Learn to use Filemaker Pro
Tired of mucking around with spreadsheets and word processors just to keep track of all your important data. Got an idea for an iPhone app but don’t know how to get started? Heard of Filemaker Pro but don’t know much about it? Filemaker has been around almost as long as the Mac and is powering the database systems of some of the biggest companies in the world, yet it is so easy to use even a raw beginner can create a useful solution with it. Because of this, Filemaker has gathered a reputation of being something of a toy, but those who use it know this is far from the truth. Modern versions are using a wide range of technologies to produce some amazing solutions. The current version is Filemaker Pro 16, and version 17 will be released sometime in the next few months. Filemaker Pro
I am adding another computer to my single computer office. Is there any way FMP can be used real time by both computers. I have tried putting the database in Dropbox. Both computers can access it but changes made on one cannot be seen on the other. Any suggestions? also, what about Apple Mail. It seems that sent emails can only be seen on the originating computer. Hi Brett Filemaker has Sharing that can be set up. So you can set up the database to be shared via the local network. (Should be in the sharing settings in the File menu from memory). Re Mail. Sent will only stay in sync if you use IMAP for both email accounts. IMAP may only work if your current host a) allows it and b) you have enough storage space for all emails that you want store. (A lot of my hosted clients start with 10GB storage space with this reason, as IMAP email doesn't take much to build up quite quickly). IMAP is good for keeping everything in Sync, but there are some downsides as well. Hope that helps. You must have ONLY ONE COPY of the database file(s), and the file(s) must be on only one computer. 2. You must have a separate licence for each copy of Filemaker on the network, otherwise they conflict. 3. The computer on which the file(s) reside becomes the host, and must be on with Filemaker running at all times when you want to use the database. 4. The hosted file(s) must have sharing turned on. This is done by going to File Sharing Filemaker Network... from the Filemaker Menu. This must be done for each file in the solution. It's also very important that every file has the same login and password. 5. On the Client computer, you find the hosted file by going to File Open Remote... in the Filemaker Menu. By choosing Local Hosts in the resulting dialog your host computer should show up (this can be annoyingly inconsistent). For increased reliability, it is best to assign a manual IP address to the hosting computer rather than leaving it up to DHCP. 6. The file(s) will be listed in the Open Remote... dialog. Choose the main file for your solution and everything will work. All of this explains why the Dropbox solution does not work as you have described. Your file(s) CAN be in Dropbox, but you still need a hosting computer to keep them open, and everything has to be done through that host. You must not try to access the files directly from the client computer. Another way out of this is to take out a Filemaker Development Subscription (http://www.filemaker.com/technet/). It costs $99.00, but you do get a limited licence for Filemaker Server Advanced which allows up to three simultaneous connections. This is a far more powerful solution that native Filemaker hosting, and provides for extra services such as relaible backups, web hosting ,etc. It would be a very cost-effective way of solving your problem. I presume you have checked the auto-entry options for the date modified field and made sure it is correctly set? Is the fied in question a data entry field or a calculated value? The fundamental auto-entry behaviour of date fields has not changed over all the 19 years I have been using Filemaker, even up to v12. What has changed, however, are certain calculations which have been deprecated over the years. One of the these is the Today function, which has been replaced with Get (CurrentDate). If your field is indeed a calculated value, and originally used the Today function, check the indexing on the field. If it is turned off it could be causing the field to update across record set, but this is certainly not the correct way to manage modification dates anyway. The field should be manually entered with auto-entry options set. Hope this makes sense. If, please get back to me. FileMaker Pro question
