Re: [LegacyUG] Panic!

2013-04-10 Thread JLB
It sounds like your computer is in big trouble in some mysterious way.
You could try TuneUp Utilities. http://www.tune-up.com/

A free trial is 30 days I think so you don't have to buy it.

The initial setup asks a lot of questions. It's not hard if you take it
one step at a time but it takes awhile. It will go through your
computer in depth and fix most problems. What I mean by 'most' is that
sometimes reinstalling your operating system is the last but only resort.

Instead of picking and guessing your way through one possibility at a
time TuneUp is like having a mechanic inside your computer.

If you want on-screen support I will work at an hourly rate. You can
contact me through email.

have a clue what it might be. He was very apologetic. He set my
BitDefender antivirus software to Game Mode and thought that might do
it, but no. The program actually opens, but the second I try to open
a file, like the Sample file (and he also created a test file, but
same thing), it returns the error. I used the program on this same
Windows 7 computer not very long ago. The only programs I have
installed since that time, according to my Control Panel, are Turbo
Tax and Java and something called Microsoft Silverlight (I didn't
actually install that--don't know what it is or where it came from).
 I uninstalled Java. No change.

He suggested that as long as I use this computer, I probably can't
use Legacy. That doesn't make sense to me, as I used it on this very
 computer not long ago.

He said the incompatibility issue is not that uncommon, and yet there
is no list of known incompatible software.

I feel totally stranded. Is there any way I can send my data file and
have someone convert it to a gedcom so that I can open it in another
family tree software program (like FTM or something)? Right now, I
don't even think I can create a gedcom, can I? The tech support guy
said he didn't think I could.

Of course not. It doesn't matter where you back up to. But if you back
up the whole Legacy folder /somewhere/ you'll have all your USR files to
copy back if you need them. A list of what USR file contains what could
be useful.

I did explain why I have all of my research in one file, but they don't

My thoughts went along the lines of having two copies of Legacy

What do you think? Do you have an alternative scenario that might suit

I used to back up to disc until it took about 50 of them to do
everything. And then repeating that every few months got ridiculous in
price. And time. Then I did it only to send copies to my family every
couple of years of a relatively small amount of the files in case they
cared about having an update. Nowadays I can zip up a folder and put it
in Dropbox.

An external hard-drive is preferable in every way I can imagine, not the
least of which is that I can back up my files immediately.

I don't understand the point of a safety deposit box, as someone
suggested. Do you go get the drive out, bring it home, update it and go
put it back in the box? If I had that kind of routine on my schedule I'd
probably only get it done once a year.

I just toss my most up-to-date backup drive in my pocket when I leave
the house. Unless the earth swallows my house (plus computer) AND I get
run over by a bus on the same day, it works.

I use the cloud for transferring files to others but I don't depend on
it for backups. It might be safe but do you really want to depend on
someone else to keep your files?

I also send my genealogy files by Dropbox on a regular basis to a cousin
who lives 5,000 miles from where I am just to increase their odds of
survival.

I suppose it's possible that something so catastrophic and instantaneous
could happen to my entire computer desk and accompanying shelves that I
wouldn't have the opportunity to grab a backup drive. I don't want to
stretch my creative imagination that far but now that I think of it;
perhaps something like the floor caving in. But if the floor goes so do
I. So I won't care about the 'restore' options.

I generally consider myself out of my house with a backup drive in my
pocket as a 'second place'.

Other second places could be scattering backup drives around my house so
they're not all in the same room. Just in case a flood makes it up to
the 3rd floor.

OK, seriously -- bad things happen and a lot of times they're not
scheduled. So, it's worthwhile thinking about the possibilities and how
to cover as many potential scenarios as possible. Safety deposit box
won't work for people with mobility issues.

is (literally) a five minute walk, so it's no big deal. I do it
faithfully once a month. I also use cloud storage, so I have two
offsite backups. Many of these services are free. I would never use
them as my only backup, but they are a valuable option.

Having backups in a second place is critical. One doesn't like to

if your house burns down, all backups literally go up in flames. I think
these generally suffice for what I call short-term storage, defining
short-term to mean your own life span.

When it comes to long-term storage, meaning something that your grandchildren
will be able to access, the format of the media upon which the data is held
seems to be of most importance. Note that even the LDS keeps their master
storage as a physical hardcopy of microfilm. The do not rely solely on
magnetically read media such as hard drives or DVDs. Maybe they're scared of
the effects of EMP from a nuclear detonation or maybe they just know all
these short term methods degrade from bit rot, mostly likely effects of
gamma rays and who knows what else.

So, are we all storing our data just for short-term? Not discounting the
chance of any type of global disaster in the next 100 years, doesn't it seem
logical that the only SURE method of storage is actually a hardcopy of some
type. I would assume this to be most likely a printed set of reports or even
a bound manuscript or booklet. Hey, could even mean goatskins after all.

