Thank you for the replies.  It helped, I am going to delete Legacy from 
the flash drive and just put the backups on it as suggested.

1.  Save a copy of the Legacy6Setup.exe file to the flash drive, if you 
wish

to install Legacy on another computer.  Make sure that you selected the
Download Full Setup option when you downloaded the Legacy setup file.

2.  No need to do a gedcom unless you're sharing with a non-Legacy user. 
You

just want to do a backup of the Family File. Go to
http://www.LegacyFamilyTree.com/Tips.asp, where you'll find an article 
under

Backing Up and Restoring Family Files.

3.   I enter the data into the file on the flash drive and back up to the
hard drive.  The flash drive is not a good backup medium because they're
small, easily lost or stolen and fragile.

4.  I have a 256 MB drive which holds my Family Files with no problem.  If
you have a lot of pictures you're going to put on the flash drive, you'll
want one large enough to hold those also.  Of course, since the 2 GB drives
are so much cheaper now (you can buy one for what I paid for my 256 
drive!),

might as well get the best bang for your buck.

The Legacy6Setup.exe file is only 27 MB in size.

   Hi Diane,
You don't need Legacy on the flash drive. You put your Legacy database on the
flash drive and both computers will run it from there.
On both computers you will need to tell Legacy where to find the database.
When you back up backup to the computer the flash drive is attached to

This is basically what I was suggesting to Diane, except I suggested copying
the whole of the Legacy folder.  Perhaps you could clear up a muddle in my
own mind.  When we get an update from Legacy does this update provide a new
.exe file or does the update alter just the components within the already
installed programme?  I had assumed the latter but if a minor update does
provide an updated .exe file then I can see why you have suggested saving
just a copy of Legacy6Setup.exe.  If the update alters the components within
the already installed programme and not the .exe file then we are probably
safer copying the whole folder as I suggested.  

If updates supply a new .exe file each time I would be very happy just to
save the Legacy6Setup.exe to flash.  I have in my mind the problem people
had a few weeks back when they started to download the update, couldn't do
it and in the end ended up with their original software not working and no
backup.

The way I have always understood things is that the Legacy6Setup.exe is the
file that installed and built the programme on the computer.  Therefore if
you save this file, this will enable you to install/build the programme
again is for some reason the programme folder was completely deleted from
your computer.  Am I right?

If so, that brings me to updates.  If we update for e.g from .117 to .118
and we do so from 'within Legacy', in other words with the programme open (I
know it shuts down the programme once the process has started etc) does the
update provide a new Legacy6Setup.exe file (which is in any case in the
Legacy programme folder) or does it update the individual components of the
folder/registry without touching the LegacySetup?  If you look at the
LegacySetup properties it always shows as File Version 6.0.0.0.  I would
have expected it to read 6.0.0.118.?

If you then save the Legacy6Setup to flash after having 'downloaded' .118
and find you need to reinstall the programme or install on a different
computer, will it install 6.0.0.0 or 6.0.0.118 or do you need to copy the
whole Legacy folder to get .118?

question rather than being specific to Legacy, so please forgive me for
jumping in.

The point is that if you copy the .exe of any program to another computer
that is all you have done. What has not been done is to copy the information
regarding where all the component  files are stored to the Register. So when
the .exe file is run it does not know where the files are. This is why when
a program is downloaded it also has to be installed as well. 

The set-up.exe file of any program tells the Register where on the Hard
Drive it has put all the above information so that when you run the .exe
file it can check the Register, find the file it wants and then carry out
the instructions.

This is obviously a simplification but I hope illustrates why the set-up.exe
is important.

Not entirely. It can be used to install on a different computer or another 
drive.

As I understand it, it does not amend the set-up.exe in one's folder but only 
alters the files and register entries. However, the version on the Legacy 
website is always the latest.

You only need to transfer the set-up.exe (and of course the Data files), but in 
doing so all the user settings will be lost. To retain these I *think* one 
would have to transfer the Legacy folder and then run the set-up.exe. Sherry 
would need to clarify this point.

