I have been using Genota 4 and Genforms 2 as two research tools for a while now. Both programs will link to your Legacy data files which is very handy. Genforms 2 allows you to enter data from your Birth, Death Marriage records as well as many other types of official sources in a structured database that can be searched. Very handy to see how often the same person (e.g. witnesses) are noted on statutory documents. Genota 4 allows you to enter your research notes for a specific person or even a subject. You can also link repository details where sources are held, link to scanned documents that are held on your computer and also establish links other members of your Legacy family tree. Recommend you take a look – trial versions are available. Zotero is a plugin that works with firefox and Word or Open Office. It's a way to cut and paste and save research in one place, from what I understand. Does anyone use a tool like this for genealogy, or is it overkill? All these extra files could be kept in the same directory/subdirectories where I keep the media I have loaded, or will load into legacy. I hope this isn't too off topic. For me, Legacy is a tool not just to store information in, but hopefully one that will help me when I want to put all the information into an interesting story/history. This is relevant to your question on research notes placement also. There are a couple of places where you can link to external files from within Legacy. One is the picture galleries of which there are countless numbers, one for every individual, every event, every source and every location and probably more besides. For location notes you could use the gallery for the specific location, the gallery is not just for pictures but for any files, you simply add the link as a file and not a picture. If you find a website with local history you can capture the information on the page with the web browser option to save it as a web page archive format. Firefox for example can create MAFF type files with an image of the webpage as you saw it. These files can be simply added to the gallery and will use the Operating system default for invoking the filetype, so .pdf files may use Adobe Acrobat to display or you could store the url of the website as a bookmark and use that .url file in your gallery to go straight to the website with the information you wanted. Your default web browser would invoke any .url files. You could think about using the ToDo list function in Legacy for other research notes. The ToDo list is not just about items which you have to do but can just be information items. You can use existing categories or create your own , like Research Notes , and then use the filter option to display just those in that category. Each ToDo item has a source associated and any source you create will have a gallery to go with it which you can use for files containing research notes. Alternatively the Todo item will also allow you to create a repository. Repositories do not have to be real places, they can be imaginary or virtual places. You could create a ToDo item for Hometown Research and for that item a repository called Hometown Research. The repository would have a gallery associated with it where you could link your files regarding Hometown research. Alternatively it might be a John Smith research ToDo item and repository dealing with an individual. The other way to get to external files from within Legacy is via the URL addresses. You will find that repositories have a line for recording their homepage and you can make use of this. If you wish to invoke a file via a URL you enter file:///C:/Users/Marg/Legacy/Pictures/research.pdf for example. An advantage is that it can take as little as two clicks from an individual to get to the research notes, one on the ToDo icon and if the Research notes is the only ToDo and you have the Repository Tab as the one first shown you will see that the homepage can be clicked as the second click and you're there. Homepage addresses are also accessible from the individual's address icon ( the little house with a wireless handset ), which seemed incongruous for those living in the 18th century. I find that it can be useful if you have a saved copy of a Web version of your Legacy tree as you can invoke it from the individuals page using something like file:///C:/Users/Marg/Legacy/Web/Mytree/241.htm , the numeric being the appropriate RIN of the individual. So there are a number of ways of tying your Legacy database to external files and this might also apply to files created by more specialised research tools. I use notepad to edit text as well as scraping information from the web. The benefit of the latter is that notepad automatically strips out any hypertext links. Why can’t you just add notes to the event itself? If you want to add something that you think will make the information clearer you can always put it in brackets [ ] to show that what is in the brackets is information that you have added and not part of the event itself. Here are a couple of simple examples, This is an entry I have for the 1820 census in Perry Co, MS for Silas Simmons Silas Simmons 1 free white male under age 10 [William] 1 free white male age 16 to under 26 [Silas] 1 free white female under age 10 [Elizabeth] 1 free age 16 to under 26 [Janet] I added WHO each person was because I knew but