I remember from some time ago that TB! gets problems with too many
conditions in a filter. No-one could tell the exact limit, but it turned
out to be a solution to use address book groups for this. So the filter
only needs to check if an address is in a certain group instead of
checking *all* conditions (addresses) every time. Maybe you can use this
approach too.

I don't think so.  Looking at serveral filters, I always see

to raise performance issues.

I was surprised you mentioned address books (or groups),
given that I have generic names like @abc where I want to
catch [EMAIL PROTECTED] or [EMAIL PROTECTED]  I tried out your
suggestion but it didn't work.

My filter is working fine, but doesn't display for editing.
I edited the filter, by copying and pasting to my editor
another item to the list.  I pasted from my editor to the
Sorting Office and tried it out - perfect!

But this is a clumsey way to edit the Sorting Office :-)

Some of my filters, although they stilll work, cannot be
edited.

For example, the one I've included here has a Sender -
contains any of - followed by a list that cannot be seen or
edited.

Is there a limit on the number of items (this one has 24) in
a contains any of?

Filters using a Blacklist

I am sure this has been asked before but I can't find any references, so I will 
ask again.

Is it possible to have a  filter use an external list to gets its data ?

Principally I am thinking of using a blacklist to check  incoming mail  using a 
filter.  I do not want to have to update the filter every time I add a new 
nname.

Currently I check against a specific address book , but it would be easier to 
maintain a text file.

He's mistaken with quick templates, those can be shared with other
accounts. Filters cannot, though you can create common filters, they
can be used by all accounts.

That's correct. Common filters are set up and used with 4 Accounts as
per my requirement. I believe that the 'share with..' option appears only
for common filters. QT's can be shared among accounts as well as used
for mass mailing too.

is it possible to export and import filters?
My intention is to export one (or more) filter to another account
where the same filter rules should be active - I do not want to add
filters with many conditions manually for each email account.

I haven't found this possibility - did I miss something or isn't it
possible?

Common Filters

Hello TBUDL,

I don't make complete backups of my mails in the office any more, as
the sysad backs them up anyway. So, if my HD crashes, I can restore
the mails directly from the server.

However, I want to backup my TB! settings. The directory structure is
no problem, but my most sensitive asset are the Common Filters. they
will get the honour of being backed up to two different locations.

I know they are in one of the account.* files, but I don't remember
which one. Help is appreciated.

TB!v3.99.3 / non-OTFE / Windows XP.

Folders are automatically created when someone from the address book list

I actually changed the 'Known' filter a bit to do what I want with this.

No.

That's exactly as it's supposed to be. A filter processes the messages
that match its condition and filters below that filter won't be
checked anymore, subfilters will be processed though.

However, when you set the option 'continue processing with other
filters' for the parent filter, then the messages will be processed by
the other filters too. (Until they trigger the next filter.)
But I don't know what the consequences are for the messages that have
been processed by the subfilters.

Of course not, but that wasn't what you were asking. You asked about
groups of filters. Or to say it differently: You merely asked whether
you could create two groups of 45 filters each.

What you're asking now is whether you can filter a lot of addresses
each to their own folder with a single filter and that answer is: 'Yes'

Create an AB group 'filter contacts' and add those 45 people to it. It
doesn't matter whether you've got them in different AB group too.
Create a filter that checks whether the sender belongs to 'filter
contacts'
Now you've got two choices, either you want all of them moved to the
same folder or you want to move each message to a folder matching your
contact. The first case is rather straightforward, the second case
needs a macro.
I tested it with a single address (didn't want to mess up my filtering
system) I added a 'phone number' to an address book entry (I used the
rather random letters lcs) and the action for my filter was to move
the message \\Roelof\%ABFromPhone  (With roelof being the account
name)
I re-filtered the folder and all messages from that contact were
filtered to \\Roelof\lcs
Apart from %ABFromPhone you can use any address book macro, like
%ABFromE-mail, I just used the Phone entry, because I don't use that
and I wouldn't like folder names with email addresses, but YMMV.

Of course you'll still need two filters for this to function properly,
one incoming filter and one outgoing filter, note that you'd need
something like %ABToPhone for the outgoing filter.
And before I forget it, you'll need to check 'create if necessary'
with the move to action.
Also when you don't use something that you've been using in your
address book (like %ABFromPhone in stead of  %ABFromName) you need to
enter that field for all of the contacts you want to sort this way.

There are two major differences.
You'll only need to add them once to your AB group, whereas you'd
need to create every filter twice.
When your contacts change their addresses (or use multiple addresses)
you can easily add them to your AB (you'd do that anyway), but you
don't need to adjust your filters.

Yes, indeed, after thinking about it, and reading these last replies from
you and Chrisopher, I do see that AB filtering must be the best way forward
for me. And I actually already have most of my contacts in various AB groups
already, as is my habit, so I do believe I'll be following the good advice
provided here and filtering against the AB groups in future.

Not necessarily. In addition to ISP email addresses, I own two
domain names that I use for email and incoming mail for any
username at either of those domains is all routed to one POP
mailbox.