The Legacy6Setup.exe file which is in the Legacy folder is the same as the
Install from the Web file and not the full setup file.  To run that file
you will need access to the internet as it goes back to our website to
complete the install.

The Legacy.usr file is the main one that holds the settings in Options 
Customize and if you wish to save those for any reason, you can certainly do
that.  The legacy.usr is the only one I'd worry about saving since it holds
the most options and settings.  Also, if you're concerned about saving the
Legacy folder to save your files in the event the hard drive crashes, you
might want to save reports, color schemes that you've created, saved report
settings (for frequently used reports), files in the c:\Legacy\Data folder
and the Legacy.usr file.

When you uninstall Legacy, only those components which Legacy installs are
removed.  Other items that *you* create are protected, such as reports,
saved report settings, usr files, saved color schemes, web pages, files in
the Data folder, etc.

It's always best to just download the latest build of Legacy from our
website if you need to restore the program for any reason. Otherwise, you'll
do an install from your saved Legacy6Setup.exe file and will still need to
go to the website to check for an update.

drive.  I was aware of this - just didn't write it in.

Interesting reply from Sherry.  I think in future I will keep only a copy of
the latest Download Full Setup file in case we have a problem anything
like what we had a few weeks ago.  I tend not to use reports very much etc
and in any case if you build your genealogy quickly or make lots of
alterations, they become out of date and are fairly easy to produce anyway.
As regard to colours etc - well it reminds me of the day I went to buy a new
mobile 'phone.  After deciding upon the model, the salesman proudly
announced they had an offer with 5 different coloured changeable covers - my
reply, 'Now be honest.  Do I look like the sort of person who is going to
want to be changing colour according to the occasion'?  He quickly looked me
up and down, placed the covers back under the counter and quietly completed
the sale!

As I understand it, it does not amend the set-up.exe in one's folder but
only alters the files and register entries. However, the version on the
Legacy website is always the latest.

 The point is that if you copy the .exe of any program to another 
 computer that is all you have done. What has not been done is to copy 
 the information regarding where all the component  files are stored to 
 the Register. So when the .exe file is run it does not know where the 
 files are. This is why when a program is downloaded it also has to be 
 installed as well.
 
 The set-up.exe file of any program tells the Register where on the 
 Hard Drive it has put all the above information so that when you run 
 the .exe file it can check the Register, find the file it wants and 
 then carry out the instructions.
 
 This is obviously a simplification but I hope illustrates why the 
 set-up.exe is important.

drives.  Now for the final questions hopefully.

1   I understand that I should download Legacy to this flash drive.
2   Do a gedcom of my info onto this drive.
3   When I enter info on one computer do a backup to the flash drive then do 
a restore onto the other computer.

4  get at least a 2g drive, and maybe put on family file on each drive.

Do this seem to sum it up?   You have all been very helpful.

Hi Diane,

I agree with 1  4 but not 2 or 3.  I have not followed all the replies so
there may be good reason, but can't see the reason for the GEDCOM.  I
personally disagree with 3.  I keep my working Legacy data file on my flash
drive, together with all my multimedia, which I use directly from the flash
drive.  I back up both data and multimedia as zip files (Legacy asks if you
want this to happen when you close the programme) on one or all of the
computers I use.  That way I don't have to do any restore every time I swap
computers.  The only time I use the zipped back up files is if the data on
the flash drive gets corrupt or I loose the flash drive.  In this case I go
to the computer I used last and unzip.  Fortunately I have never has to do
this.

That would be one of my main concerns: losing the flash drive and having 
that info fall in the wrong hands.  Do you encrypt the data on the flash 
drive and does that not affect the speed of use?

I agree with David

Put your ACTUAL data files on your flash drive  (drive e: or whatever it
shows up as on your computer.).  don't have the data files on your
computers.  Direct Legacy to work with the files on the flash drive.   When
you leave Legacy and it asks if you want to do a backup - backup the files
to the Hard Drive on the computer you are using at the time.   This way, you
are always working with your up to date data files no matter which computer
you are on (so you don't modify it on one computer - then have out of date
info on the other) - and you also have backups on a couple of computers.