it wasn't on the census record itself. Here is one for a Cemetery entry Marker reads: Simmons [2 infant slabs, no other information, buried in same plot as Arthur A. Simmons and Mattie S. Dickson] I am implying that the two infants belong to Arthur and Mattie and it explains why I think that even though there is nothing on the marker to say so. Michele, This is just one answer of many I think you will get. I take the ends of my pedegree tree and generate a focus group for each paternal end (could be maternal) I add that person and only their direct descendants. I end up with a list of Paternal ancestrors and their direct descendants. I save this as my direct descendant line focus group. I then create a list, which I then tag as Tag 1. I use Tag1 exclusively for my direct descendants. If I go back on any of my direct lines another generation, I modify my direct descendant group by first loading it then deleting the person from the previous generation and add the latest anestor in that line. Resaving the group. Every now and then I load that group and create a new list to add Tag1 to any new descandants. I will be interested if someone can show me a simpler way of achieving this. One use of this group is to export via gedcom to worldconnect less those still living. Another is to focus my priorities for any future research. A tag is an actual field in the individual or marriage record which can be used in a search to locate those records with the tag on or off. A focus group is a collection of criteria that can be used as the logic to filter a sub-set of the database dynamically and is not the actual records. The results of a search for records in the focus group could be tagged but as more records are added to the database, the new ones will not be automatically tagged when they satisfy the criteria in the focus group. A fresh search for the focus group would identify every record in that filter. One function of the focus group is to export a portion of the database. Records filtered by the focus group can easily be pushed out to a separate file which can then be sent to another researcher with only those records that are of interest for him/her. I find it very useful in Legacy to execute a detailed search for the focus group, tag the search results, and then in the Legacy Export...check the radio button All records with an individual tag of:, set the tag number, and then check the three boxes under that selection. Those boxes are labelled: Export all Spouses of Tagged Individuals, Export all Children of Tagged Individuals, and Export all Parents of Tagged Individuals. By checking those three optional boxes, not only are all the records in the focus group exported but also the individuals connected to them which essentially exports complete group sheets that include the tagged set. In summary...a tag is temporary data and a focus group is a collection criteria used to filter records. Focus groups can be saved and re-loaded for various purposes. You could have a focus group for collaboration with Aunt Margaret and another for data sharing with Grandma Johnson. I'm sure others have even more imaginative uses for these tools. [LegacyUG] Globally editting source details
Hello everyone This is my first posting here so please forgive me should I violate any policies. :) I have been a little stupid (nothing new there) and when I added source detail for GRO BMD certificates I failed to add any text in the Detail Text field. Now I realize that was something I shouldn't have done but I have hundreds of folks attached to different certificates but none of them have any text detail. Is the only way to right my mistake to go back and redo or is there a way of globally changing these detail records for each particular entry? When you've clicked on the first Source and you've clicked the Combine button and nothing happens, click on the Edit button and then just close that screen again without doing anything. I hit the “Combine Highlighted Source with Another in List†and the button does not change to the select destination button. Does anyone know why? Yes! At least, I don't know why but I do know what to do about it! When you've clicked on the first Source and you've clicked the Combine button and nothing happens, click on the Edit button and then just close that screen again without doing anything. Elizabeth, It is makes no difference if you have the fancier version (Google Apps) or the standard gmail account. You do not actually have two copies of your email. Don't forget, Google mail does not support true folders. When you say you have a copy in your sent mail - sent mail is strictly a label, not a folder. If you look at your Google folders, you will see that no matter what label an email has -i.e. Inbox Legacy (a label that I created), Sent Mail, etc, you will see a copy in that designated folder, but you will also see a copy in the All Mail folder. Again, you do not actually have two copies of the email. You have one copy with two labels. I set up my gmail in Outlook. I don't have an All Mail folder. You can customize the folders on the server so that on your computer you have the normal configuration. This is relevant to your question on research notes placement also. There are a couple of places where you can link to external files from within Legacy. One is the picture galleries of which