Hi I am running FileMaker Pro 11. A while ago using an older version I set up an inventory database with a field 'date modified' and I swear it only updated when I made a change to an item...increasing/decreasing quantities etc. Now the field updates to the current date on every item as soon as I open the file which is not what I want. I know I could change the field from date modified and update with current date manually when i make changes but I would rather it was automatic. Have I changed something without realising it or what? First of all, Filemaker is not going to be able to use your FoxPro databases directly. They will have to be converted first, and this can be a huge undertaking. You will need to export to Excel or delimited text files, then import into Filemaker, then there's the whole business of making then useable - layouts, scripts, calculations and relationships all need to be created and tested. Then there's the question of software validation. You will absolutely need the correct installation code which was provided with Graeme's original install. If you don't have the discs this is going to be a problem. Transferring the software is not a big deal: simply copy the Filemaker Pro folder from Graeme's Applications folder to yours either across a network or via a USB drive, or even burning to a CD if there's nothing else. I'm not sure about recent versions, but this used to be a problem with earlier versions of Filemaker since certain components had to be installed to a lower level of the system than the User Domain. I think Filemaker 11 is more self-contained, but I'm not 100% certain, since I have only ever used the installer. If you can't find that installation code you're in trouble before you begin. The only place you'll find it is with the original installation CD. If you can find that then just run the installer on your computer and enter the code when prompted. This is by far the most preferred method of installing Filemaker Pro. I apologise if I have misunderstood certain aspects of your post. If there's any more help I can give I will be glad to do so. PS: an alternative suggestion - if your FoxPro databases are flat files (ie, non-relational) and fairly simple in structure, you might consider exporting to to Excel or text file (as you will have to anyway) and importing into Bento. It's much cheaper, and may provide you with much of the power you want that Excel certainly won't provide. You also won't have the problem of software validation. You can download a trial version of Bento from Filemaker's web site for testing. Now that the cat's out of the bag (I've had a pre-release version for several weeks), I can assure you that Filemaker 12 is the most significant new release of Filemaker Pro since the change from FMP 6 to FMP 7. It also brings a change in the underlying file format, to the point that FMP12 is not compatible with previous versions, and old files need to be converted. Fortunately, this is simple and quick. Filemaker 12 also requires, at minimum, an Intel-based running Mac OS X 10.6. Previous versions of Filemaker cannot read Filemaker 12 files. Filemaker activation
I have Filemaker Pro9 which I have imported with all the rest of my computer worldly gods from my G5 (now erased) into my iMac. On trying to open Filemaker it goes off and checks activation then, after a long time, comes up with general activation error 50040. I did not deactivate it first (as I did with Photoshop!) and wonder what the next step is. Phone support in Sydney have packed up for the night itv seems. Filemaker Go on and iPad
Hi WA muggers I purchased an iPad last year, but havnt used it much since, except for emails. I am considering using Filemaker Go on it but am not sure how to go about installing it. I see on the Filemaker website it can be purchased for around $40. Do I need to use my iPad to purchase FM Go online so that I can then instal it directly onto the iPad, or do I use my MacBook Pro and then connect to the iPad to install? Im assuming there is no physical box with DVD? Once installed I want to port a database (FMPro 11) I have on my MacBook Pro over to the iPad and use it as a data entry device (as I previously had used a Palm with FM Mobile) to record whale sightings. Then I need to backup the Go database to the laptop at the end of each day. I have read that the Go version cant be Synced with the main laptop database (as it could be done with FM Mobile using Bluetooth) but have to copy files over so they can update the main database? Can someone please advise if this is do-able and what is the best way to do the file transfer (it will be on a ship, so there wont be any good link to the internet). Hi Chris It's very easy to transfer the files via the iTunes interface using the USB sync cable. You simply connect the device, go to the Apps tab, scroll to the bottom where File Sharing apps are listed and make the transfer(s). The files listed are of course those on the device (iPad, iPhone) and you have the option of deleting the existing files if you want to update from the MBP (select the files and hit the keyboard delete) and then use the Add button to replace them from the MBP). Alternatively, use the Save To button to transfer from the device to the MBP and you will be prompted to overwrite/replace the existing file - this is what you aparently want to do - the transfer is very quick. Hi Adrian, I have made an error. I thought FileMaker Mobile was for use with iPad or iPhone. It appears it is for Palm OS or Pocket PC. I am sorry to say that I have neither of those devices. Cheers, Carlo Yes, Filemaker Mobile was a Palm application, and was dropped by Filemaker several years ago. The iOS version is Filemaker Go, a far different kettle of fish! Filemaker Mobile was only ever a hollow shell of its desktop version, whereas Filemaker Go shares almost all of the same features as the desktop version. Preview and Filemaker