Having the Legacy program setup on the flash drive is handy if you need to
use a computer that doesn't have Legacy  you can't actually run the
Legacy program from the flash drive without having some other program going
that allows that (which I don't know anything about.)

Diane,


1.  Save a copy of the Legacy6Setup.exe file to the flash drive, if you wish
to install Legacy on another computer.  Make sure that you selected the
Download Full Setup option when you downloaded the Legacy setup file.

2.  No need to do a gedcom unless you're sharing with a non-Legacy user. You
just want to do a backup of the Family File. Go to
http://www.LegacyFamilyTree.com/Tips.asp, where you'll find an article under
Backing Up and Restoring Family Files.

3.   I enter the data into the file on the flash drive and back up to the
hard drive.  The flash drive is not a good backup medium because they're
small, easily lost or stolen and fragile.

4.  I have a 256 MB drive which holds my Family Files with no problem.  If
you have a lot of pictures you're going to put on the flash drive, you'll
want one large enough to hold those also.  Of course, since the 2 GB drives
are so much cheaper now (you can buy one for what I paid for my 256 drive!),
might as well get the best bang for your buck.

The Legacy6Setup.exe file is only 27 MB in size.

I also have my files on a flash/zip/jump/whatever drive but do things 
slightly different to what's already been mentioned. 

My Legacy database has links to so many graphics -- all census pages, 
registrations, certificates, newspaper clippings, etc. -- that there 
is not yet a mini-drive available that will hold them all.  But I 
still need to run Legacy on both a desktop and a laptop computer.

So I have my Legacy database on the removable drive and the 
multimedia files are duplicated on the hard drives of both computers. 
The removable drive also contains some small files that automatically 
make a backup whenever it is inserted into one of my computers (and 
when the computer is started with the removable drive in place), and 
they also automatically keep the multimedia files in synch on both 
computers.  Doing things this way means the removable drive need only 
be slightly larger than the database and both computers contain full 
backups of all data.  Before I get told these backups are inadequate 
I should mention that I also have off-site backups on the Internet 
(also automated).

Setting up the files and computers to do all this can get a bit 
complex but I believe it is well worth the effort.

How much space do you need for your multimedia stuff?  I use a 40 GB
USB drive for my Legacy data AND all my multimedia.  These pocket
USB drives are now available as large as 120GB for around $100
dollars.

Backing Up and Restoring Family Files.

3.   I enter the data into the file on the flash drive and back up to the
hard drive.  The flash drive is not a good backup medium because they're
small, easily lost or stolen and fragile.

4.  I have a 256 MB drive which holds my Family Files with no problem.  If
you have a lot of pictures you're going to put on the flash drive, you'll
want one large enough to hold those also.  Of course, since the 2 GB drives
are so much cheaper now (you can buy one for what I paid for my 256 
drive!),

might as well get the best bang for your buck.

The Legacy6Setup.exe file is only 27 MB in size.

Diane,

I keep an run the Legacy database ( your data file) from the flash drive.  I
don't worry about backing up and then restoring the file from one computer
to another.  I think this is where the confusion lies.

When you exit Legacy on both computers, and you have made changes to your
data, it will prompt to backup.  Say yes and save the backup file to a place
on the local (C:\) drive.

If you ever have a problem with the data on your flash drive, you will just
restore the file from the computer you used last to either the same flash
drive or a new one.

(This is how I recommend the use of a Flash drive to the patrons who visit
the Family History Center that I work at.  I have converted many to this
usage and they all love it.)

P.S.  I have been carrying the same flash drive in my pocket bouncing around
with my car keys for 1 1/2 years and I use it every day.

P.P.S.  There are those who use the flash drive as the backup location.  (In
my opinion, this only leads to possible problems of backing up or restoring
to the wrong machine and losing a lot of your work.

Hi Diane

Firstly when you buy a flash drive you will need one large enough to take
all the information you wish to put on it.  I use a 2Gb at the moment, but
my files are fairly small therefore I have room to expand.  I know there are
folk on the LUG who have huge Legacy files.  I would go for as big a drive
as you can afford, but I would avoid the very small ones.