One just has to wonder how these things happen in this day and age of
free and virtually free backup options.

Do you have any Legacy BACKUPS? I mean the zip file that's created when
you click the BACKUP button.

If so, install Legacy on your new computer. Then click the RESTORE
option in Legacy and browse to your most recently dated zip file (on a
flash-drive or wherever you've got it by now.) Follow your nose through
the rest of it.

There's another dealie-do with the USR files but I'll save that for now.

I'm wondering what you mean by your 'download folder'. Without knowing

2013-03-24 Thread JLB
Yes, you should start with installing the latest version of Legacy.
Copying and pasting your backup Legacy folder over the top of the
installation is not the best idea but it will do in a pinch. That way
you'll preserve your user settings.

After you have it all on your new computer, you can install Legacy again
over the top of everything to make sure you have all the files that
should be there. I think that's how I'd do it anyway if I was where you are.

For the future, there's a backup button that can be dragged onto your
toolbar in Legacy. Right click on the toolbar and it will bring up a
menu of icons. Find the backup button and drag it up to the top and
click OK.

Or you can back up using the File menu. It says right there - Backup
Family File. This will create a zip file. Make a folder for them
wherever you want and you can customize the Location for them on the
Customize Backup screen.

In the future you can use Restore to bring back a zip file.

Ron, the issues with linking files are the problems that come up with
either renaming them or moving them to other folder locations.

As I've seen expressed here, some people file in a multitude of folders
and sub-folders. Moving hundreds of file-paths would not be easy.
Renaming thousands of files even worse.

The original OP was looking for a system to 'get started'. Someone just
starting out may not know enough to settle on their own 'perfect system'
from the get-go so linking files can complicate their process of discovery.

One shortcut in this regard: It's not necessary to browse to each file.
You can drag and drop files into the galleries. It doesn't always work
on the first try or second or third, but with persistence ...

Re: [LegacyUG] Organization of Photos, Scanned Documents and etc.

2013-03-17 Thread JLB
Photoshop Elements, IMO, is very good for editing photos.

The Organizer (the other half) is very poor. In particular in regards to
tagging. You can add keywords in the Organizer. And captions, I think.
Everything else (locations, copyright, source, object name and all the
other IPTC fields) can only be done one photo at a time through the File
Info window accessible only through the Editor. It's quite a nonsensical
arrangement. The mapping feature in the Organizer is also pathetic.
There's no batch-mode either.

I could go on for hours about how much I dislike it. I did use it many
years ago and tried a couple of trials since then hoping it had been
improved. It seemed to be the best there was until I found something
better. And I was so relieved to find something better.

Photo Mechanic, as well as GeoSetter and XnView can be used for adding
metadata as well as other functions that differ from one to the other;
the first two also handle GPS. GeoSetter is particularly good at that.

None of them is an 'organizer' per se. In other words, you're working on
the images wherever they already exist on your computer. Which is good
because if you move them around or rename them you can still find them.
(Another yuck point about APSE Organizer; it creates a linked catalog.)

XnView and GeoSetter are both free. Photo Mechanic is a free trial. I
would suggest trying all of them and having a look. Once you establish a
work flow with them or one or two of them you'll find what you prefer.
Try Photo Mechanic when you've got time to enjoy the trial. The others
don't matter since you can have them forever. XnView also has a portable
version if you're into PortableApps. http://portableapps.com/

About not linking files to Legacy - I did link them at one time. From
where I started to where I am now I probably moved or renamed files
about 20 times. By the time I got to 15,000 source citations with images
attached, relinking them to Legacy had gotten really tedious. One day I
knocked myself up the side of the head about my stupidity in that
regard. The filing system I use now makes it really easy to access files
anywhere and anytime in a variety of ways, generally quicker than I can
click through to them inside Legacy. Linking files to Legacy seems to me
a make-work project with zero benefits.

I link individual pictures because I like to print them out in reports.
But only one per person. If I really want to get serious with photos I
can easily search them and create things outside Legacy like collage or
focused PDFs. There are so many ways of being creative with images and I
really don't see Legacy being the place for it.

Of course, all data is extracted from each record and entered into
Legacy and sourced.

2013-03-17 Thread JLB
People often ask on this list about photo organization and linking files
to Legacy.

Since my file organization is heavily dependent on tagging I consider
this subject relevant. Others' mileage may vary.

Yes, it's possible to keyword tag in bulk with APSE Organizer. However,
keywords are only one of many tagging options. Even Adobe knows that.
But they make all those other fields only accessible through the Editor
one photo at a time. (Unless they've FINALLY changed that in versions 10
or 11. The last one I looked at was version 9.) I also use the following
fields quite regularly: caption writer, object name, city, location,
state, country, photographer, credit, source, copyright, copyright URL
and Contact Address and GPS.

