Expansion server for distribution lists

We are eliminating one of our exchange servers (5.5, SP4) from our site.  
Unfortunately, a lot of our distribution lists point to this server as the expansion 
server.  Is there a way to change this on all of our distribution lists at once 
instead of going into each group to make the change?

My bad.  I had tried exporting the data and all I saw was a "Home Server" field.  But 
it looks like that is the same as Expansion Server.

I've never done an import before.  I'm hesitant to do this on our production server.  
Any gotchas to look out for?

Removing server from site

We currently have 2 servers in our site, both running NT 4, SP6 and Exchange 5.5, SP4. 
 We are about to upgrade one of the servers (Server1) to Windows 2000, Exchange 5.5 
and would like to eliminate the other (Server 2) altogether.   

I followed the procedures in Q189286 XADM: How to Delete a Server from a Site.  
Specifically, I have gone through all public folders and made sure that they have 
Server 1 as the home server.  I have removed the replication from Server2.  I have 
also moved all mailboxes off Server2 onto Server1.  Tonight I am going to go through 
and make sure that all distribution lists show Server1 as the expansion server.

Are there any other steps I should take before removing Server 2 from the site?  
Besides backup of course?

Thanks everyone for your suggestions.  Unfortunately I need to use the server for 
something else right away, but I think I have enough info now to avert a disaster.  

This list is great!  I don't know what I'd do without it.

I would suggest that you keep the server in place or near by for about a
month before formatting it. Also make sure that you can restore old files to
the new server.

Print distribution list members

Is there an easy way to print off a list of all members of a distribution list.  I did 
an export, but the export format is not very printer friendly.

I saw this problem about a year ago and the only thing I found to fix it is export the 
mailbox to pst, delete and recreate the mailbox, and reimport.

my troubleshooting process, I did a mailbox move to a different server, but that 
didn't help.  Anyone have any ideas?

ever growing log files

We have one Exchange 5.5 server, SP4, running on NT 4 SP6a.  Just recently after the 
removal of one of our servers from the site, the C: drive on our remaining exchange 
server has started running low on disk space.  Looking out there in the 
exchsrvr\imcdata\log folder, there are about 17 different files named L000, 
L001, etc.  The biggest one is almost 2GB in size and some of the others are over 
100MB.  

Couple of questions.  Should these logs be this big?  I thought when you do a full 
backup it was supposed to flush the logs.  We use Backup Exec 7.3 and are doing full 
backups every day.  Circular logging is enabled.  We have checked these logs for the 
past 4 days or so and they are growing larger each day.  

Second, can I just run the optimizer and move these logs to a bigger partition?  I 
suggested doing that, but one of my coworkers says not to touch them.

Thanks everyone for your assistance on this.  As usual, you were right on the money.  
The SMTP protocol logging was set to "Maximum".  One final question though if anyone 
knows.  Can these logs be configured to save somewhere other than C:?  Or can you set 
them to not grow beyond a certain size?  I don't see any configuration options in the 
GUI.

Tim, I'm not a Exchange expert, but I don't think those are the transaction
log files that are flushed when a backup is done (at least they aren't on my
Exchange Server)  Those are the MDBData logs and usually start like
edb.log  and they are always 5,120KB.  The log files you are looking at,
I think, is caused by someone who has set up message tracking or diagnostic
logging.  I think you can just delete them, but you better ask Martin, Don,
Kevin, or William to be sure.  Look around in Exchange Admin to see if you
have any type of diagnostics being logged.

Defragging the IS

Tomorrow we are scheduled to move our single server Exchange 5.5 site over to a new 
Compaq DL380 server that is part of a SAN.  Old server is NT4, SP6.  New server will 
be Windows 2000, SP2 but will still have Exchange 5.5, SP4.  

My boss wants us do a complete backup of the server tonight, then come in tomorrow and 
do a defrag of the database, back it up again, and restore it to the new server.  It 
seems to be the general consensus on this list that defrag=bad.  But what about in 
this situation where we are moving to a new server and we are scheduled to have the 
server down for 24 hours anyway?  