I use my flash drive to keep on it my legacy family file which I call 'My
Family'.  I also keep my multimedia files on the same flash drive and a copy
of the legacy programme file as a backup.  This is the way I organize it:

I copy the entire contents of the Legacy File from my programmes file to the
flash drive.  This creates an identical 'Legacy' file which, in case of
emergencies I can copy back on to my hard drive in the Programmes folder.
There have been several discussions in the Legacy User Group as to the
usefulness backing up the legacy programme file. 

I then create another folder which I call 'Family Tree'.  Inside this folder
I copy my Family tree Legacy Data file which I call 'My Family' - yours may
be called something else according to what you decided to call it.  I keep
all my multimedia files that I use with Legacy in two folder which I call
'My Family Photos' and 'My Family Sources'.  I copy both these folders and
their contents into the 'Family Tree' Folder.  I then create a shortcut of
the 'My Family' file to the desktop on my computer.

You then need to run the Legacy programme making sure it is pointing to the
file on your flash drive.  (When you have started Legacy, go to FileOpen
Family File.  Where it has 'Look in', click on the little arrow, go to your
flash drive, click on family tree folder and you should find the 'My Family'
file.  If you click on it you will have opened the file on your flash drive.

Next, you need to make sure all your photo's, sources etc are found -
remember you have moved these to a new location on your flash drive also.
Do this by going to OptionsCustomize and then the Locations tab.  Click on
'Test All Multimedia Paths' and make sure everything is pointing to the
multimedia files you have on your flash drive.

When you have gone through this process once, the files on your flash drive
should work first time, every time.  Earlier, we created a shortcut to your
desktop.  In future all you need to do is click on this and it will open
your files on the flash drive first time, in the Legacy programme.

When you come out of the Legacy programme, you should be prompted to save
the zipped version of the file.  Save the Legacy File and the Multimedia
file to somewhere on your PC - not on the flash drive (in case it fails, or
you lose it!)  You will then be able to recover everything.

Only when you are sure everything works, delete the old (in my case) 'My
Family File', 'My Family Photos' and 'My Family Sources' from the PC -
careful not to delete from the flash drive.  All your data is now on the
flash drive, and working, with no other duplicate files on your computers -
other than the zipped backups.

Hope this makes some kind of sense - please don't delete from your hard
drive until you are sure everything is working from your flash drive.

This process you only need to do once - from then on it's all plain sailing.

This (see below) is how I am doing it for years now except of entering 
findings in a separate document while out doing

research. (although I do make copies of records with a lot of info in it)
I think this is a very good tip, I am always with that bit of an uneasy 
feeling, I need to remember what I have done and

thoroughly check it at home.
By using a document you also prevent mistakes due to hasty input because 
you want as much work possible done

and you are able to copy and paste

Hi Diane (and David)
David's answer is basically the same as I do now. Before 
December I only had my data and photos on the flash drive. When 
we went to my daughter's house in Texas I took the flash 
intending to do some work while there. Well, her computer had 
version 4 of Legacy and a VERY slow dial-up internet connection 
(19 kbs at best) so I could not download the new version of 
Legacy. That means I did not get any work put on the flash drive 
and had to do hard copies of everything and put it on when we got 
home last week. That is when I got smart and downloaded the 
program to my flash drive and installed it. Now I don't have to 
worry if anyone's computer has the program or not - it is all on 
the flash drive.
BTW, Some computers have the old USB ports (1.0 or 1.1). The 
newer flash drives are USB 2 but they WILL work on the others - 
they just will be slower.  I would not get any flash drive 
smaller than a 1G and that should last you through 15,000 +/- 
people and a lot of photos.
Now that the flash drive is out of the way - you can also buy 
an external drive that connects by USB. I have one that is 40G 
and cost about $150 in 2005 (they are much cheaper now). The 
drives are about the size of a CD holder. You could always use 
this as the drive for ALL of your legacy program, data, photos 
etc. and be able to take it anywhere with you. The only drawback 
to this system is that you have a power cable and USB cable to 
keep track of.
I use this drive (external) to back up ALL my data, photos, 
music, recipes, etc, etc.; I backup new data to this drive at 
least every two weeks. My husband has his own computer (we are 
networked) and I also have his data backed up on this external 
drive.
No matter which option you choose be sure that you have a 
backup on a drive other than your C drive (besides the zip) 
because one day you will loose a drive and usually it is the 
drive used for all your programs.