there are countless numbers, one for every individual, every event, every source and every location and probably more besides. For location notes you could use the gallery for the specific location, the gallery is not just for pictures but for any files, you simply add the link as a file and not a picture. If you find a website with local history you can capture the information on the page with the web browser option to save it as a web page archive format. Firefox for example can create MAFF type files with an image of the webpage as you saw it. These files can be simply added to the gallery and will use the Operating system default for invoking the filetype, so .pdf files may use Adobe Acrobat to display or you could store the url of the website as a bookmark and use that .url file in your gallery to go straight to the website with the information you wanted. Your default web browser would invoke any .url files. You could think about using the ToDo list function in Legacy for other research notes. The ToDo list is not just about items which you have to do but can just be information items. You can use existing categories or create your own , like Research Notes , and then use the filter option to display just those in that category. Each ToDo item has a source associated and any source you create will have a gallery to go with it which you can use for files containing research notes. Alternatively the Todo item will also allow you to create a repository. Repositories do not have to be real places, they can be imaginary or virtual places. You could create a ToDo item for Hometown Research and for that item a repository called Hometown Research. The repository would have a gallery associated with it where you could link your files regarding Hometown research. Alternatively it might be a John Smith research ToDo item and repository dealing with an individual. The other way to get to external files from within Legacy is via the URL addresses. You will find that repositories have a line for recording their homepage and you can make use of this. If you wish to invoke a file via a URL you enter file:///C:/Users/Marg/Legacy/Pictures/research.pdf for example. An advantage is that it can take as little as two clicks from an individual to get to the research notes, one on the ToDo icon and if the Research notes is the only ToDo and you have the Repository Tab as the one first shown you will see that the homepage can be clicked as the second click and you're there. Homepage addresses are also accessible from the individual's address icon ( the little house with a wireless handset ), which seemed incongruous for those living in the 18th century. I find that it can be useful if you have a saved copy of a Web version of your Legacy tree as you can invoke it from the individuals page using something like file:///C:/Users/Marg/Legacy/Web/Mytree/241.htm , the numeric being the appropriate RIN of the individual. So there are a number of ways of tying your Legacy database to external files and this might also apply to files created by more specialised research tools. I was looking forward to clarification on how why to use focus groups instead of tagging, but so far I am unconvinced, as both answers posted thus far seem to include the step of tagging somewhere in their process anyway. A focus group is a collection of criteria that can be used as the logic to filter a sub-set of the database dynamically and is not the actual records. The results of a search for records in the focus group could be tagged but as more records are added to the database, the new ones will not be automatically tagged when they satisfy the criteria in the focus group. A fresh search for the focus group would identify every record in that filter. One function of the focus group is to export a portion of the database. Records filtered by the focus group can easily be pushed out to a separate file which can then be sent to another researcher with only those records that are of interest for him/her. I find it very useful in Legacy to execute a detailed search for the focus group, tag the search results, and then in the Legacy Export...check the radio button All records with an individual tag of:, set the tag number, and then check the three boxes under that selection. Those boxes are labelled: Export all Spouses of Tagged Individuals, Export all Children of Tagged Individuals, and Export all Parents of Tagged Individuals. By checking those three optional boxes, not only are all the records in the focus group exported but also the individuals connected to them which essentially exports complete group sheets that include the tagged set. In summary...a tag is temporary data and a focus group is a collection criteria used to filter records. Focus groups can be saved and re-loaded for various purposes. You could have a focus group for collaboration with Aunt Margaret and another for data sharing with Grandma Johnson. I'm sure others have even more imaginative uses for these tools. I have read and participated in probably every thread we've had here about where to put addresses -- in the Location list or in the Address list -- and I still cannot decide. Paula, my answer only included tagging in order that I can see at a glance who is part of my direct descendant tree. This can be done with the Focus Group process only and used directly for exporting or other functions using the resultant search list created. You don't have to Tag with Focus Groups. Here are my answers... 