I checked the event logs and, as of last night it shows that the database has 16 
megabytes of free space after online defragmentation.  Is this the "white space" that 
I've heard about?  And is that all the space we will gain by doing a defrag?  If 
that's the case, I will suggest we don't take the time and risk of doing a defrag of 
the IS.  I'm guessing it will take at least 2-3 hours to defrag our 36GB database  
Or will there be a performance increase by doing a defrag now?

Call me slow, but why not put the NT 4 server in your new AD world and move
the IS and such over so as to prevent any loss or downtime?

Free Busy information

Over the weekend we moved our echange 5.5, SP4 server to a new box by doing
an offline restore (long story).  Everything went fairly well but now I have
noticed that when people go in to schedule a meeting, there is no free/busy
info for anyone in the company.  If I look at Exchange Admin under hidden
recipients, I actually see two entries for Schedule+ Free Busy Information.
If I try and open the first, it says that the object in the information
store could not be found.  The other one I can open fine.  The smtp address
for the 2nd one has a "2" added on to the end of it
([EMAIL PROTECTED]).  

Anyone seen this before or have any suggestions?

Meeting request problems

1 exchange 5.5 Server, SP4 running on W2K, SP2 member server.
Clients are mostly Outlook 98, some Outlook 2000.

Hope someone can help me out with this one.  We have one user that I know of
who is running into a problem when scheduling meetings.  She sends out the
requests to several people and those people accept the meetings.  She
receives the email back stating that it was accepted by that person.  But
when she looks at the meeting in her calendar under attendee availability,

custom fields for email messages

Not sure if this is possible but I figured someone here would know.  

User just came up and asked me about organizing email messages in a folder.
Basically what he wants to do is sort them by subject and then under that
subject, sort by another field that he creates for each message.  For
example, all these emails have a common subject (Purchase Order, for
example).  He can sort by subject but then he also wants to classify them by
the department which submitted them.  The department number is nowhere in
the subject line.  Can a custom field be added to all these messages where
he can enter a department number and sort by it?  

Exchange 5.5, SP4 running on W2K, SP2.  Client in question is Outlook 2000.

Take a look at Categories for adding the Department. Get your user to add
all Departments to his Master Category List. Then add the Category
(Department) using View-Options in the Read window for each message. Then
use the Customise Current View (or Cretae a new view) to Group by Categories
and the sort by Subject.

Seems a lot of hassle to me but I guess we are here to serve!!

strange, I had this EXACT PROBLEM yesterday.  Changes to DNS settings don't
take effect until the IMS is stopped and restarted.  Which would explain why
everything worked until the reboot.  Now if you have entered the old DNS
info back in correctly (and assuming that DNS server is working), probably
just need to stop and start IMS again.

Exchange 5.5 Event ID 1160

Exch. 5.5, SP4 on W2K Adv. Server, SP2.  Server has 4GB of memory.
We have had two occasions in the last 2 weeks where our IMS stops and can't
be restarted.  Checking the event viewer, I see lots of Event ID 1160 which
says:

"Database resource failure error Out of memory occurred in function
JTAB_BASE::EcCreateIndex while accessing the database."

Q195006 says this can happen on servers with more than 800MB of memory, but
it says the problem was fixed in SP3.  I checked our version of perfwiz and
it is 5.5.2653.23 (SP4). 

Anyone else seeing this problem?

Got a strange one that I'm hoping someone has the solution for.  One of our
users regularly sends out attachments to a bunch of external email address
that are not setup as custom recipients on our system.  She has a personal
distribution list that she uses which contains all the addresses.  Some of
the people that she sends to report that the attachment arrives at their end
with an attachment named "C.DTF" instead of the file she attached.

Q259065 says this can happen when sending Rich Text messages to a Lotus
Notes MTA.  But I checked the last time she sent a message and verified that
it was all in plain text.  She still says some people reported getting the
C.DTF file.  But it only seems to happen when sending to the group as a
whole.  When people send her replies saying they couldn't open the file, she
then replies directly to that person with the original attachment, and they
always receive that one fine.  From looking at the DL, it looks to have
about 65 addresses in it.  

Anyone seen this one before?  Should I try putting those names in our system

I have now. :)

Seems to indicate that rich text was included with the original message.
But I looked at the item she sent, and there were no colors, bold, underline
etc. in the message so I'm not sure where that is coming from.

