It sounds like your computer is in big trouble in some mysterious way. You could try TuneUp Utilities. http://www.tune-up.com/ A free trial is 30 days I think so you don't have to buy it. The initial setup asks a lot of questions. It's not hard if you take it one step at a time but it takes awhile. It will go through your computer in depth and fix most problems. What I mean by 'most' is that sometimes reinstalling your operating system is the last but only resort. Instead of picking and guessing your way through one possibility at a time TuneUp is like having a mechanic inside your computer. If you want on-screen support I will work at an hourly rate. I use Syncback for all my backups to external hard-drives and simply add the entire Legacy folder to it. Of course not. It doesn't matter where you back up to. But if you back up the whole Legacy folder /somewhere/ you'll have all your USR files to copy back if you need them. Well, that should be changed (and it's easy on the backup screen) or you're in danger of losing them all if your computer crashes. I send my backup files to a folder of their own inside My Documents. I used to back up to disc until it took about 50 of them to do everything. And then repeating that every few months got ridiculous in price. And time. Then I did it only to send copies to my family every couple of years of a relatively small amount of the files in case they cared about having an update. Nowadays I can zip up a folder and put it in Dropbox. An external hard-drive is preferable in every way I can imagine, not the least of which is that I can back up my files immediately. I don't understand the point of a safety deposit box, as someone suggested. Do you go get the drive out, bring it home, update it and go put it back in the box? If I had that kind of routine on my schedule I'd probably only get it done once a year. I just toss my most up-to-date backup drive in my pocket when I leave the house. Unless the earth swallows my house (plus computer) AND I get run over by a bus on the same day, it works. I use the cloud for transferring files to others but I don't depend on it for backups. I also send my genealogy files by Dropbox on a regular basis to a cousin who lives 5,000 miles from where I am just to increase their odds of survival. I suppose it's possible that something so catastrophic and instantaneous could happen to my entire computer desk and accompanying shelves that I wouldn't have the opportunity to grab a backup drive. I don't want to stretch my creative imagination that far but now that I think of it; perhaps something like the floor caving in. But if the floor goes so do I. So I won't care about the 'restore' options. I generally consider myself out of my house with a backup drive in my pocket as a 'second place'. Other second places could be scattering backup drives around my house so they're not all in the same room. Just in case a flood makes it up to the 3rd floor. OK, seriously -- bad things happen and a lot of times they're not scheduled. So, it's worthwhile thinking about the possibilities and how to cover as many potential scenarios as possible. Maybe they're scared of the effects of EMP from a nuclear detonation or maybe they just know all these short term methods degrade from bit rot, mostly likely effects of gamma rays and who knows what else. So, are we all storing our data just for short-term? Not discounting the chance of any type of global disaster in the next 100 years, doesn't it seem logical that the only SURE method of storage is actually a hardcopy of some type. That option must be turned off on my computer because I just tried closing without backing up and nothing happened. One just has to wonder how these things happen in this day and age of free and virtually free backup options. Do you have any Legacy BACKUPS? I mean the zip file that's created when you click the BACKUP button. If so, install Legacy on your new computer. Then click the RESTORE option in Legacy and browse to your most recently dated zip file (on a flash-drive or wherever you've got it by now.) Follow your nose through the rest of it. There's another dealie-do with the USR files but I'll save that for now. I'm wondering what you mean by your 'download folder'. Without knowing that I'm not sure what else is on your mind. Was EVERYTHING on one computer? Did you lose EVERYTHING? Yes, you should start with installing the latest version of Legacy. Copying and pasting your backup Legacy folder over the top of the installation is not the best idea but it will do in a pinch. That way you'll preserve your user settings. After you have it all on your new computer, you can install Legacy again over the top of everything to make sure you have all the files that should be there. I think that's how I'd do it anyway if I was where you are. For the future, there's a backup button that can be dragged onto your toolbar in Legacy. Right click on the toolbar and it will bring up a menu of icons. Find the backup button and drag it up to the top and click OK. Or you can back up using the File menu. It says right there - Backup Family File. This will create a zip file. Make a folder for them wherever you want and you can customize the Location for them on the Customize Backup screen. Ron, the issues with linking files are the problems that come up with either renaming them or moving them to other folder locations. As I've seen expressed here, some people file in a multitude of folders and sub-folders. Moving hundreds of file-paths would not be easy. Renaming thousands of files even worse. The original OP was looking for a system to 'get started'. Someone just starting out may not know enough to settle on their own 'perfect system' from the get-go so linking files can complicate their process of discovery. Photoshop Elements, IMO, is very good for editing photos. The Organizer (the other