 Another way to handle your desire to keep account a hidden is to

 or c) and replies from the appropriate account. Just add
 %ACCOUNT=a, b, or c in the reply template.

My solution is for one account in TB to download all mail from the
POP mailbox for my two domains. Incoming mail filters direct the

replies are from the correct account. It also sounds more
efficient to filter the mail just once.

They are real POP or IMAP mailboxes. They just forward to another
account. I use the real account's SMTP server for sending, and that

Normal filters apply only to one account. Common filters can apply to
more than one account, but please make sure to tick the appropriate
accounts in the Share with tab. By default, no account is ticked,
and you will wonder why the filters doesn't catch.

You can have comon incoming filters, common outgoing filters etc.

Actually, you don't need to even move the messages.  Just go to your
reply template and add the expression:
%ACCOUNT=Gmail  (Or whatever the abbreviated name for your personal
mail account is in the account tree.)

The messages stay in your work box, but all replies are sent via your
personal account.

OR you could try just changing the Account Properties | Transport
details of the SMTP server to the details for your personal account
(if your service allows this).  Then the mails from work are sent via
your personal account, but still have your work address as the sender.

Okay, I love the Restore feature. Still it's strange that all filters of one 
account can just suddenly disappear. There must be a more simple way to fix 
this... 

Are filters classified under Account Properties or Global Options? I'd like to 
make sure for next time (this time I used both and had to manually re-add some 
account folders, to restore several e-mails that had been sorted into those 
folders since the last back-up).

  I am new to The Bat! I am a convert from Mozilla. I did some
  searching and understand there is a language to writing more
  complicated filters, yet it is over my head.

filter.

Most likely one of your added filters is 'inhibiting the trigger of

Yes, that covers it.


My workaround is to add a user parameter.

The parent is now if sender contains any of (the domains they
send emails from) move to magazine folder AND set (user
parameter) magazine=1.

The subfilter now says If Additional Params magazine is equal to
1 AND subject contains 'subscription' move to the 'subscription'
subfolder.

This seems to work mainly as expected, with two exceptions I found
during testing.

Firstly, the subfilter does not work when activated with a hotkey.
My guess would be that's related to the way user parameters work,
as this suggests they may only be stored for the duration of the
current filtering session.

Secondly, re-filtering the subscription subfolder moves its
contents to the magazine folder. (Re-filtering the magazine folder
moves them back again, even though testing filters suggests this
will not happen. Copying messages from both to another folder and
re-filtering that folder distributes the messages as expected.)

Any thoughts?

previously moved them manually to the subscription subfolder.
When I received one today I decided to automate the process with a
subfilter:-

If subject contains 'subscription' move to the 'subscription'
subfolder.

I forwarded the subscription confirmation to my sister and found
her reply filtered to the subscription subfolder. I tested
filters and this confirmed the subfilter was being triggered. I
sent myself an empty email with the subject subscription and the
subfilter was triggered by that too.

Any ideas?

ASK Press the ALT key and keep it pressed, then you can use drag  drop for

Or ALT and up-arrow. Not sure whether it's ALT, TB! is quite
inconsistent, sometimes we need to press ALT, sometimes shift,ctrl or
so to move things, like folders for example. I always keep trying
which key-combo works with the arrow keys.

Organizing Filters

I have many filters and need to better organize them.  I also ended up
with multiple filters for many of the same things that can be combined
into 1 filter or can be deleted.  To be able to better find filters I
decided to put them in alphabetical order within various categories
(that is certain types of filters need to run before others).

I am finding it extremely tedious to move filters from the bottom of
the list to higher up since it seems like I have to click the up arrow
for each move up the list (I have many filters so that is a lot of
clicks).  Used to I think you could drag the filters but apparently
not any more.

Am I missing something?  Is there a better way to do this (i.e.
faster?)

Also, I noticed there is now an option for a subfilter but I couldn't
find a reference to it in help.  What is a subfilter?

You can create filters that operate after a main filter has selected out a
message...

I.e: take all messages where the TO is [EMAIL PROTECTED]

Then  apply a (sub)filter to only those

Assume you have several filter with a common condition, for example:

If A and B
If A and C
If A and D
If A and E
...

You can convert those to 1 filter and several sub-filters like this:

If A
   If B
   If C
   If D
   If E
   ...

The advantage (aside of clarity) is that sub-filters for conditions B,
C, D, E... will not be checked at all unless the If A filter triggers
(condition A met) first.

BTW, in regards to your question about ordering filters, depending on
what each one checks for and does, the order in which they are
displayed (and therefore checked) may be important.

Do you have tabs at bottom of your folder list? You may just have
the clicked onto a tab viewing only folders with unread messages,
for example.

For the time being, turn on StickyKeys. This will allow you to execute
any key combination with one hand.

To turn on StickyKeys, open Accessibility Options in the Control
Panel, check the box, and click OK.

You may want to investigate some of the other options to see if they
would be useful.