I have a task that requires transferring details of academic papers from PDFs into Filemaker Pro ( Ver 11). I have found that no matter what I do, the last step will not work with a Preview PDF but will work with Adobe 8 Pro PDF. Is there anyway I can switch off Preview temporarily? Hi Bill, Do you mean you wish to have Adobe Acrobat Professional.app (8.) as the default application to open all PDFs? If so: 1. Highlight a PDF 2. Go to File Get Info 3. Select Adobe Acrobat Professional.app (8.0) (or what version you have) 4. Click Change All If this isn't what you mean please post back. I have not experienced this at all. I have never felt the need to resort to Acrobat when dealing with PDFs in Filemaker Pro (ver 11 or any other). What is it that's not working? Is the container field simply not accepting the PDF, or is that the PDF does not open once inserted? Peter, I have set up a database with 7 fields. Those fields correspond to elements in PDFs I have (conference papers: authors, abstracts etc). I drag and drop from PDF segment to field (Not Cut and Paste). I then see my data appear in FM. I use Adobe because the text in the fields is in the font I set up, not the PDF's fonts ( variable). If I use Preview I get what was in the PDF. The FM database when built gets used ultimately on a website. I have Ronni's suggestion (thanks) to hand I will use that if needs be. Preview makes it harder - and with several hundred entries that all need some degree of reading ( lazy authors who do not provide their own keywords...!) I need smooth travel. I would like to buy the Box set and have been through the store up to the Shopping Cart screen. However it has an item called PROMO CODE with a box to include text or numbers I assume. I actually dont know what to include in there (if anything) before I continue with the purchase? Do I have to put in the licence key for FMPro 8 or something else? Do I need to do this to be eligible for the upgrade? How can I check if I am eligible before I buy just to make sure? I sent Filemaker an email with the above info but havnt heard boo. Filemaker Pro upgrades
If you are a user of Filemaker Pro and have not upgraded for a while, you should be aware that as from 23 September 2010, Filemaker is discontinuing both support and upgrade rights for versions 8.0 and 8.5 of FileMaker Pro, Pro Advanced and Server 8. Until that date, the cost of upgrading to Filemaker 11 is about 60% of the new purchase price. After September 23 there will be no upgrade path from versions previous to 9.0. You will have to pay full price to upgrade from these versions. Bill Inasmuch as I generally recommend using the latest version of your mission-critical software, my answer would be Yes. However, if you're not reall in the position of a dedicated Filemaker developer, or your current solution doing everything you want, Filemaker 10 is fine. There are several significant improvements in Filemaker 11 even for the user however, most notably being Saved Finds, a new Inspector palette, a new Quick Find field (performs a Google-like search on you entire database in the one field) and a new Quick Reports tool in Table View. Are are many more improvements under hood as well, though many of them are refinements of features introduced in Filemaker 10. You can go to http://www.filemaker.com.au for full details. The really big thing with Filemaker 11 is that it s now a full Cocoa-based application. Yes I agree John, and thanks very much Pete for helping me understand and describing how FM can be used with the ipad. I ordered one yesterday! I will now look into upgrading my FM Pro software. Hi Way muggers I hope you are all well and recovered from the election weekend! I have a question regarding the use of Filemaker mobile (or similar) on the ipad. Is it possible to do so I can use it as a data collection device and download to the main database on the laptop via Bluetooth? I have previously had Palm T3 devices to which I have loaded my mobile database and used them offshore for data collation. I understand Filemaker is up to about version 10 now and my filemaker database is in version 6! Would I be able to transfer into the latest version both on my laptop and an ipad to make it work? Im looking to reduce all paper datasheet use and going electronic. The T3 was really great and easy to use, but after about 5 