half) is very poor. In particular in regards to tagging. You can add keywords in the Organizer. And captions, I think. Everything else (locations, copyright, source, object name and all the other IPTC fields) can only be done one photo at a time through the File Info window accessible only through the Editor. It's quite a nonsensical arrangement. The mapping feature in the Organizer is also pathetic. There's no batch-mode either. I could go on for hours about how much I dislike it. I did use it many years ago and tried a couple of trials since then hoping it had been improved. It seemed to be the best there was until I found something better. And I was so relieved to find something better. Photo Mechanic, as well as GeoSetter and XnView can be used for adding metadata as well as other functions that differ from one to the other; the first two also handle GPS. GeoSetter is particularly good at that. None of them is an 'organizer' per se. In other words, you're working on the images wherever they already exist on your computer. Which is good because if you move them around or rename them you can still find them. (Another yuck point about APSE Organizer; it creates a linked catalog.) XnView and GeoSetter are both free. Photo Mechanic is a free trial. I would suggest trying all of them and having a look. Once you establish a work flow with them or one or two of them you'll find what you prefer. Try Photo Mechanic when you've got time to enjoy the trial. The others don't matter since you can have them forever. XnView also has a portable version if you're into PortableApps. http://portableapps.com/ About not linking files to Legacy - I did link them at one time. From where I started to where I am now I probably moved or renamed files about 20 times. By the time I got to 15,000 source citations with images attached, relinking them to Legacy had gotten really tedious. One day I knocked myself up the side of the head about my stupidity in that regard. The filing system I use now makes it really easy to access files anywhere and anytime in a variety of ways, generally quicker than I can click through to them inside Legacy. Linking files to Legacy seems to me a make-work project with zero benefits. I link individual pictures because I like to print them out in reports. But only one per person. If I really want to get serious with photos I can easily search them and create things outside Legacy like collage or focused PDFs. There are so many ways of being creative with images and I really don't see Legacy being the place for it. People often ask on this list about photo organization and linking files to Legacy. Since my file organization is heavily dependent on tagging I consider this subject relevant. Others' mileage may vary. Yes, it's possible to keyword tag in bulk with APSE Organizer. However, keywords are only one of many tagging options. Even Adobe knows that. But they make all those other fields only accessible through the Editor one photo at a time. (Unless they've FINALLY changed that in versions 10 or 11. The last one I looked at was version 9.) I also use the following fields quite regularly: caption writer, object name, city, location, state, country, photographer, credit, source, copyright, copyright URL and Contact Address and GPS. I stand by my assessment. I think APSE Organizer a terrible option for tagging genealogy files. I know Geoff Rasmussen has recommended it in his webinars and even wrote a book about it. But I don't consider Geoff my go-to person for photo information. I simply think he's wrong in some respects. Photos 'should' be scanned as TIFFs. Picasa does not tag TIFFs. It 'acts' like it does but if you open any self-respecting photo software you will find that the tags do not carry through. Picasa (i.e. Google) is only interested in collecting as much personal information as they can get their hands on, therefore they're only interested in the JPGs that come off digital cameras nowadays. They're not interested in dead people, i.e. TIFFs. If you have no money, XnView and GeoSetter will cover all tagging, GPS and simple editing functions. If you want to restore photos you may have to spring for Adobe Elements anyway. Ron, what does tagging for files that are NOT images? The only one I know of is a PDF editor for PDF metadata but that's a hard one to search as I recall. A lot of records are downloaded in image format so that covers most of them for me. I can search for PDF's or text by MRIN or specific content by something like Copernic Desktop Search. Something that has not been mentioned yet in this discussion is that if you're linking your files to Legacy, it's important to DECIDE where you're going to put your files and how you're going to name them and stick to your plan. Changing file-paths can be difficult. One folder to another if the file-names are the same is easy. Moving dozens or hundreds of sub-folders, or re-linking renamed files is not. I find it easier to not link files at all except for one folder of 'portraits' used in reports or charting. Instead of clicking four times to get to a view of a single file in Legacy, I can do a simple search in Windows to get that one file or get a whole folder or folder tree view and wider perspective. Alas! If only I used Microsoft Word. If I look hard I might be able to find five .doc files on my entire computer. What you're suggesting does not work for RTF, PDF, TXT, ODS, HTML, EML, ZIP, MHT ... Almost of all of my genealogy has been downloaded or scanned as image files and GeoSetter works fine, as does Photo Mechanic and XnView as I mentioned previously. GIF, PNG and BMP cannot be tagged with anything. JPG and TIFF, of course, can be. Opening my genealogy folders of almost 17,000 files show me over 90% image files. The rest are mostly RTF, PDF, TXT, HTML or EML, none of which can be tagged with Windows. I do something that