I have now gone into the IMS and put in entries for the domains having
trouble to always send in plain text.  I hope that will fix the problem.

Subject: Problems with Distribution list


Got a strange one that I'm hoping someone has the solution for.  One of our
users regularly sends out attachments to a bunch of external email address
that are not setup as custom recipients on our system.  She has a personal
distribution list that she uses which contains all the addresses.  Some of
the people that she sends to report that the attachment arrives at their end
with an attachment named "C.DTF" instead of the file she attached.

Q259065 says this can happen when sending Rich Text messages to a Lotus
Notes MTA.  But I checked the last time she sent a message and verified that
it was all in plain text.  She still says some people reported getting the
C.DTF file.  But it only seems to happen when sending to the group as a
whole.  When people send her replies saying they couldn't open the file, she
then replies directly to that person with the original attachment, and they
always receive that one fine.  From looking at the DL, it looks to have
about 65 addresses in it.  

Anyone seen this one before?  Should I try putting those names in our system
as custom recipients?  Or maybe creating a DL on the exchange server with
all those names in it?  

By the way, Exchange 5.5, SP4 running on W2K server, SP2.  Client is Outlook
2000.

Good point.  Thanks for clearing that up for me.  I assumed it would only go
out as rich text if there was rich text in the message.  

Putting in the domain names and setting those to only send in plain text
seems to work for now.  Thanks for your help.

Just because she didn't use any Rich Text "features" doesn't mean that the
message wasn't in Rich Text.

I have now. :)

Seems to indicate that rich text was included with the original message.
But I looked at the item she sent, and there were no colors, bold, underline
etc. in the message so I'm not sure where that is coming from.

I have now gone into the IMS and put in entries for the domains having
trouble to always send in plain text.  I hope that will fix the problem.

Outlook message icons not changing

All right, I know this one is kinda off the wall, but it is happening to the
CIO so I guess I have to solve it

When you reply or forward messages, the icon for that message usually
changes from an open envelope to an open envelope with a forward or backward
arrow on it indicating you have responded.  His Outlook client has stopped
showing the arrows when he responds.  We have tried recreating his profile,
reinstalling Outlook 98 and even upgrading to Outlook 2000.  The server is
5.5, SP4.  

Anyone care to venture a guess on this one?

Sorry, I misunderstood.

The message is pretty much going to the entire company, so I'd say 99% of the users 
receiving the message use the store on the server.  But it was delivered to everyone 
at about the same time.

Sorry, I forgot the basics.  

Exchange 5.5, SP4, client sending the message is Outlook 98.  Clients receiving are 
mostly 98, some Outlook 2000.

message resides in the MTA already.

2) I don't know.  I'd confirm the client time and timezone settings.  Do
some tests with messages that are small.  What version of Exchange/Outlook?

We have an aggreement with one of our partners where they e-mail us the
details of a case, we then print the email (with the word attachments) and
then act on it.

Is it possible for this to be automated, such as:

The email is dropped into a public folder which then prints the email and
any attachments to a specific printer and then forwards a copy of the mail
onto another mailbox while filing the original in a subfolder of the public
folder?

I think I could do it all with rules except the printing bit, every case
that comes in will have two or more attached word documents.

Pocket Inbox name lookup

We have one Exchange 2k server in a single site.  I'm trying to configure an HP Jornada 720 to check email names from the exchange server.  I'm using Pocket Inbox over a SecurID dialup connection.  The help file states that you can lookup names via LDAP from an exchange server.  So I go into the address lookup options and enter my exchange server under the server name.  I have checked the box for "Server requires authentication" and entered my user credentials there.  I have even tried entering a search base for LDAP (DC=domain,DC=com) but I am unable to get it to find any names when I do a check names.  The box at the top of the window asks for a "Directory Name", but I'm not sure if of what it is asking for here.  I've tried our domain name and the name of our exchange server.    

Has anyone had any luck configuring LDAP to work on these devices?  I'm told that this feature used to work when we were on Exchange 5.5, but hasn't worked since switching to Exch2k.