I stand by my assessment. I think APSE Organizer a terrible option for
tagging genealogy files.

I know Geoff Rasmussen has recommended it in his webinars and even wrote
a book about it. But I don't consider Geoff my go-to person for photo
information. I simply think he's wrong in some respects. And this is one
of them.

The main thrust of this thread was around file structures for ease of
finding various files from the masses of files we tend to accumulate.
Tagging is another way of accomplishing the same thing.

Photoshop allows tagging, including batch tagging, of photos. It also
has great facial recognition and facial tagging, which does a pretty
good job (yes, there is some manual work required) of tagging the
people in photos. Then, one can find photos by any combination of
keyword tags, and/or 'people tags'. In my view, it's an excellent
 organizer.

Before rejecting it, I urge anyone considering Photoshop to download
the free trial and see for yourself. Also, be patient, it is fairly
complex to learn, the trick is to use just those small parts that you
need for organization at the beginning and gradually get into more
 complex functions.

I hope I'm not going to be ruled off topic, as Photoshop has been
discussed in Webinars and Geoff's digital imaging book (I think), but
it isn't really a Legacy add on. So, this thread may be stopped

Photos 'should' be scanned as TIFFs. Picasa does not tag TIFFs. It
'acts' like it does but if you open any self-respecting photo software
you will find that the tags do not carry through.

Picasa (i.e. Google) is only interested in collecting as much personal
information as they can get their hands on, therefore they're only
interested in the JPGs that come off digital cameras nowadays. They're
not interested in dead people, i.e. TIFFs.

If you have no money, XnView and GeoSetter will cover all tagging, GPS
and simple editing functions.

If you want to restore photos you may have to spring for Adobe Elements
anyway. The editor is actually worth the price, about $100.

If you have any version of Microsoft office, then you can use the ultra

work very well to automatically downsize AND compress the images.
I use the standard 'document' re-size for larger family photos and
 document records, census, etc.
Then the standard 'web' re-size is great for indiv photos and tombstone
 images.

And I also recently started using the free Irfanview,
I have lots of documents that are two or three images, where Irfanview
has a 'create panorama' photo which is excellent for these multiple
images that combines them into one single image.
 Either vertically or horizontally.

Ron, what does tagging for files that are NOT images?

The only one I know of is a PDF editor for PDF metadata but that's a
hard one to search as I recall.

A lot of records are downloaded in image format so that covers most of
them for me. I can search for PDF's or text by MRIN or specific content
by something like Copernic Desktop Search.

Something that has not been mentioned yet in this discussion is that if
you're linking your files to Legacy, it's important to DECIDE where
you're going to put your files and how you're going to name them and
stick to your plan. Changing file-paths can be difficult. One folder to
another if the file-names are the same is easy. Moving dozens or
hundreds of sub-folders, or re-linking renamed files is not.

I find it easier to not link files at all except for one folder of
'portraits' used in reports or charting. Instead of clicking four times
to get to a view of a single file in Legacy, I can do a simple search in
Windows to get that one file or get a whole folder or folder tree view
and wider perspective.

Alas! If only I used Microsoft Word. If I look hard I might be able to

What you're suggesting does not work for RTF, PDF, TXT, ODS, HTML, EML,

Almost of all of my genealogy has been downloaded or scanned as image
files and GeoSetter works fine, as does Photo Mechanic and XnView as I
mentioned previously. GIF, PNG and BMP cannot be tagged with anything.
JPG and TIFF, of course, can be.

Opening my genealogy folders of almost 17,000 files show me over 90%
image files. The rest are mostly RTF, PDF, TXT, HTML or EML, none of
which can be tagged with Windows.

So I guess that leaves Windows tagging DOCX besides it's usual, wholly
inadequate, tagging of JPGs and TIFFs.

Re: [LegacyUG] Organization of Photos, Scanned Documents and etc.

2013-03-15 Thread JLB
I do something that started out as MRIN filing and morphed into nested
family folders.

All photos and documents go into one folder for each marriage. The files
are named chronologically so the thumbnails tell a story. All the other
information; keywords, captions, source, copyright, locations, GPS,
etc., is embedded in the files. This makes it easy for searching as well
as capable of producing PDF's and slideshows using some or all of the
embedded info.

All the folders are nested by family starting with the direct line
folders so, theoretically, between the nesting and embedded information
the MRIN's could be left out.

There's a PowerPoint slideshow about it here:

documents, death records, birth records, etc. Using the Surname

that I could find things easily. How do some of you organize
your photos and scanned docs? Do you put them in the same Picture

 a different type of media.
Geoff Rasmusen uses the Geographic filing system. I see the logic behind
doing this, but will likely stick with the Surname filing for now.

That's what's happened to me with surname filing - interested in how it
works (since I hear so many people refer to it) but too deep into my own
method to switch gears. Maybe for the first thousand people but after
awhile it's too much to move.