Myrna,

Legacy doesn't run directly from the flash drive.  There are files that
Legacy depends on that might not be on a computer unless it has Legacy
already installed.  

I keep the Legacy6Setup.exe file on my flash drive and can install it on any
computer as the standard version of Legacy.

had my data and photos on the flash drive. When we went to my daughter's
house in Texas I took the flash intending to do some work while there. Well,
her computer had version 4 of Legacy and a VERY slow dial-up internet
connection
(19 kbs at best) so I could not download the new version of Legacy. That
means I did not get any work put on the flash drive and had to do hard
copies of everything and put it on when we got home last week. That is when
I got smart and downloaded the program to my flash drive and installed it.
Now I don't have to worry if anyone's computer has the program or not - it
is all on the flash drive.
BTW, Some computers have the old USB ports (1.0 or 1.1). The newer flash
drives are USB 2 but they WILL work on the others - they just will be
slower.  I would not get any flash drive smaller than a 1G and that should
last you through 15,000 +/- people and a lot of photos.
Now that the flash drive is out of the way - you can also buy an
external drive that connects by USB. I have one that is 40G and cost about
$150 in 2005 (they are much cheaper now). The drives are about the size of a
CD holder. You could always use this as the drive for ALL of your legacy
program, data, photos etc. and be able to take it anywhere with you. The
only drawback to this system is that you have a power cable and USB cable to
keep track of.
I use this drive (external) to back up ALL my data, photos, music,
recipes, etc, etc.; I backup new data to this drive at least every two
weeks. My husband has his own computer (we are
networked) and I also have his data backed up on this external drive.
No matter which option you choose be sure that you have a backup on a
drive other than your C drive (besides the zip) because one day you will
loose a drive and usually it is the drive used for all your programs.

As back up away from the house, I put it on a zip disk or CD and every 
few months give it to

my parents, they put it in their fire protected safe.
I also have the date zipped and protected with a password mailed
to my G-mail account.

What happens to a data file created in Legacy 6 Deluxe, and then pulled into
Legacy 6 Standard and work done and then backed up ... what happens to the
items that were in Deluxe mode when they travel to Standard mode and then
moved back into Deluxe mode? Does any data get lost?

I use a Seagate 5 gig mini hard drive for my Legacy data. I think it's a
great idea to store an uninstalled version of the software on the drive,
also.

Thanks for the tip, Glen. I will do that. It wont take up as much 
room either. I had forgotten that Legacy would not run on a flash 
drive so THANKS for reminding me. That will still work and I can 
then put the program on her computer. She never uses the PC, just 
her laptop and the kids use the PC for homework and I wont even 
have to connect to her slow internet service.

About the backups off-site: I have a CD at a friends house and 
also send the backup zip files to myself at my gmail e-mail 
address once a month. Yes, I know, I am paranoid. I may loose all 
my printed copies, genealogy books and CDs to a fire or flood but 
at least my data will be somewhere - as long as the internet 
doesn't disappear.

I basically do the same thing.  I use a jump drive as well as an external
pocket sized hard drive with 40GB.  It works great.

Hi Laura,

This is my understanding of the situation...

No data will be lost, you just won't be able to access the Deluxe 
features (and therefore the data stored in those areas) while using the 
Standard edition.  When you take it back to the computer that has 
Deluxe, it will all be accessible again.


The two editions are the same program, and therefore the same database 
structure.  With the Standard (free) edition, some data fields are 
locked away, hidden from view.  With Deluxe, those fields are unlocked 
and you can access them.