1. If you use addresses at all, do you include them in the Location list or keep them separate in the Address list? If this a CURRENT address of a relative then I keep it in the address list. If this is someone in the past that is dead and gone I put it as a residence event. I NEVER put an address in the location list. All of my locations are standardized. 2. What is the main benefit you see in the way you store your addresses? (please keep it short) I use Legacy as an address book to store all of my relatives current addresses in the address list. I do use residence events for my ancestors and I will put exact addresses in their if I have them so that I can create accurate timelines and mappings. 3. What is the main disadvantage you see in the way you store your addresses? (ditto) Well, since this is the best way for me to do it I don't see any particular disadvantages :) 4. What is the report/output in Legacy you use the most? (e.g., could be webpage generation) I rarely print reports. When I write up a report/story for a magazine/newspaper or for a client, I hand type it to make sure everything is formatted properly. Legacy (as good as it is) can't be relied upon for accurate formatting when you have having to maintain a particular standard. I might print out a FGS for someone or a pedigree chart but not a report per se. 5. Are most of your Locations/Addresses in the USA? Yes. My second most used country is Germany. [LegacyUG] Quick question on GEO database
I did not migrate my Legacy application/folders from my old PC, so the Geo folder is not on my new PC. Can I just copy that whole folder over (via flash drive), or do I need to reinstall the Geo database from the website? The C:\Legacy\Geo folder can be copied to another computer without re-building it from the internet downloads. Once in place on the hard drive, then go to OptionsCustomizeOtherGeo Location Database and click Database Maintenance. Then click Set and navigate to where you put the GeoDB.gdb file. That will connect the file to Legacy and should work. Paula, You have good questions. The focus group is like a saved search logic whereas tagged records actually have a value set in a field of the record. Tags are static and search logic is dynamic. If I tag all descendants of an ancestor today and see that there were 500 individuals tagged, then tomorrow add another 20 descendants to that tree, there will still be 500 tagged...not 520. But if I make a focus group of that ancestor and his descendants...it will have 500 today and 520 tomorrow when that focus group is used to find those records. Whether you tag the results of the search is a separate issue. And, like Alan said, the usage of the focus group varies with your needs. John, those are some good suggestions, many of which I have not used precisely as you do. But I have never found a problem using the entire name of the State or Province with mine. I never use the abbreviations for the States or Provinces. I do use USA, however, and have thought about changing it to United States eventually, but there again, never had a problem that way. Then I edit the location with the old Geocode database and let that try to get the name expanded properly. -- I have significantly edited the GeoCode-xxx.txt files to get the Geocode database to format the names to my naming standards. I compare the location coordinate found from old Geocode with Bing to see that they seem to agree. The old Geocode results are not as precise as Bing, but it will find places that Bing gets wrong. For coding at Country/State/Province/etc. level, I code to the capital. I use Wikipedia extensively to figure out county seats and townships. I code county level locations at the county seat and townships at the major town. I code cemeteries at the cemetery when I can find the location. (FindaGrave is very helpful with that.) I like to enter historical locations which are often NOT in any GeoCode database so I need to find where the location is now and manually place the pin where it needs to be. These systems are smart, but not smart enough. ;-) I go to this trouble because mapping is important to me, and I export the geocodes to my web publishing tool which does extensive mapping of the events for each person. ok? john. Hi Elizabeth. Sorry, if I didn't notice, but do you read your email directly on the GMail website or with a client-based product? If you use a client-based product such as Thunderbird, Outlook, etc., you can set your email up as IMAP or POP. Basically, if you use POP, you will not have the ALL MAIL folder that some of the users are talking about. Only the IMAP protocol will give that to you, and IMAP is designed to sync all your client-based folders with GMail's website. But I would not be afraid to UN-SUBSCRIBE and then RE-SUBSCRIBE, if necessary to get rid of that duplication problem. If you have that other pesky problem when re-subscribing, I believe I can show you exactly what to do to resolve it, 9 times out of 10 or better, without having to contact support. [LegacyUG] Descendant Options