What you do sounds somewhat similar to mine. The folders are nested from
the direct lines down so anyone who doesn't want to use the MRIN's can
still find their way around. The MRIN's just make for quick reference to
or from Legacy.

surname folder. If she marries again, I keep her info in my direct
ancestor's folder. I name all my files in the folders very specifically
with all the relevant information so that the info is easy for me to
find. I will occasionally keep duplicate info in more than one folder
 but not very often.

As far as using the locality method, I'd be jumping all over the place,
since most of my families moved multiple times, and it would drive me
crazy to have to look in 15 different folders for the info I wanted.

I never thought of using the MRIN method when I was starting out, so
when I started using digital files I just duplicated the method I used
when I put everything into paper folders.

2013-03-15 Thread JLB
I like the sound of the one folder method too. Why complicate things?
The only reason I can think of is that I want to make it understandable
to my non-techie family and likely inheritors. And I also want to be
able to easily find batches of specific files.

Windows Explorer is a pretty sad excuse for search though. For instance
if I search 'Harris' it will bring up everything keyword tagged Harris
but also every folder with the name Harris in it and every location that
has Harris in it. No subtlety there at all and it only recognizes a few
of the many IPTC fields. And, being Windows, of course names them
differently than the accepted standard.

For tagging and searching, there's the free GeoSetter (location data and
GPS as well as all the range of IPTC tags; keywords, captions, object
name (where I put type of records) source, copyright and much more.
http://www.geosetter.de/en/

Or XnView. http://www.xnview.com/

Photo Mechanic is also very good but costs about $150.
http://www.camerabits.com/site/

Anything that does batch tagging and detailed search (all of the
above-mentioned) is a real boon when you're dealing with thousands of files.

Adobe does some gawd awful things with metadata which I've mostly
forgotten now because I moved away from using it a long time ago. One
thing I do remember is that it strips out all maker notes.

use Adobe Photoshop to attach tags or keywords to all photos and

you don't need a paid program like Photoshop, the free Windows Live
 Photo Gallery has similar capabilities.

One advantage is that one can attach multiple tags/keywords/labels to
photos. For example, I use one keyword 'gravestone' for all
headstones/markers, and then add keywords for each of the surnames on
that marker. Works equally well with group photos. I must admit I am
in the process of doing this tagging, and I haven't yet actually been
brave enough to move everything into one folder, but it is where I'm
 heading.

it finishes also so the magic number of duplicate encounters for my
lineeage is 30. If I had tried higher and higher numbers and never
found a limit to the duplicates being encountered, then I would know
that there is a true endless loop. For example, if I had entered the
max for the field of 250 and it still bounced back then there is
probably a loop and not simply multiple lineages to the same person. I
doubt that there are real pedigrees with more than 50 duplicate
encounters and that would most likely require a very large database. A
typical family file may only have a few of these duplicate lineages.

Anyway, by noting the RIN displayed, you can investigate descendants of
that RIN to see if there are any parents younger than their children.

[LegacyUG] duplicate spouses

I've merged several small files together. Not that much overlap. Like
almost none. All the MRINs are/were as I want them. After running LTools
to put the MRINs into the UserID fields, I noticed (and this may have
nothing to do with LTools) that many of the people in the database have
two versions of the same spouse. Not duplicate people but just two
listings of the same spouse in the Spouse list. And each one has a
different MRIN; the original and another one.

I'm going through the names un-linking one spouse but I have no way of
knowing which MRIN I'm deleting so this is getting treacherous.

And it's messy. I'm just saying. Has anyone heard of a similar problem?
And is there an easy fix for it?

Oh, and I also noticed this problem after running File Maintenance
thinking that might help the database overall. Apparently not.

Re: [LegacyUG] PDF Reports

There does seem to be a PDF limit in Legacy. You can get around this by
installing your own PDF driver and using that to print instead. Try PDF
Creator. http://sourceforge.net/projects/pdfcreator/

When you go to print, choose Screen/Printer, then Print Setup so you can
choose your PDF printer.

I've heard this same thing about scanners from my cousin, Sam, who
insists her scanner can only scan pictures as JPG's. I doubt it but I
haven't seen her scanner.

When you scan pictures you're just scanning them. It doesn't have
anything to do with file format. It's when you save them that you choose
a format. Use the drop down arrow next to Save to choose TIFF.

When you want to convert a TIFF to a JPG, simply open the TIFF in any
photo software (XnView and Paint.NET are both free) and re-save it as a
JPG. This can also be done in batch-mode in some software.

If you have something like Adobe Photoshop Elements you can open your

The other way (depending on the size of your photos) is to open the PDF
as usual. Depending on your PDF reader there may be a camera icon in the

able to do that at full size, of course.

