Enable filter log on the server email is installed on. This should be captured in the log as email engine is trying to create a record. Before the error is reported, you should be able to see get entries performed on email templates form, find the entry that is the culprit. Apart from this, you should also be able to see the email message as well in the logs. Another way is to enable email engine in debug mode and see the email and the error message right next to it. Email Error Logs bombarded with errors
Hi folks, Between 10:14 and 11:51, this morning, our email error logs form was bombarded with over 15,000 SEVERE error alerts. During this time, the e-mail flow continued. Our system is set up for outgoing messages, only. Remedy 7.6.04 SP3 I have found, in the recent past, that we have encountered several SEVERE error messages, similar to what occurred today, but never to the magnitude of today's occurrence. At first, I suspected this issue may have multiplied due to a filter I had recently created which would, on Submit of the AR System Email Error Logs form, send an e-mail notification to our Service Desk, alerting them of the error. So, I disabled the filter to eliminate it as a possible contributor to the issue. This was after over 5,000 messages had be received by our Service Desk, regarding these email errors. There were a variety of errors that occurred during this timeframe. I am leaning towards Remedy config. Are you using MAPI (with Outlook installed on server) to send emails? MAPIis the only configuration that will use the email profile you configure in Windows. The error indicates that SMTP is being used. Another thing to check is the email engine service is running as the AD account associated with the Exchange mailbox. If the service is using the Local System it won't use the mail profile you have setup. That’s a bug in JAVA Email daemon, you can think of an upgrade of remedy to latest version/patch. There are no plans to fix this in 7.1 version. Hi, If addresses are incorrect, it does not really matter if the email engine or your mail server is the complaining party. The messages are not sent. So why do you have characters that are not OK? One way to fix this is to send individual emails to each person instead of one email with , between addresses. Just separate the addresses with return instead of , in the Notification-action, and each user will get an individual email. Actually we want to avoid creating one email entry per email address inside remedy, because it is just slow and it is not designed for bulk email blast. We want to hand over that task to email servers that are built for doing that. Our each outgoing email usually contains 500 or more email addresses in CC list. And our SLA is usually with in a few minutes once an incident happens to send a notification to impacted customer. I agree it does not matter if it failed at remedy level or at smtp server level, the end result is email failed reaching end users. It seems like the our smtp server vendor has promised that it can properly handle these kind of email address errors. And single error in an email address is causing the whole email to fail. So we want to validate if it is the smtp server issue so that they can provide a fix. We wrote workflow to validate or handle these at remedy level but seems like users did not like that when they are handling hundreds of email addresses and getting popup errors from remedy when they copy paste from their spread sheets. Do you have some mailing lists for your customers you could utilize instead of individual addresses? I don’t have near your active customer base, but I’d hate to rely on a list of 500 addresses being exactly right for delivery to happen. Maybe obvious, but have you had someone check the smtp server error logs? I suppose if the errors were flagged there, they’d be located there, too – my reasoning, anyway. Outgoing Email Error: Not Connected on Some Emails Not All
Hi All, I have Arsystem 7.5 email engine installed with a 7.5 ARSystem server. I have multiple outgoing email mailboxes sending emails through one of two exchange smtp servers. Most of the emails go through ok but not a small percentage error out with the following error: Not connected java.lang.IllegalStateException: Not connected at com.sun.mail.smtp.SMTPTransport.checkConnected(SMTPTransport.java:1511) at com.sun.mail.smtp.SMTPTransport.sendMessage(SMTPTransport.java:548) at com.remedy.arsys.emaildaemon.SenderModule.sendMessage(SenderModule.java:365) at com.remedy.arsys.emaildaemon.SenderModule.doWork(SenderModule.java:220) at com.remedy.arsys.emaildaemon.ThreadBase.run(ThreadBase.java:268) at java.lang.Thread.run(Unknown Source) Obviously this is not a simple port issue as the majority of emails do go out. There is no common denominator as far as which emails go out and which don't, it happens with both exchange servers, multiple email accounts, at all hours of day and night, out of the box notifications and custom, html templates and plain text. As you can imagine this is causing major issues so any ideas would be gratefully received. Have you checked the permissions of the file it is trying to attempt to open? You may have started the AR System as a different user leaving the file inaccessible to the current user that started the AR System. All I had an issue with a filter that was causing an error on