If the smaller capacity flash drives become cheap enough, writing the
database and every possible Report, Chart, etc. customized for each
particular relative could be a nice birthday, anniversary, wedding, reunion,

Thank you Wendy ... I do realize the difference between the two versions is
only an unlocking serial number. It is good to know that data loss would not
occur if the standard version was used on top of the deluxe version data.

Hi Laura,

This is my understanding of the situation...

No data will be lost, you just won't be able to access the Deluxe 
features (and therefore the data stored in those areas) while using the 
Standard edition.  When you take it back to the computer that has 
Deluxe, it will all be accessible again.

The two editions are the same program, and therefore the same database 
structure.  With the Standard (free) edition, some data fields are 
locked away, hidden from view.  With Deluxe, those fields are unlocked 
and you can access them.

The standard  deluxe versions are the exact program.  You can add any  all
data in the standard version, but some views are restricted to the deluxe
version.  No data is lost.  

Some of the advanced features are also restricted to the deluxe version.

Hello Diane,
It would be worth looking at the free program from Microsoft called SyncToy
(from the MS site) which automatically updates the data files between 2 (or
more!) locations. I use it for Legacy on 3 machines here including a Laptop.
It allows me to work on any machine and update all databases to the same
level.

This is the best way to do it!  I carry my flash drive to the FHC and
guess-what?? They have the latest version of Legacy on their computers and
all I have to do is plug my flash-drive into their usb port and I can work
with my data and modify it there.

Hi Diane,

As you've already seen, there is more than one way to achieve the 
desired result.  No one method is it, each has its own merits and 
problems and you will need to consider how they fit with you and make 
your own decisions.


My method is to have the working copy on my desktop computer, and a 
reference copy on the laptop.  I *only* alter the data on the 
desktop/working copy (bar one exception, see below), and when I'm about 
to head out somewhere I transfer a fresh up-to-date copy to the desktop 
via the network we have running in the house.  A flash drive would also 
do nicely if the network wasn't there.


When I'm out and about doing research, I record my findings in a 
separate document (OpenOffice, as it happens), which I then copy to my 
desktop when I get home and enter the data into Legacy on the desktop, 
too.  The only time I alter the Legacy data on the laptop/reference copy 
is when I'm working through the ToDo list, in which case I close items 
that I've done as I work so I can see what is left to attend to.  Of 
course, the items on the desktop/working copy will need to be altered 
later on as well, so this is a duplication, but I can live with that; on 
the reference copy all I do is mark an item Closed, on the working 
copy I'll also enter details about what the research found.

Have tried various ways.  To me the best way is to run the database on a
flash/ pen drive (and put all media files on the flash drive too).  This way
you are using the same database.  I then do the zip backup to my desktop
computer.

As you've already seen, there is more than one way to achieve the 
desired result.  No one method is it, each has its own merits and 
problems and you will need to consider how they fit with you and make 
your own decisions.

My method is to have the working copy on my desktop computer, and a 
reference copy on the laptop.  I *only* alter the data on the 
desktop/working copy (bar one exception, see below), and when I'm about 
to head out somewhere I transfer a fresh up-to-date copy to the desktop 
via the network we have running in the house.  A flash drive would also 
do nicely if the network wasn't there.

When I'm out and about doing research, I record my findings in a 
separate document (OpenOffice, as it happens), which I then copy to my 
desktop when I get home and enter the data into Legacy on the desktop, 
too.  The only time I alter the Legacy data on the laptop/reference copy 
is when I'm working through the ToDo list, in which case I close items 
that I've done as I work so I can see what is left to attend to.  Of 
course, the items on the desktop/working copy will need to be altered 
later on as well, so this is a duplication, but I can live with that; on 
the reference copy all I do is mark an item Closed, on the working 
copy I'll also enter details about what the research found.

One more vote for keeping your Legacy  multimedia files on a USB/pen
drive with the Legacy program installed on both the desktop and the
laptop.  Perform backups to the hard drives on whichever computer you
are using.  This way, you never have to be concerned with
syncronization and you have your data file on three different drives
(master on the USB drive, backups on both the desktop and the laptop
hard drives).  I can't think of any disadvantages to this setup.