It depends what software is available to you but,no, you can't edit a

And no, you shouldn't be editing JPG's. It's a compressed format and
every time you edit and re-save you'll lose picture quality. Your photos

XnView can also be used to 'Select TWAIN Source' and it's free. After
clicking the Scan button in XnView, my Epson scanner windows open as
usual for a choice of other options. The scanned photo then shows up in
XnView and can be saved from there in whatever format I choose through
the 'Save file as' option in Windows.

It's quite do-able if your scanner won't do a TIFF by itself. I
generally use Epson directly after setting the Save option for TIFF and
the Save location.

What I've seen about saving TIFF's is that None is the default
compression option but it's worth checking to make sure. LZW, which is
lossless, can be used to save space. To reconstitute to the original
size, just re-save with the None compression option.

The word on the street about re-saving JPG's is to not change the level
of compression. If you stick with the original the damage is less.

I don't bother making JPG copies of my edited TIFF's unless I have a
reason for it; emailing, web use, wikis, etc. I have almost nothing
linked to Legacy.

The reason that some people claim they can only scan an image as one
particular file format is that they are most likely using the
proprietary software that came with the scanner. In such cases, the
software is so simplistic and lacking in options, the image is
imported into Windows as a JPG only, or perhaps only as a BMP. They
don't realize that they can use a number of free imaging programs
such as Irfanview and a multitude of others that will allow them to
use the scanner (just Google free image scanning programs) as long as
the driver supplied by the scanner is Twain compliant (almost all
are). Such programs are full of features that offer the capability to
save a scanned image in a number of different file formats.

Methinks that the argument about lossy compression of JPEGS is
overblown when considering that with most programs the user has the
option to choose the amount of compression to be used by the
algorithms in saving the JPEG. Just try staying away from the
defaults. Using Photoshop, I always choose 12 which results in next
to no compression. Studies have shown that multiple saves of a JPEG
using this compression setting results in an image that is
practically indiscernible from the original. I just don't like the
idea of having a Master TIFF image and then another identical image
in JPG format. Seems counter-intuitive when hard drive space is cheap
so I have no problem with 5 or 6 meg pictures. Besides, I usually
edit my scanned images only once or twice and never touch them after
that. But to each his own.

And after all is said and done, I just can't argue against the basic
concept that a TIFF format will keep your image in its original
pristine condition and a JPEG will technically change every time one
re-saves it. Just make sure you are using an un-compressed TIFF
format. There are several options for a compressed TIFF and some of
those options are a lossy compression technique which puts you right
back into the realm of a JPEG image. I don't think Geoff Rasmussen
and others have made this point strong enough and so I suspect that
there are many Legacy users unknowingly saving their images in a
 lossy compressed TIFF format.

and there is

http://webstream.jgen.ws/idesign/hosting/

Free sites can be OK but there's a hidden price to pay in lack of
freedom and options and possible advertising on your site to pay for the
'free' part.

If you want to expand your offerings later as your knowledge increases
it can be hard and/or time-consuming to move to paid hosting.

My personal preference is paid hosting and I use Hostgator. It SO

When printing the biggest controlling factor is the printer itself.
If you have a very cheap printer, the DPI and LPI can be as low as 72.

   Syble,

You are quite correct to suggest that 300dpi is about right for
printing, and also that 72 is too low. I tend to think that the
appropriate resolution depends on how one mainly publishes the work.
Mine is on the web, for which 90dpi is the most suitable and that is
what I use for Legacy pictures.

However, when producing reports etc. I always post-process in a
word-processor, and it is at this stage that I import the images as
250dpi jpgs of the correct dimensions.

considering the fact that most of our Legacy use, the photo would be a

I've been good at sourcing, but up until now I haven't had a
scanner to attach scans of the document to source. But this morning I
inherited a pretty nice scanjet from my brother who upgraded.

I've been reading that I should create an untouched 600 dpi TIF

whack of 600 dpi (10 MB) scans to Legacy will slow down my computer and
 Legacy.

Is it better to keep the 600 dpi TIF for my archives, and
create/attach a 72 dpi JPG scan of each document to attach to Legacy?

Re: [LegacyUG] fixing duplicates

2012-12-11 Thread JLB
No. You should be looking at the information for each individual. If
you're not sure if they're the same, use the Tagging option so you can
later bring those up in the Name List by searching that tag number. Then
you'll see the 'pairs' next to each other and you can click from one to
the other to see if they're the same person or not. Then you can use
Manual Merge to merge them. That's when you would use the RIN's to bring
them up in the Merge window.

Try reversing the preferred spouse the other way. You may have fixed it
and then canceled it out.

Are they are in alphabetical order in the chart? Maybe that's what
Legacy is doing with it. You really have to look at every option.
Consider it a research project.

It makes no difference, the boxes still read in the same order across

I only have this problem with the few couples who I don't have marriage

Or you can click on the spouse, which brings up a little box of
spouses, then move the highlighted spouse up or down using the black
arrows in the lower right corner.