started out as MRIN filing and morphed into nested family folders. All photos and documents go into one folder for each marriage. The files are named chronologically so the thumbnails tell a story. All the other information; keywords, captions, source, copyright, locations, GPS, etc., is embedded in the files. This makes it easy for searching as well as capable of producing PDF's and slideshows using some or all of the embedded info. All the folders are nested by family starting with the direct line folders so, theoretically, between the nesting and embedded information the MRIN's could be left out. I've never understood surname filing so this might be a good time to ask. I have about 5000 surnames in my database so would I create a folder and sub-folders for every single surname? That's what's happened to me with surname filing - interested in how it works (since I hear so many people refer to it) but too deep into my own method to switch gears. Maybe for the first thousand people but after awhile it's too much to move. What you do sounds somewhat similar to mine. The folders are nested from the direct lines down so anyone who doesn't want to use the MRIN's can still find their way around. I like the sound of the one folder method too. Why complicate things? The only reason I can think of is that I want to make it understandable to my non-techie family and likely inheritors. And I also want to be able to easily find batches of specific files. Windows Explorer is a pretty sad excuse for search though. For instance if I search 'Harris' it will bring up everything keyword tagged Harris but also every folder with the name Harris in it and every location that has Harris in it. No subtlety there at all and it only recognizes a few of the many IPTC fields. And, being Windows, of course names them differently than the accepted standard. For tagging and searching, there's the free GeoSetter (location data and GPS as well as all the range of IPTC tags; keywords, captions, object name (where I put type of records) source, copyright and much more. http://www.geosetter.de/en/ Or XnView. http://www.xnview.com/ Photo Mechanic is also very good but costs about $150. http://www.camerabits.com/site/ Anything that does batch tagging and detailed search (all of the above-mentioned) is a real boon when you're dealing with thousands of files. Adobe does some gawd awful things with metadata which I've mostly forgotten now because I moved away from using it a long time ago. I don't think there is a 'strict' MRIN filing system. In its 'officiality' as originally designed by Karen Clifford, it's only a paper-based system. I doubt that there are real pedigrees with more than 50 duplicate encounters and that would most likely require a very large database. A typical family file may only have a few of these duplicate lineages. Anyway, by noting the RIN displayed, you can investigate descendants of that RIN to see if there are any parents younger than their children. Those are the real loops. [LegacyUG] duplicate spouses
I've merged several small files together. Not that much overlap. Like almost none. All the MRINs are/were as I want them. After running LTools to put the MRINs into the UserID fields, I noticed (and this may have nothing to do with LTools) that many of the people in the database have two versions of the same spouse. Not duplicate people but just two listings of the same spouse in the Spouse list. And each one has a different MRIN; the original and another one. I'm going through the names un-linking one spouse but I have no way of knowing which MRIN I'm deleting so this is getting treacherous. And it's messy. I'm just saying. Has anyone heard of a similar problem? And is there an easy fix for it? Oh, and I also noticed this problem after running File Maintenance thinking that might help the database overall. Assuming your files aren't actually 'missing' but are in the folder where you say you put them called Genealogy Data, you simply need to browse to that location (from the window you are/were at called Master Picture/Sound/Video/File Path List using the Add button and then click OK. 108 refers to either the RIN or the MRIN, but probably the RIN. Record Identification Number. Those numbers in the bottom right of most screens; H, M, and W are the husband's RIN, the MRIN and the wife's RIN. Click in one the RIN boxes, a small window will come up. Type in 108, hit Enter and see where it takes you. Then click around through your picture galleries and you should see the missing file represented by a question mark. There does seem to be a PDF limit in Legacy. You can get around this by installing your own PDF driver and using that to print instead. I fill the User ID fields with the MRINs using LTools. As I file by MRIN I have the option to turn on User IDs across Legacy in places that use the RINs by default. I think you need two tags there. Tag the first list, (with tag 1, for instance). Then do a search for direct ancestors and tag those with a second tag number (tag 2, for instance). I've heard this same thing about scanners from my cousin, Sam, who insists her scanner can only scan pictures as JPG's. I doubt it but I haven't seen her scanner. When you scan pictures you're just scanning them. It doesn't have anything to do with file format. It's when you save them that you choose a format. Use the drop down arrow next to Save to choose TIFF. When you want to convert a TIFF to a JPG, simply open the TIFF in any photo software (XnView and Paint.NET are both free) and re-save it as a JPG. XnView can also be used to 'Select TWAIN Source' and it's free. After clicking the Scan button in XnView, my Epson scanner windows open as usual for a choice of other options. The scanned photo then shows up in XnView and can be saved from there in whatever format I choose through the 'Save file as' option in Windows. It's quite