Users over their limit can't delete items

We have seen a new problem here since switching to Exchange 2000 (sp2).  I've had at least 3 people recently who can't delete anything from their mailbox after they exceed their mailbox limit.  It gives them an error that the item was either already deleted or moved.  But then if you do a shift-delete, you can delete the items.  This was not the case on Exchange 5.5.  Is there a setting somewhere I need to tweak?  We have deleted item retention turned on for 30 days and a 100MB limit.

We need to do some work on the Ethernet wires that connect to Exchange. 
Should there be an issue with simply unplugging the cable, rerunning it
and plugging it back in without shutting down the services?  I realize
that the users will not be able to connect while it is unplugged but
downtime is much less with just unplug and replug than shutdown and
restart.  I want to make sure that I do not cause an issue with Exchange
itself.  NT 4.0 Exchange 5.5 (with IMS)

Shrink 5.5 database

We are attempting to setup a test environment and do a restore of our 5.5 server from tape.  We got database and directory restored to a test server, but when I try to start the IS, it tells me I have to do a defrag.  Problem is, my IS is about 35GB and I only have about 15GB of free space to work with on my test server.  So the defrag runs out of space before it completes.  I don't have the option of putting any more drives in this server, it is maxed out.  

Can't I use exmerge or something like that to strip out some of the larger attachments in the store so that I can shrink it down enough to finish the defrag?  I don't really need all the mail, I just want a working server.  Or does the store have to be running to run exmerge?

believe you need to stop all exchange services except the system attendant and 
start your restore.  Uncheck the "No Loss Restore" option in BE if you 
want to return to exactly what you had when the backup was done.  Then try 
and start the IS.  You'll probably have to do a defrag to get it

Questions about swing upgrade to E2K

We are getting ready to start our swing upgrade and I was wondering about a couple of things.  We have one E5.5 server on Win2k.  We are setting up a 2nd E2k server on Win2k (all with latest SP).  We are setting up the E2k server in a different domain than the E5.5 server is currently in.  Both servers will be in child domains of a parent domain.  Once both servers are up and running, we are going to start moving mailboxes over to E2k.  

Question 1:  At what point should we run the Exchange ADC?  I have read different articles, some stating you run it before you install E2k, some stating after you install Exchange 2k.  Also, some sources say you need to have at least 1 domain running in native mode.  The way things are right now, none of our domains can be switched to native mode.  We thought we might be able to just create a subdomain off the domain with E2k and make it native if that is all that is required.

Question 2:  When you start moving mailboxes from 5.5 to 2k, does it break single-instance-store?  


Question 3:  As far as the logistics of moving the mailboxes, we were considering moving them during the day and asking users to stay out of Outlook for a period of time.  But what happens if someone has their mailbox open when we go to move it?  Will it bomb or just kick them out?  Is there a way of locking a group of users out of exchange while we move their mailboxes?

We are in the middle of migrating our single site, single server organization over to Exchange 2000.  We have setup the ADC and run ForestPrep.  Everything seems cool so far.  All accounts seem to be syncing in AD.  We are at the point now where we are going to build the E2k box, join the 5.5 site and start moving mailboxes.  What I'd like to know is what to look out for once users are moved over.  What should we test specifically to make sure that the moved mailboxes work?  I have a few obvious ones in mind, check sending and receiving internet mail, check calendar availability, GAL, sending from E2k to E5.5, etc.  Is there a list of all the things you should test in order to make sure the E2k box is working properly?  What problems have you all run into when moving to E2k?

Just setup our first E2k server and joined it to our 5.5 site.  We're trying to get public folders replicated to the 2000 server.  Here's the order we did things:

AD Domain was already setup in mixed mode
1 Exch. 5.5 site with a single server
Installed the ADC on a new Win2k server and created connection agreements to sync user accounts and DLs.  
Installed the E2k server and joined 5.5 site
Created a Public Folder Connection Agreement in the ADC


The 2000 server seems to be working ok as we have moved a user over there and mail flow is functioning.  But Public Folders are not showing up in ADU&C and we can't seem to get any replicas to go over to E2k server.  For a while, we were getting Event ID #8270 - "LDAP returned the error [32] Insufficient Rights when importing the transaction" on the ADC server application log.  I found Q287137 which seems to address this and applied that fix.  We are no longer getting those events, but still no public folders are showing up in AD.  Nothing of interest in any of the logs on either exchange server or the ADC server.  