the incoming email message template we are using. I've corrected this issue, So my questions is there a simple way to reinvoke the workflow on these records with errors in the AR System Email Messages form without manually resending an email on all these records in question ? Add a display-only Send email radio button field to your form with the option of Yes. 2.Set your filter to fire whenever 'TR.Send email' = Yes. 3.Do a search and find all the entries that were supposed to send the email but didn't 4.Do a Modify All and set Send email to Yes. 5.Delete the Send email field. In the filter I had to add a replace function on the email message body to correct the password info. HI All, I had an incoming HTML formatted email with links on the bottom of the email like this: Approve Approve And Forward Forward Reject Request Information Somehow the server is thinking this is some kind of instruction but can't find it and send this back to the source. Instruction: Instruction Number:0 Instruction Template: Message Type: Message Number: 4928 Message Text: Unable to locate the specified User Instruction Appended Text: Approve Approve And Forward Forward Reject Request Information Any ideas on how to track this down? Also it would be great if someone can point me to the definitions of the Message Numbers. Yes, that is why this is hard to trace. The Exchange folks see the email going into the remedy box, but I do not see these ever hitting remedy. This happens only now and then. This error gets when connection to mail server gets timed out, EE re-establishes the connection to mail server after OutingConnectionRecycleSize in EmailDaemon.propeties property value Or if there are no further messages in queue to send across. Are any e-mails getting sent out successfully? My first thought is that it may be having issues connecting to the mail server, or the connection is getting reset before the e-mail engine expects, so when it tries to go and do some next action, the connection is no longer valid. Is there anyway to link a record in the AR System Email Error Log to a record in the AR System Email Messages Form? I tried the Mailbox ID, and Email ID fields and I'm not getting anything. Email ID is the field that links the two records together (same field on both forms). If you don't find the corresponding e-mail in the email messages form, it's possible that that record has been deleted. OOB, the errors form does not get cleaned up when an email gets removed from the email messages form (I added a filter on our system to fix that and keep the email errors form from getting filled up with error messages that no longer have a corresponding e-mail in the messages form). Yes, there some instances where an error would cause the Email Message to get deleted. This is more prone to occur on inbound messages. For example, if an inbound email is supposed to generate a new incident (or other application record) on submit to the Email Message form, and there is a required field value missing (or some other invalid value), the transaction will rollback and the email message will be deleted. In this case however, the error should still appear in the error log. I believe this would only be the case for inbound since the error is generated by the AR System Email Daemon. For outbound, there's no application validation the needs to take place on submit to the Email Messages form via a Notify action. As far as the 110044 error you are troubleshooting, it sounds like you don't have an outbound mailbox configured as the Default. Email Error Log
Hi All, My email engine is running using SMTP email configuration. Email services are using LAN account to restart the services and same details are present in the Email configuration form. But remedy email engine is not sending email messages. Below is the error message that I see in the email error log. null javax.mail.AuthenticationFailedException at javax.mail.Service.connect(Service.java:306) at com.bmc.arsys.emaildaemon.SenderModule.openTransport(SenderModule.java:4 18) at com.bmc.arsys.emaildaemon.SenderModule.doWork(SenderModule.java:190) at com.bmc.arsys.emaildaemon.ThreadBase.run(ThreadBase.java:288) at java.lang.Thread.run(Unknown Source) Can anyone please help me in resolving this issue? It sounds more like you're logging into the mail server with an account that's different than what you've specified as the sender e-mail address in your mailbox configuration. For example, if you're logging into an Exchange server as serveraccount, but you've got the From address in Remedy configured as remedyaddr...@mycompany.com, then you're effectively trying to send e-mail as a different user than you're logged in as, and the mail server needs to be configured so that you have that permission. I'm not sure your change has anything to do with this. Looking closer at the error, it looks like it's failing while connecting to a POP3 server. Do you have an incoming mailbox configured using POP3? If so, I would validate your configuration settings to make sure that you're going to the correct place, including the correct port. There is a incoming mailbox setup using POP3 but it is disabled. Again, I got the same error message as earlier : saying: client does not have permissions to send as this sender. I don't know why I am getting this again. Also, I have a questions , does it has something to do with login credentials. As we have username as RemedySA and password is already entered in the password field but we don't knw the password. I asked the RemedyAdmin at my work place, even she don't know the password. Email Error Help Needed