Don't change the JPG resolution. Do your original scans as TIFF's (600

Everyone has their own needs and preferences. (It must be hard for genealogy
programmers to fulfill all those needs!!!).

But I try to simplify things in my own mind. So for me, an event is simply
what happened (born, lived at, moved to, died, etc.) and a record is a record
of those events. So for me, an obituary would be a record.

[LegacyUG] Re: moving Legacy to a new computer

What I would suggest is copy the entire Legacy folder from your old
computer onto a USB key or external hard-drive. The one at C:\Legacy.

Then go to your new computer and copy the entire folder to C:\ which is
probably where it is (check!) so it overwrites your new installation of
Legacy.

That way all your personal settings and everything will be exactly as it
is on your old computer.

omitting just about all details about a living person but why is it not
prudent to just show their names?

Before you answer, consider that their birth is a matter of public
record, there was probably a newspaper publication naming their parents
when they were born, probably a wedding announcement giving names of
parents, siblings, and other relatives published in their local city and
elsewhere. Their names are easily found by looking in the white pages of
a phone book which not only gives the phone number but their residential
address. Even if you’re not sure of the exact names of children then a
quick click and visit to Spokeo.com reveals quite a bit about the
parents including the names of their children.

My point is that all this information is readily available and open to
the public but for some reason the direction that genealogy has taken in
the past 20 years is to hide even their names. Someone tell me why and
please do it without using the word “privacy” because their lives have
all been public so far. Just wondering.

about how one Legacy user (Linda McCauley) sets up and uses her

photos in the events section. Although I play around (update my
sentences for events/facts) I had not considered having notes there.
The layout and ability to read better in a report was really nice
(and a bit of a surprise). Additionally she puts her photos in the
events/facts section and they print out (in that date order) in her
reports - very nice. There are so many ways that people use Legacy and
it is always helpful to discuss and learn how others use the program.

If you want to lean how other Legacy users do things in Legacy - check
out the recordings. They can be found at YouTube (search LVUG
Hangouts) or at the Legacy Virtual Users' Group Google+ Page (at the
file cabinet). There are (so far) a half dozen additional recorded
hangouts covering an overview of Legacy, customizing Legacy, sources,
tagging, Legacy in the cloud, data entry for locations, and most
recently events/facts. In addition to the recordings - the slides used
for the presentation are available to review (also at the file
 cabinet).

Also JL Beeken has a great slide presentation on her website about her
MRIN filing system that I found really helpful. I am sure there are
lots of other Legacy users out there who have written about Legacy on
their websites or blogs. Why not direct the rest of us to your posts?

Syncback if you create different backup sets for the different versions.
A bit off topic but it's a direction to try.

Dropbox saves versions going back 30 days but I haven't used it the way
you're suggesting so I don't know for sure.

I'm wondering why you want different versions. Sync means that the
latest version prevails on whichever device you're on.

Re: [LegacyUG] syncing files

2012-10-26 Thread JLB
There has to be an easier way than what you're doing. If it's only one
file that's being changed you can remember it, but if it's more you're
going to get confused, pretty much guaranteed.

If you're using Syncback then you know you can set up backup or sync
profiles. All you need in the middle is an external HD to go from one to
the other.

What NOT to do is work on your desktop and then your laptop without
syncing the files before you change computers.

Another way to go at this is using SugarSync, free 5GB.
(http://www.jgen.ws/sugarsync.php [referral link]) You do have to wait
for the files to sync between computers before you switch computers. And
you also have to trust the cloud.

other new notes. I renamed the laptop file by adding a 2 and consolidated.

I guess that's what I meant rather than syncing: consolidating. Probably
not possible to do except manually. Will just have to be careful to work
on docs in only one pc.

Thanks for the response (I do use SyncbackSE, by the way.

Re: [LegacyUG] .pdf for everyone in my family file?

2012-10-18 Thread JLB
When you get ready to print, choose Printer and then your own PDF
printer assuming you have one installed. Legacy's PDF printer has a
limit which you've already found out.

If you need a PDF printer try PDF Creator or look for reviews. There's
quite a few but some have nag screens. I've used PDF Creator for years
and it's great. http://sourceforge.net/projects/pdfcreator/

After you install it, it will always be an option listed in your list of
available Printers everywhere on your computer.

Re: [LegacyUG] Spaces in file names Was - What to do with genealogical files after death of compi ler

2012-10-15 Thread JLB
Ron, I wasn't saying that you're wrong about what you said, just that
it's not necessary to go changing all the file names on your computer
unless you plan on uploading your files to the web. The few that I do
upload I change prior. It's a different batch of work.

Of course, if you're linking your files to Legacy (which I don't) and
creating web pages from Legacy (which I don't) then, yes, you might as
well get it right the first time. Hyphenate and ampersand away there.