do-able if your scanner won't do a TIFF by itself. I generally use Epson directly after setting the Save option for TIFF and the Save location. What I've seen about saving TIFF's is that None is the default compression option but it's worth checking to make sure. LZW, which is lossless, can be used to save space. To reconstitute to the original size, just re-save with the None compression option. The word on the street about re-saving JPG's is to not change the level of compression. If you stick with the original the damage is less. And after all is said and done, I just can't argue against the basic concept that a TIFF format will keep your image in its original pristine condition and a JPEG will technically change every time one re-saves it. Just make sure you are using an un-compressed TIFF format. There are several options for a compressed TIFF and some of those options are a lossy compression technique which puts you right back into the realm of a JPEG image. I don't think Geoff Rasmussen and others have made this point strong enough and so I suspect that there are many Legacy users unknowingly saving their images in a lossy compressed TIFF format. If you want to know that you can try it. Take a JPG and re-save it a few times. Yes, photos in Legacy should be in JPG for size. That doesn't mean editing them over and over. I start with TIFF and convert a copy to JPG if I want to link it. 2.7MB is a big picture to attach to Legacy. If you're continually attaching large images like that to Legacy you may have maxed out Legacy's ability to handle them. Black and white should/could be scanned as grayscale. I think you'll find, if you try it, that black and white will not make a good scan. Why color if there's no color in your document? No. You should be looking at the information for each individual. If you're not sure if they're the same, use the Tagging option so you can later bring those up in the Name List by searching that tag number. Then you'll see the 'pairs' next to each other and you can click from one to the other to see if they're the same person or not. Then you can use Manual Merge to merge them. Try reversing the preferred spouse the other way. You may have fixed it and then canceled it out. Are they are in alphabetical order in the chart? Maybe that's what Legacy is doing with it. You really have to look at every option. Don't change the JPG resolution. Do your original scans as TIFF's (600 dpi is fine) and keep those for your archives. Then batch convert them to JPG's to attach to Legacy. What I would suggest is copy the entire Legacy folder from your old computer onto a USB key or external hard-drive. The one at C:\Legacy. Then go to your new computer and copy the entire folder to C:\ which is probably where it is (check!) so it overwrites your new installation of Legacy. Syncback if you create different backup sets for the different versions. A bit off topic but it's a direction to try. Dropbox saves versions going back 30 days but I haven't used it the way you're suggesting so I don't know for sure. I'm wondering why you want different versions. There has to be an easier way than what you're doing. If it's only one file that's being changed you can remember it, but if it's more you're going to get confused, pretty much guaranteed. If you're using Syncback then you know you can set up backup or sync profiles. All you need in the middle is an external HD to go from one to the other. What NOT to do is work on your desktop and then your laptop without syncing the files before you change computers. Another way to go at this is using SugarSync, free 5GB. (http://www.jgen.ws/sugarsync.php [referral link]) You do have to wait for the files to sync between computers before you switch computers. I think you could do it by tagging the marriages you want, then doing a Detailed Search for Marriage/Marriage Tag #/Equal To/Tagged. When you get ready to print, choose Printer and then your own PDF printer assuming you have one installed. Legacy's PDF printer has a limit which you've already found out. If you need a PDF printer try PDF Creator or look for reviews. There's quite a few but some have nag screens. Ron, I wasn't saying that you're wrong about what you said, just that it's not necessary to go changing all the file names on your computer unless you plan on uploading your files to the web. The few that I do upload I change prior. It's a different batch of work. If this is all too complicated, just mark the album pages with numbers in pencil and then create a list of descriptions in a text document. Trust me, anything is better than nothing. anniversary of our first male immigrant's arrival in the colonies, and we exp ect to have the book ready just 4 years after being elected. Hopefully we can have much more of the articles and things scanned and in the next book in 2020. Forty years is way to long for people to wait for a book with the last 15 years having someone in charge who doesn't even own a computer. Our Family Reunion is actually a genealogy fest. LOTS of very distant relatives have been working on research so we know no dearth of interest. We even have a few minutes of storytelling by the Family Historian as well as a report of the deaths/births/marriages since the prior year. With so many sad stories, I thought it would be great to tell one fairly good story. We will have to check out what was given away, but I have plenty to keep me busy for a long time even without whatever she gave away. In neither case was anyone contacted to see if you want any of this 'stuff' (fill in the blank, Dad, Mom, Aunt Alice, Grandpa, Grandma etc) accumulated? Then we discovered that the programs he had used (word processors and genealogical database software) to record and organize his data would no longer run either, and the backup copies he had made were not readable by current versions of