I can't remember if I tried that. I think I used Ctrl Z again because that works in many of my programs. So after I used Ctrl Z, then Ctrl V wouldn't work. So much to learn. I'm glad to have discovered there is a notes place for events. There are times I want to comment on the event and add my interpretation and how it is important. There are a lot of features in legacy deluxe to discover. I was using mine in a way that basic would have sufficed, and want to start using all the features. But it will take awhile to learn them. Especially since I'm also trying to research a lot and other stuff happens, like having to deal with a computer browser freezing problem for several hours this morning. It was major frustrating. It can't be printed without locations. The programmers used a template of sorts for the report options and disabled the ones which don't apply to a particular report. [LegacyUG] To Do List Help
Hey, all. I'm still relatively new at this, and I'm trying to come up with a really good checklist system for each person on my tree, so at a glance, I can tell what major info I have and am lacking. I'm thinking the To Do List might be the way to do this. Can I come up with standard to do items to populate the to do list, or do I have to go through each of them separately? There is an option to choose classic I think it's called. I tried the new version and hated it, so switched back to classic. It doesn't look quite the same, but better than the new one. I can't remember, but it was probably at the top under options and settings? Anyhow, I didn't have to unsubscribe and resubscribe. They also asked me if I wanted to enter info on why I didn't like the new version, which I happily told them. Sorry, this is off topic but there is so little I can offer anyone at this point that I hope this helps. I think it did put the mail I sent in a sent folder, but I didn't use it more than a couple of days. If you look at your Google folders, you will see that no matter what label an email has -i.e. Inbox Legacy (a label that I created), Sent Mail, etc, you will see a copy in that designated folder, but you will also see a copy in the All Mail folder. I can answer some of this but haven't used it much because I just read about the address feature. Before I used to add it in front of the Location and recently read that was wrong and messed up reports, so they offered the address feature. Marg, You will find a copy of the sent mail in the sent Mai folder and the all mail folder. If it is a message that you received, then there would be a copy in you inbox and all mail folder. [LegacyUG] Short survey: Location vs. Address
To answer your questions 1. I put everything in the location. Probably my most extreme case is Plot no, row no, section, cemetery name, street no, street name, city name, county name, country name. I don't put anything in the address fields. I also don't use the double comma convention to show something is missing. I've never had anything missing, so it hasn't affected me. 2. The main benefit is that I can use the sorted location list to get everyone who lived in a single street, or who is buried in a single cemetery, or who was baptised, married or buried in a particular Church etc. Also, I always use short names in reports, so I can configure the short names to be whatever I like, to make the reports appear how I want. 3. I can't see any major disadvantage in the way I do things. I get a big location list, but I have to have that many entries in either the location list, the address list or some combination thereof. Occasionally Bing Maps throws a wobbly and puts a pointer in the middle of somewhere wrong, but that's usually easily fixed. 4. Mostly web pages at the moment, but I did give their personal ancestor report on paper to a few family members when I went back to the UK. 5. Almost all my locations are in the UK (85%), Australia (15%), elsewhere in the world (0.5%) all roughly. Yes, I know that adds up to 100.5% I do have one person born somewhere in America, and his location simply reads America because that's what the census taker wrote. I put ALL birth certs, newspaper birth announcements, etc. in one huge folder. Likewise with death certs, marriages, etc. I know some of you will gasp...just like my genealogy buddy does. LOL But I know EXACTLY where to look instantly. Everything is named in alphabetical order and then date order. I consider it as if it were a repository at a library. Legacy does the work of pulling the files from the repository. Why make life difficult trying to decide where a file goes when Legacy does it for you? Tony, I've been doing a variation of what you do and I got hung up on the same issues. It seems strange to look for an unmarried adult under his/her parents' MRIN to find hard copies of documents and photos. The idea of moving the files when a child marries makes sense if one is using the MRIN and isn't too difficult in small families. We are still left with the second marriage and/or newly discovered marriage problems and I haven't thought of a good solution. Hope someone else has suggestions. Use the built-in Windows compressed files and folders to extract the files. Make sure you have it set to restore the file's paths so the files will be in the same folders on the new computer as they were on the original machine. What are you doing precisely? You can not split screens if you have a notes screen (or any other) open. Once a secondary screen has focus, you can not switch to another file.