years they just stopped! I now hate the huge amount of paper data forms and time it takes for transcribing the data. If this is possible, I would imagine the base model ipad would be suitable? Thanks for any advice on this You will first of all need to upgrade your computer's version of Filemaker. The latest version is Filemaker Pro 11, so that's what you'll buy when you upgrade. The version on your computer is not really that important, but it must be version 7 or later. What IS important is that your Filemaker files are converted to .fp7 files, and this is what you'll initially use the desktop version for. You will then download Filemaker Go from the iTunes store. This costs around $47 or so, and is a very full-featured version of the Desktop version. It does have limitations in that you can't create new databases with it, but you will find it is much more powerful than the old Filemaker Mobile in that it uses the screens and scripts that you have designed, rather than a predefined mobile-specific template. All your relationships, portals, scripts (with a few limitations) are respected as well. Filemaker have done a superb job with this. Can't wait for version 2. Unfortunately you will have to spend some money to get all this working, but let's face it: Filemaker 7 is now so old that it is no longer supported by Filemaker, and as for Filemaker 6, it's as though that never existed. Anyone out there want some paid Filemaker work transferring data from Lotus to Filemaker? The Filemaker database already exists and was transferred out to Lotus. Now they want it back in Filemaker (go figure) so it would involved transferring all the data created since the Lotus changeover back in to Filemaker. Our usual developer is on long service so I'm looking for a Pro to get it done. Deadline is mid July. The database will be running (eventually) on Filemaker Server V9. Hi Everyone Does anyone know if there is a template or ?? for following situation.Being cabinetmaker I do always the same jobs as kicks , cabinets , doors etc for various people. I need 1st a timer to keep track of the labour plus 2nda way to keep track of the costs . Then I like to see the real costs per lm of cabinets or per drawer and being able to 3d compare these costs between various customers or employees . Any suggestions if this is possible on filemaker and how much it will cost are greatly appreciated. There are several templates which come with Filemaker Pro, each of which will do part of what you want, but none which will do it all. To do it all, you will have to learn enough about Filemaker Pro to do it yourself, or pay someone to do it for you. Alternatively, you could look at something like http://www.briefcase.net.au/ . This is an all-purpose job management system written entirely in FMP. It's a little expensive at $495, but it seems to be well-written, and costs a lot less than paying someone to develop a solution for you. Hi Derek - yes I have it and there are a few 'issues' despite all their marketing hype: you _do_ need to redesign your layouts for the smaller screen of course but FMtouch doesn't listen to their own guidelines (well they aren't exactly their own but are recommended by them). There is a table view available on FM-touch that is almost unreadable because of the font size but also their use of margins; or lack of them. But table views translated to FMtouch behave more like List-view layouts with only one record viewable at a time. I haven't chased this up on any of the forums yet. Synch with a reasonable sized DB does take time - I have a DB with about 36k records in one of its tables and the initial sync takes probably 20min although I haven't timed it precisely, preferring to let it get on with it. Any changes in your layouts involve wiping all the data and resynching. I have another DB that really should be in the main DB but hasn't got there yet mainly because it works quite fine that way as an external DB on the laptop; not so on FMtouch. So until I sort that out I am living with missing fields. Some fields don't behave as you'd like either: I have a scrollable text field that is very unpredictable on the iPhone. The scroll bar is not visible so there is considerable frustration in jumping between edit mode and browse when you try to read it; for some reason it seems to have become fixed at about 2 lines in the FMtouch version of the layout and there also seems to be a problem with moving between records with the text in that field persisting from one record to the next! Weird stuff! Scripting and calculated fields are not fully supported as you'll know but they are improving. And there is integration with resident apps like your address book and Mail; and Safari if you want it. Your response forced me to go back and have another look at how I could achieve what I needed. The little grey cells, to quote Hercule Poirot eventually kicked in. filemaker server 9 advanced admin console ??