his software. A third, more modern PC also would not run and had to be resurrected. He had two running PCs and both were shakey at best. We bought a new PC, and updated software, and over a period of three years I was able to recover the electronic versions of all what my friend had so laboriously written. The completed CD included the previously printed six volumes as well as much of the later data and was automated to run on any then-current PC under several contemporary browsers and on a variety of screen sizes. All of the text was searchable, and the photos were integrated into the text of many articles, genealogical histories, journal entries and various charts and reports. The photos were also available in an indexed photo gallery. When my friend and his wife passed away a few years later not a single one of his children wanted the CD. The remaining books (a few hundred copies) were boxed up and hauled away to an unknown fate. The one lesson I took from having helped with that project is that it pays to disseminate your data as widely as possible, and in as many formats as possible, while you are living. Make paper copies. Publish online. Make CDs. Give away copies of your files to relatives and other researchers as you work. Don't let the unfinished nature of your research keep you from distributing what you already have. Better to publish some of your incomplete, or poorly sourced research than to let it be lost if you die suddenly. Try not to let possessiveness overcome willingness to share. We all like to be credited with what we've discovered, but it's better to disclose information we have rather than to risk it being lost forever because we fear those receiving it won't mention us when they publish. One last thought. No electronic format is permanent. They all deteriorate, and they will all become obsolete eventually. If you choose to use an eletronic format you should also commit to keeping that format up-to-date. Don't stick with an old version of the software you're using simply because you like the old version, or because you're comfortable using it. Keep your hardware and software up to date! If not immediately when it's released, at least within say a year of that release. Stagnation can mean your data will no longer be useable to those who come after you. Even paper copies can burn, or be thrown out, so diversify and distribute! Having also written User Guides called READ ME files, about a dozen to cover everything computer related, including Legacy and the ancestors of course, there's another essential part to this. That's the cover letter that you actually print and put somewhere easily accessible. (In my case, in an envelope tacked to my bulletin board and addressed to my executor.) All READ ME's and cover letter updated on a regular basis as my computer/finances/etc. change. If you're counting on someone actually turning your computer on to see what's in there ... well, they might not. And if they do, chances are they could use some clear direction. Legacy can, however, find pictures that have been *moved*. If you change the file name through Picture Center, then the name is changed in the database, but not if you change it outside of Legacy. If I'm looking for a file I'd rather find it in its original location, whatever that is and whenever. Thankfully Windows can be searched. I put my obits under Death Notes next to the Death date on the Individual's Information screen. I don't exactly understand, though, why Legacy outputs information starting with the Death information. Not really but maybe. Somehow you've got Legacy opened across half of your browser so you can't see the address bar? Maybe we're having a language problem. Ok let's back up the train. I personally would not split a screen using Legacy on both halves for this purpose. What I would do is drag the handles on the edge of my Legacy database so it takes up half the monitor. Then I would open my browser and do the same thing for the other half. If you're using W7 you don't have to drag the handles. Just drag one screen left and drop it and the other screen right and drop it and they'll automatically split the monitor in half. I did not even know there was an address bar on the Legacy home page. First of all, they use Internet Explorer that I absolutely can't stand so it's not even an option even if I did know it was there. Anyway, try that. You can certainly split a wide screen monitor to fit two screens. Aha! Perhaps the problem is your browser becomes too narrow to see the address bar?? OK, I'm on my knees. Use the Copy and Paste buttons on the Event screen. They're under the Help button on the right. You don't have to put your cursor anywhere. Enter the information for one person as you want it. Then click the Copy button. Although I file by MRIN, the question is still applicable. I put all records for a person in their MRIN folder (and under their MRIN in paper filing) regardless of whether it's before a marriage or after. Except, for instance, where they're in a census record as a child. All census records are filed under head of household. I could just as well do it the other way except then I'd have to wonder which record belongs after marriage and which before and that gives me one more thing to trip over on my way to finding it. I don't think it really matters. It's your filing system and as long as you're consistent with your 'rules', then you know where to find things. Documents for unmarried children are filed with their parents. Because I digitize everything I rarely reference my paper files. I also annotate all records with keywords (people's names), locations, etc., so I can pull all records for anyone from everywhere through a simple search. Consequently it wouldn't matter if I threw all files in one huge folder or anywhere at random. Except for other reasons I have for not doing it that way.
