what happens to the Subsequent Citations in that case.)


However, if you wish to change the Subsequent Citation so it uses the 
full names, you can certainly change this.  Having called the Master 
Source and entered the Source Details, click on the Overrides tab and 
enter the text you want in the Subsequent Citation area.  (Remember to 
tick the box beneath to Use this customised ...)


I find the quick way to do this is to highlight the text on the 
right-hand side, copy and paste it into the edit area and then make the

Am I right in thinking that if you use the 'historical letter' template, it
does add full names to the Footnote/Endnote Citation and Subsequent
Citation.  Does this indicate there is an error in the 'personal letter'
template?

Subject: [LegacyUG] Using Sourcewriter templates - Footnote/Endnote
Citation etc


Hi everyone,

I have only just started to look at the new 'sourcewriter templates', so
could quite easiliy be missing something here.

This is specifically to do with the 'Letter' template, but may well be
applicable to other templates.

At the end of the Footnote/Endnote Citation, the information reads:
privately held by Brookes and the Subsequent Citation reads Brookes to
Brookes, 11 Mar 2008.

Apart from the issue that I hate being refered to by my surname, there are
many Brookes surnames in my database (obvious really!!)

Is there a way of altering the template 'output' so that it reads my (and
the sender's) full name.  The only way I can get it to read how I wish is by
putting my full name in the Surname box of the template, and don't really
want to do this as there is a separate box for first names.

I am probably missing a setting somewhere along the line, but would be
really grateful of any help, or logical reason why the template has been set
up in this way.

I think that's the way you'd have to do it (put your full name in the
surname field).  That, though, will impact the sorting sequence in the
bibliography--if it matters to you.

The reason for this is that this template was patterned after the model in
Evidence Explained by Elizabeth Mills. You can modify it by clicking on the
override link. Here you can add in the given names.

One thing I learned the hard way (again, from importing my mother's 
database):

I suggest you do NOT merge a GEDCOM directly into your own main family file.
Instead, create a NEW Legacy file with the GEDCOM.  Then go through the 
various different entries to do cleanup and standardization as you desire. 
Once you are happy with the new Legacy file, only THEN merge it into your 
own file.

Dermot is correct that Legacy will Sync with new.familysearch.org when it is
released to the general public.  It is now in a limited or Beta release,
but it is getting closer to it's full release.

As a family worker here in the Seattle area we I guess are getting 
education  on how to use it when in Septembeer this area weill be open to 
all the members of the Church and they said it will be open in some form to

Don't be too confident about the security of Firefox.  When it was a new
browser, it was safer than the then-current version of IE.  However, it is
now popular enough to be targeted by the hackers and even the latest
version (3.0) has security holes.  Details here:

 I really hate to use Internet Explorer for anything other than Windows

I know, but it is still a lot safer than IE.  I just hope the request 
reaches the ears of the Legacy programmers.  It should not be too difficult 
a goal to achieve.

threads overwhelming this newsgroup.

Legacy is pretty well built around IE, which means it's used for the 
Home tab, Research Guidance, and the IGI possibly although that's not 
visible.  And now the maps.  No choice unfortunately.  Search the 
Internet seems to work with the chosen browser.

still opens the item in IE instead of Firefox.  Is there anyway to 
change this default behavior so that Legacy will use Firefox instead

That's unfortunate. Even though Legacy is based on MS Access, it should 
still be possible for the designers to allow it to use the system default 
browser - which in my and many systems is Firefox.

Agreed, and if I could click a button and change it I would.  Even more 
so now that Zotero has hit the airways and only works with Mozilla.  I'm 
sure there's a use for integrating that with Legacy although I'm just 
dreaming about what it might be.

Verified only has one meaning and that is (a). This could refer to the original 
document, or a microfilm/fiche or a web image of the document, but, in my view 
not to an index compiled by a 3rd party or a personal tree giving the details 
or similar. 

Some purists may debate the definition of original document as for example in 
England the raw census data is transcribed before being compiled into 
centralised records.

[LegacyUG] Using parentheses after town name in Master Locations

If you put an address in parenthesis after a town name in a location (master 
location list), does this mess up any of the automatic things Legacy does 
with locations?  (Don't ask me what automatic things - I don't know what all 
Legacy does yet; I'm throwing this out there to ask those of you who do.)


Let's say I have Seagraves (606 12th St), Gaines, Texas, USA and I also 
have Seagraves (Gaines County Cemetery), Gaines, Texas, USA and I also 
have Seagraves (Walter Perry homestead), Gaines, Texas, USA.


I want the second one (Gaines Co. Cemetery) in the location list so I can 
mark it on the map.


I have similar need-to-pinpoint with several other towns/areas within given 
counties.


I need some reassurance that enclosing specifics in parentheses after the 
town name in my master location list won't cause problems in ways I'm not 
considering. If it does cause something else to not work as it should, 
please tell me what it is.  If I can do this without it messing up other 
things I want Legacy to do, then I'll worry about how to get the mapping 
feature to put the pins where I need them.


What am I missing here?  Your thoughts?

Hi Penny,
the answer is YES. I have ver 7, and tested some of the mapping with
my locations. I place my church and cemetery names into parenthesis.
So when you look at an individual's list of locations, after clicking
on mapping, they have ? beside them, as VE cannot resolve them. But as
soon as you click on that entry, and click Resolve, VE's map at least
brings you to the town. So then it is up to us to zoom in and change
the location to the right address, if we are interested. So it isn't
too difficult.

But if you want to save time, I think you can start looking up the
exact latitude and longitude of these locations, while you are still
in your earlier version, and enter them in the master location list.
Then when you click on mapping, you will be brought to that spot, and
the mapping list will indicate that you provided the lat and long
location, rather than it coming from VE.

(VE=Virtual Earth mapping by microsoft)

My opinion, and I haven't used multimedia but  plan on it eventually, is to 
keep my multimedia on the USB  drive, AND at  least occasionally keep another 
back-up in another place like my hard drives and  or 500 gig back-up drive!  
Just my opinion!!!  I'd rather be  over-cautious about saves.

They could.  But for my own purposes I decided to keep them on both 
my desktop and laptop computers.  The decision was based on the

So I have my working Legacy database only on the memory stick, and

it into either of my computers it automatically makes a backup to it. 
 Then it checks to see if any multimedia files have not been 
archived.  Any it finds are copied to the memory stick and will in 
turn be copied to the other computer whenever the stick is plugged 
into it.   Note: if this memory stick is plugged into any other 
computer it will not do any copying or backups.

So the memory stick's AutoRun program keeps both computers up-to-date 
with the multimedia files (no matter which computer I add them to) 
and there's also a database backup on both computers.  When the month 
changes I have another auto-running program on my desktop computer 
that uploads a copy of the latest database backup to a web site.

Rather than have a specific drive letter to identify the memory stick 
I've added the shield  sword icon to it as identification -- via 
its AutoRun.inf file.  That way when more than one removable disk is 
attached the Legacy one is immediately identified by its icon.

Since setting up a drive for AutoRun is off topic for this list I'll 
not go into further details here about how to do this.  There's lots 
of information available from the web for this.

If you use XP, and click on Help and Support, then type change drive
letter into the search box, it will give you some simple instructions.

There is no best. I think it really depends on which computer you consider to 
be the one that you will use for the majority of your data enty. If you are 
going to use them about equally, I would consider keeping the data on the 
portable, but just remember that it will be subject to more abuse and potential 
failure. Therefore, be religious in backing up to both computers internal hard 
drives.