Hi Guys I thought I would ask the question here before I use my 1 free support call!! I installed filemaker server 9 advanced which seemed to go fine but then the admin console gets an error when trying to start, I get and Admin Server Connection error, as it can not connect to the admin server! Filemaker help please
hi Folks under pressure a few years ago i changed from Panorama to Filemaker and although it does the job i find it so frustrating at times. The biggest headache is with searches... with Panorama I could search for say 'big' and not 'red' and not 'green' but with Filemaker i have to search big and blue, big and white, big and yellow, big and brownetc etc etc. The again with Panorama if i had forgotten something i could then search within the results found but with Filemaker i have to start again. Enter Find Mode, and type (using your example) big into your search field. Go to the Requests Menu and choose Add New Request. Type red into your search field and click the Omit checkbox in the Status Area. To the same for every other term you wish to omit from the search. Filemaker Pro Server Problem
Hi Guys I have a Filemaker 8 advanced server here running instant web publishing hosting 7 databases. On occasions I am getting an error 13 when trying to open 2 of these database. I am running this on an xServe on 10.3.9 I have done a search but have found no help as of yet, perhaps I am using the wrong search pattern! Does anyone have any ideas? Sorry for hijacking an Apple list for a FileMaker question - but: Does anyone know if FileMaker Pro (v7) can import a folder full of xls files as separate records? I can import one record at a time easily enough, but the import folder option doesn't recognise the xls files. Maybe an automator script ... FileMaker question
Is it possible to do conditional printing in FileMaker Pro 7? My husband wants to print labels for a few records from a database. I still use FoxPro in Classic and can print just the records that meet a certain condition. I can't see a way to do this in FileMaker. Should I infer from this that you are not serving the files from Filemaker Server? If this is the case, now is the time to do it. I think the problem stem from the fact that your solution files are spread between various folders and subfolders. The file reference structure on Windows is different from that on Mac, so the Mac path descriptions won't make sense to Windows and will have to be re- defined for each path. It is MUCH better to keep all your FMP files in the same folder. You just have to look at the various file references in your ,fp7 files to see the problem. For some reason, there seems to be no method of specifying the target table I want to import data into (from another FileMaker file). After some online searching, it seems obvious the function is included in FileMaker 8 ... I just can't find the function in 7. It seems completely insane that I can't choose which table I want to import data into ... If anyone knows what I'm doing wrong I'd really appreciate a heads up. In Filemaker 7 and later, layouts and tables are inextricably linked, to the point that when you create a new table in a Filemaker file, a new default layout for that table is also created. it would seem to be a simple query but how do you create a formula in FMpro 8 that will calculate ages accurately - all the options/ permutations of DATE functions i have tried have a problem with leap- years ie they will calculate ages accurately for birth-dates _not_ in a leap-year but for those people born in a leap-year, they have to wait for an extra day to grow older. so, eg: if someone had a birthday yesterday, born in 2000 they would not be calculated to be 5 years old until today whereas someone born on 6/12/2001 would have had their 4th birthday yesterday. i haven't tested this for birth-dates pre-Feb 29 but would suspect they might be OK? (i even tried to make allowance for the 100-year discrepancy) is this a FM problem per se? or just my own inadequacy? is there a simple solution or does it require a somewhat complex calculation to account for leap-years? All you have to do is drop the Excel speadsheet onto the Filemaker Application Icon. Hi there, I am currently running FileMaker 6 on 10.3.9 and have a database of info for a group of people and would like to add a small photo of each person to their record. is this possible and if so HELP!!! Also. if i export records or create new dbases etc the file shows as .fp5.. why not fp6? Yvonne

Hi Yvonne, I think it displays .fp5 so it'll run on FM server 5.5 . There is no Server version 6, it jumps from 5.5 to 7, and version 7 converts the databases so that FileMaker 6 can't use them. In a less confusing nutshell: - FileMaker 6 files work with FileMaker Server 5.5 - FileMaker 7 files work with FileMaker Server 7 I think FileMaker 6 allows you to include containers for graphics ... any developers out there clarified that for you yet?