Can anyone lend some advice?

Event ID 1025 on E2k Public Store

Just got our Exchange 2000 Server (sp2) up and running in our single server Exchange 5.5 site.  I have synchronized all the public folders and it appears to be working OK.  I can see all public folders from both servers.  But I get lots of these events in my application log:

No, 
there are no 1160 events.  Everything SEEMS to be working OK.  I can 
see all public folders on both sides.  All public folders are in AD and I 
have replicated to the E2k server.  We are in the process of moving users 
over now.  The public folders have been replicated since Saturday but we 
are just now starting to put a load on the box.  
 
One 
other question though.  How can you tell which Exchange server is providing 
public folder content to a given outlook client?  I thought that if your 
mailbox was on E2k, that server gave you public folder content.  But it 
doesn't seem to work that way.  When we first put in E2k (before any public 
folders were replicated to E2k), we had no mailboxes moved over to E2k.  
But yet we had a couple of users who called in reporting that they could only 
see "Internet Newsgroups" under Public folders.  This was the only folder 
setup on E2k so it appeared that even thought their mailbox was on 5.5, their 
public folder stuff was coming from 2k.  I also can look on my E2k server 
now under "logons" and I see people logged on that don't have mailboxes on that

How to setup internet email on E2k

We have now successfully migrated about 99% of our users over to our E2k server now.  Thanks to everyone who gave my advice along the way.  We have one 5.5 server and one E2k in the same site.  Right now, all internet email is going through the 5.5 server and we need to get that role over to the E2k server so the 5.5 can be removed.  This seems like it should be fairly simple.  All our email goes from E5.5 to a relay server.  

To set this up on E2k, do I set it up as a new routing group connector?  Or do I configure it under Protocols, SMTP, Default SMTP Virtual Server?  And can I have an SMTP connector setup on E2k at the same time as the IMC is setup on 5.5?   Will both deliver internet email or should I turn off the IMC before installing E2k SMTP mail?

I have one user who can't see messages that were sent to him encrypted while he was on the exchange 5.5 system.  He was able to open them while on 5.5, but when we moved him over to the E2k server, he selects the message but it doesn't open in the preview pane and you get a blank screen if you double click the message.

I opened his mailbox from my machine and I could see the encrypted emails with no problem.  We both use the same client (Outlook XP).  

If I move him back over to the 5.5 server, he can open the encrypted messages again???


Anyone seen this before?

Unable to add second SMTP address on recipient policy

We have one 5.5 server and one E2k server (with ADC) in the same site and I'm trying to get E2k to handle all internet mail.  On our old exch 5.5 server, we had the IMC setup to route mail for 2 domains.  After doing some research on this, it appears that to do this in Exchange 2000, you have to add the email address for both domains to your recipient policy for your users.  There is no equivalent routing tab in E2k.  So currently, all our users have [EMAIL PROTECTED] and I just want to add [EMAIL PROTECTED]  

There are two recipient policies setup on E2k.  I opened the default policy and added a 2nd SMTP address.  However, that SMTP address never shows up on the "email addresses" tab of any users in ADUC.  I have tried updating the Recipient Update Service and it still doesn't show.  

The 2nd recipient policy will not allow me to add a 2nd SMTP address.  The add button is grayed out.  


Am I missing a step somewhere?  How do I get this second address to show up?

That 
seems to be the problem.  The policy with highest priority will not let me 
add an additional SMTP address.  The button is grayed out.  I think 
that is because it is getting the highest priority policy from Exchange 
5.5?  
 
How do

  you modifying the Default policy with 'lowest' priority? and what does the 1st 
  policy do? I have seen this on some servers that host multiple domains and 
  sometimes the policies dont get handled in the proper order or something

Rights to modify distribution lists

We
need to give an individual rights to go into all of our Exchange 2000
distribution lists and assign an owner to the distribution list.  All of
the distribution lists are in a separate OU in our AD.  We don’t
want to give him any rights that are not necessary.  What right is needed
to do this?  Is this a right I have to set within Exchange2k Administrator
or within ADUC?