Hi All, I have a very interesting thing happening with incoming email. I have an email that goes out by doing a push field to the AR System Email Messages form. I have to do it this way instead of a notify because the To can be longer than 255 characters. The outbound email goes just fine. Problem is if someone does a reply. The email is received by the mailbox but does not get processed by the Email Engine. In the AR System Email Error Log I get Message number 4952, generated by the AR System Mail Daemon. In the arerror.log file I get a ARERR 20108. All other incoming email to this mailbox works fine. It is only the replies from the email were I am doing the push to the ARS Messages that have a problem. Can't find any reference to the two error message numbers. I've had this problem every few days since upgrading from 6.3 to 7.0.1 patch 5. It occurs when the Email Engine loses its connection to AR Server, a risk that is higher in my environment because I have a separate standalone Email Engine server. Once this happens all new outgoing emails get this error, their 'Send Message' value is set to Error (taking them out of the queue), and their associated ARTask attachments are lost. We have to cycle the Email Engine service and then requeue the messages. BMC says 7.0.1 patch 7 fixed this, but it actually made the problem worse in our dev environment so we never pushed it to production. We're now trying patch 8 but haven't been able to install it successfully yet. Hopefully you have better results with patch 7 or 8. We've had this problem for years--not only will it suddenly fail to connect to MAPI, we have instances where the service just hangs. It happened on v6 and currently happens on 7.0.1P5 as well (as you noted). I finally created an SSIS package that runs every 15 minutes and looks at the Email Messages form to determine if there are any emails that were created more than 10 minutes previous (should normally not be any since we poll every minute and it has no problem keeping up). When found, it cycles the Email Engine service. Since the new version of the Email Engine sets all messages to Error now when it loses connection (by design according to BMC), this package resets all Error back to Yes before restarting the service and increments an attempts counter on each message (used an existing counter field in the form). The package sets the Send Message flag to No for any messages that fail to be sent after three attempts (due to real errors like bad email address, etc) so they do not build up and cause the service to restart needlessly. I also check for messages older than 45 minutes and if found, send an email alert to the administrators to check the service and email form. (Service may suddenly be failing to start due to a password change, etc). Since implementing this, we've no longer had to baby-sit the service. We get this same error sporadically and cycling the Email Engine service always clears it up. We're on 7.0.1 patch 5, but had the same problem on 6.3. It's frustrating, I know. Email Error Log Question...
All, I have a process in place to where certain emails are forwarded to our server email from another account. Based on the TO information, I have a filter that picks up this email and creates an Incident. I am currently setting the Body of the email into a description field that is 5000 characters long. If by chance, the Body of the email is 5000 chr, the email engine submits a record to the Email Error Log that says: MessageType: 2 MessageNum: 306 MessageText: Value does not fall within the limits specified for the field AppendedText: (Maximum length- 5000) : TTS:HlpDskTkt : Description Message will be deleted without logging in email messages form because there is an error on submit. And, obviously it deletes the Email record. Is there any way for me to capture who the email was sent From, contents of the email or anything so that I can at least send an email back to them letting them know the incident was not submitted and they need to shorten the email? Off the top of my head I see 2 different ways to do this 1 - Create 2 Filters Filter 1 sets a temp Display Only Integer field to the length of the body Filter 2 (if the Length 5000) uses the Notify action to either send a message back to the sender or write to a log file (using the Other mechanism) Filter 2 would also need to be in a Phase 1 action ( `! at the end of the name) 2 - Only push the first 5000 characters into the Description of the Incident (using the LEFT function in the push). If you have an attachment field you can also push the full inbound email (using the Plain Text or RTF Attachment availabile on the AR System Email Messages form) into an attachment on the ticket. Incoming Email Error
Hello listers, Occasionally I will have an email fail to create an entry initially. Any ideas on what could cause this? Another funny thing is that our servers are rebooted every sunday morning, the email will then created a ticket in the system. So we have emails that are submitted on let's say a tuesday that do not create tickets until the Sunday reboot. Any help would be greatly appreciated.