You are correct, that using the ampersand on its own is a risk, and your post

To deal with other points made. Lee, you may have no problems with your
server, and the problems are more to do with servers than PCs, but that does
not mean it is true fir all. For some ron ferguson.jpg will be fine, but
others can change it to ron%20ferguson.jpg which is not the same and the

JLB I really am not paranoid about this, but I have seen too many instances
where problems have been caused. I am aware that there is software available
which will rewrite file names substituting hyphens or underscores, but I feel
that it is better to get it right in the first place. In a way it is like
Windows reading upper and lower case the same whereas servers do not, so it
is best not to mix the cases unless one adopts a system eg.
RonFerguson.jpg. This is why I do mention it whenever I spot potential
 future problems.

 Bob,

Just a quick piece of advice for those who may at some time consider
creating a website - do not have spaces in your file names, use an
underscore or hyphen instead, otherwise they may well not work.

In fact it is best only to use alpha-numeric characters in addition to the
 above two.

If this is all too complicated, just mark the album pages with numbers
in pencil and then create a list of descriptions in a text document.
Trust me, anything is better than nothing. Scanning for long-term
preservation would also be good if you can get it done.

If the photos are in your album at home, as you say they are, you have
total control. I would scan them on a flatbed scanner using at least
300dpi, *at least* twice the size of the originals (in case you ever
want to reprint them) and save them as uncompressed TIFF's.

All photo information can be added using good IPTC software. I add the
names as keywords, and the order of the people in the photo, L-R, in the
caption. My recommendations for that are GeoSetter or XnView (both free)
 or Photo Mechanic.

Our Family Reunion is actually a genealogy fest. LOTS of very distant

In another situation the widow of the researcher was ready to pitch her

I had a friend who spent a lifetime researching and writing
his family history. He kept a daily journal, entering 1,500
words each day for over 67 years and taking thousands of
photographs. My friend privately published six volumes of
400+ pages each, 9x12 hardbound and had 100 copies printed
of each of the six volumes. A few copies were given to the
local LDS Family History Centers and to the one in Salt Lake
City, as well as to local libraries where he lived and where
he grew up, but most of the libraries to which he offered
his work declined his offer because of space restrictions.
At the point when I became involved my friend had 14 more 3
ring binders full of information and photos which he
intended to have published in the same format as the
previous six volumes. The estimated cost of printing the
remaining volumes of his work was $80,000.00. I suggested
that he consider publishing his work on CD which would
include the contents of his previous six volumes as well as
his unpublished work, and that he print only a few paper
volumes of the new work. My friend agreed and asked me to
 undertake that task.

Much of my friend's work had been recorded on hard drives
and floppy disks, but the two old original IBM PCs in which
the hard drives were installed no longer ran. I had to
install new BIOS chips to get them running. Then we
discovered that the programs he had used (word processors
and genealogical database software) to record and organize
his data would no longer run either, and the backup copies
he had made were not readable by current versions of his
software. A third, more modern PC also would not run and
had to be resurrected. He had two running PCs and both were
shakey at best. We bought a new PC, and updated software,
and over a period of three years I was able to recover the
electronic versions of all what my friend had so laboriously
 written.

The completed CD included the previously printed six volumes
as well as much of the later data and was automated to run
on any then-current PC under several contemporary browsers
and on a variety of screen sizes. All of the text was
searchable, and the photos were integrated into the text of
many articles, genealogical histories, journal entries and
various charts and reports. The photos were also available
in an indexed photo gallery. When my friend and his wife
passed away a few years later not a single one of his
children wanted the CD. The remaining books (a few hundred
copies) were boxed up and hauled away to an unknown fate.

The one lesson I took from having helped with that project
is that it pays to disseminate your data as widely as
possible, and in as many formats as possible, while you are
living. Make paper copies. Publish online. Make CDs.
Give away copies of your files to relatives and other
researchers as you work. Don't let the unfinished nature
of your research keep you from distributing what you already
have. Better to publish some of your incomplete, or poorly
sourced research than to let it be lost if you die
suddenly. Try not to let possessiveness overcome
willingness to share. We all like to be credited with what
we've discovered, but it's better to disclose information we
have rather than to risk it being lost forever because we
fear those receiving it won't mention us when they publish.

One last thought. No electronic format is permanent. They
all deteriorate, and they will all become obsolete
eventually. If you choose to use an eletronic format you
should also commit to keeping that format up-to-date. Don't
stick with an old version of the software you're using
simply because you like the old version, or because you're
comfortable using it. Keep your hardware and software up to
date! If not immediately when it's released, at least
within say a year of that release. Stagnation can mean your
data will no longer be useable to those who come after you.
Even paper copies can burn, or be thrown out, so diversify
 and distribute!