Chris,
   Thankyou so much. I turned on sticky keys and did the key 
combination. Message was something like no folders found.
Then I tried folder repair and maintenancefolders all turned up in 
that program, were scanned and comment nothing to fix appeared,
but said one folder doesn't exist. at the end of this most of my 
messages and folders are not visable.

Do you have tabs at bottom of your folder list? You may just have
the clicked onto a tab viewing only folders with unread messages,
for example.

Common filters - where are share with settings stored?

Hi

I managed to lose all my common filters by accidentally moving the
file %appdata%\The Bat!\account.srb.

I have replaced the blank account.srb automatically created with
the file I moved and now have the common filters back but they now
all have a list of blank tickboxes on the share with tab when
viewed in sorting office (and of course do not work as they are
shared with no accounts).

Before I plough through and manually reinstate the share with
settings for each filter, can anybody suggest in which file it is
stored (as it would appear not to be in account.srb)?

I think if I did it your way I would often end up hitting the
edit button and using the Sorting Office GUI as many of my filters
are not if from this one name/address move to the folder bearing
that correspondent's name within the account I'm currently
browsing.

 They just reflect different paths to the same destination.

Hi TBUDL,

  I have three accounts in The Bat!

  Normally, when I create filters they apply to the specific account in
  which they were created. Later when a correspondent sends a message to
  that account it is filtered properly, assuming I have set the filter
  up properly. That is the behavior I would anticipate, and it is the
  behavior I see. All is good.

  But sometimes that same correspondent sends a message to one of my
  other accounts. And when that happens, his message is not filtered
  because the filter was defined, and therefore resides, in another
  account. Again, that is what I would expect, and The Bat! performs as
  it should.

  But I'd like to collect all messages from that same correspondent into
  one folder in one of my three accounts no matter which account he sent
  it to, and I'd like to do that automatically with filters. That, it
  seems to me, is one of the rationales for the use of common filters.

  When I highlight a message and choose to create a filter for it, I
  find that there is a check box on the dialog to create common
  filter. Therefore I have the option to create a common filter *from*
  any account when I'm on a message of the type I want to filter. That's
  good, I think.

  I conclude that if I want to filter all messages from a particular
  correspondent into a folder, regardless of the account to which it is
  sent, I should create a common filter for incoming messages from that
  correspondent. So I tested my thinking.

  I created a common filter for one of my correspondents that moves his
  messages into the folder of my choice, and it didn't work. Upon
  investigating the cause, I realized that I had to have the common
  filter apply to all accounts (an option for which is found under a tab
  that exists only for common filters). I changed that option and
  re-tested the filter, and now it works as I had anticipated.
  Excellent, says I.

  So now I have a way to create filters that apply to all accounts, and
  I've solved this particular problem. I wanted to share this musing
  with you, in the event that you too have a similar need.

  As I think about this strategy however, the only downside I see is
  that I must remember to check that create common filter checkbox.
  Unfortunately, remembering isn't one of my strong suits. So it occurs
  to me that it might be desirable to have the option to make create
  common filter a sticky selection, which is off by default but which
  a user can turn on if she or he knows the consequences and wishes to
  have The Bat! exhibit that behavior. Also, I think it would be helpful
  if The Bat! would prompt me when I save a common filter to specify
  which accounts I want it applied to, again because of the likelihood
  that I would forget to go to the common filter and specify that
  option.

  Do any of you agree this might be a desirable configuration option?
  And if I entered it as on Ritlabs' Wish List, would you support it? If
  not, what are the pitfalls you see or reasons why you don't think it
  is a good idea.

Makes sense. You did ask for discussion, pro and con.

I would find it quite useful. I happen to have three accounts, and a
favorite relative occasionally writes to all three.

I read him by clicking on the MailTicker, and then I have to hunt the
message down, in one of two other inboxes, since that message didn't
come in to the account that filters him to his folder.

Not a really big deal, but multiplied by several, could get
time-consuming.

I didn't have time to study your work-around and implement it. I'm
dealing with a number of other issues this morning, including a new
computer's vagaries.

But I copied your post to my Troubleshooting file, so I won't have to
do a search here when I'm ready to use it.

I don't know if it is really necessary to have a configuration option
for the state of a single tickbox, really. After all, creating a filter
requires a bit of attention right from the start, and I think now that
you're aware that you can create common filters that way, you'll
remember to check that tickbox. ;-)

However, you have mentioned another point that would be worth a wishlist
entry because IMHO, a new common filter by default should simply apply
to all accounts (I've stumbled over this each time I created a new
common filter). After all, the whole point of common filters is that
they apply to multiple accounts. :-)

  Fortunately for both of us, using common filters doesn't require any
  changes to The Bat!. That capability already exists. It only requires
  a little more attention to detail than I sometimes give to what I'm
  doing. If I could set the dialog to remember my preference for
  creating common filters, it would make my life a little easier.

  The Bat! already epitomizes the essence of choice in many things. This
  wish merely extends that trend, it seems to me.