Having also written User Guides called READ ME files, about a dozen to
cover everything computer related, including Legacy and the ancestors of
course, there's another essential part to this. That's the cover letter
that you actually print and put somewhere easily accessible. (In my
case, in an envelope tacked to my bulletin board and addressed to my
executor.)

All READ ME's and cover letter updated on a regular basis as my
computer/finances/etc. change. If you're counting on someone actually
turning your computer on to see what's in there ... well, they might
not. And if they do, chances are they could use some clear direction.

Or as the Chinese say, One who's all over the map is no less lost than

Legacy can't read your mind and doesn't know how you rename a file.
The lilnks to the files are stored in the database using the file name
and path as it is at the time you link it.

Legacy can, however, find pictures that have been *moved*.

If you change the file name through Picture Center, then the name is
changed in the database, but not if you change it outside of Legacy.

Sadly, you'll have to manually relink each file that has had a name change.

don't link files. To Legacy or to anything. If I'm looking for a file
I'd rather find it in its original location, whatever that is and
whenever. Thankfully Windows can be searched. Linking files is a
thankless task and when you've had enough you'll stop.

Or does that only work if you renamed the folder?

Re: [LegacyUG] RIN numbers

You can use Renumber RIN's under Tools to renumber RIN's one at a time.
So, if the only one she cares about is herself, that would be easy.
Otherwise, it's one at a time all the way through.

Legacy outputs information starting with the Death information. Life

Problem with that is, it may take up lots of space in your report if you

source detail text for that event. Your choice.

I am wondering where users find is the best place to post obituaries and
similar text information in an individuals record in Legacy.

I have been putting it in the source citation – detail – text area. But,
I am beginning to think this may not be the best place when it comes to
printing reports. I’m not sure I like it printing in the source part of
the report, would probably prefer it in the narrative.

 Any Comments?

Re: [LegacyUG] Displaying URL window

2012-09-23 Thread JLB
Not really but maybe.

Somehow you've got Legacy opened across half of your browser so you
can't see the address bar? Maybe we're having a language problem.

Ok let's back up the train. I personally would not split a screen using
Legacy on both halves for this purpose. What I would do is drag the
handles on the edge of my Legacy database so it takes up half the
monitor. Then I would open my browser and do the same thing for the
other half. If you're using W7 you don't have to drag the handles. Just
drag one screen left and drop it and the other screen right and drop it
and they'll automatically split the monitor in half.

I did not even know there was an address bar on the Legacy home page.
First of all, they use Internet Explorer that I absolutely can't stand
so it's not even an option even if I did know it was there.

Anyway, try that. You can certainly split a wide screen monitor to fit
two screens. Aha! Perhaps the problem is your browser becomes too narrow
to see the address bar??

OK, I'm on my knees. Please tell me that I'm even remotely close to what
you're talking about.

this but can't navigate away from that as I don't have a URL space to
input the web address ie at the top of the webpage.

Does that make the issue any clearer?

 Thanks.

Re: [LegacyUG] Paper filing question (by family)

2012-09-11 Thread JLB
Although I file by MRIN, the question is still applicable.

I put all records for a person in their MRIN folder (and under their
MRIN in paper filing) regardless of whether it's before a marriage or
after. Except, for instance, where they're in a census record as a
child. All census records are filed under head of household.

I could just as well do it the other way except then I'd have to wonder
which record belongs after marriage and which before and that gives me
one more thing to trip over on my way to finding it.

I don't think it really matters. It's your filing system and as long as
you're consistent with your 'rules', then you know where to find things.

Documents for unmarried children are filed with their parents.

Because I digitize everything I rarely reference my paper files. I also
annotate all records with keywords (people's names), locations, etc., so
I can pull all records for anyone from everywhere through a simple
search. Consequently it wouldn't matter if I threw all files in one huge
folder or anywhere at random. Except for other reasons I have for not
doing it that way.

I file my papers by family (I believe it's the system by Mills?), and
have a question for those of you who do likewise. I don't wish to change
how I file the papers, because I do my research by family.

For a daughter, I have been filing all her papers for events prior to
her marriage (e.g., her birth record) in her parent's folder. Then I
file all her papers for events after her marriage (including after her
husband's death, where applicable) in her marriage folder. I haven't run
into a case in my lineage where the widow has remarried, but I would put
her papers, beginning with that marriage record, in a new folder for the
 second marriage.

For a son, I had not been doing likewise... or at least I was not
consistent. Most times, I put all his papers (including birth record) in
his marriage folder, but discovered I had not done so on my current
research project; I had filed the birth register in his parents' folder.

Further, for most collateral lines (which up until recently I have not
been researching), I leave all the other children's papers in the
 parents' folder.

So, my question is this: Where do YOU file the papers for life events
prior to marriage? In the parents' folder? Or in their own folder?
Follow-up questions: Do you treat sons and daughters the same? Do you
treat grown, unmarried children the same?

Thanks in advance for your thoughtful replies,
